Advance NoticeOur experienced team of Sales Managers is on hand to help meet the catering needs of your next event! For a smoothprocess,werecommendbookingyoureventasearly as possible. Orders may be placed by contacting us by phone at (310) 825-7021 or via e-mail at [email protected].
We usually require a minimum notice of seven (7) business days for any event that involves attendants. Orders received after 4 p.m. are dated the next business day and may incur additionalfeesforexpeditedservice,ifapplicable(e.g.,anadditional$50rushdeliveryfeeperorder,oradditional$100 per order for served events).
Delivery orders can usually be accommodated with three (3) business days notice prior to the event date. Rest assured that we will make every effort to accommodate yourcateringrequests.Again,yourbestbetistoprovideasmuch advance notice as possible.
Booking Confirmation& PaymentOnceacateringorderisplacedwithus,youwillreceiveaconfirmatione-mailoutliningallthedetailsofyourorder. University clients using a recharge account will be automatically billed after the conclusion of the event. Clients not using a University recharge account are required to pay the full balance seven (7) business days prior to their event.
Any catering deliveries or events booked less than seven (7) business days from the event date are required to pay bycreditcardusingouronlinepaymentservice.Non-University clients are subject to sales tax.
PleasenotethatasignedconfirmationofyoureventordermustberemittedtotheUCLACateringOfficenolaterthan48hourspriortoadelivery,or72hourspriortoaserved event.
Minimum OrdersThe following are minimum requirements for any food and beverage orders:• A minimum order of $95 is required for delivery on

Event-Related Chargesl A $50 fee will be assessed for any after-hours deliveryorpick-up(MondaythruFriday,before7a.m. or after 7 p.m.; Weekends after 5 p.m.).
• A $30 return trip fee for any delivery or pick-up duetoinaccessibility(e.g.,lockedrooms,meetingsrunninglate,oranyotherreasonourequipmentisnot readily available for retrieval at the previously agreed upon time).
• A $25 processing fee for any changes made to orders within 24 hours of the event.
Guarantee of AttendancePleasenotethatafinalguaranteeofattendanceisrequiredafullfive(5)businessdayspriortotheeventdate and/or three (3) business days prior to your delivery date.Ifafinalguaranteeisnotreceivedwithinthistimeperiod,wewillusetheguaranteeprovidedontheBanquet Event Order. Please note that this number will be considered a guarantee and not subject to reduction. Any increases to your guarantee are subject to approval.
Cancellations – Catering Charges on LocationAny cancellation of events or ordered menu items will be subject to the following charges: • 25% of total cost if cancelled within three (3)
business days of event• 50% of total cost plus any related direct expenses
incurred by UCLA Catering on behalf of the event (e.g.,rentedequipment,floralarrangements)ifcancelled within two (2) business days of event
• 75% of total cost plus any related direct expenses incurred by UCLA Catering on behalf of the event (e.g.,rentedequipment,floralarrangements)ifcancelled after 12 noon the day prior to event
• 100% of total cost if cancelled the day of event.
Served Meals & BuffetsOurservedmealscomecompletewithchinadinnerware,silverware,tablelinens,hotbeverages,icedtea,andicedwater.Serviceattendantsareincludedforupto2hours,after which overtime charges will apply. Please inform yourSalesManagerofyoureventtimeline,sothatmealservice can be timed accordingly.
Served meals are priced for a minimum of 20 guests. Buffets are priced for a minimum of 30 guests. We require that adequate staging facilities be made available to our catering staff. Please ensure that the event location and staging area is accessible a minimum of 2 hours prior to event start time. We reserve the right to inspect your event and staging area in advance.
Inordertoprovidethebestservicepossible,UCLACatering will assist in determining the appropriate level of staffingneededforyourreceptionand/oranyalacartemeal that does not include service attendants. Please note that UCLA Catering employees may not accept gratuities.
Dependingontheneedsofyourevent,additionalattendant fees may apply and are listed below: • An hourly rate of $30 per attendant will be charged foranyovertimestaffingrequiredinexcessoftwo(2)hours.
