Introduction
TapCRM from AppJetty is a feature-rich and customizable mobile application for SugarCRM. Available for iOS and Android platforms, this app allows role based accessibility to users and also allows admin to integrate all or selected CRM modules dynamically with the app. The app is equipped with an interactive dashboard and provides analytical reports and graphical charts for all available CRM data.

Prerequisites
Following points must be followed before starting the plug-in installation:
• You should be able to login as an Administrator in SugarCRM.
• Check if your SugarCRM Instance is compatible for TapCRM or not.
• You must have a valid License Key Provided by AppJetty.
• If you are installing TapCRM, then make sure there should not be any older version of SugarCRM Employee App already installed in your SugarCRM. If there is any then you should uninstall that plug-in first.
• And lastly, install the mobile application on your android smart phone.

Installation & Configuration
TapCRM Plug-in Installation
• To start with the installation, Log-in as Administrator into SugarCRM.
• Navigate to the Administration page and click on ‘Module Loader’ to install the package.
• Browse the zip file and click on ‘Upload’ button under Module Loader screen. After uploading
package, click on the ‘Install’ button to install the package.
• Click on ‘Commit’ button to finish the installation. After successful installation you can see
‘TapCRM’ Plug-in in Installed plug-in list on Module Loader page.

Activate your plug-in
• On successfully installing the package, you will be redirected to TapCRM Installation Wizard. It
will first check whether your CRM meets all required configurations for TapCRM.
If it meets the requirements then you can go over the next step of configuration.
• Next step is to validate your license and activate your plugin.
• Get the activation key from the Order Confirmation Mail.
OR
• Login to your AppJetty account then go to Downloadable options and copy the activation key for
‘TapCRM’.
• Enter your license activation key for ‘TapCRM’ provided by AppJetty and click on ‘Validate’ button
to validate your license key.

• After the successful validation of license key you can Enable/Disable the plugin. On enabling the
plugin, it will display the list of CRM users. You can add users to the Licensed User panel by clicking
on the right arrow.
• Click on ‘Next’, this will take you to Module Configurations. Here you can select the modules to
be displayed in the app. This will be applicable to all app users.

• Drag and drop the modules from the ‘Enabled Module’ panel to the ‘Disabled Module’ panel to
disable them from the application.
Notification Configuration
• Click on ‘Notification Configuration’ tab. Here you can enable notifications for record creation,
modification and assignment in the modules.
• Click on ‘Next’. You will find two options: Mobile Layout Configuration and User Manual. To
configure the Mobile layout click on ‘Mobile Layout Configuration’.
• First and foremost, select the module from the drop down list. This list will include only the
modules selected in user accessibility section.
• Here you can select the fields to be displayed for three views: Edit, Detail and list with respect to
the above selected module.
• Drag and drop the fields in right pane which you would like to display in the app.

Note: By default ‘Default’ group will be assigned to a newly created contact record.
• Click on Finish button and you will be redirected to the Administrator Page. You can see the
admin panel has one more panel added for TapCRM.
• Now, you need to repair your SugarCRM Instance. For that go to Administration page and click on
‘Repair’ link, then click on ‘Quick Repair and Rebuild’ link.

Business Card Scanner Configuration
• Business Card Scanner is a third-party functionality (ABBYY) integrated in TapCRM. To access this
functionality, you will have to register yourself in ABBYY.
• To configure business card scanner, navigate to Administration -> Business Card Authentication.
• Check the box to enable business card scanner and then enter ABBYY credentials. Now click on
‘Save’ button. This will verify the details and if correct will authenticate card scanner.
• To access QR Code scanning functionality in TapCRM, enable the QR Code checkbox.
Role Based Access and Team Field Management
• Create and manage teams and roles, including module and field level access. To manage roles
navigate to ‘Role Management’ from Administrator page

• Create roles and assign field level access to users. To change the value in a cell, double click on the
cell and choose a value from the dropdown.
• Click on ‘Save’ button to save the changes.
• Modules in the app will be loaded according roles assigned to the user and also the field level
accessibility to edit, view; delete etc. will be as per the values selected for the role.

Front Side Instructions
Login:
• Download and install the mobile app on your phone.
• Enter your SugarCRM instance URL to which you want to connect and tap on ‘Continue’.
• Now enter your SugarCRM Username and Password and tap on ‘LOG IN’.
Forgot Password:
• To retrieve your password, tap on ‘Forgot?” option, enter your email ID and submit. Your will
receive your password on your mail ID.

Dashboard:
• Access all important modules from the dashboard like your Recent Records, Activities for the day,
app settings etc.
Quick Create:
• Quickly create records in a module from the dashboard using ‘Quick Create’ option.

General Settings:
• Configure your app settings directly from the dashboard or navigate through the main menu.
• Set pagination limit, enable offline sync feature and select modules to be displayed in the main
menu and quick create menu.
• To change the theme, select a theme from the 4 different options available and that theme will be
applied to the application.
LDAP
• TapCRM now also supports LDAP authentication of SugarCRM increasing its password
management ability.

