Why we love (and dread) outdoor events:

We all love summer weather and what better way to ring in the best season of the year than to host your very own event under the sun (or stars). The possibilities are endless; from an outdoor film screening to a massive food truck festival, we can all agree that outdoor events are just the best! That being said, outdoor events can be tricky to plan and execute successfully. When you’re dealing with “the elements” (aka Mother Nature), you have a whole other set of concerns to consider. Here are some important factors to remember when choosing a venue and prepping for your outdoor event:

Tips for Planning Your Outdoor Event

1. Excuse me, where’s the restroom?

q Scope out the bathroom situation before booking any venue; there needs to be a sufficient amount at a comfortable distance from the main event.

2. Low on battery

q Are there adequate electrical outlets etc. outside that will meet your event’s needs? Technology is a vital component to any event nowadays, so don’t find yourself stuck with no plugs or limited cell service.

3. Don’t rain on my parade

q Be ready for the unpredictable: Make sure you have a rainy day contingency plan. You don’t want an angry Mother Nature showing up just in time to ruin your event. That’s why it’s so important to scope out weather shelter options well in advance in case you need to rent them out last minute. Even a small tent or gazebo can help create outdoor areas that are rain safe!

4. Brrr it’s cold in here q  If you can find outdoor heat lamps that can be turned on in the case of an abnormally

cold night, this could really benefit your guests and keep the event running smoothly. Shivering guests typically are not happy guests!

  5. It’s a bug’s life

q Bugs tend to be a concern during the summer months, so make sure you have some sort of tactic to deal with the little pests (such as bug repeller candles etc.). You want your guests to leave with a smile, not with bug bites.

6. More paper more problems

q Go paperless with tickets! Most people already have smart phones and you don’t need your guests leaving paper outside because they can’t find a trashcan. It’s bad for the environment and adds unneeded stress for the event organizer/ the clean up team (p.s. for more tips on going green, check out this blog post and for information on paperless ticketing with Uniiverse, check out the Ticket Manager App).
