Initiate an offer letter via the ONBOARDING Solution

1) Offer letter sent to candidate

2) Candidate accepts offer letter

3) Tracker Menu becomes available in ONBOARDING Solution details

4) Visit Tracker and request section 1 from the new hire prior to the start date

5) Detailed instructions on how to request section 1 of the form I-9 are outlined in the next 2 pages

Requesting Section 1 from an employee

• Visit Tracker I-9 and follow STEPS 1 and 2 to create a new Form I-9, and deploy section 1 to an employee

Request section 1 from new employee• STEP 3: Enter employee first and last name,

employee ID (if available future UCPath interface), and select hiring worksite (department)

• STEP 4: Click “Save/Create I-9”• STEP 5: select “Create Remote Access Form I-9 –

Section 1 Only”• Enter start date and employee email address • Click “Continue”

Employee receives e-mail request to complete section 1

Once UCPath is implemented – Section 1 will be triggered automatically

Completing Section 2

• The ONBOARDING Solution signing ceremony for Oath of Allegiance, Patent Agreement and BELI form will proceed as normal

• Upon completion, instructions will direct you to the Tracker portal to complete section 2 of the form I-9

Completing Section 2

• Visit the dashboard, navigate to “Section 2”

• STEP 6: click on the employee name

• If the candidate did not complete section 1, then navigate to “Section 1”, and have the employee complete it at that time

• If you did not deploy section 1, you can create a new I-9, and complete section 1 and 2

Next you will choose from the list of accepted documents for section 2

STEP 7: click on the “document type” dropdown:

• List A, or

• B & C7

• A page will open with the options available for List A, or B and C

• Documents will be available for selection based on the citizenship and immigration status selected in section 1

• This example is for a US Citizen; documents in light gray are not applicable to this immigration status

• STEP 10: • Select “I Agree”,

acknowledging your understanding that you are completing a US Government form

• Click “Sign Form I-9 Electronically”
