Introduction
This 480i IP telephone providescommunications over an IPNetwork using the SIP IP telephonyprotocol. The 480i has all thefeatures of a regular business setand more, allowing you to makeand receive calls, transfer,conference and more.

A 3.5" x 2.25" backlit display.
6 multi-functional softkeys.
4 line/call appearance buttonswith corresponding lights.
Enhanced busy lamp elds.
Up to 5 additional line/callappearances as softkeys.
Full-duplex speakerphone forhandsfree.
Built-in-two-port, 10/100 Ether-net switch which lets you share a
connection with your computer. Inline power support, which
eliminates power adapters.

Getting Started
When You First Plug inYour Phone
The 480i automatically begins thestart up sequence as soon as it is
connected. The phone goes throughthis process the rst time you plugin your phone and every time yourestart your phone. The rst screenthe phone displays is the Aastrasplash screen.
Updating Your Phone
After displaying the Aastra splashscreen, the 480i will check settingsand check for new updates on theserver for the conguration lesand rmware. If a new update isfound, the phone will displaywhat kind of update it is installing(either Updating Config
orNew Firmware
). This may take
a few moments while the phonedownloads the latest updates.Your system or networkadministrator will set up newupdates on the server.
Important! Do not unplug orremove power to the phone while itis checking or installing rmware.
Start up Screens
After the phone displays the Aastrasplash screen or after downloadingan update (if an update was avail-able), the phone will display the IdleState screen:
Note: The Idle State screen on yourphone may not look exactly asrepresented here. The softkeysand screen congurations shownare just an example of softkeysthat could be set up on your phone
by your system administrator.
Network Disconnected
The
Network disconnected
prompt appears on the display andthe telephone status light turnson when the phone is not properlyconnected to the network. Thephone also displays the default timeand date of12:00am Jan 1st, 2000or the equivalent. Check that the
cables are tightly connected to thephone and to the wall jack. Thephone should automatically detectwhen it is reconnected and willdisplay the Network connected
prompt for a few seconds. However,if changes have been made to yourphones network settings, you mayneed to restart your phone.

Restarting Your Phone
You may want to restart yourphone to check for updates for yourphone on the server. You may alsoneed to restart your phone if youhave been asked to do so by your
network or system administrator, orif you are having problems withyour phone.
Note: Your phone will be temporarilyout of service during the restartand downloading process.
Important! Do not unplug orremove power to the phone whileit is checking or installing
rmware.
To restart your phone:
1. Press
to enter theOptions List.
2. Uses
to scroll down the listof options to 10.Phone Statusand press the Show
softkey, oryou can press 0
to jump directlyto this option.
3. Uses
to scroll down the PhoneStatus list to 3.Reset Phone
andpress the Show softkey, or youcan press 3
to jump directly tothis option.
4. Press the Reset
softkey to resetthe phone.
5. If you do not wish to reset yourphone, press the Cancel softkey.

Customizing Your Phone
Setting Your OptionsPressing thebutton givesyou a list of conguration options.You can also change these options inyour phone through the Aastra480i Web Client. Refer to the Aastra
480i Installation Guide forinformation on less advancedconguration options.
Note: Some options should only beset up or changed by a networkor system administrator. Pleasecontact your system or network
administrator before adjustingany administrator level options.For more information on theseoptions, administrators shouldrefer to the Aastra SIP 480i IPPhone Administration Guide.
To Access the Aastra 480iWeb Client
Open your web browser (i.e.Internet Explorer or Netscape, etc.)and enter your phones IP addressinto the address eld, startingwith the web prex http://, forexample: http://192.168.0.100.
In order to access the Aastra 480iWeb Client, you will need to knowthe IP address of your phone.
To Find Your Phones IP Address
1. Press to enterthe Options List.
2. Uses to scroll down the listof options to 10.Phone Statusand press the Show softkey, or youcan press 0 to jump directly tothis option.
3. Uses to scroll to 1.NetworkStatus and press the Showsoftkey, or you can press 1 to
jump directly to this option.
4. Press the IP Addr softkey.
5. You will now see your phonesIP Address.

Using
the480
iPhone
SoftkeysYour 480i has 6 softkey access
buttons, 3 on either side of thephones display. The softkeymenus will change dependingon the phones state, displaying
relevant softkeys only.
Idle StateThe Idle State menu appearswhen your phone is not in use.Your system administrator can setthese softkeys up through theconguration les for your phone.For more information on how tocongure these softkeys, system
administrators should refer to theadministration guide forthese phones.
The following image is ofthe Idle State screen with someexample softkeys:
If more than 6 softkeys have been
set up for you, More and Backsoftkeys will be created as required.Pressing the More softkey accessesmore Idle State softkeys on the nextscreen while pressing the Backsoftkey accesses the softkeys onthe previous screen.
The envelope icon will displayon the Idle State screen only ifyou have new messages waiting.The number next to the envelopeindicates how many new messagesyou have. To access your voicemailmessages, use the star codes foryour system if a voicemail softkeyhas not been congured on yourphone. For more information onyour systems star codes, pleaserefer to the documentation for thesystem you are using.
Customized SoftkeysThe 480i can have its softkeyscongured as speed dials or asline/call appearances. Your systemadministrator can customizesoftkeys through the congurationles for your phone. For moreinformation on how to conguresoftkeys, system administrators
should refer to the administrationguide for this phone.

