Big projects mean more challenges

Many projects

overrun on

cost and time

But mega

projects

overrun more

Frequently Asked QuestionsTrends: What do industry executives tell us?

• Uneasy hosting third party data

on internal systems: compliance,

legal & discovery implications

• Internal use is OK, but managing

processes and collaboration

outside the firewall is challenging

• High cost of maintaining,

customizing and deploying

installed systems

• Installed systems can have

performance issues, especially

on Mega projects with >1 m files

and > 10 Tb of data

• As projects grow, so does the

number of interface points

between organisations

• Managers need to focus on

delivering projects, not managing

and supporting IT systems

Technology Trends 1

Mobile devices mean a mobile workforce

Mobile: Anywhere, Anytime

All Devices: iOS, Android, Win 8. Smartphones & Pads

Collaborative Processes: Not only ease of access to

content and drawings, but also processes like: Review,

Inspections, Snagging, assigning to others and reporting

Technology Trends 2

BIM for Engineers and Architects only

is becoming BIM for everyone

BIM has worked well

as a modelling tool

for the Design &

Engineering teams

Until now, it has not

allowed all project

participants to

access and enrich

the model

Neutrality and Audits

The Client doesn’t want to use multiple contractors’ systems:

I have my own internal system. I don’t want to

change I need handover to be easy and in

my system I need the history: what was built, but also why & how it was built this way

Neutrality and Audits

The contractors, EPCs, PM’s or Lead Engineers do not wantto use the Client’s internal system:

I have my internal system and want client

to use my system

I need a system for my internal processes

I need to interact with consultants,

subcontractors and vendors

Neutrality and Audits

Observation from +100 Mega projects last 4 yearsWhen the Client owns or installs a project-wide system:

• Benefits to Contractors and Engineers are limited• Mistrust and uncertainty: can the Client edit data?• Contractors are reluctant to use the system• Data will not be captured and indexed

Mega Projects using neutral Collaboration Platforms see faster workflow processes, reviews, approvals and more complete records

Result: slower processing & incomplete

records

Dubai MetroChallenges

Strategic, complex, high-visibility project. Large project team dispersed across

Dubai, Japan, Italy, Thailand, Australia, and Hong Kong.

Requirement for immediate transmission of documents and communications

Need for scalability to high volumes of project data.

.

Solutions

Secure collaboration platform for project information and process management.

Efficient communications between participants with a permanent audit trail.

Management of drawings and documents, with version control.

Results

Close coordination between multiple teams – civil, structural and rail systems.

4,500 participants collaborating globally during the design and build phases.

7 million letters/doc/drawings/models managed and stored securely. >9 Tb

Less rework and changes. Disputes resolved quickly due to transparency

“Aconex provides an efficient process for communicating between teams.”Jonathan Skittrall, Utilities and Highways Interface Leader

Regional Transit DistrictDenver Colorado

Page 19: 14.15 andrew killander, aconex for distribution

Program background

Across eight Denver-area counties, a system of trains, buses and

transit facilities with more than 40 projects in the program

RTD FasTracks, +$5 Billion program

− 122 miles of new commuter rail and light rail

− 18 miles of bus rapid transit service

− New commuter rail maintenance depot

− 31 new Park-n-Ride stations with 21,000 new parking spaces

Historic Union Station renovation to become a multimodal hub serving

commuter rail, light rail, buses, and taxis

Page 20: 14.15 andrew killander, aconex for distribution

CONFIDENTIAL | 20

Challenges

File Retention – For the life of each project, plus 7 years. Maintaining paper

copies for RTD for each project is very costly and paper copies are lost

Complex Funding – From of public and private sources. Contracts decision

records must be kept current and made available for 7 years after completion

Different Contract Types – Some are PPP others design-build, which require

different data ownership, responsibilities and workflow guidelines

Bottlenecks and Duplicate Efforts – RTD was planning to collect data from

an internal DMS and from all contractors, then re-transmit to appropriate

parties. This created heavy workloads for DCs and affected project schedules.

Different Practices/Repositories : Each contractor on every project shared

data with RTD differently, forcing RTD to adopt separate processes

Page 21: 14.15 andrew killander, aconex for distribution

CONFIDENTIAL | 21

The technology selected by RTD Neutral Collaboration Platform– for all internal and external data and

exchange of information across all projects and participants

– A Neutral and Secure Online Platform for each Project Team

– Complete Project Record that cant be deleted or altered

– Unlimited Users, Document Storage and Distribution Capacity

– Google-like Document Search Functionality

Other complementary systems used

− Primavera P6

− Revit and Microstation (Bentley) for modelling

− Various cost/budget tools
