This factsheet provides some basic information about the USI Transcript for employers. What is the Unique Student Identifier (USI)? The Unique Student Identifier and the USI Transcript are part of a Council of Australian Governments initiative to improve the collection and use of data on nationally recognised training. They are supported by Commonwealth legislation, the Student Identifiers Act 2014. Each year, Australian Registered Training Organisations (RTOs) must now submit a record of the nationally recognised training they deliver to the national VET collections. As part of that collection, a USI is assigned to each training recipient and acts to link together their individual training records across different providers, states and years. This factsheet provides some basic information about the USI Transcript for employers.

What is the Unique Student Identifier (USI)?

The Unique Student Identifier and the USI Transcript are part of a Council of Australian Governments initiative to improve the collection and use of data on nationally recognised training. They are supported by Commonwealth legislation, the Student Identifiers Act 2014.

Each year, Australian Registered Training Organisations (RTOs) must now submit a record of the nationally recognised training they deliver to the national VET collections. As part of that collection, a USI is assigned to each training recipient and acts to link together their individual training records across different providers, states and years.

What is the Unique Student Identifier (USI) Transcript?

Using their USI, individuals now have online access to their data from the national VET collections and can download and print this information in the form of a USI Transcript. USI Transcripts display in a single document the outcomes of the nationally recognised training that an individual has completed after 1 January 2015.

USI Transcripts provide evidence of the training completed by an individual, just like training qualifications do. Australian RTOs are required by law to accept as evidence of a person’s training, both the qualifications issued by other RTOs and USI Transcripts issued by the Student Identifiers Registrar.

It is important to note that USI Transcripts do not replace the actual training qualifications, certificates or statement of attainments issued by RTOs but will become an increasingly valuable supplement and backup to these documents over time as records accumulate.

What can I expect to see in a USI Transcript?

USI Transcripts are compiled from information that RTOs must submit regularly about the training undertaken by their students as part of the national VET collections. The transcript will include the following information:

The full name of the USI account holder; The name of all the nationally recognised VET qualifications completed since 2015 and the RTOs that issued

them; The name of all units of competency in which the individual enrolled and:

o their outcome;o the RTOs that delivered them;o the date they were commenced and completed; ando an indication of their source of funding.

If the heading of the USI Transcript includes the word ‘Partial’, this means that it does not include information about some qualifications or units/modules attempted or completed.

We encourage employers to view the sample of a USI Transcript.

Does the USI Transcript replace credentials issued by Training Organisations?

The USI Transcripts issued by the Student Identifiers Registrar are based on the same evidence of training as the certification or statements of attainment issued by RTOs.

The USI Transcript for an individual includes information on nationally recognised training reported by RTOs after 1 January 2015 and is updated on an annual or quarterly basis. This means that the USI Transcript will need to be used in conjunction with other evidence for training completed before 2015 and also for training completed since the last update.

If you have concerns about the authenticity of training documents, you should contact the RTO that delivered the training.