Using
the480iPhone Softkeys as Line/Call
Appearances
Your system administrator mayhave customized the softkeyson your 480i phone to function asline/call appearance softkeys.
These line/call appearance softkeysfunction in a similar manner tothe 4 line/call appearance hard keysand lights on your phone. Fordetails on the line/call appearancehard keys and lights, please referto section Multiple Line and CallAppearances of this manual.
Lines/call appearance softkeysappear on the phones display asshown in the following image.
Icons next to the softkeys withinthe phones display indicate thestatus for that line or call and haveequivalent statuses to the line/callappearance lights of the hard
keys on the phone. What theseicons represent is described inthe following table.

Depending upon how thephone has been congured, themaximum number of total line/call appearances that can be set upis 8 or 9 (4 line/call appearanceas hard keys and 4 or 5 as softkeys).If all line/call appearances have
been set up for the same number,a total of 9 lines can be congured.If all line/call appearances have
been set up between two differentnumbers, a total of 8 lines can becongured. This means that whenall line/call appearances are in use,1 call is connected while the rest
are on hold. No further outgoingor incoming calls can be made untilone of the line/call appearances
becomes available.
In active states, such as: ringing,conference, connected, etc.,all softkeys will disappear exceptsoftkeys that have been set upas line/call appearances and anycontext dependent softkeysrequired for the active state, suchas the Drop softkey in the connectedstate. Typically, context dependentsoftkeys will appear in the topleft position and all line/callappearance softkeys will appearin the remaining positions.
Note: In some situations, such asduring a conference call, the line/call appearance softkeys mayoverwrite some of the contextdependent soft keys. In thiscase, instead of the Previousand Next softkeys, up or down
icons, 5 or 2, will appear on
the display. By using ther
ands navigation keys, youcan access the same functionalityas the Previous and Nextsoftkeys.
Softkeys as CustomizedSpeed Dials
Your system administrator mayalso have set up custom softkeys asspeed dials. Speed dial softkeyscan dial a star code for a feature on
the system or a phone number ora set of digits. A customized labeldisplays inside the phones displayfor each softkey. If you press acustom softkey, the phone willgo off-hook and dial the star code orthe number set up for this softkey.
Connected State
The connected state screen willappear when you are talking tosomeone on the phone. Connectedstate functions are available assoftkeys on the connected statescreen, as well as hard keys on thephone. These softkeys and hardkeys allow you to handle calls, suchas transferring, conferencing, andplacing calls on hold.
If softkeys have been conguredas line/call appearances and youare connected to a call, the line/callappearance softkeys will display
beneath the Drop softkey. Pressingthe Drop softkey will disconnect
you from the call you areconnected to.

Depending upon how you haveset the Live DialPad option inyour phone, your phone will eitherdial the digits as soon as theyare pressed or collect the digits
on the screen before dialing.See the section Customizingyour phone in the Aastra 480iInstallation Guide for moreinformation on how to congurethe Live DialPad option.
Note: If you are unable to make callswithin certain area codes, checkwith your system administrator
for any toll restrictions placed onyour extension that may restrictyour access to long distance areacodes or dialling prexes.
You can make a call by either:
Lifting the handset (the phonewill automatically select the nextopen line/call appearance) and
then entering the number. Pressing thed /f button and
then entering the number.
Pressing a line/call appearancebutton and then entering thenumber.
Or if you are pre-dialling thenumber, by entering the number
and then pressing either theDial softkey, thed /f buttonor one of the four line/callappearance hard keys.
Dialing a Number Live
If the Live DialPad option is on,as soon as you press the rst digiton the dial pad the phone willautomatically select the nextavailable line, go off-hook anddial as digits are pressed.
Pre-dialling a Number
You can also make a call bypre-dialling a number. Pre-diallinglets you view a number beforeyou dial. Use the Backspace softkeyto correct any errors.

