Case Study: Workplace of the Future 7

GoalsWhen a leading global financial firm planned its new headquarters, AV systems and infrastructure were deemed key enablers for the company’s community-based culture. Set across a sprawling 11 floors of office space, the new facility would create an en rely new approach to teamwork and coopera on — facilita ng informa on sharing across the enterprise, increasing collabora on through powerful virtual communica on tools, and simplifying system usability via bring your own device (BYOD) capabili es. Labeled “the workplace of the future”, the company’s new responsive AV environment would allow the organiza on to be er posi on itself within the dynamically-changing financial services marketplace while reinforcing the firm’s internal branding across its workforce, forging a more vibrant corporate culture.

ChallengesAt the firm’s prior loca on, workplace layout followed a tradi onal format, which included cubicle layouts where only two rooms per department had access to technological capabili es. In addi on to AV scarcity, end users struggled with varying degrees of technical complexity. As a result, the corpora on experienced high technical support volume and low adop on.

Solu onsTo shi its organiza onal culture to a more collabora ve environment, the firm selected Verrex to execute the company-wide AV system design. Integra ng collabora ve capabili es via advanced AV systems across thefacility’s 265 rooms and 11 floors, Verrex coordinated with corporate AV staff and the end user community to deliver the company’s collabora ve vision.

To achieve more effec ve communica ons, Verrex equipped the firm’s 70 new huddle rooms with 42-inch interac ve screens, dedicated PCs with Windows® so ware, and connec ons for both laptops and handheld devices. Designed to facilitate collabora on for groups of up to six people, BYOD capabili es increased the huddle rooms’ usability while reducing requests for maintenance and IT support. As a result, helpdesk calls have been reduced to less than 10 per day. Employees can also conference directly from their devices or use the rooms’ Microso ® Lync or Cisco Jabber solu ons to make HD video calls through a camera linked to the large screen. Within the building’s slightly larger 83 presenta on rooms, which seat four to eight individuals, Verrex placed larger interac ve screens, IPTV distribu on systems using Haivision Furnace technology, and full control from Crestron-enabled touchscreens to manage all aspects of the room’s user-based applica ons. Within the facility’s three dedicated videoconference rooms, Verrex integrated Cisco videoconferencing codecs, tabletop microphones, large 90-inch displays, and touch panels fi ed directly within the table to control the room’s applica ons, lights, and curtains. With simple single-bu on opera on, users can easily select applica ons without turning to AV staff for assistance.

ResultsThe new environment and workplace strategy provided the financial services firm with a broader sense of community and AV system use by opening floor plans and making technology available within every mee ng space across the building. This strategy increased technology adop on rates by improving the user experience, decreased support strain, and improved collabora on and informa on sharing by allowing users to interact directly with content and technology.
