RegistrationAll persons attending must register for a badge. Complimentary full-conference and exhibition-only badges will be issued to the exhibiting company. The number of complimentary badges is dependent on the size of stand contracted. An online registration form and instructions will be made available in April 2014. Printing is by web and sheet-fed offset presses. Meeting program paper stock is: 60-pound basis weight, white, matt coated/interior pages, and 80-pound basis weight, white, gloss coated/cover.

Preferred materials: Electronic fi les submitted per the following instructions.

Rotation of 4-color process: black, magenta, yellow, cyan.

Binding: Meeting programs are saddle stitched.

Live matter: Deduct at least 1⁄2” from all sides of the page trim size.

All ads must be submitted as PDF (fonts embedded) or TIF fi les. All fi les must be high resolution—minimum of 300 dpi. All images for 4-color ads must be submitted as fi nal, high-resolution (300 dpi) CMYK fi les (not RGB). If you are concerned

about color, please submit a 4-color SWOP proof with your digital fi le. Make sure all images for black and white ads are saved as grayscale, not RGB. We will also accept MACINTOSH fi les, with all fonts and graphics included, in InDesign, Illustrator, PhotoShop, or QuarkXPress, .

Note: We do not accept PC fi les. We do not accept fi les created in PageMaker, Corel Draw, or Microsoft Publisher, PowerPoint, and Word. Screen grabs from the Internet will print low-resolution, 72 dpi images, and are unacceptable.

All ads submitted should be suitable to print as is. If fi les are prepared improperly and mechanical requirements are not met, the publisher will not guarantee the reproduction of the ad and additional production charges for the advertiser may result. Please limit to 50 words. AOCS reserves the right to edit copy.

Terms of PaymentA DEPOSIT equal to 50% of the rental fee for the contracted booth space must accom-pany this application in order to assign booth numbers. PAYMENT OF THE BALANCE DUE must be received on or before 1 August 2014. Cancellation Policy: If the exhibitor notifi es AOCS to cancel contracted exhibit space prior to 1 August 2014, a cancellation fee of 25% of the total rental fee will be administered. If space is canceled on or after 1 August 2014, the entire rental fee will be forfeited if the stand cannot be resold. If the stand is resold, the cancellation fee will be 50% of the total rental fee. All cancellations must be made in writing to AOCS Exhibits Specialist.

Payment, Allotment, Cancellation, Indemnifi cationThe deposit of the rental fee is to be forwarded with the space reservation, and any balance shall be due before 1 August 2014. Space will be assigned on a fi rst-come, fi rst-served basis. Preferences and priorities requested by the exhibitor as to location will be respected whenever possible. AOCS, how-ever, reserves the right to make reasonable shifts as to the location of the exhibitor’s stand space(s) for the benefi t of the exhibitor and the betterment of the entire show. No contract shall be in force until accepted by AOCS. It is explicitly agreed by the exhibitor that in the event he or she fails to install product in the assigned exhibit space with the time limit set for open exhibits, fails to pay the space rental fee at the time specifi ed, or fails to comply with any other provisions concerning use of exhibit space, AOCS shall have the right to take possession of said space and lease same, or any part thereof, to such parties and upon such terms and conditions as it may deem proper. In the event that it is found impossible to lease said space, AOCS reserves the right to utilize said space in any manner deemed expedient, in which case liquidated damages from the defaulting exhibitor shall be deemed to be the rental price of the space.

In case the exhibition is not held, for any reason whatsoever, then and thereupon the rental and lease of space to the exhibitor shall be terminated. In such case, the limit or claim for damage and/or compensation by the exhibitor shall be the return to exhibitor of the pro rata amount already paid for space in the hall for this specifi c event.

Liability and SecurityAll property of the exhibitor is understood to remain under the exhibitor’s custody and control in transit to or from or within the confi nes of the exhibit facility, subject to the rules and regulations of the exhibition. Exhibitors are advised to carry fl oater insurance to cover exhibit material against damage and loss and public liability insurance against injury to the person and property of others.

Every reasonable precaution will be taken to protect property during installation, show period, and removal. However, neither AOCS, the service

contractors, nor the management of the Montreux Music & Convention Centre, nor any of the offi cers, staff members, or directors of any of the sane are responsible for the safety of the property of exhibi-tors from theft or damage by fi re, accident, vandal-ism, or other causes.