Using Handsfree SpeakerphoneThe handsfree feature allows youto speak to someone without usingthe handset or headset. Yourphone must be in either the speaker
or speaker/headset audio mode.For more information on how to setthis audio option in your phone,see the section Customizing YourPhone in the Aastra 480i InstallationGuide.
To dial using handsfree, rstpressd and enter a numberat the dial tone.
To answer a call on the480i phone using handsfree,pressd or the line/callappearance button.
If in speaker audio mode, pressd to switch between handsfreeand handset.
If in speaker/headset audiomode, pressd to switchbetween handsfree and headset.
When the handset is onhook, pressd to disconnecta handsfree call.
When handsfree is on, the speakerlight turns on.
Using a HeadsetThe 480i accepts headsets throughthe modular RJ22 jack on the
back of the phone. Contact yourtelephone equipment retailer ordistributor to purchase a compatibleheadset. Customers should readand observe all safety recommenda-
tions contained in headset operatingguides when using any headset.
Advanced Volume Controlsfor the Headset Mic
On the 480i, there are 3 optionsfor the headset microphone volume.To change this volume:
1. Press to enterthe Options List.
2. Uses to scroll down the listof options to 7.Set Audio andpress the Show softkey, or youcan press 7 to jump directlyto this option.
3. Press the Advanced softkey.
4. Uses to scroll down the listor press the Change softkey to goto the next selection.
5. Press the Done softkey to savechanges and exit.
6. If you do not wish to savechanges, press the Cancel softkey.
Note: By default, the volume for
the headset microphone is setto medium.
To Make and Receive CallsUsing a Headset
1. Ensure that you haveselected a headset audio mode
by accessing the Options listavailable from the phone. See
the section Customizing YourPhone in the Aastra 480i Installa-tion Guide for information onthese settings.
2. Plug the headset into the jack.
3. Press thed /f key to obtaina dial tone or to answer anincoming call. Depending on
the audio mode selected fromthe Options list, a dial toneor an incoming call will bereceived on either the headsetor the handsfree speakerphone.
4. Press thek key to endthe call.

Handling CallsWhen you are connected to acall, you can use the hard keys onthe phone to transfer, conferenceor place a call on hold.
Placing a Call on HoldWhen you place a call on hold,only your phone can retrieve thecall. To place a call on hold:
1. Connect to the call (if notalready connected).
2. Press the Hold softkey.
The line/call appearance lightwill begin to ash slowly. Thescreen will display Hold with theline number the call is held at onyour phone.
When on Hold
When you have been placedon hold, you cannot hear any voice
from the caller. The line/callappearance light for the line youare on will remain solid to indicatethat you are still connected.
Automatic Hold
When juggling multiple calls, youdo not have to press the hold buttonto go from one call to the next. Thephone will automatically put yourcurrent call on hold when you press
a new line/call appearance button.Retrieving a Held Call
If you have more than 1 call onhold, you can scroll through theheld call information by pressingthe3 and4 navigation keys.To reconnect to a call, press the line/call appearance button where
this call is being held or press thePickup softkey.
Transferring a Call
Blind Transfer
A blind transfer is when youtransfer a call directly to anotherextension without consultingwith the person receiving the call.To do this, simply complete thetransfer before the receiving partyanswers the call.
Consultative Transfer
You also have the option to consultwith the person you are transferringthe call to before you complete the
transfer. To do this, simply remainon the line until the receiving partyanswers the call. After consultingwith the receiving party, you caneither complete the transfer or go
back to the original call.
To transfer a call to anotherextension:
1. Connect to the call youwish to transfer (if not alreadyconnected).
2. Press the} button.
3. Enter the extension number ofthe person you wish to transferthe call to.

4. If you do not wish to transferthe call, place the handset backon hook or press thek
button. To go back to the originalcall, press the line/call appear-
ance button for the held call.5. To complete the transfer,
you can press the}button again.
Conferencing CallsThe 480i phone supports up tothree parties (including yourself)
in a conference call. This is alsoknown as a 3 Way call.
To create a conference call:
1. Connect to the rst party youwish to include in the conference(if not already connected).
2. Press theGbutton.
3. Dial the number of the
person you wish to add tothe conference.
4. Wait for the new party toanswer. You can consult withthe new party rst beforeadding them to the conference.
5. If you do not wish to add thenew party to the conference,press thekbuttonwhile connected to this new call.This disconnects the new party,
leaving the original call on hold.To go back to the original call,press the line/call appearance
button for this call.
6. If you wish to add the newparty to the conference, press theG button again.
7. To drop a party from theconference, use the navigationalkeys to navigate to the desiredpartys call appearance screenor press the Next and Previoussoftkeys (if visible), and thenpress the Drop softkey.
Note: If you disconnect from the
conference, the other two partieswill also disconnect.

