SUMMARY OF UPDATES

Below is a summary of updates you’ll notice in your system. These updates are built-in and require no additional configuration to implement in your system.

1. You will immediately notice the new look and feel of the system throughout. For this newest template we really wanted to modernize the layout of the system. This includes some exciting new ways for you to customize your experience when using the system.

2. We have updated our Custom Forms to be more useful based on all of the feedback we have received. Using our form builder, you will now be able to break long forms into multiple pages to make saving easier and use radio buttons and check boxes as new field types.

3. MethodOne has made it even easier to be notified of relevant details. In this version you can configure a notification for when your inventory is low and see that a patient has alerts just by loading them in your page.

4. Search for patients by name or ID number using the new search field instead of going into Advanced Search. Now your patient names will appear in a dropdown list when you begin typing.

The rest of this manual serves to introduce you to the other exciting upgrades we have made and offer guidance for use.

OVERALL LOOK AND FEEL

Whether you have been using MethodOne for a long time or are new to it, this section outlines the updates we have made to allow easier customization for your system.

As soon as you go to login to the system (using your existing site-specific URL as usual), you will get your first glimpse at our new format (remember you may need to refresh your screen the first time or clear your browser cache to reset the display):

Once inside, you’ll notice that the top menu options are now docked at the left side of the page and that the right menu is not immediately visible:

To make the left or right hand panels visible, click the menu button ( = ) on either side. This will collapse or un-collapse (expand) the left and right panels:

The reason that we moved the main top menu bar to dock at the upper-left side of the screen is to accommodate our new full-screen and profile features (now located on the upper-right side of the screen):

The four-directional arrow allows users to use the system in full-screen mode.

The employee photo with the down arrow opens the user’s account settings, including the user’s profile and logout option. Learn more about the user profile by clicking here.

We have also made it easier to view when patients have alerts by including a popup number icon over their photo on the left panel. If the patient has an active alert, a number will appear.

FORM BUILDER

For a long time you have been asking for new custom form options so for this update we weighed your requests and were able to build in some of your most popular requests. The first of which you’ll find in the Form Builder when creating new or editing existing forms.

Once your site has been updated to this version, you’ll want to use the latest import template (which can be downloaded from the Form Builder). As you’re creating your new form, you’ll notice new field type options for Check Box List and Radio Button List.

The most common reason for these requests has been so that you can view all the options for any given question (as shown in the snapshot above).

The Check Boxes field type works similarly to the multi-select list, giving you the option to select as many as apply while still being able to view all available choices. The Radio Buttons are similar to the regular drop down list, letting you select one from the available options.

Access to Built-In Forms

Previously, access to forms that are built in as menu options (Biopsychosocial, Annual Evaluation, Annual Narrative, Interpretive Summary, History, and Physical forms) have been controlled by the Role Configuration. However, this caused discrepancies in the system sometimes with who had access to read or write the form if it conflicted with the access granted in form-builder. In Version 4 we have updated this so that the access to these forms is controlled the same as other custom forms – based on the read/write settings indicated in the Form Builder.

NOTE

If you are already using these forms in your system, you may need to edit them in the Form Builder and update who has read/write access.

Save and Next

In an effort to constantly be evolving to meet your needs, this update is one that we developed directly in response to your requests. Some centers have had some experiences with long forms “timing out” due to the length of time it takes to complete the form, or “freezing” due to internet issues. One of the ways we have sought to correct these issues is by allowing you to break longer forms down into multiple pages.

If you use the Custom Forms Import Template to build and edit new forms, you will need to download the new template which includes this field.

Inserting a Page Break

To indicate that a long form needs to have multiple pages (to enable the Save and Next feature), you’ll need to add a “Save and Next” field within the form. In the form builder, this can be selected from the “Field Types” dropdown menu.

Filling Out the Form

As you’re filling out a long form with a patient, when you reach the bottom you’ll click Save and Next instead of having to scroll through the whole form in one page. This way if you get caught up in a conversation with the patient while working on it, the internet goes out, or any other issues arise, you will still automatically have the last page you completed saved (instead of possibly having to recreate the whole form from scratch).

SAVE AND CONTINUE

You may notice when creating a new form for a patient that the top section is a little different. Now, you will be prompted to choose your Form Template (based on forms built in your system), enter a Form Name, and click “Save and Continue” before you see the rest of the form.

This will automatically save your form as a draft from the very beginning. Please be advised though that if you exit the form prior to completing, it will save as a draft if you exit.

EMPLOYEE PROFILE

We know that one of the frustrations users have faced in the past is the inability to update their own information or own signatures – because these are captured in Employee Registration which many regular employees may not have access to. However, for this version we created an Employee Profile to allow users to edit and update their own information.

