The Streamline e-commerce module is a powerful and robust application that seamlessly delivers data between Visual Streamline and the Visual Streamline client’s website. It is available as a separate module that will bring many added benefits to the existing Streamline application. Streamline e-commerce is explained in detail in the White Paper for Streamline e-commerce. This white paper is intended to address the means and methods of administering the e-commerce Product Lists module. NOTE: Most of the functionality described in this white paper is only available if the e-commerce sub-module FAL (Product Lists) has been purchased. As a company, you can create product lists and link them to customers. A product or product line can appear on multiple lists, and customers and/or shiptos can be linked to multiple lists. Web users can filter the e-commerce Products page to display only items from specific product lists (the web user’s settings filters must still be satisfied). Web users can be optionally restricted to buying only items on these lists. In these instances, orders outside of that restriction will be held in e-commerce pending authorization from a web user that has been designated as a supervisor or subsequent maintenance from the originating web user. PREVIOUSLY, this sub-module controlled BOTH webuser Favourites Lists and site-owner Product Lists, but,… � in Streamline e-commerce version 3.0.13.0, new functionality was written to allow web users to more easily add

items to Favourites Lists. Wherever users are able to view items and add them to shopping carts, a star icon has been added that will launch a simple interface allowing them to add that item to new, pre-existing or multiple Favourites Lists. This new functionality is NOT tied to any module, but IS limited to users with shopping privileges. (see the White Paper for Streamline e-commerce);

� just as new functionality was written to allow web users to more easily add items to Favourites Lists using the new Favourites Icon… so also has the previous cumbersome Favourites Maintenance page been simplified to allow web users to more easily maintain existing Favourites Lists;

� since Favourites Lists are now built using the new Favourites icon, the Favourites Maintenance page was reduced to simple maintenance of pre-existing Favourites Lists; changing descriptions, removing specific items or deleting entire lists;

� if the sub-module FAL (Product Lists) is enabled, there will be an option in Streamline to include Product Lists in the dropdown in Favourites Maintenance, which will enable users to select a Product List to copy to a new Favourites List, thus retaining some of the previous functionality by allowing a Favourites List to be initially created as a full subset of a pre-existing Products List;

� the previous restriction that Favourites Lists had to be subsets of Products Lists is NO LONGER in effect. As a result, this document will only deal with the maintenance of Product Lists in Visual Streamline and the impact of these Product Lists in Streamline e-commerce. Since Favourites functionality is now standard to the e-commerce base, its functionality is covered in the White Paper for Streamline e-commerce.

E-commerce Product Lists Clicking on the E-commerce Product Lists option from the menu will launch the program from which product lists and the customers for whom they are intended can be created and/or modified. NOTE: Since this program displays both product lists created by web users (favourites) as well as product lists created by site owners, access is not gated by the sub-module FAL (Product Lists). However, functionality within the program will be limited if the sub-module FAL (Product Lists) is OFF. Initially this program will display (as shown in the screenshot on the right), in List ID sequence, a list of all Product Lists currently on file. These lists will include those lists created by the site owner (if sub-module FAL (Product Lists) is ON), as well as those created by their customers’ web users. Upon the initial set up neither product nor the customer code links are assigned. Both of these functions are described later in this document. NOTE: Web users’ Favourites List will be displayed with their List ID and Web User ID (These lists can neither be modified nor deleted by a Streamline user). To create or modify a Product List record, click on the New or Modify button from the screenshot shown above. The system will then display a screen, similar to the one shown in the screenshot below, that will enable you to enter or edit information for your Product List record. The information required in a Product List record is as follows: List ID This field contains the ID by which the

documents will be identified in e-commerce. WebUser ID This field is a non-editable field containing

the WebUser ID, for those records representing Favourites Lists created within e-commerce.

Description This field contains a description of the Product List which will appear in e-commerce.

E-commerce Product Lists… continued Products or entire product lines can be added to these Product Lists via the Products button on the right hand side of the E-commerce Product Lists screen.

