Project update from the web team
The College website redesign project
Communications & Development Division
Project update from the web team
Revamping news online
The first of the two major phases of the
new News project is complete
Phase one: The newly developed news article creation forms went live on Friday 6 July
What this means:• When you create a new article in the College news system, the
input screens look very different. • Distinct input screens and new fields which you can choose to
use to improve the impact of your news stories
Revamping news online
Phase two: • The launch of the new News
website design• This will be launched before the
start of the new academic year in September 2012.
Why two phases?• We need enough News content
containing the enhanced material and data to fully populate the new News design.

College Key Information Sets (KIS)
Key Information Sets are being produced nationally for all undergraduate programmes available from 2013-14 entry
The Key Information Sets will be displayed on the central Unistats webpage – and also embedded in institution websites via widgets.
Will need to be included in central online prospectus course pages, and also any departmental course pages
Embed code and guidance will be provided – schedule still to be confirmed (likely deadline 31 October)
Reminder about storing documentation online
• Sharepoint workspace is the resource for uploading documents to the College website
• In each workspace there is a Public folder and an Internal folder:
- Public folders are indexed by search engines (i.e. Google)
- Internal folders can be accessed by all staff and students. You can change these permissions.
• Only upload documents to your workspace (internal or public) that you don’t mind being available to the public. It is strongly recommended not to use the College website for internal or confidential communication.
• If you have internal only information – contact ICT to discuss requirements as other tools are available
Any questions?
College web redesign project
What is the redesign project?
It will deliver•Renewed audience research, giving us confidence that our site meets the needs and requirements of our diverse range of audiences•An excellent user experience, regardless of the user’s device•A refreshed design, making the most of current industry trends•A reviewed navigational approach across the website•Initiate an exercise to develop a future website content strategy
Proposed project phases
1. Audience research
Review our key target audiences (5-7 different audiences – currently prospective students, students, alumni, staff, business, media).
Determine if we have the correct audience mix and whether we should remove, combine or add audiences
Identify content requirements and priorities for each target audience
Audience research phase likely to include interviews/focus group research with representative groups, as well as key internal stakeholder interviews with senior staff to identify site-wide strategic priorities
Proposed project phases
2. Information architecture / Prototyping
Produce information architecture models / prototypes:o A redesigned homepage (www.imperial.ac.uk) o Sample top level landing page templates o Review of whether separately designed microsites are
relevant for particular contento Standard template page for departmental sites,
including consideration and recommendation of best practice for departmental sites
o Site wide navigation model for all templates below homepage.
Propose options for how the standard template could be implemented to allow local content owners some flexibility in using the template and adding their content, whilst maintaining the corporate brand
Undertake usability testing of the prototypes
Proposed project phases
3. Design Propose and refine a responsive website design, creating template designs for a hierarchy of pages. These might include:o Top level College homepage o Key landing pages o Sub page templates e.g. variety of page content
modules to allow flexibility of design o Navigation modelo Transactional template to accommodate dynamic
applications Review and revise the College’s web style guidelines
including the use of colour and graphical elements to follow redesign by the Project Team, including final designs for forms, tables, columns etc
Proposed project phases
Proposed project phases

• Academic Profiles online (PWPs) – The new PWP design is being built separately with new templates
• App development
• Student portal : the project will not address any technical aspect of the Student Portal project but will inform the design
The project structure

Separate project workstreams:
1. Design Team2. Testing 3. Internal Communications4. Rollout5. Build and implementation within College CMS6. Implementation outside College CMS
Next steps
1. Finalise brief
2. Establish and confirm workstream membership
3. Prepare request for proposal for agency search
4. Launch internal communications plan
5. Agree strategy for mobile
6. Begin phase 1 – audience research and analysis
Timescale?
Hope to launch Summer 2013
Getting involved
We’d like to hear your ideas about:
• Competitors websites (or elements of them) that you really like• Other non-academic websites that you really like• Web design agencies that you know of or have worked with and
like
Get involved in the project
• We will need help during the project to undertake testing and potentially to take part in a workstream
• If you would like to get involved, please email [email protected] and we will be in touch soon
Any questions?
And finally…
Website skills surgeries
• The current programme of surgeries has ended
• We are not running any surgeries over the Summer months
• We will be assessing what worked well and what didn’t work very well – will then devise a new schedule of surgeries
• There was no take-up for the surgeries that we scheduled on other campuses so we will refine the new programme to South Kensington Campus and consider more online / video support
• If you have an idea for a topic or would like to see any specific topics repeated please email [email protected] or put your ideas down on this online form: http://www.surveymonkey.com/s/M7B3Q8V
