ACAMS 2019 EXHIBITION RULES AND REGULATIONS

The floor plan will be sent to the exhibitor via email by Karen Sarmiento or Andrea Winter. Once the exhibitor receives the floor plan, ACAMS requests the exhibitor submit its top three choices of available booth spaces in two business days. ACAMS will confirm the exhibitor’s choice within five business days. In the event none of the three options submitted are available ACAMS will request a fourth selection. Submitting three choices is not a guarantee one of them will be assigned to the exhibitor, however ACAMS makes every effort to provide the exhibitor one of its original choices. The floor plan is circulated in the following manner, each category chronologically.

1. Diamond sponsors2. Platinum sponsors3. Gold sponsors4. All other sponsor categories5. Exhibitors

Circumstances such as an unexpected change to the floor plan, fire marshal or hotel fire code requirements, or an ACAMS decision to alter the floor plan may impact the final layout, selection process and ultimate assigned space. ACAMS will make every effort to minimize changes and will accommodate impacted exhibitors with an alternate exhibit space of the same dimensions, if needed. Any changes will be communicated to the impacted exhibitors immediately.

INSTALLATION AND DISMANTLING: Exhibitor will not be allowed to set up, nor will freight or furnishings be delivered to Exhibitor’s booth until ACAMS receives the full space rental fee payment. Exhibitors must comply with all move-in and move-out requirements as set forth in the Exhibitor Service Manual.

RESTRICTIONS: Exhibitor’s activities shall be restricted to Exhibitor’s booth space only. ACAMS reserves the right to restrict, reject, prohibit, or eject any exhibit, in whole or in part, which becomes objectionable due to noise, safety hazards, or other reasons. ACAMS reserves the right to deny access to or eject any person whose behavior becomes objectionable as determined by ACAMS in its sole discretion. In any such event, no refunds will be issued. Sanctions for noncompliance with ACAMS’s rules and regulations may result in forfeiture of all fees paid and ineligibility to exhibit at or attend any future ACAMS Conference.

BOOTH CONSTRUCTION GUIDELINES: The ceiling height in the exhibit hall may vary. Please refer to the current floor plan for ceiling heights in specific areas. In-Line Booths may not exceed 8’ back wall height, including the sign. No solid exhibit construction will be permitted to exceed

42” in height in the front 5’ of the booth. Structures above 42” must begin at least 5’ back from the aisle line. Company name, logo, and product information may appear up to the 8’ height only. Island Booth structures must be approved by ACAMS. The height limitation for island booths is 16’. Photographs and/or sketches of the proposed island exhibit must be submitted for approval. All booth sketches must clearly state the actual height of the exhibit and, if applicable, the dimensions of a raised floor. Since an island exhibit is separated by the width of an aisle from all neighboring booths, full use of the floor space is permitted, provided sufficient see-through areas are present to prevent blocking views of adjacent exhibits.

Portable spotlights attached to booths and/or to islands must be UL approved clamp on types with porcelain base and metal guards. Clip on types are not allowed. Spotlights may not exceed the height limitations as set under the Booth Construction Guidelines.

Island Set-Back Rules Display components from the floor to 8’ in height may NOT be closer than 1’ from any external boundary of the exhibit space. (See AREA 1) Display components from 8’ to 16’ in height may extend to the edge of the exhibit space. (See AREA 2)

Single Level Story Islands A 33 percent see-through effect and 33 percent accessibility from all four sides of the booth on the portion of the booth from floor to 8’ minimum height is required to prevent blocking views of adjacent exhibits. A structure cannot run across the full length of any side of the booth that exceeds more than 33 percent see-through or accessibility from that side. ACAMS further understands that certain government and corporate regulations require products that are not approved in the United States to be displayed in enclosed/sheltered area(s) away from view of specific groups of attendees. These areas also are permitted; however, the structure is held to same 33 percent see-through effect and 33 percent accessibility from all four sides of the booth as stated above.

Spanning an Aisle: Exhibit booths are NOT allowed to span an aisle by ceiling or floor covering.

Exposed Unfinished Displays: Exposed or unfinished sides and/or exhibit backgrounds must be draped to present an attractive appearance. Exhibits will be inspected during the move-in and the service contractor, with the approval of the Exhibit Manager, will provide draping deemed necessary for exposed unfinished areas and submit the bill to the exhibitor. BOOTH CONSTRUCTION GUIDELINES WILL BE STRICTLY ENFORCED.

