Update Existing Department ID Instructions The Update Existing Department ID form updates ChartField Values*, which is the official record of 6-digit Department IDs and designations in OMNI. This form does not update C&G project personnel or workflow approval for OMNI modules such as Travel and Procurement. For C&G project personnel updates, contact Sponsored Research Administration. For all other modules, contact the respective office for workflow updates. *ChartField Values navigation: OMNI Financials > Set Up Financials/Supply Chain > Common Definitions > Design ChartFields > Define Values > ChartField Values > Department Department Description: This is the official title of the 6-digit department ID. (max 30 characters) Short Description: This is an abbreviation of the Department Description. (max 10 characters) Division: Academic Affairs, Central Administration, Finance & Administration, Research, Student Affairs, or University Advancement. School/College: For example, “College of Arts and Sciences.” Area: For example, “Biological Science.” Purpose/Mission: Give a specific explanation of the type of activity for which this department ID is being requested. Any additional supporting documentation that can clarify the use of the new department ID is helpful. Dean/Director/Department Head/ Chair (DDDHC): ultimately responsible for the fiscal management and soundness of a department. Each department shall have one DDDHC. Budget Manager: a department’s official contact person for financial matters. Each department shall have one Budget Manager. Authorized Signer: personnel granted the authority to approve transactions that impact a department’s budget or financial position. Departments may have up to six Authorized Signers. Hyperion Salary Preparer: those granted access to the Hyperion SALARY application and related BI reports. Departments may have up to three Hyperion Salary Preparers. (Note: Limitations related to the number of Hyperion licenses may impact the number of Hyperion users granted to each department.) Hyperion Budget Preparer: those granted access to the Hyperion ALLFUND application and related BI reports. Departments may have up to three Hyperion Budget Preparers. (Note: Limitations related to the number of Hyperion licenses may impact the number of Hyperion users granted to each department.) Approver: Must be listed as DDDHC in ChartField Values in OMNI Financials for the department(s) being updated. Additional Approver: If updating DDDHC, the new DDDHC’s supervisor must sign.