Main Menu Configuration:
• Enable modules you wish to display in the main menu or drag and drop them to set their priority
and save your selection.
Quick Create Menu Configuration:
• Enable modules you wish to display in the quick create menu or drag and drop them to set their
priority and save your selection.

Main Menu:
• Access all SugarCRM modules enabled from the backend for the application from the main menu.

View Profile:
• View or Edit your profile information from the dashboard shortcut or access your profile from the
main menu.
Edit Profile:
• Edit your profile or change your login password from the application.

Module List View:
• Navigate to any of the SugarCRM module from the main menu, the layout will be reflected as
configured by you. You can add, update, delete or search records as per the accessibility provided.
• To access quick actions from list view, tap on the more actions icon. You can perform the following
actions using the quick actions from list view:
▪ Find Duplicate
▪ Delete
▪ Call
▪ SMS directly from TapCRM
▪ Locate

Filter and Sort Records:
• Tap on the filter icon to filter your own records, all records, your favorite records or offline
records.
• You can also create your own custom criteria to filter records. To create your own filter, tap on
Create New Filter option.
• Sorting can be performed based on the fields displayed in List View. Records can be arranged
either in ascending or descending order.

Add New Record:
• Create a new record from the list view of a module. Tap on the ‘Create’ icon on the list view to
create a new record in that module.

Module Detail View:
• Tap on any of the record from the list view and view all the details of that record.
• You can edit the record or duplicate it, make a call, send SMS, convert a lead, email or locate the
address of the prospect on map, based on the fields in the module.
Related Module View (Birds Eye View):
• View modules related to a record from the detail view. Press on the ‘Related’ tab in the detail
view of a record and view list of modules related to it. Press on any of the module from the list to
view the related records.

Compose and Log SMS
• Send SMS directly from TapCRM using the SMS composer. To compose SMS, navigate to the detail
view of the record to whom the SMS needs to send.
• Now, tap on the SMS icon. This will redirect you to the SMS composer. All the messages will be
logged in the SMS module.
• You can view all the sent messages and drafts in SMS module.
Note: To access the SMS feature your device must have a SIM card with SMS sending functionality.

Activity Stream:
• Get real-time updates on changes made to the records, new posts, comments and previews added
to the posts. Track the most recent updates across the entire organization.
• To add a global comment tap on the plus icon. You can @ mention a CRM and also # tag a CRM
record.
• You can also upload an attachment in comment. To add attachment, tap on the attach icon and
chose the file type.
• To view record level activity stream navigate to the detail view of record and tap on the Activity
Stream tab.

Global Search:
• Search across any modules in SugarCRM and obtain results at one place.
• To search any record tap on the Global Search Bar and enter the search keywords. Based on the
keywords the search results will be displayed module-wise.
• You can also filter the modules from which you want to fetch the records.

Nearby Search:
• To search records near you, navigate to that module and click on the Map icon on the top right
corner.
• Define the radius in Miles or Kilometers. Records falling under that radius will be displayed in Map.
Tap on a pin to display details of that record.

Attachments:
• You can attach a file either in Notes or in Documents module. To attach a file navigate to any of
these module and tap on the attach icon.
• You can attach a voice note, capture live image as attachment, choose a file from gallery, get
electronic signature or attach a document from your device. This will also reflect in CRM as an
attachment.
Note: Attachments is currently not supported in iOS.

Lead Conversion:
• As your Leads become matured convert them into Contacts, Accounts or Opportunities.
• To convert a lead tap on ‘Convert’ icon in the quick actions menu from the Detail view of Lead
Module.
• Select the module to which you want to convert the Lead and tap on ‘Save’.

Import Phone Contacts as Leads or CRM Contacts:
• Import your phone contacts to SugarCRM and create a new lead or contact in just a few taps.
• To import a contact navigate to the Contacts module and tap on the quick create button. Choose
‘Import Contact’ option and a list of your phone contacts will be displayed. Select the contact you
wish to import.
• You can also edit the contact before saving it as a record in CRM.

Business Card Scanner
• Scan Business card or QR code to automatically associate relevant information into CRM fields.
• To scan a business card and generate the details into the fields of a module, tap on quick create
button and then tap on the card scanner icon on the top.
• You can either scan the business card by taking a snap of the card or scan the QR code to generate
the details. Once the details are generated you can edit them before saving it as a record in CRM.

Set Reminders, Add Invitees:
• You can set reminders for activities and add invitees while you create an event. To add invitees
while creating an activity tap on the plus icon and select attendees from Users, contacts or Leads
module. A meeting invite will be sent to the selected invitees
• To set reminder select your preferred time from the Email Reminder pop-up. You will receive an
email reminder prior to that event.

Check-in / Check-out:
• To Check-in to a meeting, task or call navigate to the detail view and tap on Check-in icon. This will
create a check-in entry in CRM.
• You can also perform check-in from Accounts, Leads or Contacts module.
• If there is no check in entry, the app prompts you to create a new event for the check-in.
• If there is already check in entry available, the existing entry(s) show up with check in details and
check out button.
• Tap the Check-out button to perform a check-out.
• To view check-in details, tap the desired event. This will display the associated check-in/out
details.

