1. Purpose Employee self-service (ESS) is web-based applications that provide employees with access to their

personal records, PF details and payroll details. ESS features include allowing employees to change their

own contact details and family member’s information. ESS also allows administrative tasks like applying

for a leave, reviewing of timesheet, inquiring about available loan programs, fill tax declaration, claim

mobile reimbursement and LTA. ESS also allows employee to change the login password.

2. Login into HRIS Portal:

Open Internet explorer 7.0 or above

o Internal Link (On location Cadila Network): http://hris o External Link (outside Cadila Network) : http://hris.cadilapharma.in/hris

Enter Employee id and Password to login into portal.

3. Compatibility View Settings:

o “Tools” Menu [ if Tools menu is not visible then use “ + ”, then press ]

o Check “cadilapharma.in“is there in compatibility view list. If it exits than do nothing.

o Else click on “Add” button to add the same into compatibility view list.

4. Attendance: Employee can view attendance through this interface.

o Click on Attendance View Details

o Select year and month to view attendance.

5. Leave Request:

Employee creates leave request, which goes for respective HOD and HR approval. User can also view their leave status with leave cancellation option.

o Fill appropriate details and click on save.

b. Approval o Click on Approvals Leave Approval.

By Clicking on Approve or Reject to approve or reject Leave request, once approve it will be

visible to HR.

o On Successful Save, request sends to HR for its Approval. o HR will approve the Leave request through HRMS Leave Module.

6. COFF Leave Request: Employee creates COFF leave request, which goes for respective HOD and HR approval. User can also

view their COFF leave status with COFF leave cancellation option.

o On Successful Save, request sends to HOD for its Approval.

7. Time Correction: Employee creates Time correction request, which goes for respective HOD and HR approval. User can

also view their Time correction status with Time correction cancellation option.

a. Request o Click on Leave / Time / SPD Time Correction.

o Select Date for which you wants to generate Time Correction and other details appropriately and click on Save.

o On Successful Save, request sends to HOD for its Approval.

8. SPD Hours Requisition: Employee creates SPD Hours Requisition request, which goes for respective HOD and HR approval. User

can also view their SPD Hours Requisition status with SPD Hours Requisition cancellation option.

10. Employee Clearance: To approve the employee clearance for F&F process.

o Click on Approval Employee Clearance

o Select Employee clearance request to approve the clearance of employee and save the request.

11. LTA: Generate claim for Leave Travel allowance (LTA).

a. Advance LTA Request o Click on LTA Advance Request.

o Click on Generate request to generate the Advance LTA request.

o On Successful Save, request sends to finance department for its Approval.

b. Advance LTA Approval LTA request approval through HRMS LTA Module.

o Select LTA Taxable is YES or NO. o YES then select to year and click on Save Request.

d. Settlement LTA Approval

LTA Settlement request approval through HRMS LTA Module.

12. Tax Declaration: Employee provides Tax Declaration during April to December to deduct tax according his investment declaration. She/he provides Actual Investment during Jan and Feb. Tax Person Approves his/her investment according his/her supporting documents and finally transfers his/her total investment in HRMS - Tax Projection.

a. Submit Declaration

o Click on Tax Submit Tax Declaration.

o Enter tax related details and click on Save.

1. Once employee has filed whole declaration form with necessary upload of document /

proofs / supporting the data.

2. The declaration form, sign the declaration.

3. Scan the same in PDF Format and the signed (self attested Tax declaration).

4. Employee has transfer tax declaration to tax admin.

13. Mobile Remibursement: Eligible employee can view the Mobile reimbursement option in HRIS Portal. Employee submit mobile bill, after submission request goes for approval in Admin Department, once request approved by the admin department, payroll department transfer mobile amount to employee bank account.

a. Request

o Click on Personal Mobile Reimbursement

o Select Bill month, Year, enter bill amount and upload bill in PDF format.

o On Successful Save, request goes for its Approval with Admin Department.

b. Approval & Rejection o Click on Admin Mobile Claim.

o By Clicking on Approve icon to approve the request or click on Reject icon to reject the

request .

14. Employee Address: Employee can view their address details through this interface, Interface has facility to update address details [Enabled for Field employees only], which gets approved by respective HR authority.

o On Successful E-Resignation generation, request sends for HOD Approvals.

18. Exit Pass Generate exit pass, in case employee wants to go outside office for personal or official work, which later gets approved by respective HOD and security gate.

a. Request

o Click on Utilities Exit Pass.

o Select Date for which you wants to generate gate pass and other details appropriately and click on Save.

o On Successful Save, system will send notification mail to respective HOD for its Approval.

b. Approval

o HOD will receive email notification, to approve the Exit pass request for its Approval. o Click on Approve link will approve the Exit pass request, which get visible to security gate.

20. FLP: To manage and prepare the new joining employee of field staff training schedule, after preparation

schedule send to Training department.

o Select employees for training and plan training for employee.
