    Guidance For Centres

    1 General

    1.1 OCR model assignments are issued free to centres on approval and are available todownload from our website: www.ocr.org.uk.

    1.2 Centres may choose to:

    use OCR model assignments for formal summative assessment of candidates

    tailor OCR model assignments for formal summative assessment of candidates

    use OCR model assignments as a benchmark for devising their own assignment.

    1.3 This assignment has been designed to meet the full assessment requirements of theunit. Candidates will need to take part in a planned learning programme that coversthe underpinning knowledge and skills of the unit.

    2 Before carrying out the assignment

    2.1 Candidates should be provided with a copy of the Candidate Informationsection of thisassignment.

    2.2 Candidates may carry out preparations prior to undertaking the tasks; there is no timelimit for this.

    3 When completing the assignment

    3.1 Candidates should be allowed sufficient time to complete all of the tasks. The amountof time may vary depending on the nature of the tasks and the ability of individualcandidates. It is suggested that evidence is produced in several sessions.

    3.2 Each candidate must produce individual and authentic evidence for each task within

    the assignment.

    3.3 Centre staff may give support and guidance to candidates. This support and guidanceshould focus on checking that candidates understand what is expected of them. It isnot acceptable for tutors to provide model answers or to work through answers indetail.

    3.4 Candidates may use information from any relevant source to help them with producingevidence for the tasks.

    3.5 It is acknowledged that candidates in their responses may refer to situations in thescenario but as the scenario is fictitious this does not break any rules of confidentiality.However, candidates must be guided on the use of information from other sources toensure that confidentiality is maintained at all times.

    4 After completing the assignment

    4.1 Candidates evidence is assessed by the centres assessor against the qualificationspecification contained in the Centre Handbook. When grading candidates' workcentres must use the grading descriptors in the unit. For further information aboutassessment please refer to the section on Assessment and Moderation in the CentreHandbook.

    4.2 Assessors decisions should be quality assured across the centre through internalmoderation. For further information about internal moderation please refer to thesection on Assessment and Moderation in the Centre Handbook.

    5 Presentation of work

    5.1 Candidates may use the Candidate Checklistprovided to ensure that they submitevidence for ALL tasks. They can do this by using the Candidate Checklistas acontents page inserting references/page numbers in the boxes provided.

    5.2 Centres may wish to discourage candidates from excessive use of plastic wallets forpresentation of their evidence as this may hinder the assessment process. Insteadcentres may wish to encourage candidates to present their work so that it is easilyaccessible, e.g. spiral bound, stapled booklet, treasury tag.

    6 Acceptable evidence

    6.1 For guidance on generation and collection of evidence please refer to the section onAssessment and Moderation in the Centre Handbook.

    7 Reworking the assignment

    7.1 If candidates do not meet the minimum PASS requirements for the assessmentobjectives, further work will be required.

    7.2 Tutors may give feedback to candidates to support and guide them in producingevidence to the required standard.

    Notes For Tutors

    Introduction to the Tasks

    The tasks have been designed to enable candidates to demonstrate their knowledge andunderstanding of the use of business communication systems based on standard office software.

    The tasks have been designed so that all of the assessment objectives in Unit 1 are addressed.

    The scenario states that candidates are working as business advisers for New Solutions forBusiness Ltd. During the assignment tutors will assume the role of Managing Director.

    These guidance notes should be used in conjunction with the unit specification and CentreHandbook.

    The Tasks

    Task 1: Design and create templates for business documents

    Assessment Objective 3 is assessed in this task.

    Candidates are required to design a housestyle for use in a range of business documents for NewSolutions for Business Ltd. This housestyle will be used when creating templates. There is no needfor candidates to produce specific evidence in part A as their housestyle will be evidenced throughthe templates they create.

    At Pass and Merit level it is sufficient for candidates to format any text they enter into thetemplates. Distinction candidates must create user-defined styles in their templates, for example, inthe report template they might edit the Normal and Heading styles and create a style for bulletedlists.

    The quality, consistency and appropriateness of the housestyle and templates will be determiningfactors in the grade awarded for this Assessment Objective.

    It is expected that Merit and Distinction candidates will use these templates when creating theirdocuments in tasks 2, 3 and 5. Tutors should ensure that candidates have sufficient skills in thepackages for which templates are to be developed to enable them to progress these into finaldocuments.

    Task 2: Business use of communication technology

    Assessment Objective 1 and part of Assessment Objective 4 are assessed in this task.

    Candidates are required to investigate a range of existing business communication systems. It is

    expected that candidates will carry out the research themselves although teachers may suggestappropriate resources such as the internet, personal experience and/or visiting speakers.

