I realize this is a strange title for a column, but it came to me as I read

the Sunday paper during a recent flight to Chicago for a joint meeting of the AICPA and NASBA UAA Committees. I had already read the Sports, Local and front page sections (in that order). With a few hours of flight time remaining, I perused the Obituary section. As I did this, I was struck by how much obituaries and Face-book home pages have in common. Think about it—there is usually a photo that has been chosen because someone thinks it captures the individual well. It may not always be a recent photo, but you recog-nize the person in the picture. An obitu-ary (or Facebook home page) reveals a lot about someone’s life. You will probably find out if the person is married, where he/she went to school, where they work currently or most recently and their hobbies or interests. And you may learn about any special awards or recognition they have received for accomplishments in their life. In both cases, you get a nice snapshot of the life of the individual.

Facebook pages tend to be focused more on the here and now and less on what has gone on in the past. However, I am struck by how much you can learn about someone you never met just by reading their obituary. You learn where and when they were born, often their parents’ names, the names of their sib-lings, children, grandchildren, nieces, neph-ews and perhaps a former spouse. You also often learn the names of any of their family members who have predeceased them. An obituary may also relate the story of how they met their spouse. You will certainly get a listing of most schools attended and a pretty detailed descrip-tion of what the person did for a living or profession. You can glean much of the same information from a Facebook page, but that may require a bit more creativ-

traveling. What really caught my atten-tion was the extent to which people had volunteered to help other people. Many were involved with charitable causes for many years and had taken on leader-ship roles in those efforts. Others took leadership roles with social or religious groups, or perhaps were content to pro-vide their support to the group through their attendance, and many found a way to give back as teachers or mentors. If you wonder sometimes about the basic goodness of human beings, spend some time reading the obituaries and see how many people found a way to help others during their lifetime. These are apparently the things of which their family is most proud, since this is what they have chosen to have remembered about them.

It struck me that there is a good lesson here for all of us. Let’s look at our Face-book page and see if we are doing the things today that really make us happy and will result in the obituary that we want when that time comes. As CPAs, we have the knowledge (and often the resources) to be helpful to others in many ways. Let’s make a difference. Remember, we don’t write our obituary at death, we write it as we live our lives.

And you can certainly tell how the person likes to spend their free time.

One thing that struck me in read-ing the obituaries is the wide variety of personal interests they reflect. Some of the people were outdoor enthusiasts (hunting, fishing, hiking, mountain climb-ing), some were sports fans (golf, tennis, and swimming seems to lead the lists), and many seemed to enjoy more quiet pastimes such a reading, sewing, and gardening. Most seemed to enjoy spend-ing time with family and many enjoyed

It is not a question of “if,” but rather of “when.” Some-thing will happen that will interrupt your CPA practice

or business and your ability to fulfill your commitments to clients or customers. It could be a natural disaster, a serious data loss, possibly an attack on your reputation via social net-working sites or even a terrorist incident. We can’t predict what the event will be—or even when it will happen—but there is much we can do to mitigate the impact regardless of the disruption.

Planning for a recovery of your practice is a thankless task—one that is easily deferred or ignored. Most organiza-tions do not have a plan and have not thought through how they would respond. We often think that if the disaster is big enough, and the entire community is affected, our workloads will drop to match our capacity to complete the work. Or, as has been the case in many disasters, the taxing authorities in Olympia and the IRS will extend deadlines to address tax-payers’ inability to respond. As comforting as these thoughts may seem, they don’t address the more common disruptions threatening small firms and single practitioners: a more localized incident that affects key people, systems, processes and/or communications.

The Loss of Key PeopleThe temporary incapacitation of a key employee, partner

or a sole practitioner can bring a business to its knees, often within days. Aside from the impact on interim deadlines, the temporary incapacitation of a key player can trigger a client exodus that may have taken years to build up. For sole prac-titioners, an unexpected disruption in their ability to per-form can be devastating. In working with sole practitioners, I urge them to document key procedures and processes and take the time to brief a close accounting professional and/or family members in how to transition the practice on a temporary basis until the principal can resume. This need not be an elaborate continuation plan, but a simple “in case of emergency” plan that assures there will be a practice that the principal can return to. Engagement letters should also contain language naming your “backstop” and the circum-stances when the emergency plan will go into effect.