Display and Hanging Sign Heights: • Island displays may not exceed 16’ in maximum height.• Linear booths are limited to 8’ (in the back 50 percent of the booth).

Hanging signs or hanging banners suspended from the ceiling must maintain a minimum of 2’ clearance from the highest allowable point of the island booth display, (which is 16’), and the

bottom of the banner. The top of the banner may not be higher than 24’. The bottom of the banner may not be lower than 18’. The purpose of this rule is to allow a clear line of vision (2’) between the highest allowable point of a display (16’) and the lowest allowable bottom of a banner (18’). Additional structural support for hanging signs/apparatus is permitted from the island booth display, but must be less than 3” in diameter/thickness. Product name, product information, and/or company name is permitted on hanging signs with prior approval from show management.

COMPETING EVENTS: Exhibitor shall not conduct any competing event during official ACAMS Conference hours.

ADVERTISING MATTER: ACAMS reserves the right to prohibit distribution of souvenirs, advertising matter, or any other materials. Distribution from anywhere other than within Exhibitor’s booth is forbidden.

MUSIC: Exhibitor must be prepared to provide proof of Broadcast Music Industry (BMI), American Society of Composers & Performers (ASCAP), Society of European Stage Authors and Composers (SESAC), or other appropriate licenses for Exhibitor’s use of music, including in video presentations. Exhibitors using such music agree to indemnify and hold harmless the Sponsors against any claims, liability or damages resulting from their use of such music.

AMERICANS WITH DISABILITIES ACT (ADA): Exhibitor is solely responsible for ensuring that its booth fully complies with the ADA and similar regulations that may apply.

PHOTOGRAPHY AND VIDEO RECORDING: Neither photography nor video recording are permitted in the hotel without ACAMS’s express, prior written consent. Sanctions for noncompliance may include the seizure and destruction of film or electronic storage devices.

SOUND LEVELS: Sound levels of presentations must be kept at or below 85 decibels and not interfere with surrounding exhibits.

CHILDREN: In the interest of safety, no person under 18 years of age will be allowed on the show floor during set-up and tear-down hours. During open exhibit hours, children 12 years old and under must be accompanied by a supervising adult at all times. Parents of younger children may request an exemption from ACAMS in the event of extraordinary circumstances. Parents or guardians must agree to abide by ACAMS’s rules regarding children and to be responsible for the child and assume all responsibility for damage to exhibits and equipment. Strollers are not allowed on the show floor at any time.

FORCE MAJEURE: ACAMS may suspend or terminate this Contract without penalty in the event the hotel becomes unavailable, is destroyed or damaged, or if it becomes inadvisable, impracticable, illegal, or impossible to hold the ACAMS Conference as scheduled due to any event beyond the control of ACAMS, including but not limited to the following: strike; lockout; injunction; emergency; act of God; act of war or terror; curtailment of local, national, or international transportation facilities with a significant impact on domestic and/or international travel; and economic factors which make it impractical for ACAMS to hold the Exhibit as scheduled or otherwise perform its obligations hereunder (including the unavailability or inadequacy of the Hotel, headquarters, hotel(s), or necessary expansion space). In such an event, Exhibitor hereby waives any and all damages and claims for damages and agrees that the sole liability of ACAMS and the Sponsors of the ACAMS Conference shall be to refund to Exhibitor all payments made for exhibit space, less a proportionate share of all expenses incurred and committed by ACAMS, such as, but not limited to, advertising, Hotel fees, etc., to the extent any monies remain after payment of such expenses.

INSURANCE: Exhibitor shall carry adequate insurance to protect itself against bodily injury (including death) and property damage claims arising from Exhibitor’s participation in the

ACAMS Conference, including but not limited to (i) worker’s compensation as required by law and (ii) commercial general liability insurance in such amounts as are adequate, but in no event less than one million U.S. dollars ($1,000,000.00) combined single limit for both bodily injury and property damage. Said insurance shall name the ACAMS Conference and each of the Sponsors, including their respective members, officers, directors, agents and employees (collectively the “ACAMS Parties”) as additional insureds, shall contain an endorsement that such policy shall remain in full force and effect notwithstanding that the insured has waived its right of action against any party prior to the occurrence of a loss, and shall require the insurer to waive all rights of subrogation against the Parties. Further, said insurance shall include a provision for notification to ACAMS at least thirty (30) days prior to cancellation. Exhibitor shall furnish ACAMS with a Certificate of Insurance verifying such coverage 30 days prior to the exhibition.

