Navigating to the SF Employee Portal If you are logging into the SF Employee Portal for the first time, you will need to complete the initial login process for Identity and Access Management. Initial Login Instructions for

Identity and Access Management

After your initial login, follow the steps below to navigate to the SF Employee Portal. Step 1: Visit www.sfgov.org/sfemployee This web address takes you to the SF Employee Gateway. Select the SF Employee Portal tile.

Step 2: Agree to the System Use and Privacy Policy. Enter your DSW # as your Username and click the Continue button.

Step 3: Enter your password and click the Continue button to visit the SF Employee Portal to access your data and self-service functionality.

Top Menu Options Once logged in, you will land on the SF Employee Portal Home Page, where most employees will be using the Portal.

See below for information available under other menu items located at the top of the Portal. The User Access & Support menu contains information that Human Resources (HR) and Payroll professionals use to request training and access for system users.

The Communications menu contains additional information for HR and Payroll professionals.

The Information menu contains links for employees to obtain information about policy, benefits and employment opportunities.

Exploring the Portal Home Page The Portal Home Page is where you can view your personal information and perform self-service functionality, such as update your address and view your paystub. This is also the page where HR, Payroll and Finance staff can access the SF Employee Portal Support systems to perform business functions.

On the left-hand side of the Portal is a column of slideouts containing your information. The sections below review what you can see or update from each slideout.

Click the MY INFORMATION slideout to view your information. You can update personal information such as address and emergency contact by clicking the pencil

icon. It is important that employees keep their contact information current at all times, since this information is critical in the event of an emergency. Confirm with your Department HR what supporting documents they require before updating your information.

Click the MY PAY slideout to view your most recent pay information. Click the VIEW MY PAY link to view your prior paystubs. The SF Employee Portal is the primary method of obtaining paystubs.

Click the View Paycheck link next to the Check Date you wish to view. To print your paystub, select the PDF File box before clicking the View Paycheck link.

Click the MY TIME slideout to view your absence balances. If you are from a Self Service Time Entry Department, you will see an ENTER MY TIME link to complete your Timesheet.

Click the MY BENEFITS slideout to view your benefits enrollment information.

Across the middle of the Portal page are several tabs containing information and links under each tab. The tabs that appear are based on the employee’s position and security access. For example, employees who are not managers will not see the MANAGER LINKS tab.

The ALERTS tab contains information regarding the SF Employee Portal Systems, such as outages and updates. Some alerts can be dismissed, while others remain for a scheduled period of time.

The EMPLOYEE LINKS tab contains additional self-service functionality, such as submitting expense reimbursements, viewing or printing W-2/W-2c forms, viewing and updating Direct Deposit and W-4 Tax Information, and reporting time and absence for Self Service Time Entry Departments. Departments will communicate to employees the options they should and should not utilize.

The MANAGER LINKS tab contains links for managers to perform supervisory duties, such as approve expense reimbursements, and for Self Service Time Entry Departments approve reported time and absence.

The WORK LINKS tab contains links that connect users to various systems of the SF Employee Portal. All employees have access to the SF Learning system to complete specific online courses. However, access to all other systems will depend on your position and security access.

The Portal contains a carousel where employees can read rotating articles about upcoming events and new functionality.

Remember to click SIGNOUT on the upper right-hand corner of the page when you are done to ensure you are completely logged out of the SF Employee Portal.