For larger firms, the challenge is documenting internal processes, systems access, and coordination with another CPA to provide reciprocal support arrangements. These agreements can, when properly prepared, provide a needed level of security in the event of an unexpected disaster or disruption.

Systems Backup and RecoveryEveryone knows the importance of backing up data and

maintaining multiple copies in the event of disaster. Backup, in my opinion, is rarely the issue for CPA practices and other professional service firms. It is recovery. Can you access your data when needed? Have you ever tried to restore using your backup? I find many firms have never tested a full restoration and do not know the challenges that await them.

Document Your ProcessesIn the event of a disaster, someone other than the usual

person in a firm may need to initiate resumption of operations. For this reason, documentation of key procedures, processes and instructions are critical to prompt response. Time is of the essence following an incident and having well documented pro-cedures can speed the response.

Communicate with Clients, Staff and VendorsFew businesses plan for the loss of a phone system after a

disaster and this is when your ability to communicate becomes most important. There is a database of clients to notify, vendors to inform and staff that may need to know the state of the organization. Keeping records of contacts offsite, creating call tree lists and the addition of a satellite phone can all add to your resiliency and maintain the confidence of your customers.

Is it Worth It?Is a business continuation plan worth it? Yes! The simple

truth is that planning works, and even though plans change; whether due to firm growth, the introduction of new technol-ogy, or adding new locations, developing the skills needed to recover operations can mean the difference between being in business or having to cease operations.

The key to building your organization’s resilience rests in an understanding of the operational risks, calculating the hourly cost of a disruption and recognizing that a disruption on April 7th carries far more impact to your firm than a disruption any other time of the year. Once you have your risks and exposures documented, you will be in a position to calculate the needed recovery window and the affect of any lost data.

Can It Be Done?Yes. Businesses of all sizes can develop and test a plan

to ensure their continuation. And the lessons learned from such a test can serve as a fruitful topic of discussion with your clients as you advise on the protection of their businesses and households.

SUCCESSION PLANNING

In June 2004, Haskell & White co-founder Steve Haskell met with our firm’s partners to discuss a number of matters,

and succession planning was at the top of the list. At the time, none of us realized how quickly we would be facing the issue head on—just three weeks later, Steve was diagnosed with lung cancer.

Haskell & White, like many businesses, lacked a formal suc-cession plan. However, we were fortunate enough to have 13 months with my colleague after he was diagnosed to prepare for a major shift in leadership and ensure that the company philosophy, vision and growth remained solid. Now, as I sit at the helm of the firm, I have a deeper appreciation of Steve’s foresight and the firm’s good fortune to have time to prepare for a smooth transition.

Succession planning is not a new phenomenon and most CPA firms understand the need for it. Yet, according to a 2008 AICPA Private Companies Practice Section survey, only 35 percent of accounting firms have a written succession plan in place, leaving a whopping 65 percent of firms vulnera-ble if they were to experience the loss of a leader.

Starting Early Ensures a Smooth Transition

For most leaders, thoughts of leav-ing their practice are fairly distant and succession planning is easily brushed aside to another day. However, a good succession plan isn’t an intention, it’s an ongoing process.

It takes time to develop criteria for a desirable successor as well as to actually select one. Plus, succession planning is not just about finding the next best leader; it’s also about ensuring your employees and the organization as a whole is prepared for what could be exten-sive change. While a good succession plan grooms and trains the successor for the top spot, it also assesses the capacity of team members at all levels so they can expand their responsi-bilities and grow with the firm.

Whether or not a formal leadership succession is imminent in your firm, it is always a good idea to develop younger talent, hire with an eye for the future and plan several layers deep. You may find that the right successor is someone who started a career with your firm, then left, but is now willing to return in a leadership role. By tracking career paths inside and outside of the firm you increase the likelihood of a smooth transition when your current leader is ready to, or is forced to, step aside.