The Employee Profile allows you to capture your electronic signature, capture your employee picture, verify your info, and reset your PIN/Password. As you can see in the screen-clipping above, this new functionality includes many of the same fields as Employee Registration, but not all. Employees will not be able to update their own access to menus or reports and will not be able to mark themselves to have remote access. They will also not be able to change their own role or username.

NOTE

This new functionality means that you will no longer see the “Change PIN/Password” option on the right-hand menu. Instead, if users need to change their password or PIN they will go to their profile by clicking their picture at the top right of the screen and then select the “Change Password/PIN” button.

CONFIGURATION

Under the admin menu, the system configuration page has always been something that we have received a lot of feedback on because there are so many different sections for update. In current versions, if you’re not careful to save and submit changes in each section as you make them, you may have to redo them. Our solution here was to break down the system configuration list into a drop-down menu – similar to how Master Data is broken down – so that you can select each section for update individually.

SCHEDULER

One of the pieces of feedback we got when we pushed out our last update was how much you liked the ability to select multiple schedules for different staff members and compare them against each other. However, many of you said that you wish that there was an easier way to select users and that the functionality still felt a little clunky. We listened to your concerns and in this latest update we think you’ll be very happy with the new easier way to view multiple schedules at once.

The functionality itself isn’t much different – you’ll still need to select users whose schedules you wish to view and still will appear next to each other. However, the first thing you’ll notice is the new cleaner look of the scheduler. In the current version to view multiple schedules you have to select the multiple users, click select, and then click the plus (+) sign.

However, in the new version you can see it’s one simple step:

You’ll click the filter button and check the employees you wish to view together and once you’ve selected them, they will appear in the calendar. It’s as easy as that!

PATIENT SIGNATURE

We have added the “Capture Patient Signature” function to the Manage Patients screen. You can still capture and update patient signatures from the Check In page, but for centers who don’t use the Check In screen you now won’t have to go to that page just to capture a signature.

PATIENT SEARCH

The final update we made focused primarily on making the system easier to use has to do with the way you search for patients. Many users have mentioned that they prefer to search by patient name instead of ID number. We have addressed this concern by allowing you to use the patient search field (left panel) to search by patient name or ID number. In addition, once you begin typing in this field it will autocomplete with a drop down list of patients matching the information you’re typing in the field.

NOTE

You can still use the Advanced Search feature by clicking the magnifying glass icon next to the search field.

Typing a patient’s name into the search field will only pull a list of active patients. To view inactive patients you can either use ID number or click the magnifying glass to utilize advanced search.

ANNOUNCEMENTS | CHAT

You’ll notice under the right-hand hamburger menu your normal list of screens as well as two new icons. These are the new chat icon and in-system announcements.

The message bubbles icon is for chat. If you click the icon, you’ll see a list of logged-in users available for chat. The functionality here has not changed; simply click the user you want to start a chat with and the chat popup will appear.

The bullhorn icon will display relevant MethodOne Announcements. Here you might find messages about updates we have made, links to reference documents (like this manual, for example).

NOTE

The chat feature is based on logged-in users. If a user closes their browser without logging out of MethodOne, they will still appear as available for chat.

BOTTLE TRACKING

Many centers’ diversion control plans or policies and procedures include tracking patient take-home bottles and whether or not they’re returned as expected. To make this process easier for these centers, we have included a configuration to track not just whether patients should be returning with bottles in their possession and how many, but also give users the ability to track whether or not those bottles are returned.

To enable this functionality, go to Configuration under the Admin menu and select the System tab. From there, choose “Take Home Bottles Notification” from the dropdown menu and indicate your preferences:

With this functionality enabled, take-home bottles in the patient’s possession will appear as a patient alert. Once marked as returned or not returned, the results will load into the Bottle Tracking Screen for future reference. You can use this screen to view returned/not returned bottles for all patients or filter and search for specific patients, dates, medications, etc.

NOTE

This is for recording and tracking take-home bottles (units) not for tracking bulk inventory. For our latest inventory tracking update, check here.

Additionally, please be sure to select a “Tracking Start Date” for the date you want to begin tracking (which should be within a day or two of setting the configuration). Any further in the past and the system is going to anticipate the need to track previous take-home bottles which the patient may no longer have in their possession.

LABELS

Tablet Count

Labels will now include the total number of tablets in a unit rather than only including the total mg. There is no additional configuration to setup here, you will notice it automatically with the new update.

Print Labels from Dosing Orders

In our last update we included the ability to reprint labels from the Patient Dosing Info screen. However, many of you have asked for the ability to also print labels from the Dosing Orders page. This functionality has been enabled in this latest version to allow you to print a label containing pertinent dosing and order information to place within a paper file if still being used.