DISCLAIMER OF WARRANTIES: The express terms of this Agreement are in lieu of all warranties, conditions, undertakings, terms and obligations implied by statute, common law, trade usage, course of dealing or otherwise, including but not limited to any implied warranties of merchantability or fitness for any particular purpose, all of which are hereby excluded to the fullest extent permitted by law.

DAMAGE TO HOTEL: Exhibitor shall be solely responsible for any and all damage to the Hotel caused by Exhibitor, its contractors, or their respective officers, directors, employees, representatives, servants, agents, invitees, licensees, or subcontractors.

INDEMNIFICATION: Exhibitor agrees to defend, indemnify, and hold harmless the ACAMS Parties, the Hotel, the Operator, and their respective officers, directors, employees, and agents from and against any and all claims, demands, actions, causes of action, penalties, judgments and liabilities (including court costs and reasonable attorney’s fees) based upon or arising out of any act, omission, negligence, misconduct or breach of any material condition of this Contract by Exhibitor, its contractors, or their respective officers, directors, employees, representatives, servants, agents, invitees, licensees, or subcontractors (collectively “Exhibitor Parties”).

LIMITATION OF LIABILITY: Exhibitor agrees that the liability of the ACAMS Parties under this agreement shall not exceed the amount of space rental fees paid by Exhibitor. In no event shall the ACAMS Parties be liable for any indirect, consequential, punitive, or incidental damages, even if advised of the possibility of such damages. To the extent allowed by law, no claim may be brought against the ACAMS Parties beyond one (1) year of the conclusion of the ACAMS Conference. WAIVER: Exhibitor acknowledges that the ACAMS Parties, Hotel, and Operator do not carry insurance coverage for Exhibitor’s property. Exhibitor is solely responsible for the security of its property and the property of others under its control. Exhibitor agrees to bear all risk of any bodily injury (including death) or property damage or loss which the Exhibitor Parties might sustain as a result of Exhibitor’s participation in the ACAMS Conference. Exhibitor hereby waives any and all rights of recovery, refund, or compensation for bodily injury (including death) or property damage against the ACAMS Parties, the Hotel, the Operator, and their respective officers, directors, employees, and agents based upon or arising out of Exhibitor’s participation in the ACAMS Conference, except such losses as may be the result of the sole gross negligence or willful misconduct of the aforementioned parties.

To assist you in planning for your participation in this event, we are certain you appreciate knowing in advance that union labor is required for certain aspects of your exhibit handling. To help you understand the Area Work Rules, we ask you to read the following:

FREIGHT HANDLING The Local Union claims jurisdiction over the operation of all material handling equipment, all unloading and reloading. An exhibitor may move material that is hand-carriable by one person in one trip, without the use of dollies, hand truck or other mechanical equipment. When exhibitors choose to hand-carry in accordance with the foregoing, they are not permitted access to the loading dock area(s). EXPO is responsible for receiving and handling all exhibit materials and empty crates. It is our responsi-bility to manage loading docks and schedule vehicles for the smooth and efficient move-in and move-out of the exposition.

EXHIBIT INSTALLATION AND DISMANTLING The Local Union claims jurisdiction over the installation and dismantle of tradeshows and exhibits. Full time employees of the exhibiting companies, however, may set their own exhibits without assistance from this local. Any labor services that may be required beyond what your regular full time employees can provide, must be rendered by the Union. Labor can be ordered in advance by returning the Labor form, or at show site, at the service desk. Proof of full time employment status may be requested by the Union Steward of any personnel working on your booth.

GRATUITIES We request that exhibitors do not tip (such practices as giving money, merchandise, or other special consideration for services rendered) employees. Do not give coffee breaks other than mid-morning and mid-afternoon, when union employees have fifteen minute paid breaks. Any attempts to solicit a gratuity by an employee for any service should be reported immediately to a supervisor. Employees are paid an excellent wage. Tipping is strongly discouraged and is not an accepted company policy.

EXPO HOLD HARMLESS AGREEMENT / VEHICLE SPOTTING The Association and Exhibitor will hold harmless EXPO Convention Contractors, Inc. for any damage or injury resulting from vehicle spotting. Damage or injury to Vehicle / Driver / 3rd Party Personnel / Dis-play.

IN GENERAL Craftsmen at all levels are instructed to refrain from expressing any grievances or directly challenging the practices of any exhibitor. It is recommended that any questions arising with regard to union jurisdic-tion or practices be directed to an EXPO management representative.