In my own firm’s case, I was not hired under the assump-tion that I would become managing partner, nor was it my goal. Rather, the two founding partners, Steve Haskell and David White, were focused on looking for talent who could replace them, and over the eight years I served as an audit partner and worked closely with the firm’s leadership, I gained the confi-dence, understanding, loyalty and support of our partner team, which enabled me to take on the firm’s managing partner role.

There is No Wrong Way to PlanAside from not having a plan at all, there is no right or wrong

way to plan. Thinking about your company’s future is the first step in the right direction. From there, shape the plan into something that fits your company’s culture and goals. Let your organization’s history help guide these important decisions. For example, if your business is built on a solid foundation of oper-ating values, has strong employee retention, loyalty and longev-ity, you may want to consider looking within your ranks for

a successor. Many firms favor internal candidates because they value their experience.

In contrast, if your organization is powered by mobile Millennials, who appear to have no interest in running your firm—or any firm—consider recruiting an individual from the out-side who understands your compa-ny’s climate and the changes that are bound to ensue with any leadership transition.

Since every business is different, one size will not fit all when it comes to succession planning. Additionally, while an internal candidate worked for a firm in one instance, circumstances

will invariably be different during the next leadership transition and the firm might find that an external candidate is a better fit in that instance. Also, look at business models from other industries when succession planning and be open to reinventing the wheel.

Regardless of company or firm size, the primary goal when creating a succession plan is the continuation of a growing and profitable professional practice. Give prospective leaders a chance to demonstrate their potential without penalizing them for being unfamiliar with newfound responsibilities. These opportunities will make employees who are potential succes-sors more comfortable with taking on different roles.

A Smooth Succession Does Not Happen Overnight

Successors need time to adjust to ensure a successful trans-fer of roles. Before becoming managing partner, I worked closely with Steve and the other partners to create goals for the next five years, identifying gaps in staff expertise and anticipating poten-tial departures and retirements. Setting these goals ultimately helped strengthen the firm for the next phase of development. These goals and development plans are reviewed annually—at a minimum—and when new opportunities are identified.

Even with a lengthy transition, employees and clients need time to get used to communicating issues to someone new. For a successor at a company or firm of any size, employees and clients need to know that you are a dedicated, competent and knowledgeable leader. An important step in my transition pro-cess to help nurture employee loyalty was meeting personally with each manager to check the pulse of the company, answer questions and ease any uncertainties.

For clients, who can be hesitant about doing business with a successor, open communication is vital before the transi-tion occurs. When the opportunity to ease into succession of roles is available, it’s best to make introductions of the intended successor to the clients and to begin working together to make the transition natural and comfortable. When succession is necessary as the result of a sudden loss, it is imperative for company leaders to meet with key clients and vendors as soon as possible.

After losing Steve, I learned that many people assumed our firm’s finances were unstable. Communication was a key to making sure our personnel, clients and vendors understood that this was not the case and in fact the firm’s finances were in fine shape. Being upfront helped in building trust and stronger relationships with clients.

Stay CurrentA succession plan is never complete. As an integral piece of

the overall business plan and strategy for any company, succes-sion plans should constantly be modified and updated to match changing environments. For example, when considering growth cycles, you may need to consider having a different person lead the charge into new areas of expertise or geographic location. Likewise, if your company is experiencing a shortfall in business, a different talent may be required to jump start the company for a new boom period. Either way, succession planning needs to focus on short-term strategic and operational decisions as well as long-term leadership issues.

Consider Some BasicsConsider having key personnel in the firm covered by key-

man insurance policies, particularly the partners/owners, key experts and rainmakers. If locked in over a long period of time, these life insurance policies can prove to be an inexpensive way to finance potential shortfalls in the business and other major expenses that may be incurred during a transition resulting from the sudden loss of a decision maker.

There are two basic types of key-man life policies: term-life insurance and universal/whole-life insurance. The type of policy used depends on the business’ specific needs. Term-life insurance often is used by startup or small, independent firms because of its relatively low cost and flexibility. On the other hand, larger companies or firms typically use universal/whole-life insurance as these policies build cash value, which is an asset on the company’s balance sheet and can be accessed anytime at the company’s discretion.

