Welcome to the first edition of The Business Mapper©. This initiative has been a long time coming and if I had any inkling of the complexity and cost involved

in producing a magazine, I think I might not have started on this venture. This said, I really do believe that there is a need and a gap in the business market for a magazine that extols the merits of Mindjet MindManager© software and the wide range of productivity plug-ins that compliment the product. Why you might ask? Well, I might reply… Innovation and creativity reside in individuals, not technology and technology is but a vehicle for reaching a pre-determined destination. As information doubles, triples and quadruples through the power of the ever- growing Internet and the complexities of modern day society so do the demands placed on individuals to find sensible ways of doing business and making sense of the world. Enter Mindjet MindManager © as an innovative business tool.

My own journey with using MindManager© began in 1999 and over the years I have seen the concept of this mind mapping business tool grow and develop in a way that reflects the creativity of some very innovative people. I was studying for a Masters degree in computing at UNITEC in Auckland, New Zealand when I first encountered MindManager© and this started me on a journey of discovery that eventually led me out of the direct realm of academic education and into the realm of business. My own company Mindlogik© was established as a direct result of this first encounter and I have been hooked ever since. Wherever I go and consult or teach I meet people of like-mind. People who like me have discovered a technological tool that really works. It works because it does not place any limitations on the human mind or on the users’ creativity or innovation. It works because of its brilliant simplicity. All that MindManager© does is allow ideas to be transferred into visual form and exported into a wide range of visual expression using complimentary technologies that can be manipulated, managed and actioned. At every encounter with people who have had their way of thinking and working transformed by this tool, I have thought to myself …these stories and creative innovations need to be shared. I trust that you will enjoy this journey and dream of a magazine dedicated to sharing MindManager© stories of creativity, innovation and change with me.

Trish is a very experienced professional, with over 15 years in information management. Her experience covers management positions in government agencies through to 12 years of consulting for a broad range of agencies from central government, local government and private agencies. Trish has an excellent reputation with her clients, fellow professionals, vendors, and Archives New Zealand.

Trish is a confident presenter, facilitator and trainer, with a track record of running training workshops and seminars in New Zealand, Australia and speaking to conferences in the United States. As the General manager of Action COACH Business Coaching (www.actioncoach.com) and a master coach himself, Martin Jimmick knows the value of being superbly organised, highly focused and crystal clear in the way he plans his professional time and his personal time. He is one of Mindjet MindManager’s greatest fans, and in fact he is so convinced of its value,

although that is a good thing to do as well, but he is more concerned that they take stock of themselves ~ how they work, how they plan, how they prioritise, how they make decisions. Martin’s clients are primarily small and medium sized businesses. He knows how easy it is for them to forget to plan and prioritise regularly, and so sets them up with the software in

Mindjet MindManager© to create and maintain a weekly goals sheet. This allows them to bring both right brain and left brain input to their deliberations, and so makes it very easy for them to track progress on their goals and objectives from day one.

Martin himself uses mind-mapping© in all parts of his life. He appreciates the capability he gets with the

mind-mapping© software to drop maps and files into a whole range of other software, and the ease with which he can link everything to his phone and PDA. USING MINDMANAGER

FOR PRESENTATIONS

Why use MindManager for presentations?

• It’s a change for audiences who are sick of “Death by Powerpoint”• The structure of the presentation is always clear to the audience - and to the presenters as well!• It’s more dynamic and interactive• You can link to other sources but still find your way back to where you were• You don’t have to go from slide A to B to C. You can jump around the map if you want, and still easily to return to a topic• It’s easy enough to use in front of audiences - providing you set it up in a simple and robust way

• You can export the talk into a number of formats, including MS Word and PDF, and of course to MS PowerPoint itself.• You can filter the map, so that you can create a generic presentation, and then show some sections of the presentation to different audiences

Example

This article refers to a presentation given to the NZ Computer Society in 2007, entitled “Planning an EDRMS Implementation - Keys to Success”. This was a 3 hour interactive presentation on the implementation of Electronic Document and Records Management Systems (EDRMS).

