WelcomeWelcome to Calgary and to Stampede Park, the home of the world famous CalgaryStampede. In 1912, Guy Weadick dreamed of starting The Greatest Outdoor Show on Earth. In 2012 our Calgary Stampede turns 100, we’ll all play a role in hosting this historical event.

Application Submissions

Application submissions do not guarantee space.

Applications will not be reviewed unless all

required information is complete.

Please be aware that the number of

applications received far exceeds the

number of vendors we are physically able to

accommodate on Stampede Park,

therefore the process is highly competitive. Our

selection team uses their

Knowledge and experience to select the best

exhibits, concessions, products

and services from the number and variety of

vendor submissions available through the

application process.

Once you submit your application online, you

will automatically receive a copy of it in your

email inbox and one will be sent to the

Midway Programming team. If you do not

receive a copy then it was not transmitted

successfully and you will need to redo it.

DO NOT submit any money with the

application. Should your application be

accepted, an invoice will be provided to you

with your license agreement.

Applications that are incomplete or not

acceptable (as described in the application

status section) will be rejected and notification

will be sent via e-mail.

All successful applicants will be issued a Calgary Exhibition & Stampede License Agreement. No agreement is confirmed until the contract has been signed by the authorized representatives

of both parties and deposit payments received by the Calgary Stampede.

Completing the ApplicationBusiness Information

• Legal Company Name – This is the name that will be used on all correspondence. If your company is NOT a legally registered company, please use your personal name.

• Doing Business As/Display Name on Booth(s) & Directories (if licensed) –This is the name that the public sees on, or within, your location. Please ensure that this field is completed on the application. (If licensed the Legal Company Name will be used if no other name is given on the application)

• All applicants must submit photos of a booth presentation. Artist renderings will not be accepted. Photos of space presentation should show product display and please include additional photos of your product(s). Photos, videos or unsolicited samples will not be returned.

• For vendors who were licensed at Stampede 2011:You are only required to submit photos of your space presentation(s) if you have made substantial upgrades/changes OR if you are applying for additional space OR if you are applying with a new product(s). Artist renderings will not be accepted.

• For vendors who are not Canadian residents, please carefully review the section of this document relating to entering and working in Canada, duties and taxes on importing goods or equipment into Canada and applying for work permits. (pages 36-38)

Accepted

You will be formally offered a license agreement for the

2012 Calgary Stampede based on the timelines outlined

in this document (pages 10-12). No agreement is

confirmed until the contract has been signed by the

authorized representatives of both parties (the vendor

and the Calgary Stampede) and deposit payments have

been received by the Calgary Stampede.

Waitlisted

Your application may be waitlisted for a number of reasons, including those

listed below but not limited to the following:

• Presentation did not meet the display restrictions or appearance standards as outlined in this document

• Duplication of same or similar product. The Calgary Stampede reserves the right to determine the number of businesses or vendors that exhibit same or similar products and/or services. Consideration is given to not over-saturate the Stampede Market, the Grandstand Market or the Midway

If waitlisted we would encourage you to consider other events as there are no

guarantees that space will become available.

Application StatusYou will receive notification via email of the status of your application. The following are descriptions of the various categories that the Midway Programming team uses in the evaluation of all applications.

Not AcceptableYour application may be considered not acceptable for a number of reasons, including those listed below but not limited to the following:

• Photos submitted show a mall kiosk-type booth or a photo from a show where the booth structure is provided by show management

• Obscene or offensive products (as determined by the Calgary Stampede)• Pyramid sales, jam auctions, brand activation, street teams or card table exhibits• Sampling for brand activation• Raffles, fundraising and/or solicitation of funds on behalf of charitable or not-for-profit organizations• Presentations promoting gambling in any way. Exceptions may be considered for getaway

destinations in the travel and tourism industry that may include gambling as part of an overall package; however, booth décor may not advertise this specific component

• Products not meeting Canada’s Office of Consumer Affairs Codes and Regulations• Products not C.S.A. approved• Tobacco products or any products that promote smoking–including cigars, cigarettes, smokeless

tobacco, electric cigarettes, pipes and lighters• Folding, picket or hunting knives or guns of any kind. Exceptions may be considered for decorative

replicas• Display, sales or advocacy of items or paraphernalia that may be seen to promote, in any way, the

use of illegal substances• Products that infringe upon copyright, patent or trademarked logos or images. You must have legal

authorization to distribute any such products• Live animals are not permitted at any time in booth locations. Service animals are exempt• Products that conflict with Calgary Stampede Sponsorship agreements, exclusive product suppliers or

official suppliers

Application Timeline

• This process will continue until all available space has been allocated. It is our experience that we generally are at 95% capacity by the end of the second round of submissions (December 31)

• Applications received after we are at capacity, unless rejected, will be automatically placed on our waitlist and will only be contacted if space becomes available

• U.S. and foreign applications will be licensed first where possible, due to timelines required for work permits and importing foods and equipment into Canada

The Grandstand Market has limited exhibit space. This space is in a ticketed venue which hosts daily events such as the Rodeo, the Rangeland Derby and the Grandstand Show.