Another basic is partnership agreements, including buy-sell arrangements, which help offer tax advantages and promote equitable and orderly transfer of wealth. Whether a stock

redemption, cross purchase or hybrid plan, a buy-sell agreement should be reviewed periodically to reflect the changing needs of the owners and values of the business. As circumstances change, it may be necessary to amend or replace existing agreements.

Terms of a buy-sell agreement that should be reviewed regularly include:

• Restrictions on transfer of ownership provisions.• Profit and loss provisions, based on ownership interest of the business

entity.• Control and management provisions for voting rights and procedures.• Purchase price/valuation and payment terms with agreed-upon value for the

business or a formula method to establish the value.• Dissolution provisions and how assets are distributed among the owners.

Even the Best Laid Plans Are Not PerfectSince the planning process often affects the entire company, it’s rare that the transi-

tion is flawless. Change for anyone can be exciting, as well as a source of stress and uneasiness.

The leadership change at Haskell & White was a smooth one, although it was not without hard work. “Now what is she writing about?” you ask. “In the last issue of the magazine it was vacations, this month it’s Star Trek?!” But you are still on this page, aren’t you? And if you stay a while longer I think you will learn about some promising develop-ments that bode well for the future.

Live Long and ProsperSuccession planning is a challenge for

any organization. Anyone who hands off a business, program or service they have worked long and hard for wants to see it continue to thrive—even grow— with the next owner or generation. The same is true for the WSCPA, an organization formed 104 years ago for the purpose of defining the profession in Washington State statute. Over the years the WSCPA has added other elements common to a membership orga-nization: continuing education, opportu-nities to build networks, and promoting the profession. But the Society’s found-ing purpose—advocacy for the profes-sion’s interests—remains central to its mission.

Countless volunteers have stepped up to provide expertise, feedback and per-spective on an ever-increasing flood of regulations and laws. WSCPA members have testified before the State Board of Accountancy and the state legislature; they have written letters to and met with Congressional delegates in Washing-ton D.C.; they have served on the State Board of Accountancy; they have partici-pated in meetings with the Department of Revenue; they have met with officials at the U.S. Treasury Department; they have

served on committees to draft responses to FASB, GASB, the IRS. Their service is incalculable, their legacy seen and experienced every day by CPAs in all areas of practice.

During my 10 years with the WSCPA it has been my privilege to work with a number of highly motivated and dedi-cated members, the Society’s “go to” people for advocacy efforts. But in this, as in many other arenas, there is a genera-tion gap—or two. I have worried about who will carry the legacy of the past 104 years into the “strange new worlds” we all know will be out there.

Two recent WSCPA events have given me renewed energy and great hope for the future. Over 100 bright, energetic and poised students and new professionals attended either the Southwest Chapter Student Night or Members’ Reception. Every one of them had done their homework; they came prepared to net-

work, to ask the right questions, to sell themselves. Several had even recently looked at the WSCPA website and talked knowledgeably about the IRS proposal to register all tax preparers. I wondered if most of our seasoned members could have done the same.

When they learned about the Society’s advocacy role, several made a connection with their recent student experiences lobbying in Olympia for issues of impor-tance to them. They quickly grasped how there could be many opportuni-ties to do this as professionals as well. A number are excited at the possibility and are ready to engage their peers—the Next Generation—in efforts to carry the profession through the next 104 years.

As a WSCPA member, each year you are invited to donate to the

Washington CPA Foundation on your dues statement. Why should you con-sider contributing to the Washington Foundation?

Each year the Foundation funds 20 scholarships of $2,000 each to eligible students in Washington State giving stu-dents the help they need to become CPAs. The Foundation would like to raise the amount of these scholarships to $3,000 each. Trends indicate that the more complex accounting becomes, there will be a greater need for CPAs. This also correlates with the aging popu-lation and the possibility of an increase in

CPAs retiring.The great news is that colleges are

seeing an increase in students declar-ing accounting as their major. The bad news is that colleges are also seeing a shortage of Accounting PhDs. Without these qualified educators, many colleges will not be able to have an accredited accounting program. That is why the

Washington CPA Foundation supports the Accounting Doctoral Scholars (ADS) program by contributing $10,000 a year. The ADS program was designed to create 120 new PhDs by granting substantial scholarships to 30 new candidates a year throughout the 4 year PhD program.