Pressing the Products button (as shown in the screenshot on the left) will invoke the E-commerce Products Linked to a Product List screen (shown in the exploded screenshot on the right). Note that the Products button will only be highlighted, if the List ID record, on which the user is currently parked, is linked to products.

There is functionality within the E-commerce Products Linked to a Product List screen as follows: Select This button is here for consistency

and currently serves no purpose; Modify This button launches modify mode

and allows the user to navigate freely through the window to edit products and/or product lines currently linked;

New This button inserts a blank line under the row on which the user is currently parked so that a new product/product line may be linked.

Delete This button will delete the row on which the user is currently parked.

Print This button is here for consistency and currently serves no purpose;

Exit This button takes the user back to the initial browse screen with any modifications intact. The information required in a Product-Product List link is as follows: Line This field contains the Product Line of the product in the list.

The Product Line must be valid. The field can be left blank to indicate that ALL product lines are in the list. NOTE: a blank Product Line cannot co-exist with any other records.

Product This field contains the Product Code of the product in the list. The Product Code must be a valid product within the product line identified. The field can be left blank to indicate that ALL products within a product line are in the list. NOTE: a blank Product Code for a product line cannot co-exist with another product within that product line.

E-commerce Product Lists… continued Customers, and therefore web users, can be added to these Product Lists via the Cust Ship-To button on the right hand side of the E-commerce Product Lists screen.

The information required in a Customer-ProductList link is as follows: Customer This field contains the Customer Code to which access to the Product List will be granted.

The Customer Code must be valid. The field can be left blank to indicate that ALL customers will be granted access. NOTE: a blank Customer Code cannot co-exist with non-blank Customer Codes.

ShipTo This field contains the ShipTo ID to which access to the Product List will be granted. The ShipTo ID must be a valid ID within the Customer Code identified. The field can be left blank to indicate that ALL ShipTo IDs within the Customer Code identified will be granted access. NOTE: a blank ShipTo ID for a Customer Code cannot co-exist with non-blank ShipTo IDs for that same Customer Code.

Web User Accounts Product Lists are ineffective until applicable web user settings are enabled. There are web user settings for the following: � to enable web-users to filter the Products page by site-owner created Product Lists; � to restrict quotes and/or orders to products within site-owner created Product Lists; � to include Product Lists in the Favourites dropdown in the e-commerce Favourites Maintenance page. There are Product Lists related settings in the Web User Accounts screen. There are settings on the Product Pricing tab as follows: Product Inclusion Filters Product Lists This is gated by sub-module FAL-Product Lists.

When this checkbox is enabled, the Products page can be filtered by Product Lists.

E-commerce Page Display Defaults Product Lists This checkbox is available if the Product Lists

checkbox in Product Inclusion Filters has been checked. When this checkbox is enabled, the Products page will be filtered to the first Product Lists on the webuser’s initial login.

Other Options Restrict Orders to the following… Product Lists This is gated by sub-module FAL-Product Lists.

When this checkbox is enabled, orders containing items that are not on Product Lists will be held in e-commerce pending authorization from a web user that has been designated as a supervisor or subsequent maintenance from the originating web user.

There is a special setting on the Maintain Favourites tab as follows: Other Options Include Product Lists This is gated by sub-module FAL-

Product Lists. Since the Favourites methodology was re-designed and became base functionality in version 3.0.13.0, this was added allow users to include site owner Product Lists in the Available Lists dropdown on the e-commerce Favourites Maintenance page, thus retaining some of the previous functionality by allowing a Favourites List to be initially created as a full subset of a pre-existing Product List (this is done via a Copy button in e-commerce).