Indoor Percentage Payers

Indoor vendors selling food,

beverages and/or

customized/personalized

products (in BMO Centre or the

Grandstand) are referred to as

percentage paying vendors.

These vendors shall pay the Calgary

Stampede 25% of gross sales

(net of GST) OR a minimum flat rate

guarantee, whichever is greater. The

minimum flat rate guarantee is

equivalent to booth square footage

multiplied by the square footage

space rate.

Please note that vendors selling

food or beverage products that

conflict with Calgary Stampede

operated concessions or

Calgary Stampede exclusive

product suppliers and/or official

suppliers are not eligible for

licensing.

All vendors that are licensed as

percentage payers are required to

make daily payments for each

Indoor Display RestrictionsAll indoor locations are provided with pipe and drape only.

Should you need to rent any display equipment for your booth (iflicenced), please contact GES Canada, our official show services

• Booth construction is to be professional in appearance • Booths shall be structurally sound and in excellent repair• Exhibits should use professional display techniques such as carpeting, signs, counters, shelving, plants and decorative touches

• Appropriate floor coverings should be clean and in ‘new’ condition, and compliment the color theme throughout the exhibit area

• If utilizing draped tables, tables need to be professionally skirted to the floor and compliment the color scheme of the booth

• Tiered merchandise display units or shelving/showcase units• Tents or top coverings are not permitted, unless the product being retailed requires low lighting such as candles/glow in the dark product(s). If this is the case, only certain areas of the hall will be available

• Signage shall be professional and clearly indicate the company name, product and/or services being exhibited

• Pricing on signage is highly recommended• Handwritten signs of any kind are prohibited

Indoor Display RestrictionsSidewalls

• Every indoor vendor is entitled to a reasonable sight line from the aisle regardless of the size of the exhibit. The objective for vendors is to effectively use as much of the total booth space as possible and at the same time not cause any interference with the rights of other vendors

• Due to the changing layout of the exhibit hall, discretion will be used by the Midway Programming team to determine if sidewall obstructions severely handicap other vendors. In some cases, it may be necessary to adjust your display, so you should be prepared to do, if requested

End Caps

Excessive display obstruction above

4’ on either end (grey areas) by

signage, walls, product(s) or displays

will not be permitted, as it restricts

sightlines to fellow vendors down the

aisles.

If you have a pre-constructed booth or grid

wall, you may be required to remove

panels or pieces of your display to conform

to these restrictions as sightline

requirements will be enforced. Certain

locations allow for greater flexibility.

Sightline questions on these spaces will

be dealt with on a case-by-case basis.

Indoors Display Restrictions

Rear Wall Signage

Where possible, booths should not

exceed the rear wall height restriction

of 8’. In some cases, pre-formed

booth packages or custom built

booths may, in fact, exceed this

height. The Midway Programming

team may determine that the over

height is too excessive and may

request the vendor make the

appropriate alterations.

Island Locations

For those vendors desiring an island space, there are some additionaldisplay requirements to be mindful of. An open concept is required forisland location display design. This allows customers to move freely inyour booth and also extends a courtesy to neighboring vendors bymaintaining sightlines down the aisles.

Banner Hanging

• Banners may not have prices printed on them

• Banners may only be hung above the booth with clearance below them

• Banners must fit within the ‘airspace’ of the booth, and cannot be larger than the booth

Indoor Minimum Appearance Standards

• Booths should be attractive, colorful, neatly arranged and clean• Product(s) should fit proportionately into the area without overcrowding

• Booths should be open concept, where appropriate, and be able to accommodate customers with the booth space without blocking the aisle or crowding other vendors

• Booth design should allow for guests to step off the aisle to view your product(s) or display(s)

• Wheels and other bases of cabinets must be covered/hidden• Product(s) or storage materials must be kept out of sight• Staff should be well groomed, attentive and courteous• Staff uniforms are highly recommended, with western or theme dress preferred, if appropriate

Outdoor Percentage Payers

Outdoor vendors selling food,

beverages, attractions, pay-per-ride

or view and/or customized/personalized

products (on the Midway) are

referred to as percentage paying

vendors.

These vendors shall pay the Calgary

Stampede 25% of gross sales

(net of GST) or a minimum flat rate

guarantee, whichever is greater. The

minimum flat rate guarantee is

equivalent to ‘closed’ (awnings closed

etc) footprint square footage multiplied

by the square footage space rate.