About 400 members contribute a total of about $30,000 a year when paying their annual dues. As astute accountants, you have undoubtedly observed that the Foundation is not generating suffi-cient revenue through the dues process to meet its current contributions, much less the expanded ones. To balance the budget, the Foundation launched a pro-gram last year to increase awareness and

recognize donor contributions to the Foundation’s success. This new outreach brought in another $20,000 thanks to generous members.

All contributors to the Washington CPA Foundation are listed on the Foun-dation pages of the website. Contributors of $250 or more in 2010 are automati-cally part of the “Circle” level donors.

The Board of Accountancy needs your experience and expertise to

assist with the Quality Assurance Review (QAR) program to monitor the work of Washington licensed CPA firms.

What is QAR? The program was established in 1986 to ensure that quality compilation, review and other attestation services are provided by our licensed firms so that others may rely on that information.

How does the QAR program work? Qualified, volunteer CPAs from Wash-ington CPA firms throughout the state review the reports and financial state-ments submitted by CPA firms.

What is required to be a volunteer for the QAR program? Volunteers must have held a current Washington CPA license for at least three years, and must have experience providing review, compilation and/or other attestation services.

Is there particular experience the Board is looking for? The Board is looking for all types of experience in providing these services and encourages all qualified CPAs to apply. We especially need CPAs with experience with labor unions, agriculture, common interest realty associations (CIRAs), contractors and personal financial statements.

It’s a fair question, don’t you think? With today’s economic issues still

pressuring organizational budgets, many accountants and other business profes-sionals are examining how technology can improve organizational efficiency and profitability. So, where does your organi-zation stand with respect to implement-ing practical technology that can have an immediate positive impact on your bottom line? What are some of today’s technology best practices for firms and organizations of all sizes? At K2 Enter-prises, we see several key areas where organizations can realize an immediate return on investing in technology. Among the more noteworthy are:

• Migrating to Microsoft Office 2007/Office 2010,

• Managing information more effectively with a document management system, and

• Implementing a workflow solution.

MigratingtoMicrosoftOffice2007/Office2010

For organizations currently run-ning Microsoft Office 2003 or prior, implementing Office 2007 or Office 2010 (released in May), represents a significant opportunity for end-users to become more efficient when work-ing with everyday tools such as Excel, Word, and Outlook. Yes, the user inter-face is much different than that in Office 2003 and learning how to work with it effectively is a training issue that you will need address, but the advantages offered in both Office 2007 and Office 2010 far

outweigh the transition issues associ-ated with migrating from Office 2003. Among the features in these versions of Office that improve productivity are enhanced capacities in Excel workbooks; improved charting engines in Excel, Word, and PowerPoint; and easier exchange of information through new XML-based file formats. New features available in Office 2010 include a 64-bit version that can take advantage of additional memory installed with 64-bit operating systems; Office Web Apps, web-based versions of Excel, Word, PowerPoint, and OneNote; and significant improvements to Outlook, including QuickSteps and Conversation View, both of which provide for managing email more efficiently.

Neither Office 2007 nor Office 2010 require Windows Vista or Windows 7, but organizations that implement a 64-bit version of either of these operating sys-tems in conjunction with a 64-bit version of Office 2010 are likely to notice supe-rior performance, as compared to prior versions of Office.

Managing Information more Effectively with a Document Management System

Leaders in many organizations con-sider their organizations “paperless” because, at some level, the organiza-tion is scanning and storing documents as digital files – usually PDFs. However, scanning paper documents to PDFs and storing them in traditional Windows file folder structures does not represent the paperless office. Rather, managing infor-mation from cradle-to-grave through a document management system (DMS) is how the paperless office is defined. This

management process includes address-ing issues such as document security and integrity, defining and enforcing docu-ment retention policies, retrieving docu-ments on demand, and placing documents on litigation hold. Further, it addresses all documents in an organization, including documents from non-traditional sources such as email, voicemail, and faxes.