Overview NOTE: This functionality is only available if the WEB sub-module FAL (Product Lists) has been purchased. As stated earlier, e-commerce has been designed to offer a lot of flexibility and control in terms of security and access to your company’s data. As a company, you can create product lists and link them to customers. The Products page in Streamline e-commerce can be filtered to display only items on site-owner product lists and web users can be optionally restricted to buying only items on these lists, In these instances, orders outside of that restriction will be held in E-Commerce pending authorization from a web user that has been designated as a supervisor or maintenance from the originating web user. Product Lists allow the Streamline customer to create product lists that can be presented to their web users as filtering options. The functionality to maintain these product lists is described earlier in this document. Product Lists: � benefit the Streamline client (site owner) by enabling them to create customer-specific (and therefore web user

specific) product lists of related items, discounted items, discontinued items, deal or contract items, …; � benefit the Streamline client’s customers by allowing their employees/web users to optionally view only those items

that they typically purchase by filtering the products page by Product Lists and selecting an applicable list; � web users can also be restricted to only purchasing items that are on these lists.

Filtering Products by Product Lists NOTE: This functionality is only available if the WEB sub-module FAL (Product Lists) has been purchased. The screenshot below illustrates how a web user can filter the products page to show only products that have been created by the site owner in Streamline via the Products List maintenance program.

If the user opts to set the Show Products filter to Our Product Lists…

… then a new dropdown for Product LIsts becomes available. This dropdown contains products lists created by the Streamline user specific to the current web user and shipto ID The Products page will be filtered according to the web user’s selection (in this screenshot, the user has selected a SONYONLY product list.

The screenshot above is with Categorization disabled. The screenshot to the right is the identical functionality with Categorization enabled.

Overview Prior to Streamline e-commerce version 3.0.13.0, ALL product lists (site-owner product lists and web-user favourites lists) were enabled and controlled by sub-module FAL (Product Lists). Favourites Lists could only be created and maintained through a difficult interface in the Maintain Favourites tab in e-commerce. And, Favourites Lists had to be subsets of pre-existing product lists. In Streamline e-commerce version 3.0.13.0, web-user favourites were made part of base functionality. A new e-commerce interface for creating favourites list was written (see White Paper for Streamline e-commerce) and the e-commerce Favourites Maintenance page was made much slicker, more user-friendly and its functionality was limited to deleting entire favourites lists or specific items from favourites lists (see White Paper for Streamline e-commerce). Further, the condition whereby a favourites list had to be a subset of pre-existing product lists was removed. The functionality of the Favourites Maintenance is best illustrated by a few examples. In this screenshot, the Available Lists dropdown, on the Favourites Maintenance page, has been activated.

Here are some noteworthy points: � the Favourites option in the Navigation bar is available because the current web user has shopping cart privileges; � the Available Lists dropdown includes Product Lists because sub-module FAL (Product Lists) is ON and web-user’s

Include Product Lists setting, in Other Options of the Maintain Favourites tab of Web User Maintenance, is ON; � selecting a Product List will present its products and/or product line, in addition to a Copy button, allowing the user to

copy to a New Favourites List; � selecting a Favourites List will present an editable list of products, in addition to a Delete button, allowing the user to

delete the list, and a Description button to allow the user the change the list’s description. NOTE: Only the Copy functionality within the Favourites Maintenance page is controlled by this sub-module, so it will be discussed in this white paper. For all other Favourites Maintenance functionality, see White Paper for Streamline e-commerce.

Copy an Existing List NOTE: This copy functionality is only available if the e-commerce sub-module FAL (Product Lists) has been purchased and the Maintain Favourites > Other Options> Include Product Lists checkbox is ON, as described earlier in this White Paper. For illustration purposes, we have selected the list SONYONLY from the Our Product Lists section of the Available Lists dropdown.

After selecting an existing product list SONYONLY there is now a Copy option.

Clicking the Copy button invokes a Copy to a New Favourites List dialog, in which the user will enter the required information (as shown).

Clicking the OK button from the Copy to a New Favourites List dialog, creates the new list and presents it in editable format, with a Delete button (for deleting the entire list), a Description button (for changing the Description of the list) and Remove buttons (for selectively deleting items).
