Greenfleet is an environmental charity and Australia’s first carbon offset provider. Since 1997, we have been working to offset carbon emissions by planting native forests that soak up carbon dioxide from the atmosphere as they grow. To date we have planted in excess of 7.5 million trees. As well as offsetting carbon emissions, native forests have a positive effect on the landscape by reducing erosion, soil salinity and providing a safe habitat for countless animals and insects that are crucial to a healthy ecosystem.

Fundraising is fun, easy and rewarding. If you are thinking of organising a fundraising activity, here are six steps to help you get started:

STEP 1 Decide what type of fundraising event you’d like to organise (there are some ideas on page 5 of this kit).

STEP 2 Read through the fundraising guidelines of this kit to make sure you understand your responsibilities as a fundraiser for Greenfleet.

STEP 3 Complete the Application Form for Authority to Fundraise in this kit and send it to us to let us know about your planned activity.

STEP 4 Once you’ve received your ‘Authority to Fundraise’ letter confirming that we’re happy for you to go ahead, it’s time to start planning.

Note: This letter will only be provided if we are satisfied that the event will provide a reasonable net return, there is minimal risk involved for Greenfleet and the Fundraiser.

STEP 5 Hold your fundraising activity and have fun!

STEP 6 Within 14 days of finishing your event, send the Fundraising Results Form back to us along with the money raised.

Online fundraising is one of the easiest and safest ways to raise funds for Greenfleet. Greenfleet is registered with Everyday Hero - an online fundraising portal designed to make ‘giving’ secure, easy and fun.

Sometimes you will find there are a few legal issues we need to get through before you can start raising money. The good news is that with online fundraising, Everyday Hero takes care of all the paperwork for you, which makes it the easiest and most hassle-free way to receive donations.

STEP 1 Visit Greenfleet’s fundraising page on Everyday Hero (http://www.everydayhero.com.au/charity/view?charity=912).

STEP 2 Click on ‘Start Here’ on the right to create an account and create your very own fundraising page. You can customise it with photos, messages and videos.

STEP 3 Spread the word! Share the link to your fundraising page with your friends, family and colleagues and start collecting donations online.

STEP 4 Thank you donors and supporters! Start fundraising today!

Whether you want to be sponsored for a personal challenge, request donations in lieu of gifts for a special celebration or pay tribute to a loved one, online fundraising is the way to go.

donate their left over bread, the local butcher might discount some sausages and a local restaurant that can donate sauce, napkins or even onions.

MAKE SURE IT’S PROFITABLEGo through the checklist of everything you need. How much are you selling the sausages for? Does it cover the costs of the necessities and make a surplus? Is it enough?

KEEP IT LEGALMake sure you register your fundraising activity with Greenfleet and receive approval before you get started.

Check if you need any permission to hold the event, remember to check with Commonwealth, State and Territory legislation and local government regulations. For instance, if you plan to raise more than $10,000 in Victoria you need to register as a fundraiser with the Consumer Affairs Victoria (www.consumer.vic.gov.au).

Do you require any public liability for your activity?

PROMOTE, PROMOTE, PROMOTE!!!Use social media, email, sponsors, posters, and the press. Use every opportunity available to advertise your event.

Although we welcome your support to Greenfleet through your fundraising activity, the event or activity is not a Greenfleet event. We suggest using this alternative wording on promotional material ‘Proudly supporting Greenfleet’.

Authorisation to use the Greenfleet trademark will be granted on request and after assessment of the fundraising activity.

SET A GOALSet yourself a goal as to how much money you would like to raise. Make sure it’s realistic for the time period you have. If you are fundraising online, and once you have set up your account on Everyday Hero, donate yourself or ask a friend to donate, a large amount of money (say, $50-$100) to set a precedent for your sponsors to donate the same amount.

ONLINE FUNDRAISINGSetting up an online fundraising page with Everyday Hero is the easiest way to raise funds for Greenfleet.

However, if you wish to conduct other fundraising activities offline read these guidelines and complete the Application Form for Authority to Fundraise (see page 3 for more details).

HOW WILL YOU RAISE MONEY?Will you email all your friends and family to donate? Will you hold events to raise money? Will you ask your workplace to get involved? Don’t be scared to ask, if you don’t say anything you won’t raise anything!

MAKE A PLANWhat events will you hold to raise money? Where will you hold them? What date and time will you hold them? What do you need to make them work (you can’t hold a sausage sizzle without a BBQ and sausages!)? How many people will you need to help you out? How will you let people know that you’re raising money for Greenfleet? Write a checklist of all the things you will need and don’t forget to tell people what event you’re taking part in.

PLAN YOUR ADVERTISINGHow can you spread the word? Facebook, Twitter, email, texts? Never doubt the effects of social media and it’s FREE. If you are holding a BBQ down at the local football club, for instance, put posters up in the surrounding shops to lure people over.

GET SUPPORTCan you get local businesses to donate products to raffle off? If you hold a sausage sizzle, the local bakery might be able to

WHO NEEDS A CAR ANYWAY?

Ask your work colleagues to ditch their cars and ride a bike for a day. If they do, ask them to donate their savings in petrol. If they don’t, fine them!

MULTICULTURAL DAY

Get your workplace involved. Ask everyone to dress in something traditional from their background. Maybe even bring a plate of food and have food tastings from the different cultures.

NO ONE LIKES A HAWAIIAN SHIRT

Ask colleagues or friends to wear the worst Hawaiian shirt they can find. Either do this in the work place, or have a party and charge everyone a gold coin donation.