In addition to supporting “green” ini-tiatives, other benefits associated with using a DMS to manage the paperless office include quicker access to critical information, enhanced security, reduction in square footage used to store paper documents, anytime/anywhere access to documents, and increased capacity for growth without adding overhead.

ImplementingaWorkflowSolution

Closely associated with the concept of a paperless office is that of more effec-tively managing workflow within the office. Every organization has workflows; workflows are those processes – either formally or informally defined – by which transactions are effected within the orga-nization. For example, in an accounts payable department, there is a workflow associated with how the organization processes invoices from vendors; like-wise, in a public accounting firm, there is a workflow associated with how the

firm processes individual income tax returns. As organizations move paperless and paper-based routing slips and other documents cease to exist, how will we know the status of any transaction within the organization? How will we know to whom the transaction should flow once a specific processing step is completed? These are the functions of workflow management solutions – to track docu-ments and transactions as they move from one participant in the workflow to another.

Properly implemented workflow solu-tions increase efficiency, improve cus-tomer/client service, support paperless processes, and improve internal controls, all of which enhance profitability. Con-sider the following scenario. Suppose you work in a small public accounting firm with ten people involved in the process of preparing individual income tax returns. Further, suppose that the firm prepares 300 tax returns during the 75-day “busy season.” A workflow solution that saves each person just 15 minutes per day saves the firm $18,750, assuming an average billing rate of $100 per hour, per person. Clearly, workflow solutions represent a terrific opportunity to enhance organiza-tional profitability.

Every organization is different and one or more of the technologies mentioned above may not be appropriate for your

Windows 7 is the best operating system, to date, from Microsoft and a clear winner. This is the first time Microsoft has ever released an oper-

ating system and not increased the hardware requirements. With that being said, Windows 7 is very popular but not perfect. Both Vista and Windows 7 struggle with older applications that were designed to run on Windows XP and prior. To solve this, Microsoft has given the professional IT community a great gift – XP Mode.

XP Mode is a vastly improved version of Virtual PC. XP Mode integrates easily with USB drives, local host OS drives, and even networked drives and printers. This was a big challenge for prior versions of Virtual PC. Only VMware was good enough to use in conjunction with serious business applications. Not anymore. In many ways, it seems that XP Mode is much easier to use than the popular VMware Desktop. Especially when you consider that you can add XP Mode application icons to the start menu of Windows 7 and run as though they were installed in the base Windows 7 operating system. Also consider that many Windows 7 users will use XP Mode to isolate problematic programs from their main operating system (Windows 7) so they don’t muck up the main OS. Hence, this is an extremely attractive feature of Windows 7.

XP Mode is available in the following versions of Windows 7:

• Windows 7 Professional• Windows 7 Ultimate• Windows 7 Enterprise

XP Mode is not installed with the standard installation of any of these ver-sions of Windows 7. It requires users to go to the following Microsoft website and download the needed components: http://www.microsoft.com/windows/virtual-pc/download.aspx. Or, you can easily search with Google or Bing on the term XP Mode and find this site.

This is where it can get a bit dicey, but if you pay attention to the following steps, you will not make the same mistake I made last month. Get this wrong and you will either bog down your machine, which I did, or crash it altogether, which I did right after bogging it down and trying to fix the mistake. You must get this right from the start. Here are the steps:

1. Before you start downloading anything, know your hardware. You must determine what capabilities you have in your processor. Look up

your specific processor chipset on either AMD or Intel’s web-site to see if the chipset sup-ports hardware virtualization. The graphic below shows that my new laptop does have hard-ware support for virtualization, a fact that I assumed would not be present in this new smaller, lighter laptop. I was wrong. So I loaded all three elements of XP Mode when I actually only needed the first two. Read the fine print carefully and you will see that Microsoft warns you about this right on the site.

2. Next, follow the step marked step 2 on the website and select your version of Windows 7 and language.

3. Now, you will see three buttons appear on the screen at the bottom.

4. Download and install the files

associated with the first button (Windows XP Mode).