• UCLA Catering offers up to two (2) hours of service at a rate of $120 per attendant for events that do not alreadyincludestaffingservices.
• Up to two (2) hours of service by a Beverage Attendant is available at $120 per attendant for events with a full bar setup.
Tables, Chairs & Room Set-UpTable and chair rental for events not being held at UCLA Cateringfacilities(DeNevePlazaorSunsetVillage)areavailablethroughtheUCLAEventsOffice.Pleasecall(310) 825-5959 for more details. We ask that all tables and chairs be set up prior to the scheduled arrival of our catering staff. Additional charges may be applied if any assistancewithsetup,suchasmovingfurniture,isrequired.
Trash Disposal & Recycling ServicesOutdoor events require that waste and recycling receptacles be made accessible to attendees. Please contact UCLA Facilities Management directly at (310) 206-3041 to make any necessary arrangements.

Delivery Service PoliciesToensureasuccessfuldelivery,weaskthatyoupleaseprovide building access and/or an unlocked delivery locationatleast30minutespriortotheeventstarttime,as shown on the order. Adequate loading and parking arrangementsmustbeconfirmedpriortodelivery.
Please note that UCLA Catering does not provide tables for deliveries. Clients are asked to arrange for table setup or adequate counter space to be made available 30 minutes prior to the event start time. In an effort tobesustainable,tablelinensarenotincludedwithstandarddeliveryorders.Foryourconvenience,weofferrentable linens at a cost of $6.25 per standard sheet. Alternatively,weoffereco-friendlyanddisposablelinens at $3.50 per sheet.
We asked that our clients ensure the safeguarding of all UCLA Catering property and equipment dropped off at the event/delivery site. Any lost or damaged equipment are subject additional fees (no more than replacement value) and will be charged to the client’s master bill.
Incompliancewithhealthcoderegulations,perishablefood items can only be presented for a maximum of fourhours.Duetoinventorycontrols,UCLACatering’sequipment must be picked up within a four (4) hour period. It is our goal to pick up any equipment on loan withinaone-hourwindowfollowingtheeventendtime,as indicated on the event order.
Please also make note of the following terms and conditions:• UCLA Catering is not responsible for any clean up
after an event. We will only pick up the equipment on loan.
• Foranydeliveriestooutdoororpublicareas,pleaseensure that the client or a department representative be present to receive the delivery and provide supervision prior to and during the event.
• Adequate loading and/or parking must be available for all Westwood deliveries.
• A $50 Long-Haul Fee will be assessed for any deliverywithoutloading,parking,orelevatoraccessibility.
• Foranylargedeliveryset-ups,additionalDeliveryAssistants may be required as determined by your SalesManagerataflatrateof$25perassistant.
Rental of UCLA Catering Meeting RoomsIn addition to the policies and procedures highlighted abovethatapplytoallUCLACateringorders,thefollowing is additional information relating to events bookedinUCLACateringfacilitiesinCovelCommons,DeNevePlaza,andtheNorthwestCampusAuditorium.
Cancellations – Meeting Room Charges
Toavoidmeetingroomcancellationcharges,youmustnotify us in writing sixty (60) days prior to your event. Meeting rooms canceled after this time are subject to the following charges:• 50% of balance of meeting room rental if cancelled
less than sixty (60) days prior to event • 75% of balance of meeting room rental if cancelled
less than thirty (30) days prior to event
• 100%ofbalanceofmeetingroomrental,A/V,catering,andset-upchargesifcancelledlessthanfive(5)businessdayspriortoevent.
Audio-Visual Equipment
UCLA Catering maintains an in-house inventory of audio-visual equipment. This equipment is offered toclientsonafirst-come,first-servedbasis.AllA/Vequipment must be ordered seven (7) business days prior to your event. Final arrangements and any changes must be made three business days prior to your event. If we needtorentadditionalequipmentduetohighdemand,additional charges will apply. You may bring your ownA/Vequipment,however,itisyourgroup’ssoleresponsibility and subject to daily set-up charges. Please note that UCLA Catering is not liable for any theft or malfunctioning of personal A/V equipment.