    Candidates will use this information to produce a formal business report which should be formattedappropriately.

    Candidates may consider including the following sections in their reports:

    Introduction

    Summary of research

    Main findings

    Conclusion

    Bibliography/Resources.

    Assessment Objectives 1 and 4 will be assessed separately. Therefore, it is possible forcandidates to achieve differing grades for each assessment objective.

    The grade candidates are awarded for Assessment Objective 1 will be largely determined by thequality, level of detail and range of appropriate examples that they have included in their report.

    Although Assessment Objective 4 is assessed within this task, tutors must ensure that all

    tasks where Assessment Objective 4 is assessed are considered when awarding a grade forthis Objective.

    Task 3: Effective communication in business

    Assessment Objective 2 and part of Assessment Objective 4 are assessed in this task.

    It is expected that the speakers notes will contain the more detailed explanation and examples,and the slides will be used to highlight the main points of the presentation.

    If candidates have not created a template it is sufficient for them to format the presentation usingthe housestyle they created in Task 1.

    To achieve higher levels in Assessment Objective 4 candidates should use the template theycreated in Task 1.

    When assessing Assessment Objective 4 tutors should consider the quality, appropriateness, andnear professional standard of the candidates presentation.

    Although Assessment Objective 4 is assessed within this task, tutors must ensure that alltasks where Assessment Objective 4 is assessed are considered when awarding a grade forthis Objective.

    Task 4: Effective use of email

    Assessment Objective 5 and part of Assessment Objective 4 are assessed in this task.

    In these tasks, candidates will be asked to use specific features of email software. It is acceptable

    for tutors to amend any of these tasks to suit the software available at the centre. However, tutorsmust ensure that opportunities are given for candidates to provide evidence of an equivalent rangeof features. Reference should be made to the Knowledge, Understanding and Skills section of theUnit Specification.

    For Part F of this task tutors will need to create and save the following two documents. Electronicversions of the documents can be downloaded from the OCR website, but tutors will need to insertadditional information as indicated:

    Assessment Objective 6 and part of Assessment Objective 4 are assessed in this task.

    The content of the text produced in Part A provides evidence for Assessment Objective 6 whilstcandidates completing Part B will produce a fourth document to be assessed in AssessmentObjective 4.

    Many Pass candidates may wish to attempt Part B allowing the tutor to choose the better qualitydocuments when assessing Assessment Objective 4.

    Task 6: Use standard ways of working

    Assessment Objective 7 is assessed in this task.

    Candidates need to provide evidence to show how they have organised and made secure theirfiles during the completion of this assignment. Some evidence could be in the form of annotatedscreenshots and/or provided electronically. However, a tutor witness statement may be the bestway of confirming the appropriateness and consistency of the working practices employed.

    Task 1: Design and create templates for business documents

    Assessment Objective 3 is assessed in this task.

    New Solutions for Business Ltd would like to update its corporate image. You have been asked todesign a new housestyle, and create a range of document templates.

    To achieve Pass level you need to complete Parts A and B. To achieve the higher levels you alsoneed to complete Part C. To achieve Distinction level you also need to complete Part D.

    A Design a housestyle that can be used in a range of business documents, e.g. business

    letters, business reports, slide-show presentations, web pages, email messages, invoicesand flyers.

    You should consider, for example, fonts, colours and position of graphic elements e.g. logo,lines and borders.

    B Using the housestyle you designed in part A, create three templates using word processingsoftware. These should be for:

    a business letter

    a business report

    one other business document of your choice

    To achieve Pass level you need to set the style of text and some paragraph formatting.

    To achieve the higher levels you also need to include page layout and graphic elements. Toachieve Distinction level you must also create user-defined styles in your templates.

    Prepare a document outlining email netiquette guidelines. Send this document and thepresentation you prepared in Task 3 as an attachment in a single zipped folder [email protected].     You should describe potential problems associated with each issue and the methods thatcan be used to prevent/minimise these.

    To achieve Pass level you need to describe at least four security issues. To achieve Meritlevel you need to describe at least five security issues. To achieve Distinction level you needto describe at least six security issues in detail giving examples.

    The grade you are awarded for Assessment Objective 6 will also be determined by thequality, level of detail and range of appropriate examples that you include in your text.

    B Create either a web page(s) or an information leaflet to display the text you have created. Ifyou created a suitable template in Task 1, it should be used in this task.

    You should make sure you use software features such as tables, bullets, auto-numbering,columns and text boxes as appropriate.

    Thoroughly check your work to eliminate errors and ensure the documents are fit forpurpose.
