Employee Central Workflow Tasks on the Latest Home Page

Users can now approve workflows or view information of sent-back workflows on the latest home page.

Users can approve Employee Central workflows directly from cards in the Approvals section, with or without adding comments. Choosing the View Details link opens a workflow details page where they can review the full details, or delegate, send back, or decline a workflow. Note that if users are not allowed to do quick approvals, they'll have to use this link to approve their workflows. For sent-back workflows, users view their basic information on a different type of cards in the For You Today section. They can choose Review and Update on the cards to open a workflow details page where they can make changes and resubmit workflows.

Home page users want their most urgent, pending tasks to appear on the home page. These new cards give them immediate access to workflows that need their attention and ensure important requests are processed promptly.

SAP has added more quick actions to the latest home page.

Quick actions are visible based on role-based permission and system configuration. If configured in the system and relevant to a person's role, the following quick actions are now available:

• My Team quick action enables managers to review information about their team of direct reports and take necessary action.

• Clock Time quick action enables you to clock in and clock out.• Complete Payroll Tasks quick action takes you to your payroll tasks. It enables you to view the list of

employee events and the corresponding infotypes that should be updated or maintained for payroll requirements. You can view task details and set the status of the payroll tasks.

• Delegate Workflows quick action enables you to assign a delegatee to process your workflows during a specified period.

• My Profile quick action takes you to your People Profile.• Org Chart quick action takes you to the company organization chart.• View Admin Alerts quick action takes you to Admin Alerts.• View Team Absences quick action takes you to the absence calendar for your team.

SAP also increased the maximum number of quick actions that are visible on your home page from 8 to 16.

Workflow Auto-Delegation on the Latest Home Page

Users can now respond to workflow auto-delegation requests and get notified of ongoing or upcoming delegations on the latest home page.

If the option Allow Delegatees to Accept or Reject a Workflow Delegation Request in Admin Center →Company System and Logo Settings is selected, users now see a Workflow Delegation Request card that appears in the For You Today section when such a request is coming their way. They can use this card to accept or reject an auto-delegation request. If the option is deselected so users are not required to accept or reject such requests by themselves, the requests are accepted automatically. Regardless of whether the option is selected, users are reminded by an Upcoming Delegation card of an ongoing or upcoming delegation. These reminders can be dismissed for a short period or permanently.

Home page users want their most urgent, pending tasks to appear on the home page. These new cards offer an improved way for them to access and respond to delegation requests and plan their daily work.

You can now approve changes to business processes based on MDF objects using the MDF workflow tasks on the latest home page. These approval requests are available in SAP Task Center as well.

You can approve the following workflows directly from cards in the Approvals section, with or without adding comments. Choosing the View Details link opens a workflow details page where they can review the full details, or delegate, send back, or decline a workflow. Note that if users aren’t allowed to do quick approvals, they have to use this link to approve their workflows. SAP has enhanced the processing for Position Matrix to Job Relationship Sync during Job Information Imports and transition period.

The enhancements include:

• Transition PeriodThe Position Matrix Relationship to Job Relationship sync is now triggered even when an incumbent is assigned to a position with matrix relationships during the transition period.

• Job Information UIThe administrator now has the option to choose whether to trigger Position Matrix to Job Relationship sync or, to retain all existing relationships when a position is changed or assigned.

• Job Information ImportYou can now trigger the Position Matrix to Job Relationship sync during job information imports. You can enable this from the Imports tab in the Position Management Settings.

This enhancement maintains the consistency of Position Matrix to Job Relationship sync across all the channels.

With this feature, you can now add or update matrix relationships for multiple positions using Mass Data Management.

You can perform the following actions:• Add a new matrix relationship for multiple position records.• Update the existing common matrix relationship records of the same relation type.• Add Matrix Relationship as an additional column to your search results table.• View the matrix relationship changes using the Modified link in the Position column.

You can now use the Manage Pending Hires tool to hire internal employees with new employment when the pending hires are from Recruiting and Onboarding 1.0.

If you select a pending internal hire who is inactive, or has a termination record in the future, you see a new pop-up message with the choice to hire either as an Internal Hire or hire as a Rehire. When you choose to Rehire, the next screens are for adding a new employee that also take into account the permissions you have.

When transferring an employee with new employment, companies using Employee Central first need to terminate the employee. Also, in Employee Central integration scenarios with Recruiting and Onboarding 1.0, the employees show up as internal hires in Manage Pending Hires tool since they’re applying as internal candidates.

International transfer with new employment is an essential business practice for many international companies. In many companies, even internal transfer within the same country/region results in new employment. We now give your user the choice to rehire such candidates as hires with new employment or proceed to hire them as internal hires as was possible before.

For the country/region-specific (CSF) configured entities, you have an option to download the base model fields by deselecting all the countries in the Select country/region field on the Import Employee Data screen.

This allows customers to download the base data model for CSF entities as well as stay consistent with the download template of non-country/region-specific entities.

In the current version, you can download the base model fields for CSF configured entities by deselecting all the countries/regions in the Select country/region field. Also, for a selected country/region, only relevant fields will be shown in the available fields for selection.

In the previous version, when a template for a particular country/region was downloaded, fields related to other countries/regions were also downloaded. Downloading only the base model fields for CSF configured entities wasn't possible.

There are changes to the way information about positions and incumbents is displayed and sorted in the position organization chart and company structure overview.

