Need:

For any MBA Student, a learning combination of theory and practice is an invaluable asset, as it helps in understanding the core principles of business by way of first hand experiences. This implant training is a stepping stones, which will groom me for my future in the industrial world.

Scope of Study:

Swaraj Engineering Works are one of the renowned Steel fabricators,

engaged in Pre-Engineering Steel Fabrication, Building Erection Works,

Structural Fabrication, Industrial Piping, Factory Construction (including

roofing and cladding), and Customized Industrial Fabrication Work.

The company began its engineering activities in 1985 by Shri Sunil

Gumphekar with a small infrastructural set up and a vision to grow. Our

contracting division has contributed in building numerous structures.

Thereafter the company has developed resources, expertise and

infrastructure. With our vision to grow we entered in manufacturing with a

diverse range of products such as Heavy Machining, Semi -finished and

Finished automotive components, Sugar Factory Equipments ,Material

DEPARTMENTS

A. FINANCE DEPARTMENT

The finance part can be defined as procurement of funds and their effective utilization in the business. Finance area covers financial planning forecasting receipts and disbursement realizing of funds, use and allocation of funds and financial control through budgets and other devices of financial control, the financial manager attempts to bring performance closer to the targets. The main objective of this finance area is to use business funds in such a way that the earnings are maximized. These are various decisions will have to take into consideration the commercial strategy of the business. The finance area provides a framework for selecting a proper course an action and deciding a viable commercial strategy. The main objective of business is to maximize the owner's economic welfare.

In the light of broader scope of finance area, it includes the judgment about whether a company should hold, reduce or increase the investment in various assets. A finance function is most important of all business functions. It remains focus of all activities. It is not possible to eliminate or substitute this function because the business will close down in the absence of finance. The need of money is continuous. It starts with the setting of an enterprise and remains at all times. The development and expansion of business rather needs more commitment for funds. The funds will have to be raised from different sources. The source will be selected in relation to the implications attached to them. The receiving money is not enough, utilization is more important.

The money once returned will have to be returned also. If its use is proper then its return will be easy otherwise it will create difficulties for payment. The management should have an idea of using the money profitably. It may be easy to raise funds but it may be different o repay them. The inflow and outflow of funds should be properly matched.

Finance:

Finance department is the starting point of every economic activity. It is called as science of money. Finance is the basic requirement of every business activity and therefore it is rightly called the life-blood of business.

Finance is essential for effective and smooth running of business. It has been termed as universal lubricant which makes an enterprise dynamic. Without the initial capital no business can be started. Nor can any business be run without the necessary liquidity. Thus sitting in a single place the finance department takes care of the entire functioning.

FUNCTIONS OF FINANCE DEPARTMENT:-

1) The Finance department distributes the various required budgets to various departments. The corporate most probably decides the budgets.

2) The departments submit the required amount along with the reasons and utilities.

3) The Finance then projects the budget for the year and distributes the designated amounts.

4) Finance department collects information from various departments in an organization about funds requirement for projects.

5) Thus, sitting in a single place the finance department takes care of the entire functioning. It is the responsibility of the finance manager to ensure that there is enough liquidity in the company for any emergencies.

6) The variance payments to be made are handled by the finance. The cash is managed and control by the finance. The payments are in the nature of cherubs.

7) All these responsibilities rest with this department and are to be carried out with extreme secrecy. The other facilities may need sudden amounts without any prior notice. The documentation is extremely essential which is

taken care of by this department. There are invoices for every transaction. These are maintained and recorded.

8) Thus is clear from the above stated functions that the finance handles accounting, costing, taxes, and payments. This department functions under complete secrecy. The profit earned and the losses incurred are to be balanced and the essential liquidity has to be maintained.

9) The business is thus run with all the financial functions.

The other functions of functions of finance To process bill payments. may be stated as:-

1) To develop MIS accounting.

2) To assist in consolidation of a counts and finalization of factory accounts.

3) To evaluate raw material and finish product accounting.

4) To process supplier, employees, and other plant bills.

5) To carry out cost accounting.

6) To take care of the work contract tax.

7) To manage sale tax issues.

8) To calculate tax deduction at source.

