Welcome and thank you
As someone who has had a loved one cared for by Woking & Sam Beare Hospices, and who has had fi rst-hand-experience of the hospice’s support for myself and my fi ve-year-old son Max, I wanted to fi rstly thank you for choosing to fundraise for this hugely worthwhile charity.
I lost my Mum after her brave battle with Motor Neurone Disease. I would have been lost without the support of such a wonderful team of specialists at the hospice. After Mum passed, I benefi ted from the hospice’s bereavement services and as part of my healing process I wanted to be able to do something to give back. But it was actually Mum who inspired me to do the London Marathon as she left me £1,000 in sponsorship money as an incentive in her will.
I am proud to say I completed it in under six hours. It will go down as one of the best days in my life, as well as one of the hardest. But having Max there to cheer me on as I crossed the fi nish line - I cannot express what a special moment that was.
If you are anything like me, you are reading this now because you are keen to do something to support the hospice but perhaps unsure where to start. This pack offers ideas, guidance and to signpost things you might need in order to support you with your fundraising activities.
The standard of care, empathy, respect and compassion the hospice showed towards Mum was fabulous and everyone who needs this sort of specialist care should be able to access it. Your help and support will therefore make a huge difference to many families just like mine.

You might be surprised to knowWe care for patients 24 hours per day, seven days per week, 365 days per year, without charging them or their families a penny.
Woking & Sam Beare Hospices is a patient-centred charity that delivers what is often described as uniquely special and very personal care, delivered with compassion, respect and empathy for adult patients of all ages. Our team of experts do not just alleviate physical symptoms, but the care we deliver is holistic. We are led by the needs of each individual patient, who have complex advanced conditions as the result of any life-limiting or terminal illness, to ensure patient wellbeing and support for the whole family.
While our hospice is a 20-bed facility our community teams care for over 800 patients at any one time in their homes. We are therefore much more than just a building and here we would like to share some key facts about the hospice that you and your fellow supporters might be interested to know.

We hope the A-Z gives you some inspiration for things you could do to raise money for us but each year we do also host a number of our own fundraising events, as well as having places on some well-known challenge events.
Hospice-led and challenge events

Year-on-year this is becoming an increasingly popular evening ladies’ event, which sees a trademark sea of flashing bunny ears parading through our local towns streets. The atmosphere is always fantastic and participation and/or volunteering at this event is highly recommended.
Midnight Walk
This event is a sight to behold and is a bit of festive funfor the whole family, withparticipants taking part in a5k course dressed as Santa.Like many of the hospicecommunity events, theatmosphere is fantastic andreally helps to get everyone into the spirit of Christmas.

These are beautiful events, carefully and thoughtfully designed to remember and celebrate the lives of those we have lost. Each year the venues, dates and times are shared via our website and through special mailings

Held during the summer on Goldsworth Park Lake, this annual family event has the elements of competition for the participating teams but is also a lot of fun for all. It doubles as an opportunity for local companies and organisations interested in team building.
Dragon Boat Race
This is an exclusive traditional dinner/dance held at a local prestigious venue, normally consisting of a drinks reception, full course dinner, auction and closing with music and dancing. Tickets are sold per person or per table and we aim to offer unique and money-can’t-buy auction items.

Above all it should be fun
If you are still undecided on what sort of fundraising you might like to do, then it is always best to play to your strengths and what motivates you personally.
It suits you!
The key to any event is planning and giving yourself the right amount of time to deliver. If you are doing a challenge event, then it is essential that you have a proper training and nutrition programme.
Planning is everything
Remaining motivated often is dependent on setting a fi nancial target that is realistic and achievable. Again, planning is important to allow yourself the time to successfully fundraise and/or achieve your challenge goals.
Set a realistic target
Before choosing your activity it is important to know who your fundraising audience will be and whether they will be interested in your activity and/or motivated to support you. Additional considerations could, for example, be whether you have priced your event at the right level.
Know your audience
Spreading the word can help to achieve your target. This also hugely helps to raise awareness about the hospice. Sharing updates on your training are great ways to inspire others to sponsor you.
Use the local press and social media
Your safety and the safety of those around you is paramount. It is therefore vital that any activity you plan has been appropriately assessed for risk and you have the correct health and safety offi cials present. Your local authority Safety Advisory Group [SAG] should be able to advice you accordingly.
Be safe
Things to consider It is fantastic that you have chosen to fundraise for your local hospice care provider.
The best events or activities are always those that are not over complicated and your audience can engage with and understand quickly and easily. Always keep your ask clear and simple.
Simple is always best
Please do not be discouraged or put off by this part, but it is important that you have checked whether you need any specifi c permissions or licence[s]. For example:
• Under 16 year olds must be accompanied by an adult
• For lotteries and raffl es please visit www.gamblingcommissions.gov.uk
• Adults selling alcohol should apply to your local authority licensing committee
• Entertainment [music and dancing] might require a Public Entertainment Licence
• Check Liability Insurance with the Fundraising Team
• Please use both of our registered charity numbers: 1082798 / 1115439
Your local council should be able to advice you accordingly and our Fundraising Team are here to help as much as possible. In addition the Fundraising Regulator is a good source of information and guidance: www.gamblingcomissions.gov.uk.

There are a number of different providers that offer fundraisers the oppor-tunity to set up a webpage with the details about their activity. The URL from this can then be shared with those you wish to request support from and they can make a payment towards your target securely online. Examples would include www.justgiving.com or www.virginmoneygiving.com.

JustGiving offers JustTextGiving codes that allow your sponsors to send their donation to you with a simple text. Please note this is only for those living in the UK.
Text-to-donate
Many companies now offer Match Giving as part of their Corporate Social Responsibility [CSR] policy. It is worth speaking to your employer about this as they could double your fundraising efforts.

Contained at the back of this pack is a sponsorship form you can print off. Alternatively get in touch with us and we will send these to you. Please return your completed donation forms to us, along with your cheque or postal order. This is to enable us to process the Gift Aid [page 16] from your sponsors who ticked the Gift Aid box on your sponsorship form.

Collecting sponsorship There are lots of ways you can collect and send us the money you have raised. We understand not all your sponsors will want to make their donation in the same way. Here we offer a few hints and tips on how you can collect sponsorship and send this to us.
Please do not send cash in the post for security reasons. It is therefore best to please bank any money you raise and then make a cheques payable to: Woking Hospice and send them to Woking & Sam Beare Hospices, Fundraising Department, Goldsworth Park Centre, Woking, Surrey, GU21 3LG

With an extra 25% we can stretch your donation further
As a registered charity we can claim back the tax on your donation from Her Majesty’s Revenue and Customs. If you, or those who have sponsored you, pay UK Income Tax and/or Capital Gains Tax equal to the tax we can reclaim on your donation, then by choosing to Gift Aid your donation we can claim an extra 25p for every £1 donated.
If you are a UK tax payer you are eligible to authorise a registered charity to reclaim the tax by completing a Gift Aid declaration. Those who sponsor you can do the same as long as they complete the essential information on the sponsorship form or online portal [name, address, postcode and amount sponsored], and then tick the Gift Aid box.