SWEAR JAR

Do you have a bunch of friends or colleagues with a bad potty mouth? Charge them for their profanities... $2 for the really bad words!

LAST BAND STANDING

Do you know a few bands? Ask them to volunteer to battle against each other and charge everyone to come see it... They won’t want to miss out on all the action!

FUNDRAISINGGUIDELINES

Thank you for your interest in raising funds for Greenfleet.These guidelines have been developed to assist groups and individuals (The Fundraiser) that are planning to fundraise on behalf of Greenfleet. Please make sure to read these guidelines as they outline the responsibility of the Fundraiser, as well as how Greenfleet can support your fundraising efforts.

The fundraising activity must be submitted to Greenfleet using the application form for Authority to Fundraise and approved before an event can take place.

Fundraising on behalf of Greenfleet cannot commence without approval of the application for Authority to Fundraise, and prior to receiving the letter of Authority to Fundraise from Greenfleet.

The Fundraiser does not require an Authority to Fundraise from Greenfleet when solely raising funds online via Everyday Hero. All monies raised must be forwarded to Greenfleet within 14 days from the date of the event occurring by cheque to Greenfleet Trust Fund, PO Box 16011 Collins Street West, VIC 8007 or by calling us on 1800 032 999 with your credit card details.

If fundraising online with Everyday Hero, no need to worry, all monies are directly processed and forwarded to Greenfleet by Everyday Hero.

See page 7 for more details about money management. The fundraising activity, including the financial aspects, fundraising raffles, record keepings and management of the activity is conducted in your (the Fundraiser’s) name and is the sole responsibility of the Fundraiser. The fundraising activity must meet the requirements of relevant Australian and state laws and regulations.

For instance, if you plan to raise more than $10,000 in Victoria you need to register as a fundraiser with the Consumer Affairs Victoria (www.consumer.vic.gov.au).

Greenfleet’s insurance policy does not cover activities conducted by outside organisations and groups. The Fundraiser must ensure all appropriate and required insurance cover is organised before the fundraising activity.

If your fundraising activity will be taking place in a public area, remember to check with local authorities and obtain any required permits. Greenfleet is not able to take a coordination role in your activity, such as soliciting prizes, organising publicity or celebrities, assisting with ticket sales or providing goods and services to assist the Fundraiser in running the activity. The use of the name and logo of Greenfleet will only be permitted once you have been granted with written authority to fundraise. The logo is available upon request and the Fundraiser will be authorised to use this logo in line with the guidelines which will be provided.

All promotional material must be approved by Greenfleet prior to it being printed or distributed.

The Fundraiser must make it clear in all their dealings with the public, sponsors and supporters that they are not employees or agents of Greenfleet, nor are they acting in another other representative capacity.

Note that at no time can your event be advertised as a Greenfleet event. However it can be advertised as an event supporting Greenfleet, such as “this event is proudly supporting Greenfleet”. It is the responsibility of the Fundraiser to ensure the fundraising activity is profitable (the event must generate an income value that is higher than the expense value incurred).

*The Greenfleet Trust (ABN 86 693 237 685) is a deductible gift recipient (DGR), donations of $2 or more are tax deductible.

COLLECTING FUNDSSupporters who wish to make a donation should be directed to your Everyday Hero fundraising page in the first instance. They will be able to make an online donation using a credit card. Alternatively, they can elect to pay with cash/cheque, and will be issued with a payment slip which they can then take to their nearest Post Office to make the payment.

When organising an offline fundraising event, you can collect donations in cash or cheques (made out to Greenfleet Trust Fund).

COVERING YOUR COSTSYou should keep accurate records of all expenditure and can deduct fair and reasonable costs from the funds raised e.g. venue hire.

ISSUING DONOR RECEIPTSDonations of $2 or more are tax deductible*. If any of your donors require a receipt, please record their details on the Donor Receipt Form and send it to us at the end of your fundraising activity. We will then organise and send receipts direct to each donor.

Please note tax deductible receipts cannot be issued if goods or services are received in return for payments (e.g. an auction prize or event ticket).

Also note that for all donations made online on Everyday Hero, Everyday Hero will issue the receipts.

SENDING THE MONIES TO GREENFLEETAll monies raised must be forwarded to Greenfleet within 14 days from the date of the event occurring along with the completed Fundraising Results Summary form which you will receive upon approval of your fundraising activity.

The form should be sent with full details of all income and expenditure, supporting receipts and invoices.

Payment to Greenfleet can be made by cheque to Greenfleet Trust Fund and sent to PO Box 16011 Collins Street West, VIC 8007 or by calling us on 1800 032 999 with your credit card details.

Do not send cash by mail.

If only fundraising online with Everyday Hero, no need to worry, all monies are directly processed and forwarded to Greenfleet by Everyday Hero.

• Provide tax receipts to donors.

• Send a thank you certificate once your fundraiser is finished to acknowledge your support.

WHAT WE CAN DO TO HELP YOU• Undertake tasks for you to assist in the running of the

fundraiser e.g. sourcing prizes, organising publicity, providing staff resources, goods or services.

• Provide funding or reimbursement of expenses.

• Provide approval to use the Greenfleet corporate logo which is protected under Australian law.

• Allow you to use ‘Greenfleet’ as a part of your fundraising activity name as it is not one of our official events. (e.g. Greenfleet 2013 Gala)

• Provide contact lists for you to use in promoting your event (due to privacy legislation).

• Apply for permits, licences or insurances required (these are the responsibility of the Fundraiser).
