Official Language

The official language of the Annual meeting will be English.

Registrations

All participants are required to register. A badge will be provided to all registered participants. All participants are obliged to wear the badge on all Annual meeting occasions.

If you want to attend the whole EPOS meeting and attend the sessions, please register through the official Annual meeting website (here you can buy full registration badges, which allow access to all areas of the meeting venue and all scientific sessions in the programme, and include coffee/tea breaks during the official Annual meeting days and lunches on Thursday and Friday).

The exhibition is an integral part of the EPOS Annual meeting. Exhibiting at EPOS gives you the opportunity to present your company, cultivate established relationships, identify your new business contacts and increase your company’s brand awareness.

The exhibition is located at the heart of the Annual meeting and will be combined with poster exhibitions. All the breaks will also be held in this area. This includes the lunches as well as the morning and afternoon breaks. The exhibition area will be the central meeting point for all the delegates. We guarantee a good flow of visitors to your stand.

Exhibition Space Rental Cost

NOK 5.550,-/m2 (early fee)

NOK 6.500,-/m2 (late fee)

• Rental cost is for floor-space only (it does not include wall separations).

• 1 table and 2 chairs will be provided.

• Minimum floor-space that can be hired is 6 m2.

• Rental cost includes 1 badge per stand. Additional badges can be purchased through the regular registration website.

• Individual preferences from partners/exhibitors regarding location (and length/depth) of stand will be taken into consideration, but we cannot guarantee you are allocated your first choice.

Please note that we have an early and late fee this year. The deadline for the early fee will be the 31st of December 2017, if the early amount is not paid by then, the late fee will be charged.

Logistics and shipping clearance serviceMaterials can be shipped to Oslo in advance.Custom clearance and transportation of goods to the conference center are aslo handled by Compass Fairs.

Shipping Goods

Before shipping any items to your stand please make sure you get in touch with Compass Fairs. They will be happy to offer their services for reception and delivery or unloading to stand of your materials. Once contacted, they will send out the documents that include all relevant info to ship goods, inform them and fix delivery to stand as well as payment terms and conditions.

Please note that the conference center does not accept incoming shipments. If you intend to ship goods directly to your stand, you need to be there in order to sign off the delivery note of your transport company.

Concurrent Sessions at EPOS (Open to multiple sponsors)

EPOS will have several concurrent sessions on Thursday and Friday afternoon covering the following topics: Lower Extremity, Upper Extremity, Neuromuscular, Sports, Basic Science, Metabolic, Tumor/Infection, Foot &Ankle, Spine and Hip. The sponsor will be acknowledged in the program and on signage.

Industrial Symposia

NOK 80.000,-

An industrial symposium can only be booked if your company sponsorship is gold or higher.

These symposia are scheduled between scientific sessions (towards the end of the lunch break) and allow a company to attract as wide an audience as it can to present and/or discuss a topic of the company’s choice. We encourage symposia that explore the most recent advances in the field and their implications for clinical practice, and that are relevant to a varied audience.

The cost of the symposium includes room rental (in standard set-up) and standard AV equipment (projector, laptop, and wireless presenter/microphone). The partner must choose the subject of the symposium and arrange the speakers and moderators. Set-up and management of the symposia are at the company’s full discretion.

The title, speaker(s), moderator(s) and any subtitle(s) need to be confirmed and communicated to eposexhibit@ccnorway.no by January 31st 2018. The information can then be added to the general program information. If we receive the information after this date, we cannot guarantee it is published correctly.

Costs for speakers and moderators (travel, accommodation and registration fee) participating in the symposia are at the sole expense of the partner. Any additional requirements (e.g. extra furniture or equipment or changes in the set-up of the room) are at the expense and discretion of the partner. All persons attending the symposia need to be registered (paid) as full participants. Please note lunch is provided for all registered participants. This will be available in the main exhibition areas.

PromotionPromotion or advertising of the symposia (e.g. placing of signage and banners) is limited to the designated areas of the symposia and the partners’ stand (if the sponsor has a stand) and is permitted only 30 minutes before the start of the symposium.

Conference ID Items (Open to one sponsor per item)

Participants like to collect free materials connected to the Annual meeting to keep with them. This way, an attendee will keep your company pen with them. This gives your company perfect visibility and logo/brand acknowledgement

Conference BagsConference bags will have the name, date and location of the Annual meeting printed on the bag as well as the sponsor’s name and logo (in one colour). The bags are to be provided by the organisers.

LanyardsThe lanyards are provided to all participants along with their badges. Delegates will be required to wear them, which guarantees great visibility. There is no better way of brand/logo acknowledgement.

Sponsor Visibility Options

PensPens printed with the sponsor’s logo on it, are to be provided by the company. They can be made available at the registration desk. If the company prefers to have branded pens inserted in the conference bags as well, the items need to be received in time for approval of the organisation. In case bags are not supplied, the place of distribution is the registration desk.

Presidental DinnerThe Presidential Dinner is an exclusive dinner hosted by the EPOS President (who invites each and every guest personally). The location is to be confirmed, but will be a high-end restaurant or historical venue in Oslo. The sponsor will have exclusive sponsorship and and unique possibility to attend the dinner (only for one) with managers/directors/seniors. Possibility to place one (1) banner in the area where the Presidential Dinner will take place andaAcknowledgment in the congress programme.

Coffee or Lunch BreakCoffee breaks are scheduled before and between scientific sessions. Socialize with participants in a more informal atmosphere and gain great visibility! The partners can also print napkins or any similar items with their logo, to be used during the coffee break.

Final Program Book

Link your organisation with a valuable educational resource that is prominently used throughout the Annual Meeting and beyond. Distributed to all attendees at registration, the final program is the template for the scientific sessions.

Visual media in the form of the E-poster exhibit is a valued component of the Annual Meeting. 75 E-posters will be displayed at the Annual Meeting on special computers located in high traffic areas outside the meeting hall. Scanner

You can reserve a scanner to read the badges of delegates at your stand, meeting room, lunch or coffee break. You can use the scanner at your own discretion and our staff will download the delegate information after use. The scanner is an excellent way to monitor your attendance.

There are small meeting rooms available near the exhibition area that can be hired for private meetings. These rooms are available on a first come first serve basis.

Reservations and Payment Conditions

Exhibitors/Partners must complete the reservation form at www.epos2018.org.

All afore mentioned costs are quoted in NOK.

A confirmation of reservation will be sent together with the contract and an invoice will be sent to settle payments.

In case payment has not been received by EPOS before EPOS commences, EPOS reserves the right to withhold stand-construction or other sponsor-participation at EPOS.

Stands will be assigned on a “first come, first served” basis. Preferences for stand location will be taken into consideration, but first choice location cannot be guaranteed. Double Diamond and Diamond sponsors have first choice of location.

Liablility and Insurance

Neither the organizers nor the meeting venue can take any responsibility for injuries or damages involving persons or properties during the Annual meeting. The partners are requested to have their staff and products insured.
