Project Management Processes

A Regius project manager has to take the ideas and intentions of a group of people who see the need for a project in their organization and convert them into a formal, planned, resourced and funded project, in a way that clearly and explicitly defines the objectives and scope of the project.

His work of scope has following areas:

He has to develop an overall schedule of activities and resources (project plan) required to carry out the whole project.

To develop a detailed schedule of activities and resources (stage plan) required to carry out the next stage of the project,

To defines a project organization structure which can be used to effectively manage and carry out the necessary work,

To establishes a convincing business case for the project,

To gains commitment and approval to the project from the appropriate level of senior management.

So that the project is firmly set up for success and the probability of producing a high quality services on budget and on schedule is maximized.

Project Initiation should be conducted in a relatively short timeframe when compared to the rest of the project. Small projects should take one or two days, whereas medium to large may take two to four elapsed weeks.

The Project Initiation Report is an overall plan for carrying out the whole project, and a more detailed plan for the next stage of the project. It consists of:

clearly defined objective,

clearly defined dimensions of scope,

overall schedule of activities for the project (project plan),

project organization,

clearly defined project control procedures to check and confirm quality,

usage of resources, costs and time, manage change and track issues,

clearly stated business justification for the project,

Project budget.

In addition to the above, the plan for the next stage consists of:

detailed schedule of activities for the stage (stage plan),

quality review standards for products to be produced,

identified resources and associated costs ,

Control tolerances.


By completing the Project Initiation Stage, the chances of a successful conclusion to the project will significantly increase.

Communication Plan

Regius project manager will work with client in understanding the roles and responsibilities of the key stakeholders and members of core team, as well as to agree upon deliverables and the review/ approval/ sign-off requirements for each. The communication plan will be documented and followed throughout the course of the project.

Requirement Specification

Regius business analyst will work with client to define detail system requirement. He has to follow up thoroughly for proper accomplishment of project. He will act as connecting link between developers and clients.

Execution Plan Regius business analyst and project manager will work with development and QA team to define various development cycles and deliverables.

Based on the development cycles and deliverables Regius project manager will prepare and communicate the execution plan to key stakeholders of the project.

Project Execution Scrum– Our project manager will daily conduct scrum with QA and development

team to track progress. Based on scrum report, our project manager will update project dashboard and communicate the same to client and key stakeholders of the project.

Timesheet – Each project team member is responsible for logging their time to our timesheet application on daily basis.

Project review – Regius project manager will conduct project review with client on weekly basis.

Resource allocation: Project managers are responsible for managing resources for their respective projects. Project manager should discuss the resource requirement in one week advance to Regius Management Team and to client. Project manager is responsible for reporting poor performing resources to Regius Management Team and should ask for immediate replacement.


Development Processes

Source control Regius development team will use source control tool suggested by client and if there is no suggestion from client then the team should use SVN.

Code review and coding standards Regius project manager will designate code reviewers for their respective project. Each developer should ensure that their code is reviewed by designated code reviewer before check-in the code to source control system.

Code reviewer should define coding standard for their respective project and should ensure that developers follows coding standards.

Automated daily build and weekly build Each development team should automate their daily build process. Project manager should ensure that the development team gives one build in a week to QA for testing. Development team should communicate release notes for each build to QA and QA team is responsible for maintaining release notes for each build.

Automated unit testing and acceptance testing Development team should define unit test cases and acceptance test cases for the project and they should automate the unit testing and acceptance testing. Developer is responsible to execute unit test cases before check-in the code to SVN.

QA Processes

Bug tracking system Regius development team will use bug tracking system suggested by client and if there is no suggestion from client then the team should use Mantis as bug tracking system.

Smoke and acceptance testing QA team should define test cases for the smoke testing of the build and execute smoke test for each build. If any of the smoke test fails then QA should reject the build and should communicate same to Project Manager, development team and client.

Functional testing QA should define functional test case for each use case and should execute the same against each build. If any of the test cases fails then they should report the defect in the bug tracking system and assign to respective developer.


Regression testing

QA should verify each and every defect marked as fixed by development team in the given build and re-open the defect if that is not fixed. The defects are fixed need to be marked as closed in the bug tracking system.

UI testing QA should verify entire user interface and report if they find inconsistency in the UI.

Performance testing QA should conduct automated and manual multi-user test to major system performance and they should report if the performance is not per defined criteria.

Certification and deployment Only QA certified build should be deployed on production or on the customer‘s servers.