DOSE ORDERS AND SCHEDULES

Future Schedules

We know that there may be circumstances where a patient’s schedule is put in for the future, but then a circumstance changes and the schedule needs to be adjusted. In this version, we have included the ability to delete a future order before it has been signed. After the future schedule has been signed, the doctor who signed it will have the ability to delete it. You’ll notice this capability under the Dosing Schedules page when you enter an order with a future effective date:

Deleting Orders

There are a few circumstances when an order may need to be deleted. We wanted to be careful with this functionality to be sure that only certain orders could be deleted and only under very specific circumstances as outlined below:

1. When the order has not been dosed on, but has been signed by the doctor

2. When a verbal order has been dosed on, but that dose has been deleted

Orders can also be deleted by the doctor who signed.

REPORT UPDATES

For our users using the Ad Hoc reporting module, we have added a Treatment Plan Status view to make tracking and monitoring statuses easier.

NEW CONFIGURATION

Under the System Configuration, you’ll notice a new configurable item called “Low Inventory Notification”. If enabled, this will create a notification of your choosing when your bulk inventory is running low so that you will know when it is time to order more. Check out this new function below:

To create a new notification, select “New” from the left column and a popup will appear in the center of your screen:

Select which medication you’d like the notification for and at which mg amount you want to be notified. You can choose to have the notification sent to you via text, MethodOne inbox, or both and specify which employee(s) you want to receive the notification. While we can’t order the medication for you due to DEA regulations, we can make it easier for you to ensure that your center never runs out of medicine.

TELEHEALTH MODULE

MethodOne has offered telehealth as an add-on option for a while. However, this new version makes it even easier to use and more user friendly. Video sessions can still be scheduled using our scheduler and marking the appointment as a video session (as outlined in this article from our knowledgebase). However, we have also added telehealth to the right-hand navigation menu (see right) to make it easier to access for providers already working within the system.

With the telehealth module activated for your center, you will be able to view and create remote video sessions right from MethodOne. Telehealth with MethodOne allows you to schedule sessions in advance or start sessions right away whether between providers and patients or just providers.

The two most frequent uses for this feature would likely be for patients or providers who need to connect, but cannot do so in person so a telehealth session is scheduled for the session in advance for an upcoming appointment or when a patient and provider, or two providers needed to connect immediately but were not physically in the same place.

When “Start Session” is clicked from MethodOne, users are provided a link via email or text message to open the session from the device of their choosing. The appointment itself will take place in a separate tab/window consisting simply of the video exchange between users. The provider is free to work within MethodOne to complete any necessary forms, assessments, or notes during or after the session as required. Once complete, the completed session is recorded within MethodOne as well and can be used for future reference.

SUPPORT UPDATES

As we roll out this newest version, we have been continually updating our knowledgebase of articles for your review. While articles have something we have always offered, we have updated many of these and included some new ones based on questions and support requests we have received from you.

REMEMBER

You can access our knowledgebase using the Contact Us option at the bottom of the right-hand navigation panel. Use the search bar to search for articles on a certain topic or pop out articles and browse our entire catalogue to find the answers you’re looking for. This is an especially useful tool in training self-sufficiency with team members who may not be as proficient in the system.

The Contact Us option is also how you can create support tickets for topics not found in the knowledgebase or other questions you need assistance with.

Also note that there will still be many articles that include screenshots from the old template or may exclude newer functionality as we work through the process of gradually getting all customers transitioned over to MethodOne Version 4.

FUTURE IMPROVEMENTS

As a part of continuing to improve MethodOne, we are constantly taking your suggestions and requests for how the system can work better for you. A list of items currently in development which we are hoping to implement in 2020 is outlined below:

1. Ability to edit stops

2. COC report to generate a log in the Patient Chart (to track COC requests)

3. Update and customize automated inbox messages to make more relevant

4. Add ability to add a callback for a patient who is not due for a callback based on configuration

5. Ability to review all documents and batch sign

We also want to know what improvements are most important to you so if you feel there is something we could be doing better to assist you, please let us know!

Notes from Beta Testers

As this is still the early stages of this new release, we have gotten some feedback from our first beta testing group. Below we have outlined some of the items they ran into:

1. The first time you login, your browser cache is likely going to be storing the old template which means that the first time your team logs in it’s going to look a little wonky (formatting issues, text overlap, etc.). Team members will need to refresh their pages the first time they log in. They may not need to refresh every page, but likely the login page and a few other pages within the system.

2. Some staff members complained in the new scheduler there is no “today” shortcut like in version 3.8 however the button has simply been moved inside of the calendar dropdown (shown below)

3. Be sure to verify your system configurations after the transition to this latest version. This is just a good practice with any update or data transition to make sure that there are no surprises with how notes are signed or which roles have certain rights when staff logs in to start dosing.

NEW INTEGRATIONS AND PARTNERSHIPS

We are continuing to expand our partnerships with other providers including working to get more labs integrated with our system. In addition, we have recently been granted a contract with Dr. First to incorporate ePrescribing and a lot of other important features. We anticipate these updates to be pushed out during the second quarter of 2020.
