SPACE AVAILABLE

Open space on grass at depths of 6, 12, 18 & 24 metres. Anyamount of frontage may be booked in multiples of 1 metrefrom a MINIMUM 6 metres. Exhibitors are responsible forarrangements to cover their sites.

Covered space covered sites, with or without a floor, in unitsof 3m x 3m or 3m x 6m, including night sheets andsignwritten facia.

Exhibition Hall - Shell scheme stands in units of 3m x 2mand 3m x 3m to include carpeting, facia board, one twinspotlight and a twin 13 amp power point. Additional electricalrequirements can be ordered through the Organisers.

Terms & Conditions

ALLOTMENT OF SPACE Every endeavour will be made to meet thegeneral wishes of Exhibitors with regard to their position, in so far as itis possible to do so, within the general layout of the ground andwithout occasioning unfairness to others. The right is reserved to rejectany proposed entry, or to cancel any entry that has been made,without being required to state any reason for so doing. In such casesthe fees will be refunded.

ARRIVAL AND DEPARTURE The showground will be open for thereception of outdoor exhibits on or after the 8 October and 14 Octoberfor Exhibition Hall and Covered Unit exhibits. Exhibitors must havetheir stands arranged in proper order by 9 am on 16 October and maynot dismantle before 4.30 pm on 17 October.

CANCELLATION OF EXHIBITION If for any reason the event iscancelled, any payments made by intending exhibitor for space andonsite services supplied by Lance Show & Publications will be refundedin full.

CANCELLATION OF SPACE BOOKED Where an Exhibitor cancels theirbooked stand space for whatever reason all fees paid will be forfeitedand the right is reserved to re-let the space. Cancellation Liability onbooked but unpaid stand space up to 8 weeks before the event willbe 50%. Cancellation Liability on booked but unpaid stand space after14 September will be 100%.

DELIVERY TO STANDS Delivery to stands on 16 and 17 October mustbe made before 8.30 am. No vehicle will be allowed within theexhibition area after this time, except in emergencies.

DISABILITY DISCRIMINATION ACT 1995 Exhibitors are remindedthat this legislation is now in force. The Organisers are satisfied thatthey have made adequate provision to comply with its requirements inareas for which they are responsible. Exhibitors should giveconsideration to the requirements in respect of their own areas.

FIRE PRECAUTIONS It is a condition of entry to the Showman’s Showthat every Exhibitor, sub-contractor or supplier comply with TheRegulatory Reform (Fire Safety) Order 2005 and all associatedlegislation and guidance whilst on site. All Exhibitors must undertakea suitable stand specific fire risk assessment, which identifies allforeseeable fire hazards, risks, control measures, likelihood andseverity. A copy of the written fire safety risk assessments must beavailable on-site and provided on request to the Showman’s ShowSafety Advisor. All Fire precautions on the exhibition stands, includingthe supply and placing of suitable number and type of fireextinguishers, fire exits and fire safety signage, are the responsibilityof the Exhibitor. Any Exhibitor who is going to use and store gascylinders, generators and fuel must notify Lance Show andPublications Limited no later than 14 days before the Show of alldetails of intended use and storage. It is the responsibility for theExhibitor to manage fire safety on their exhibition stands.

HEALTH & SAFETY It is a condition of entry to the Showman’s Showthat every individual, Exhibitor, sub-contractor or supplier comply withthe Health and Safety at Work etc Act 1974 and all associatedlegislation whilst on site. All Exhibitors must undertake a suitablestand specific health and safety risk assessment which identifies allforeseeable health and safety hazards, risks, control measures,likelihood and severity. A copy of the written health and safety riskassessments must be available on-site and provided on request to theShow Safety Advisor. All structures and equipment must comply withall current legislation, guidance and good practice. Where appropriatethe stand holder must have a signed off certificate for structures whichcan be made available to the Showman’s Show Safety Advisor onrequest for inspection. It is the responsibility of the Exhibitor tomanage health and safety on their exhibition stands.

PAYMENT TERMS A minimum of 25% of stand fee is to be paid onbooking, or within 14 days of invoice, to secure stand space. A further25% of stand fee is to be paid by 12th July 2019. Any remaining standsfees are to be paid by the 13th September 2019. All bookings after the13th September 2019 are to be paid in full on invoice. If thesepayment terms are not met, we reserve to right to re-let the spacebooked.

SECURITY The safe keeping of any article exhibited or brought intothe showground is the responsibility of the Exhibitor. The stand holdermust assess any and all security requirements for their stand andprovide suitable numbers and type of security person(s). It isrecommended that all security personal guarding the stand should bein compliance with all SIA and any other security legislation, guidanceand good practice. Lance Show and Publications Limited cannot acceptresponsibility for any theft or damage to property. There will be 24hour security onsite to manage access and public safety on show days,build and breakdown and to protect the Showman’s Show Organiserassets. All persons and vehicles entering the site must comply with allinstructions and information provided by security.

SITE CLEARANCE The Exhibitor must replace turf, fill in holes andmake good any damage done to the ground occupied by them andclear away any materials, metal, glass, rubbish etc. The right isreserved to charge for reinstatement not carried out by the Exhibitor.All exhibits must be cleared by 12 noon on Tuesday 22 October. Anyitems left on site after this date will be liable to a £100 charge per day.

STAND CLEANING It will be the responsibility of the Exhibitor to keeptheir stand tidy.

SUB-LETTING & SHARING Exhibitors are not permitted to sub-letany part of the space allocated to them. However, genuine sharing ofspace eg:- a tentage contractor and a caterer will be permitted, butthe Organisers must be informed and every Exhibitor mustcomplete an application form and appear in the programme.