5. Download and install the files associated with the second button (Windows Virtual PC)

6. Halt! Do you need the third element? If you have hardware support for virtualization, you do not need this third set of files. Stop. You are done with the website. Skip step 7 and go to step 8.

7. If, and ONLY if, you do NOT have hardware support for virtualization, download and install the files associated with the third button (Windows XP Mode Update). This is not for all systems, only those that do not have the hardware level native support for virtualization.

8. Now, select Windows XP Mode from the Start menu (Virtual PC Folder) and it will begin the

installation process.

From here on, it becomes a stan-dard Windows XP installation into the virtual machine including anti-spyware, anti-virus, etc. Complete the XP Mode installation, close and be sure to change the default RAM allocated to the XP Mode Virtual PC by selecting Virtual PC console from the Virtual PC Folder. I recommend 1.5 MB of RAM for heavy users and 1 MB for casual use of XP Mode. You must have at least 4 GB of RAM in your Windows 7 system to enable you to allocate this much to XP Mode.

Enjoy! A proper installation of XP Mode should greatly enhance your experience with Windows 7.

Canned Goods, Flashlight and Financial records? By Amy O’Donnell, WSCPA Financial Literacy Program Manager

The wind is whipping through your hair, the rain is beating down on

your face and the trees are swaying from side to side. This might sound like a scene from a movie or novel about a character facing down nature. Or, it could be the unnerving reality of a storm on a war-path in your neighborhood. Unlike the movie or novel, you can’t simply turn off the storm and call it a day.

Despite the importance of planning for an emergency, it can easily get lost on the “to do” list of busy lives. Sure we’ve all seen the pictures of kits—stockpiled water, canned goods, batteries and flash-lights—but a stack of financial records isn’t usually included. Do you have your financial disaster kit ready? CPAs prob-ably have their kits ready to go but I am willing to bet that many of your family members or clients do not.

Identifying the canned goods and flash-light equivalents of a financial kit can be overwhelming. There is a lot to consider. Focusing on these key pieces of informa-tion will provide the basics:

• Medical Information: Keep records of names of doctors, medical conditions, current medications and copies of medical cards for each family member. Emergency contacts outside of the area should be added to this information.

• IdentificationDocuments:Recent photos, contact infor-mation for work and school; birth, death, marriage and divorce records; passports, Social Security cards.

• Account Information: Finan-cial institution names, contact information, and account numbers including your invest-ments, retirement, credit cards and safe deposit box. The name and contact information for

your CPA, attorney and financial advisor should be included.

• Insurance Policies: Copies of all of your policies and company contact information (national and local).

• Inventory: Note what is in your household, the cost and value of items, where they were purchased, and warranties on major items.

• Income and Expenses: Keep a copy of recent paystubs, tax documents and your bills with the company contact informa-tion in the kit. You may need to contact companies to let them know of your circumstances and that your payments will be delayed.

Once the financial kit is ready, a copy of key information should be left with a trusted family member as a back up mea-sure.

Accessing financial support after an evacuation can present a new set of chal-lenges. Local banks and ATMs may be a part of the wreckage. When choosing

a bank or credit union, consider using one serving multiple states or access to a large network. It will make it easy to access accounts and the ATM once you are relocated to a safe area. The FDIC provides information banks affected by a disaster through 1-877-ASK-FDIC.

Homeowner and renters insurance provide immediate funds to assist with purchasing essentials such as water, food and shelter. In general, they provide a claim card with a preset limit that can be used like a debit card. Talk to your insurance agent to determine what will be covered and how this distribution will affect your overall payout.

Depending on the scale of the disaster, FEMA may be present and will provide assistance for temporary housing, and home and auto repair, moving and stor-age. This option is especially helpful for those without home or renters insur-ance. Disaster unemployment might be available as well. In some cases, employ-ers will continue to pay employees for up to 90 days. This will depend on the insurance they have and/or the company policy. To assist your employer, provide your account information ahead of time so they can deposit the funds into an account you can access in your reloca-tion area.

Retirement accounts can serve as another source of income. Withdrawals and loans from the account can provide cash for emergencies. These accounts should be considered as a last option and the tax implications should be reviewed.