9) To calculate tax on collection.

SECONDARY FUNCTIONS:-

There are certain other functions performed at the administration level. These can be called as the secondary functions. This is essential as it is the part of the running of a metal manufacturing plant. The location of a plant, its construction, location of various departments in the plant. The location of a

plant, its construction, location of various departments in the plant, all this is decided and approved according to the survey. The company is required to submit the blueprints to the survey. Only after the approval the plant can be constructed. Or any changes can be made.

When any new product is to be manufactured in the plant it requires approval from the survey. The components are decided and monitored by the survey. The person handling this has to look after the Submission and essential documentation. He has to submit the forms and look into their approval.

One other such secondary function is PPC (Production Planning And Control). This involves coordinating with all the departments and arranging for the purchase of raw material, "wing of the production and the various factors involved. The production has to be panned and then executed according to plans. All this is to be continuously monitored by the PPC and controlled. The PPC has to take care of the actual difficulties arising during the Production. These may be related to the batches under production or sudden change in the rules in the packing rules. The rules involve printing of certain details on the packing. These rules involve printing of certain details on the packing. These rules change for different countries. Thus the respective measures are to be planned and executed.

Goals & Objectives for a Finance Department

Small businesses might not have multi-employee finance departments,

but the goals and objectives for the accounting function of any entrepreneur

should go beyond just accurate record keeping.

1) Strategic Budgeting: One of the main goals for your finance department

should be to create and monitor not only your overall company budget, but a

variety of functional or departmental budgets, as well. Budgeting requires

research to estimate accurate revenue levels based on demand forecasting.

2) Cost Containment: To ensure you get the best quality at the lowest price

for materials, supplies and services, make purchasing management one of the

duties of your finance department. Require that employees get multiple bids

or present some justification for large purchases, and have your vendors,

suppliers and contractors.

3) Cash Flow Management: Knowing when your bills are due and when you

can expect payment from customers you’ve billed or other sales revenues is

critical for any small business. It’s not enough to show a profit on paper, and

your finance function should help you manage your working capital and credit

to ensure you have enough to pay your bills at all times. 

4) Debt Service: Letting your debt get out of control can have serious long-

term impacts on your business. Keep an eye on your credit use, including

interest amounts you’re generating, the scheduling of your payments and the

status of your credit report and scores.

5) Tax Planning: Don’t wait until the end of the year to find out what your

income tax liability is. Use proactive strategies to lower your tax burden, such

as depreciating assets and offering voluntary benefits to employees that help

you lower payroll taxes.

6) Accurate Record Keeping: The most important objective of any finance

department is to keep accurate financial records. This includes helping you

meet your legal requirements and ensuring you don’t spend more than you

have by accident. Consider external audits to prevent fraud, and institute

policies and procedures for controlling contracts and payments.

The HR department means Human Resource department, this department

plays a very vital role in any organization, and basically the term human

resource at the macro level means the total sum of all the components like

knowledge, creative ability, kills, attitude, capability possessed by all the

peoples working in organization.

Administration:-

In general administration HR plays an important role. HR manager manages all the activities regarding purchase and maintenance of office equipments.

1) The HR department handles the time office. This extremely essential as

the salary or the wages are decided based on inputs. There are leave

book maintained for all the employees. These books contain the

necessary details about the leave taken by the employee such as number

of days reason or leave etc. this helps in determining the number of

working days of the employee in particular month. In case extra

working time hours there are overtime slips which are to be filled.

2) The time office also deals with the legal aspects of the employees. This

includes the wages act, factory act etc. There are many apprentices

working with the company. They should know all the practices of the

company.

3) The employees have various claims such as medical claims travelling

allowance. These are all processed by the HR.

4) If employee leaves the organization the HR conducts an exit interview

which involves the various experiences of the employee of the with the

organization.

5) Then a relieving letter is generated. The PF formalities are also

completed. The employee needs to give a prior notice of his or

scheduled leaving. The employee cannot leave without prior notice.

6) The HR department processes all the provident fund and ESCI details.

The provident fund involves the concerned deduction of the stated

amount from the salary of an employee. It is responsibility of HR to clear

all the dues of an employees.