Picking up CallsIf you are juggling multiplecalls, you can scroll through callinformation by pressing the3 and4 navigation keys. If you wish toconnect to an incoming call or
re-connect to a call you placed onhold, press the line/call appearancebutton for the call or pressthe Pickup softkey.
If the phone is already connectedto a call, pressing the line/callappearance button for the newincoming call will automatically
place the connected call onhold and answer the new call.
Ending CallsTo end a call, you rst need toconnect to the call, if not alreadyconnected, and press thek
button or the Drop softkey. Ifconnected through the handset,you can also place the handset
back on hook to end the call.
Additional Features
Star CodesAll of the main call handling andextension management features foryour system can be set up as speeddials on softkeys on your phone.Your system administrator can setthese softkeys up through theconguration les for your phone.If these have not been set up, youcan dial any star code commands onthe 480i phone the same way youwould on a regular telephone.
ServicesThis feature has not beenimplemented yet.
The services key on the 480i willaccess enhanced features andservices provided by third parties.Availability of this feature willdepend on your phone system orservice provider.
This button will give you access toadditional services as they becomeavailable in the future. Such futureservices will be built through thediverse web based language of XMLand could range from a directorylist or call list, to weather, stocks, oright information, etc.

Why is my speakerphonenot working?
If you press thed /f buttonand the speaker light ashes andyou do not hear dial tone throughthe speaker phone, the Set Audiooption in the phones Options listhas been set up for headset use.Pressd /f a second time and ifthe light goes out, the phone has
been set up to be used only with aheadset or handset. If the light stayson steady and you hear dial tone,the phone has been set up so thatyou can alternate between thespeakerphone and the headset bypressingd /f . See the section
Customizing your phone inthe480i Installation Guide forinstructions on how to changethe Set Audio option.
Why cant I get a dial tone?
Check for any loose connectionsand that the phone has beeninstalled properly. For installation
instructions, please refer to theInstallation and Setup section inthe Aastra 480i Installation Guideprovided with your phone.
Why doesnt my phone ring?
Check the ring volume on yourphone. It may be turned down orturned off. To adjust the ringervolume setting, press the volume
button when the phone is on-hook
and idle. For more information,refer to the Adjusting Volumesection in the Aastra 480iInstallation Guide provided withyour phone.
Why is the light not coming onwith a new Voice Mail Message?
Your phone system or service
provider must provide VisualMessage Waiting service for thisfunction to work. Check withyour system administrator formore information.
Why is my handset not working?
Check to ensure that the handsetcord is fully connected to both the
phone and handset. See the sectionConnecting a Handset or Head-set in the Aastra 480i InstallationGuide for information.
What are services, and howdo I use them?
Currently this feature is notavailable on the 480i phone. How-
ever, in the future, services maybe provided by your phone systemor service provider, and will beaccessed through the
button. This may include servicessuch as Directory and Caller's List.

From the Aastra 480i WebClient, click on Password in theUser section in the side menu bar.A new window will pop up.
Enter your current user name andpassword into the user name andpassword elds. By default, theuser name is user (all lowercase)and the password eld is left blank.Enter your current password andthe new password you would liketo use in the corresponding elds,and then press the Set Password
button. If you have forgotten yourpassword, contact your systemadministrator for assistance. Bysigning into the Aastra 480i WebClient using the administratorpassword, your administrator canuse the administrator password inthe Current Password eld in
order to assign a new passwordfor you.

Limited WarrantyAastra Telecom warrants this productagainst defects and malfunctions duringa one (1) year period from the date oforiginal purchase. If there is a defect ormalfunction, Aastra Telecom shall, at itsoption, and as the exclusive remedy,either repair or replace the telephone setat no charge, if returned within thewarranty period.
If replacement parts are used in makingrepairs, these parts may be refurbished,or may contain refurbished materials.If it is necessary to replace the telephoneset, it may be replaced with a
refurbished telephone of the samedesign and color. If it should becomenecessary to repair or replace a defectiveor malfunctioning telephone set underthis warranty, the provisions of thiswarranty shall apply to the repaired orreplaced telephone set until theexpiration of ninety (90) days from thedate of pick up, or the date of shipment
to you, of the repaired or replacementset, or until the end of the originalwarranty period, whichever is later.Proof of the original purchase date is tobe provided with all telephone setsreturned for warranty repairs.
Exclusions
Aastra Telecom does not warrant itstelephone sets to be compatible with the
equipment of any particular telephonecompany. This warranty does notextend to damage to products resultingfrom improper installation or operation,alteration, accident, neglect, abuse,misuse, re or natural causes such asstorms or oods, after the telephone isin your possession.
Aastra Telecom shall not be liable forany incidental or consequentialdamages, including, but not limited to,loss, damage or expense directly orindirectly arising from the customersuse of or inability to use this telephone,either separately or in combination withother equipment. This paragraph,however, shall not apply toconsequential damages for injury to the
person in the case of telephones used orbought for use primarily for personal,family or household purposes.
This warranty sets forth the entireliability and obligations of AastraTelecom with respect to breach ofwarranty, and the warranties set forth or
limited herein are the sole warrantiesand are in lieu of all other warranties,expressed or implied, includingwarranties or tness for particularpurpose and merchantability.
