Policies Guarantees
Banquet Event Orders (BEO’s) will confirm the estimated number of attendees, menu, room set-up, and other details of the event. Written corrections and signature on BEO’s are required no later than five (5) business days prior to event. If Client does not return BEO’s by that date, Client agrees that all information in BEO’s is correct and binding. Please note that once the guarantee has been provided, the number may increase but not decrease. If Client’s guaranteed attendance increases by more than 3% within 48 hours of event, the contracted menu items may not be available for the additional guests. If the guarantee is not received, the number of persons indicated in the BEO shall become the guarantee. Hotel shall prepare food and beverage for an additional 3% over the guarantee. Payment shall be based upon the final guarantee or the number served, whichever is greater.
Menu Choices All menu choices must be received five (10) business days prior to the event. If menu choices are not received ten (10) business days prior to the event, Hotel reserves the right to choose the event menu. All menu prices are subject to change due to market conditions.
Outside Food and Beverages Prohibited
Due to licensing requirements and quality control issues, all food and beverage served on Hotel property must be supplied and prepared by Hotel and may not be removed from Hotel property. No outside food or beverage is allowed.
Deposit
A non-refundable deposit is due to Hotel upon signing of Contract. The final balance is due to Hotel ten (10) business days prior to the event in the form of cash, credit card, or certified check. No personal checks. For corporate events, a completed credit card authorization form for 100% of the estimated total is acceptable in lieu of deposit and the card shall be charged five (5) business days prior to the event.
Decoration
Delivery time must be coordinated with Hotel in advance. Special ingress and egress, insurance and security requirements may apply in the case of events with décor, sets, special lighting or special sound. Nothing shall be attached to the walls and ceilings. A walk through is to be arranged with a designated Client representative and Hotel representative after the dismantling. Banquet tables shall be draped in house linen. Specialty linens may be ordered for an additional charge.