• You will get notifications for Check-in / check-outs. Also, you can make a manual entry for check-in
and check-out in case you forget to check-in at the specified time.
• All check-in entries will be recorded in the Check-ins modules in CRM. Admin will have to approve
the manual entries made by any user.

Mass Update Records:
• To mass update records in a module, navigate to that module and tap on the more options icon on
the top right corner of the screen.
• Choose ‘Mass Update’ option from the list to enable selection checkboxes. Select records from
the list view which needs to be updated and tap ion ‘Edit’ button.
• This will take you to the mass update screen. Edit the fields as per your requirement and tap on
‘Save’ button.

Mass Delete Records:
• To mass delete records in a module, navigate to that module and tap on the more options icon on
the top right corner of the screen.
• Choose ‘Mass Delete’ option from the list to enable selection checkboxes. Select records from the
list view which needs to be deleted and tap ion ‘Delete’ button.
• This will bring up a pop-up to confirm deletion of records. Tap on ‘YES’ to delete selected records.

Export CSV:
• To Export records from a module in CSV format, navigate to that module and tap on the more
options icon on the top right corner of the screen.
• Choose ‘Export’ option from the list. This will export the records into a CSV file and bring up a pop-
up to open the exported file. Tap on ‘YES’ to open the file.
• View exported file with all information about the records in a CSV sheet.

Follow-ups:
• To create a Follow-up record, navigate to the follow-ups module and tap on Quick Create icon.
Follow-ups can be associated as an activity to other CRM records just like calls, tasks and
meetings.
• You can also create a follow-up for a particular CRM record by navigating to the detail view of that
record. There is a separate tab for follow-ups which shows the follow-ups based on the following:
▪ Overdue – Displays follow-ups which are overdue.
▪ Today – Displays Follow-ups that needs to done for the current day.
▪ Tomorrow – Displays Follow-ups that are to be taken the next day.
▪ Upcoming – Displays Follow-ups that are to be taken in the upcoming days.
• Follow-ups can also be viewed from Dashboard. Tap on the Follow-ups shortcut on dashboard. It
will display a list of modules for which follow-ups has been created.

Planner Monthly View:
• You can also view all your activities for a month in the Planner. Tap on the ‘Create’ button to add
an activity or select any date to view the details of activities scheduled for that day.
• Following activities can be added:
▪ Calls
▪ Meetings
▪ Tasks
▪ Follow-ups

Planner Timeline View:
• View all your activities for the day in the timeline view. Tap on the ‘Create’ button to add an
activity for the day.
• Legends will indicate the status of an activity based on time. Following are the statuses:
▪ Completed – Indicates that the activity is overdue.
▪ Active – Indicates that the activity must be in active state.
▪ Upcoming – Indicates the upcoming activities for the day.

Today’ Activities:
• View all your activities i.e. calls, tasks and meetings from one place.
Configure Today’s Activities:
• To configure the activities, tap on the settings icon. You can drag and drop an activity to set its
priority in the list; you can also enable/disable an activity from the list.

Recent Records:
• View module-wise list of records that you have created recently.
Configure Recent Records:
• To configure the recent records, tap on the settings icon. You can drag and drop a module to set
its priority in the list; you can also enable/disable a module from the list.
Note: Maximum 5 modules can be selected for viewing recent records

Recently Viewed Records:
• View module-wise list of records that you have viewed recently and avoid navigating to the
modules again and again.

Analytical Charts:
• View analytical charts with SugarCRM Reports. View charts with your own records or for all
records.
You can view the following analytical charts:
• Outcome by month
• Opportunities by lead source, Opportunities by sales stage
• Sales Pipeline
• Campaign ROI

SugarCRM Report module support:
• To view SugarCRM reports navigate to the ‘Reports’ module from the main menu.
• You can view all the reports in graphical charts format or in tabular format.

• You can also download report as a PDF. To download a report, tap on download icon on the top
right corner of the app.
• This will download a PDF version of the report and bring up a pop-up to open the downloaded file.
tap on ‘OPEN’ to open the file.
Note: Currently iOS version does not support downloads.

Log Calls:
• After receiving a call a dialog will appear which contains a list of contacts from the CRM which has
the same number.
• To log the call select a contact from the list. This will create a new record in the calls module.
Note: Call logging is currently not supported in iOS.

Multi Language:
• With the multi-language support, view the Application in your preferred language. TapCRM
supports all languages supported by SugarCRM. You could also add a language pack to match your
requirements.
• To select your preferred language navigate to ‘Settings’ and select the language from the
Dropdown menu. Your app will be reloaded and on login it will set the language you have chosen.

Layout Sync:
• If you make any changes to the layout of any module from the backend then you must sync the
layout to reflect those changes in the application.
• You can either sync layout for all modules together by taping on ‘Sync All’ button or sync
individual module.

Offline Sync Monitor:
• You can go offline whenever you want, add records in offline mode and sync them when you get
connected to the internet.
• You can sync all offline records together in one go or sync them based on modules. Also view the
stats of records being synced online.