Please note that vendors selling

food or beverage products that

Outdoor Minimum Appearance Standards

• Plants, flooring, western facades and other decorative props are preferred

• Seating areas are to be kept clean by the operator, including tables, benches and ground area

• Quality point of sale photography and menu boards are to be used

• Menu boards should be easily visible to the guests

• Menu prices are to be clearly displayed

• Drink menus should include the sizes in ounces

• All food and beverage menu pricing must include GST and be indicated on your menu boards and signage

• Staff uniforms are preferred

• Concession units should always have a ‘new condition’ look to them. Exteriors shall be well maintained and clean

• Concession units shall follow the theme of the food or beverage product being sold, from signage and décor to uniforms

• Concession units shall be brightly lit on the exterior, with professional signage

• Handwritten signs of any kind are prohibited• Concession units shall be designed to be self-

contained, with all equipment such as freezers, refrigerators, beverage canisters, and propane tanks, located within the concession space and not visible to the public

• Concessionaires will ensure that all electrical cables, water hoses, propane hoses, and sewer lines are kept neat, with excess cable or hoses stored under or inside the concession unit

• Use of an auxiliary storage area immediately next to the concession unit may be acceptable provided that it is enclosed in a professional manner and compliments the concession unit

• Concession units that are trailer mounted or roll-off style shall be skirted to the ground and trailer hitches removed or covered appropriately

Outdoor Minimum Appearance StandardsThe Calgary Stampede does not rent tents. If you wish to pursue this option Warner Shelter Systems Ltd is the preferred supplier. For inquiries or pricing contact 403.279.7662 or www.wssl.com

Tent Structures

• The use of tents is restricted to non-food locations only

• All tent structures must meet City of Calgary code for temporary structures and be manufactured for commercial use

• Pop-up type tents are not permitted• Tents must be anchored with pegs in

the asphalt on the Midway• Pegs/pins cannot be less than 1 inch

in diameter• Counterweights such as water

barrels or concrete blocks do not meet code and will not be permitted

• The structure on the fronts of these temporary Midway structures must meet engineering requirements with respect to securing the décor or façade to the tent

Tents, as shown in the in the photos below,must use décor enhancements such as a tentfaçade. In considering what you may do, we prefer Western themes, but any theme relatedto your product(s) will work equally as well.

Cancellation Policy

• Any and all monies paid to the Licensor (the Calgary Stampede) in connection with the License Agreement shall be for the benefit of the Licensor and for greater clarity, shall not bear any interest to the benefit of the Licensee

• Monies paid by the Licensee to the Licensor are non-refundable. However, in the event that the space can be reassigned, consideration will be given to refunding a portion of the booth fees less the cancellation fee, as per the following schedule:

Cancellation in March 2012-$500.00 + GSTCancellation in April 2012–$500.00 + GSTCancellation in May 2012–$1,000.00 + GSTCancellation in June 2012-$2,000.00 + GST

Deposits

New vendors, who are percentage payers, will be requiredto pay in advance, one-third of the minimum guarantee as a performance deposit. All new vendor deposits must be paid by credit card so that refunds can be applied directly to that card when the minimum guarantee has been met during the event.

Returning vendors, who are percentage payers and have anestablished revenue and payment history (have consistently met theirminimum guarantees) with the Calgary Stampede may have thedeposit waived.

Returning vendors, who are percentage payers and did not meettheir minimum guarantees in 2011 will be required to post a deposit inadvance.

Insurance

All applicants who are successful inbeing licensed for the 2012 CalgaryStampede must provide aCertificate of Insurance forComprehensive General Liability(CGL). Minimum limit of insuranceis $2,000,000.00 for eachoccurrence. The only acceptableAggregate within the CGL limit isfor ‘products and completedoperations’. Your insuranceprovider must be licensed to dobusiness in the Province of Alberta.

Patents /Intellectual Property

Vendors wanting to sell products that are copyrighted must have legal authorization to do so.If you are licensed and found to have merchandise for which you do not have the legal authorization, the Calgary Stampede has the right to revoke your license immediately. Should this occur, it will impact your ability to apply for a license in subsequent years.

Audits

All exhibitors at the Calgary Stampede are subject to a number ofaudits. These may include:

• A financial audit (applicable to percentage payers only) conducted by an independent auditor

• A food audit conducted by an independent Market Research company

• An appearance standards audit conducted by our Concessions and Exhibits Awards volunteer committee

Results of these audits are used by the Midway Programming teamin future licensing decisions.