7) The employee has an account with the PF. The amount deducted from

salary is deposited in this amount. There are provisions for loans. The

employee can withdraw some amount from his PF amount. The form

filled and other documentation required is to be completed by the HR

must ascertain the reasons then let the employee apply for the loan.

C. Production and Quality

Production and Operation Department:

Production and Operations Management ("POM") is about the transformation of production and operational inputs into "outputs" that, when distributed, meet the needs of customers.

POM incorporates many tasks that are interdependent, but which can be grouped under five main headings:

PRODUCT

Marketers in a business must ensure that a business sells products that meet customer needs and wants. The role of Production and Operations is to ensure that the business actually makes the required products in accordance with the plan. The role of PRODUCT in POM therefore concerns areas such as:

- Performance- Aesthetics- Quality- Reliability- Quantity- Production costs- Delivery dates

PLANT

To make PRODUCT, PLANT of some kind is needed. This will comprise the bulk of the fixed assets of the business. In determining which PLANT to use, management must consider areas such as:

- Future demand (volume, timing)- Design and layout of factory, equipment, offices- Productivity and reliability of equipment- Need for (and costs of) maintenance- Health and safety (particularly the operation of equipment)- Environmental issues (e.g. creation of waste products)

PROCESSES

There are many different ways of producing a product. Management must choose the best process, or series of processes. They will consider:

- Available capacity- Available skills- Type of production- Layout of plant and equipment- Safety- Production costs- Maintenance requirements

PROGRAMMES

The production PROGRAMME concerns the dates and times of the products that are to be produced and supplied to customers. The decisions made about programmed will be influenced by factors such as:

- Purchasing patterns (e.g. lead time)- Cash flow- Need for / availability of storage- Transportation

PEOPLE

Production depends on PEOPLE, whose skills, experience and motivation vary. Key people-related decisions will consider the following areas:

- Wages and salaries- Safety and training- Work conditions- Leadership and motivation- Unionization- Communication

Aims and functions of production department:In a manufacturing company the production function may be split into five sub-functions:

1. Production and Planning: The production and planning department will set standards and targets for each section of the production process. The quantity and quality of products coming off a production line will be closely monitored. In businesses focusing on lean production, quality will be monitored by all employees at every stage of production, rather than at the end as is the case for businesses using a quality control approach.

2. Purchasing: The purchasing department will be responsible for providing the materials, components and equipment required to keep the production process running smoothly. A vital aspect of this role is ensuring stocks arrive on time and to the right quality.

3. Stores: The stores department will be responsible for stocking all the necessary tools, spares, raw materials and equipment required to service the manufacturing process. Where sourcing is unreliable, buffer stocks will need to be kept and the use of computerized stock control systems helps keep stcoks at a minimal but necessary level for production to continue unhindered.

4. Design and Technical Support: The design and technical support department will be responsible for researching new products or modifications to existing ones, estimating costs for producing in different quantities and by using different methods. It will also be responsible for the design and testing of new product processes and product types, together with the development of prototypes through to the final product. The technical support department may also be responsible for work study and suggestions as to how working practices can be improved.

5. Works: The works department will be concerned with the manufacture of products. This will include the maintenance of the production line and other necessary repairs. The works department may also have responsibility for quality control and inspection.A key aspect of modern production is ensuring quality. The term quality means fitness for purpose i.e. a product; process or service should do exactly what is expected of it.

Limitation

Generally the organization does not allow outsiders to conduct any

study or research work in the organization. Therefore, get the project

done in the organization was very difficult.

The project based on theoretical guidelines and as per situation

precvalnt at the time practical training. Hence, it may not be apply to

different situation.

The time span for the project was very short which was of two months,

which itself act as constraint, Moreover, studying the guidelines and

applied it practically with in such a short time span was a task of great

pressure.

Conclusion

I have done this project report in a very healthy atmosphere, where

everyone cooperated me to do my project work in a systematic and complete

manner. This training has given me the knowledge about the various functions

in company.

In Plant Training helped me to understand all the functions, which is

going in the company. This training also helped me to understand the

managerial skills, which I study theoretically.