Outside Food & Beverages
Inefforttomaintainthehigheststandardsforquality,nooutside food or beverages may be brought into UCLA Conference facilities. All food and beverages served at an event must be provided by UCLA Catering. Our policy also strictly prohibits the removal of food from any catered function by any attendee.
Alcoholic Beverage Service
If you plan to serve alcoholic beverages at an event being heldatoneofourfacilities,pleasenotethefollowingterms and conditions:• We require that all beverages be dispensed by one
of our trained servers and/or Beverage Attendants.

• Wewillrequestproperidentificationfromanyperson of questionable age and refuse alcoholic beverageservicetominors,orthosewhocannotprovide valid proof that they are of legal drinking age (21 years or older).
• We reserve the right to refuse alcoholic beverage servicetoanyperson,who,inUCLACatering’sjudgment,appearsintoxicated.
It is important to note that UCLA Catering is prohibited from any purchasing or selling of alcoholic beverages. Your Sales Manager will gladly facilitate the ordering of wine and beer through a third-party purveyor and arrange forittobedirectlybilledtoyou.Alternatively,youmaywish to provide your own alcoholic beverages. There is aspecialhandlingchargeof$24percase,plushourlyattendant charges.
Ifyouwouldlikeafullbarsetup,eithercashorhosted,we can direct you to an off-campus vendor. Please ask your UCLA Catering Sales Manager for details.
Insurance for Non-UCLA Clients
Non-UCLAclientsmustsubmitaCertificateofInsuranceor a letter of self-insurance to UCLA Catering at least ten (10) business days prior to your event. The insurance coverage must indicate:• TheRegentsoftheUniversityofCaliforniaspecificallynamedasadditionallyinsured
• Policy dates covering the period of your event• MinimumcoverageasspecifiedinyourUCLA
Catering contract.
Ifyoureventincludesserviceofalcoholicbeverages,your UCLA Catering Sales Manager will work with you to determine if any additional insurance coverage is needed for your event.
Event Material Storage& Handling
If your event requires the storage and handling of conventionmaterials,pleasebesuretonotifyyourSalesManager one month in advance of your event date – include pertinent information such as delivery and setup schedule,shippingandreceivingneeds,andquantityofboxes expected to be received by UCLA Catering.
Duetolimitedstoragespace,boxesmustbedeliveredno earlier than 72 hours prior to your event date. All received boxes must be sent to the attention of your Sales Manager with the event name and event date referenced on each box. There is a $5 per box handling fee for any boxes received at our facility.
Signage, Displays & Damages
Pre-approved signage is permitted in registration areas and immediately outside function rooms. Any additional locations must be approved in advance by the UCLA CateringOffice.Werequestthatallsignage,displays,and/or exhibit setups are of professional nature and quality,andthattheyconformtoLosAngelesCountyFireCode regulations.
InordertosafeguardUniversityproperty,UCLACateringprohibitstheuseofnails,staples,pushpins,and/or tape to adhere any type of signage or displays to walls,furniture,oranypartofourfacilities.Intheeventthese items are used without prior authorization and
damagetoUniversitypropertyiscausedasaresult,allrepair and/or replacement costs will be charged to the client’s master bill.
Please note that UCLA Catering is not responsible for theretentionorremovalofanysigns,banners,and/ordecorations.Inaddition,wearenotliableforthesecurityofourclient’saudiovisualequipment,whetherownedorrented,oranyotherspecialequipmentbeingusedduringthe event.
Filming & Photographing Events at UCLA Requires a Permit
IfyouwishtofilmorphotographaneventatUCLA,youmust obtain a permit. Contact your UCLA Catering Sales Manager at least ten (10) business days prior to your eventtorequestaUCLAPhotography,MotionPicture,andTelevisionPermit.Groupsfilmingorphotographingevents must follow permit guidelines and your group’s photographers must carry a copy of the permit with them at all times.