No matter which option is used to keep a family financially afloat during this time, be sure to save all receipts for tem-porary and emergency living expenses. These records will be essential for the claim processes. Of course, you should recommend that family, friends and cli-ents talk with a CPA to understand the tax implications of each source.

WsCpa’s First scholarship recipientAlan McAllisterHow did you decide accounting was for you?

My father worked with a public accounting firm in Detroit. When we moved to Seattle in 1944, he joined the Seattle office of Ernst & Ernst. In those days, the firm held summer picnics for the staff and families and I became acquainted with the executives and staff and enjoyed the comradeship of the group.

While attending West Seattle High School, I took bookkeeping classes for two years just to see if I liked the subject. In my junior year at West Seattle, we were required to research a potential career and write a term paper on the subject. Through this project I became aware of the many avenues that would be open to me in public and private accounting as well as opportunities to become a special agent of the FBI. So it would be fair to say that I followed in my father’s footsteps.

WhendidyoureceivethefirstWSCPAscholarship?I received the scholarship in my senior year at the University of

Washington in November 1952. The scholarship was need-based, so I had to write an essay explaining why I needed the scholarship. I always had a need for money while in college even though I was a thrifty fellow. In my essay, I explained how, as part of the Army ROTC program, I had just spent six weeks attending the ROTC Summer training session at the Army Finance Center in Indiana, and earned only 90 cents a day (versus earning a $1 an hour, the rate for summer jobs in Seattle at that time). I was very fortunate to receive the $200 scholarship which was awarded by the CPA Wives Club. The Club’s Scholarship Program was later taken over by the WSCPA. (Tuition at the UW was $45 a quarter, so the $200 schol-arship went a long way.)

What direction did your career take after you graduated from the University in 1953?

In 1952, the Army decided to update its accounting system and sought 300 ROTC graduates who majored in accounting to assist in the project. When I graduated, I was Commissioned a 2nd Lt. in the Finance Corp of the US Army Reserve. I reported for active duty in the Army on October 20, 1953. After further training at the Army Finance Center, I was fortunate to be transferred to Ft. Lewis, WA. In July 1954, I married my girlfriend, Arlene. I was discharged from the Army on October 31, 1955, and started work in the Seattle Office of Ernst & Ernst on November 1.

I received my CPA Certificate in 1956. In those days, it was nec-essary to obtain a year of auditing experience in addition to passing the CPA examination to meet the qualifications for certification.

What are some of the highlights of your career?I initially was assigned to some of the firm’s larger timber,

paper, and manufacturing audit clients. Then in 1958 the firm obtained its first client in Anchorage, Alaska, and I was assigned to head up the engagement. The assignment lasted seven weeks and during this time, the United States Congress passed the Alaska

Statehood Bill. While in Anchorage the firm asked me to conduct a feasibility study related to opening an office in the 49th State.

In March 1959, I was given the opportunity to open the Anchor-age office and did so on March 29, Seward’s Day, an Alaska State holiday commemorating the purchase of Alaska from Russia. We enjoyed living in Anchorage and two of our three children were born there.

In July 1963, I was given the opportunity to manage the Portland, Oregon office of the firm and was there until August of 1968. I then returned to the Seattle office and was admitted to partnership in 1970.

Looking back at your career, how has the profession changed?

The growth of the profession really mushroomed during my career. Registration of securities of companies “going public” increased substantially and in the mid 1970s, commercial banks with publicly-owned stock were also required to register with the Secu-rities and Exchange Commission for the first time.

At the beginning of my career, we used to get occasional tech-nical bulletins from the AICPA. The Accounting Principles Board hadn’t been formed. The Emerging Issues Task Force came along even further down the road. So CPAs were required to use a lot of professional judgment and conservative common sense accounting in conducting audits.

In the late 1960s and early 1970s, it became popular to sue public accounting firms. I found it educational to read the legal briefs of cases printed in our CCH Service as such legal decisions, in my opinion, added to the common body of knowledge comprising gen-erally accepted accounting principles and generally accepted audit-ing standards.

The Public Accounting Profession continues to be an evolving and challenging profession, which is what made it a most interesting career for me.