AOCS shall not be responsible for any loss, dam-age, or injury that may occur to the exhibitor or the exhibitor’s employees or property from any cause whatsoever prior to, during, or subsequent to the period covered by the exhibit contract; the exhibitor on signing the contract expressly releases AOCS from and agrees to indemnify same against any and all claims for such loss, damage, or injury.

Use of Space(a) All demonstrations or other sales activities must be confi ned to the limits of the exhibit stand. No exhibitor shall assign, sublet, or share the space allotted without the knowledge and consent of AOCS. Exhibitors must show goods manufactured or dealt in by them in the regular course of busi-ness. Direct sale of goods and services on the show fl oor of the exhibition hall is not permitted. Any merchandising, advertising, or promotional scheme that involves attracting visitors to an exhibitor’s location by an inducement that might be construed to be a lottery is strictly prohibited. Under laws governing games of chance, lotteries and the like, every individual is charged with knowledge of national, state, and local legal restrictions on such operations.

(b) Distribution of circulars or promotional materi-als may be done only within the stand assigned to the exhibitor presenting such materials. Firms or organizations not assigned space in the exhibit hall will not be permitted to solicit business within the exhibit hall. No advertising circulars, catalogs, folders, or devices shall be distributed in the aisles, meeting rooms, or registration area.

(c) Exhibits that include the operation of musical instruments, radios, talking motion picture equip-ment, public address systems, or any noise-making machines must be operated or arranged so that noise resulting from the demonstrations will not annoy or disturb adjacent exhibitors or their patrons. Operators of noise-making exhibits must secure approval of operating methods before the exhibit opens.

(d) Each exhibitor is responsible for obtaining all necessary licenses and permits to use music, photographs, or other copyrighted materials in exhibitor’s stand or display. No exhibitor will be permitted to play, broadcast, or have performed any music or use any other copyrighted materials, such

as photographs or other artistic works, without fi rst presenting proof satisfactory that the exhibitor has, or does not need, a license to use such music or copyrighted materials. AOCS reserves the right to remove from the exhibit hall all or any part of any stand or display that incorporates music, photographs, or other copyrighted material for which the exhibitor fails to produce proof that the exhibitor holds all required licenses. The exhibi-tor shall remain liable for and shall indemnify and hold AOCS, their agents, employees, and members, harmless from all loss, cost, claims, causes of action, suits, damages, liability, expenses and costs, includ-ing reasonable attorney’s fees arising from or out of any violation or infringement (or claimed violation or infringement) by exhibitor, exhibitor’s agents or employees of any patent, copyright, or trade secret rights or privileges.

Restrictions in Construction and Operation of ExhibitsThe stands are limited to 3 m x 3 m or multiples thereof. Any variation or unusual design must be approved by the Exhibits Specialist, in writing, 90 days in advance of the exhibit. To be advised of fl oor load capacity, move-in and move-out restric-tions and other considerations, companies planning to display heavy equipment or machinery must contact the Exhibits Specialist with display material weight and dimensions at least 90 days prior to the exhibition.

No combustible decoration, such as crepe paper, tissue paper, cardboard, or corrugated paper, shall be used at any time. All packing containers, excelsior, or wrapping paper must be fl ameproof, removed from the fl oor, and not stored under tables or behind displays. All fl ammable materi-als and fl uids are to be kept in safety containers. Open fl ames, butane gas, oxygen tanks, etc. are not permitted without the permission of AOCS and the Montreux Music & Convention Centre.

AOCS reserves the right to restrict exhibits which, because of noise, methods of operation, materials, or any other reason, become objectionable and also to prohibit or to evict any exhibit which, in the opinion of the Society, may detract from the charac-ter of the exhibition as a whole. This reservation includes persons, things, conducts, printed matter, or anything else of a character which management determines is objectionable to the exhibition.

Nothing shall be posted on, tacked, nailed, screwed, or otherwise attached to columns, walls, fl oors, or other parts of the building or furniture. Anything in connection therewith necessary or proper for the protection of the building, equipment, or furniture will be at the expense of the exhibitor.