Product Sampling

• Product sampling is not permitted on Stampede Park where the exhibitor is not retailing the same product they are sampling

• Any food sampling will fall under Alberta Health Services regulations and food handling standards shall apply

signs & banners, banner hanging, propane delivery

etc. All services and hookups must be provided and

installed by the Calgary Stampede and charges apply

Food Vendor Inspections

Cooking equipment used in fixed, mobile or temporary concessions(trucks, buses, trailers, pavilions, tents, or any form of roofed enclosure)shall comply with the NFPA 96 code. This regulation will apply to allvendors cooking with deep fryers, grills and/or BBQ’s.

You will be required to provide proof of inspection to ensure that it iscurrent.

• BBQ’s must be CSA approved• Fire suppression systems must be installed if any of the above applies to you

• Alberta Health Services rules and regulations will prevail for the entire duration of the Calgary Stampede

Calgary Stampede Commissary

The Calgary Stampede provides a Stampede-time commissary, from which product sourcing is voluntary for all food and/or beveragevendors licensed at the 2012 Calgary Stampede. The supplieroperates the voluntary commissary under contract to the CalgaryStampede with EXCLUSIVE distribution on Park. What this means for food vendors is if you source products from another supplier theycannot access the Park to deliver goods to you. You would be responsible for picking up your products off Park and transporting them on to the Park. At no time can any sourced products be inconflict with the exclusive and/or official products and suppliersof the Calgary Stampede, as outlined below. This list is current atthe time of release, but is subject to change. If you are not sureabout your product, please contact the Midway Programming team.

All suppliers listed below are considered exclusive advertisers. Advertising means visible packaging, poster, point-of-sale materials and any other visible notice of the brand. Unless approved prior to licensing there shall be no third party/pass-through

advertising by vendors within booth locations or on booths or booth signage.

• Bell–Any local and long distance, web casting, wireline and wireless, Telco hardware, directories, wireless hardware, corporate networking, DTH satellite, portal, or consumer connectivity services

Non Resident Guidelines Regarding Entry into Canada

• What you need to do will differ according to your situation and location but there are a few basics to consider. If you plan to work in Canada selling your goods or exhibiting something at the Calgary Stampede you will need to obtain a work permit for yourself and any workers that will be traveling with you once licensed

• There are a number of ways you can do this. It is recommended that you acquire a work permit in advance of coming to Canada. If you are from outside of North America, this can be done through your nearest Canadian Consulate

• If you are a citizen or permanent resident of the United States, you can apply for a work permit at a port of entry, but you must produce the confirmation of our signed license agreement, or other documentation as may be required by the Immigration Officer to make his or her decision when you arrive at the port of entry

Temporary Importing of Commercial Goods

• If you intend to bring commercial goods into Canada for sale at the Calgary Stampede, you should be aware of applicable rules, regulations, costs and documentation requirements. Without this information you may discover that your goods are not allowed into the country when you arrive at the border, or that the duties and taxes may cost more than anticipated

• If licensed we suggest you contact a border broker specialist for specific information, concerns or questions you may have that are unique to your business

Temporary Importing of Equipment

• Goods being exhibited in Canada (i.e. attractions or concessions equipment) without intent for sale may qualify for a temporary import into Canada

• Regulations governing temporary imports have changed significantly in the last few years. Each import is treated on a case-by-case basis. It is therefore important for you to contact a Customs Broker or Canada Border Services Agency once licensed and well in advance of your arrival

Product Pricing

The prices for goods and services sold at the Calgary Stampede are to be posted in Canadian dollars.

If purchases are processed through a U.S banking system you will be required to convert the prices

to USD before processing and ensure that the customer is aware.

Goods and Services Tax (GST)

• Most goods and services (including imported goods) are taxed at the current established rate of 5% on the selling price

• If your global annual sales are less than $30,000 CDN, Canadian law does not require you to become a GST registrant. However, you cannot obtain a refund of the GST paid on your import and you cannot charge GST on any Canadian sales that you make in Canada

• If your global annual sales are more than $30,000 CDN, you MUST become registered for the GST. This will require you to collect the 5 percent on your sales in Canada and make remittance to Canada Customs and Revenue. As a non Canadian registrant the Government may require security to ensure that you make the appropriate remittances and reports

Media Partners

Media wishing to have a presence on Stampede Park must completethe application form. These applications will then be vetted by our CorporateCommunications and Media Departments, as well as our MarketingDepartment for any promotional partnerships.

Photos of booth presentations and media plan proposals (including free drawsand giveaways which cannot conflict with our exclusive and official suppliers)must be included with your application. Our Marketing Department will be intouch with you to review your promotional plans, which are subject toapproval by the Calgary Stampede.

Please note, all media will be required to pay for any service hookupsrequired, such as electrical, ISDN, TOC lines, internet etc.