SAP has made the following changes to support a responsive design:

• In the position organization chart:▪ Depending on how long the first names and surnames are, incumbent names in the position tile

are displayed over one line or two. Previously, first names appeared on one line and surnames on a separate line.

▪ In the Incumbent Details section of the position side panel and in the incumbent history, incumbents are ordered by their position assignment date (most recent to least recent).

▪ In the incumbent history, side panel sections (incumbent details and right to return) and in the position sync and workflow pop-up, where incumbents have a middle name, this is also displayed.

• In the company structure overview:▪ In the tile showing, for example, the position incumbent or "head of" information, names are

displayed responsively in one line or two, depending on the space available. Previously, first names appeared on one line and surnames on a separate line.

▪ Previously, usernames were displayed in parentheses along with the actual names. Usernames are no longer displayed.

▪ The Details section of the side panel also displays names responsively and with middle names where appropriate.

▪ In the Details section of the side panel, incumbents are ordered by their position entry date from the job information, if this is available. If it isn't, the effective start date (most recent to least recent) is used.

The changes ensure that Position Management and the Company Structure Overview display names consistently.

When configuring your alert message, you can use a new tag to generate a deep link that takes users to a specific block page of People Profile.

You can use the new tag, [[VIEW_BLOCK_ON_PROFILE]], in the alert description (using it in the alert header isn’t supported) when configuring an alert message in the Manage Data tool. The tag will be rendered as a deep link in email notifications sent out. Choosing the deep link opens a People Profile page that displays a relevant block of the respective subject user. Deep links are also available in alert messages that users see in the Take Actiondialog of the legacy home page. Only alerts for the following seven Employee Central entities are supported:

• Compensation Information• Employment Information• Global Assignment• Job Information• Non-Recurring Pay Components• Recurring Pay Components• Work Permit

The feature enhances alerting experience by navigating users directly to a relevant People Profile block page, where they can review the details involved in a data change.

A limit has been introduced in the company structure overview and the position organization chart.

It restricts the number of positions and incumbents processed to 3 million and the number displayed to 1000 when there’s a large number of positions to be loaded and processed. Here's where the limit of 1000 is applied:

• In the company structure overview:▪ The Position section of the side panel▪ The incumbent display in the Details section of the side panel.

• In the position organization chart:▪ The Incumbent Details section of the side panel.

SAP has included the limit to ensure that the system doesn’t time out or become unresponsive because of the large number of positions assigned to, for example, a business unit.

For teams with employees in different locations, the system shows the currency of the selected employee for all employees. All prerequisites for Compensation Widgets must be met for the widget to show all the data.

Showing only one currency allows for better comparison of the salaries for team members. This allows better performance of the widget with more consistency for users since it is clear which currency is shown and why.

Manage Conditional Groups and Defaults

You can now autofill employee data and position attribute values based on organizational and employment grouping criteria. With this feature, you can configure complex conditions (selection criteria) without any code in business rules to achieve conditional defaults.

This feature is especially relevant for data fields such as Pay Group (also known as Payroll Area), compensation-related elements such as Pay Scale Area and Type, and complex country/region-specific contractual elements such as Contract Type, Probation Periods, Notice Periods, Time Profile parameters, and so on. These are derived from organizational and employee classification grouping that could consist of Legal Entity, Location, Employee Class, and Employment Type (also known as Personnel area/subarea, Employee group/subgroup).

You can set defaults for fields of type MDF, Foundation, and Picklist. Fields from these entities (base objects) are supported: Position, Job Information, Compensation Information, and Employment Details.

By autofilling default values, you can reduce the overhead of manual data entries resulting in consistent and accurate data.

Create a Fallback Event Reason Configuration

By default, a cross-entity rule from Compensation Information to Job Information copies the event reason from the source entity to the target entity. This can lead to problems when the event reason in the Job Information target record already exists in the user’s Job Information history. With this new configuration object, you can define one or several fallback event reasons to be used in case the event reason used in cross-entity rules when the Compensation Information record would lead to change in the employment status in Job Information.

This configuration is only used for transactions activated on Centralized services, for example, imports and saving changes to the Job History UI. This feature does not affect transactions started from Manager Self-Service. If Centralized services is not activated, the configuration is not used in legacy imports or saving changes on the legacy Job History UI.

Based on the configuration, the system changes the event reason to avoid data inconsistencies. If no configuration is found or it can't be used, then the user receives an error message.

When adding a new employee using a configurable hire template, we now show the Basic Data pop-up when a user has permission to only one custom hire template. This does not apply if the user has permission to only the standard template.

In the current version, users see the Basic Data pop-up when navigating to the Add New Employee and Add New Employee with Fixed-Term Contract pages. After the selection on the pop-up, users are not allowed to edit the fields in the Identity section of the custom hire template.

In the previous version, users were allowed to make changes to the fields in the Identity section of the custom hire template.

Validation for Section Assignment Mismatch in Succession Data Model

You can identify and prevent mismatch of section assignment for the fields in jobinfo HRIS Element while uploading the Succession Data Model.

Section assignments must not be different for a field in jobinfo HRIS Element that is defined both globally in the Succession Data Model and locally in the Country/Region-specific Succession Data Model. We've now included an error message to avoid any section mismatch.

This enhancement prevents any data model inconsistencies that can lead to cache corruption and cause any loss to customer configurations.
