When creating a merge document you must attach a datasource. You will need to go to your Mailings tab, Select Recipients, from the drop down select the Use Existing List.
You will then need to browse out to your PbK Templates folder and select a datasource.
Once you select the datasource you want to use you will have the ability to add merge fields into your documents.
To view complete merge fields be sure to turn on your “View Field Codes” and “Show/Hide” features. If your “View Field Codes” option is not showing on your toolbar you will have to custom your tool bar and add this command.
Using Developer Tools for Entering Free Text (**.docx documents only)
At times, documents require information that PbK does not store. When documents are in .docx format, you can use Word Developer Tools to add free text fields. The user can then tab through the document to add the information.
The Aa enters a “Click here to enter text” box. You can then click on the box and make it red for it to standout in the document.
You can utilize the “checkbox” feature so you don’t have to lock the documents.
There is the “Choose an Item” feature, which allows a drop down box for the user to select from. You can add the selections under properties. It is suggested to make this red as well so it is easy for the user to see. Click on the box and select Properties.
Once your have entered your items, click ok. These items are now available under the “Choose an Item” box.
Developer tools also has a calendar feature that allows the user to input a date into the document. PbK allows court dates, but only one per document. Any additional dates, would need this
feature or you would have to manually enter it into the document You can format the calendar date as well under properties.
Inserting Fill In Statements (.doc)
A Fill In statement is used to ask a question in which a merge field is not available.
Under your Mailings tab go to Rules and select Fill-in
The following screen will appear. In the Prompt field you will enter in the question that you want the user to answer. In the default text enter in what you want them to fill in. To make the Fill-In stand out in the documents put ??? behind the default text so that the user nows the have a question(s) to answer.
After pressing Ok you will be shown the following screen so you can see how the question will appear for the user.
Upon selecting Ok the below merge field will be inserted into your document.
Inserting ASK Statements
An ASK statement is used when you get asked the same question more than once in your document and a merge field is not available. Using an ASK statement allows you to Ask the question once and it will automatically fill in your answer into the other locations.
Go to rules and select ask:
Enter in a name for your bookmark, enter your prompt question and default text:
Once you press OK you will get the following in your document:
Then go to your Insert menu, select quick parts and field:
The following screen will appear – immediately start typing REF or you can scroll down to find REF in the field names area:
Once you select REF the following screen will appear – select the bookmark you want to reference:
Click on the bookmark you want in your document and press OK – the following merge field will appear in your document:Name ???
You can put the ASK mergefield at the top of your document and your REF mergefield goes in your document where you want the information to appear. You can also have the ASK statement and REF statement back to back the first time and place the other REF statements throughout.
Inserting IF Statements
Some examples of using the IF statements are:1) You want to reference the defendant in a document as a he or she2) You are creating a letter and don’t want a blank line if the person does not have
an address in line 2
In this example I want to reference in my document that the defendant is a he or she. You will want to go to Rules and select the If…Then…Else…
The following screen will appear. I need to select the merge field that will be used in the IF statement. Since I am wanting to insert he or she in my document I will use the merge field of Def_Sex
Next you will need to select a comparison method.
You will them insert what you want the IF statement compared to. In the “Insert this text” field you will type want you want inserted into your document if the criteria matches. In the “Otherwise insert this text” field you will insert the information if the criteria does not match.
In this example if the Defendant’s sex equals M (Male) I want he inserted into my document, if it does not match I want she inserted into my document.
Once I select OK the merge field will appear in my document.
Creating Separate Documents for Witnesses/VictimsWhen you want to create a merge document that will produce a separate document for each witness or victim you will need to insert a Custom Document Property. Open your document, go to the file tab, document properties and choose Advanced Properties.
When the properties window opens select the custom tab. In the Name field type: MergeSeparateDocsFor (Type as shown, with Caps & No
Spacing)In the Value field insert the word Victims / Witnesses / Charges
Be sure when attaching this document to an event code to select the “Prompt for Witnesses” box. This gives you the ability to choose which witness/victim you want to create a document for.
Document Styles
When inserting merge fields your font and size may not be the same as the rest of your document. If this occurs go to the Styles section on your Home tab. Press the down arrow in the bottom right corner.
You will receive a drop down listing of all Styles, go to the Normal Style and with your mouse hover over the icon on the right until it changes to a drop down arrow. Press the arrow and you will receive a drop down listing, choose Modify. In the Modify Style box change your document font and size so any merge fields or Insert statements within the document will merge correctly.
