Volunteering App User Guide The following is designed to give screen by screen guidance to the questions asked in the Volunteer App. BEFORE YOU START The App does not replace Capture (or local equivalent) but is designed to work with it. The App is for individual use to record your own volunteering not for groups of people. Still use Capture for: recording groups of people volunteering on your contract, if you don’t have a smart phone if you don’t have a Carillion e-mail address. It can be used on android, windows and i-phones – personal or work phones. It cannot be used on a laptop. The questions in Capture are the same as in the App although some of the phasing may be different. Red fields are mandatory. A few pages have several questions on so make sure you scroll to the bottom. Once installed, the Volunteering icon will be present at the top of Android phones indicating the app is ready to use any time you volunteer. The app is not collecting data at this point. Reporting output: Information you put in the App will be fed into Capture and appear in your Contract Capture Report. This will be set up for Group Services and those not Contract based. Volunteering App User Guide The following is designed to give screen by screen guidance to the questions asked in the Volunteer App.

BEFORE YOU START The App does not replace Capture (or local equivalent) but is designed to work with it.

The App is for individual use to record your own volunteering not for groups of people.

Still use Capture for:

recording groups of people volunteering on your contract, if you don’t have a smart phone if you don’t have a Carillion e-mail address.

It can be used on android, windows and i-phones – personal or work phones. It cannot be used on a laptop.

The questions in Capture are the same as in the App although some of the phasing may be different.

Red fields are mandatory.

A few pages have several questions on so make sure you scroll to the bottom.

Once installed, the Volunteering icon will be present at the top of Android phones indicating the app is ready to use any time you volunteer. The app is not collecting data at this point.

Reporting output: Information you put in the App will be fed into Capture and appear in your Contract Capture Report. This will be set up for Group Services and those not Contract based.

On first use go to the information button. This gives a list of the information you need to have handy when completing the App.

On first use you will need to complete your profile on the settings page. You will only need to do this once unless your role or location changes.

To complete the App quickly please have the following information handy:

Postcode of the activity, No.of hours involved, Impact of the activity and benefitting

organisation No of school children engaged with and No. of people benefitting. The value of any contributions or fundraising

and the names of any clients, suppliers or 3rd parties involved.

If this is the first time you have used this App you will need to complete your profile. You will not need to do this again unless your role or location changes.

The currency auto populates for the UK and Canada but there are options for other currency in AFC / MENA.

For reporting the contract / business will be able to see output in their local currency for Group reporting this will be converted to pounds sterling.

There is a search button on each drop down. This will be most useful on the contract page. You do not have to use this facility you can scroll down. IF the search facility does not return your selection then press X and the full list will reappear.

Date – you can’t put a future dates as this App is for recording what has already been done. You can record activities from the start of the year and up to 12months after the event.

Post code – we use this information in bids to show where we have impacted on Community Engagement as well as for local Government reporting.

This is looking for a sentence such as.

I helped remodel a kitchen at the Dubai Autism Centre. I volunteered to help with reading regularly at St John Primary

School I helped with conservation work for Staffordshire Wildlife Trust I decorated a bedroom at the Fred Victor Women’s Hostel I set up shelter scaffolding at a school fete for 4000 visitors to Jebel

Ali Primary School. I donated blood at Ghala Clinic, Muscat. I built a garden from our waste timber for the Eco Club at the Qatar

International School, I raised funds for Brampton Civic Hospital by stewarding at a charity

hockey match

Type of Activity – select from the drop down selections or further options. This information helps us to report the types of volunteering.

Some examples of the success / outcome of the activity

The attendees now have a better understanding of engineering as a career choice.

I have developed my communication skills. The environment for the local community has been improved. A local SME business now has a Health and Safety Policy.

If the activity involved a schools engagement or site visit with school children or young people then this question is asking for the number of children or young people involved for example:

Mosaic Enterprise Challenge Day engaging students with a business challenge - the number of children involved 30.

Renewable energy workshops with Rochdale Schools - the number of children involved was 100. Support as Curriculum Link Governor - Maths Lesson and Scrutiny - the number of children involved was 35. Site tour of construction project - the number of children involved was 150.

This question does not need to be completed if the activity was a schools activity - unless it engaged a larger number of children and a proportion of those had additional benefits. For example:

Schools engagement to develop interview skills and CV writing with 30 children. At the end of engagement there is a guaranteed work placement for 5 students.

The number of school children is 30. The number of people benefitting is 5.

For all other activities this question is asking for the number of people that benefitted from the activity you have done.

Renovate the garden at The Oaks Retirement home – the number of people benefitting is 60. A job coach to one person – the number of people benefitting is 1.

Depending on the date you have done your volunteering on you may be asked an additional question for Give and Gain day, Giving Tuesday and National Volunteering Week in Canada. If you activity was part of one of these campaigns then please select yes.

Number of hours – this is restricted to 250 hours. For most people it will be up to 48 hours (6 days x 8 hour days). Some people on secondment will put up to 250 hours in each month.

Carillion cash contribution – This is where Carillion directly gives money to an activity and therefore a straight donation.

In-kind donation – This is the value of something we have given – for example meeting room use, items borrowed, traffic Management or equipment – give an estimated cost here.

Have others, external to Carillion, been involved in your volunteering?

In order to submit your 3rd party entry you must press ‘Add another 3rd party…’ before the selecting the ‘next arrow’.

Cash – you can collate all external giving here (including cash, in kind donations, and total amount fundraised)

You can add as many 3rd parties as you like.

Adding 3rd parties – when adding another organisation, the information that you have typed previously will appear in a box with an x by it. This is meant to be there – only press x if you need to delete the data otherwise just move on.

Your information will now go into our database and be available the following day in a Capture Report.

You can now exit the App, go onto the volunteering website for some inspiration or go back to the start and enter more volunteering activity.