The presentation was by Trish (representing SWIM Ltd, www.swim.co.nz ) and by Liz Eastwood, (representing PressurePoint http://www.infocentrik.co.nz/sp/sp/pressurepoint.html). Trish talked about the Information Management (IM) aspect while Liz talked about Information Technology issues (IT).

The presentation lasted 4 hours, including a half hour break in the middle.

• We encouraged active discussion with our audience,

who were a mixture of IT professionals and records managers• The mindmap had 16 topics (for a 3 hour session) ∆ 7 on IT ∆ 9 on IM• There were 2 levels of Topic/

subtopic• We used some Map Markers, e.g. risks were emphasised by a black flag • Good ideas were emphasised by the Task Done Tick

How it works

Any MindMap can be viewed as a Presentation by going to the View Ribbon, then clicking on Presentation Mode. This closes the map down to Level 1 in full screen mode, with enlarged fonts

Presentation mode also puts three sets of buttons along the bottom of the screen:

If you have inserted a link to a external document into a topic, you also see small icon beside a that topic. As you click Next/Previous (whether on the screen or on the data projector remote) MindManager closes down the previous tree and opens up the next tree or subtree

Tips

• Use MindManager to improve the structure of your talk - drag topics around into a logical sequence • Use restraint. We have all suffered through presentations that we unnecessarily “busy” ∆ Standardise the number of levels under each top level topic, so that the rhythm of opening and closing the topics becomes predictable, both for you and the audience. ∆ Use only 2 levels of subtopics, with Notes for any more detailed information ∆ Limit your use of fancy features until you are confident of their robustness, their effect on an audience, and how distracting they are for presenters. ∆ Limit the size of any inserted images, so that they are still readable, but they also don’t jump out suddenly for the audience. Make sure images are relevant to your audience. ∆ Only use Icons where they help you make a point or remember to make a point!

• Using Notes: ∆ When you hover over a Note, the contents are

displayed on the screen. ∆ You can add extra detail into Notes, without cluttering up the presentation. This extra detail can then be exported into an MS Word version of the presentation. No need to write a separate paper! ∆ You can’t scroll up and down a Note when you hover over it. The text shows in a very small the contents are font on the screen, without any of your Note formatting. This means that most of your audience probably won’t be able to read the Notes. ∆ You can open up Notes to help the audience to see more detail ∆ You can use Notes for yourself as prompts, since most of the audience won’t be able to read them ∆ Where a Topic has a Note attached, it puts a small icon beside the Topic. You can Show/ Hide these, but do Show them if you are using

Notes in your presentation

• Use colour (with restraint) ∆ We used red for the IT topics of the presentation. These were presented by Liz

(who was wearing a red top on the day) ∆ We used green for the Information Management topics, presented by Trish (yes, wearing a green top on the day) ∆ But we only used this for the top level topics ∆ Make sure that the audience can still read the text, and don’t get spots in front of their eyes from staring at intense blocks of colour • Check out the Options menu (bottom left of the screen when in Presentation mode).

∆ Visit all topics (On or Off) - this affects e.g. searching for Labels ∆ Show/Hide icons for embedded Notes, icons for Text Markers etc

• Plan for exporting the map into other formats, e.g. MS Word ∆ Insert relationships and hyperlinks ∆ Hide them during the presentation ∆ Include them in the export so that when a user is reading a Word document they can jump to the related topic

• If filtering the map for different audiences, save your filters so that you can easily run them later. For example, you could set up a Text Marker Group called “Audience” with Text Markers of “IT Managers”, “Records Managers”, “All”

Editing on the fly

Q - can I edit the map as I go?

A - Yes, e.g. through Right Click on a topic you get an editing menu. BUT try to avoid this, as it interferes with the timing of the presentation, and turns it into a group editing event (which I suggest you don’t want!). Use your time in the presentation and any breaks to interact with people, not to fiddle with the presentation.

Suggestion: - To maintain the flow of the presentation, have a paper note-pad to note down ideas, or an assistant using another computer to make notes, possibly straight into another version of the mindmap

Q - can I link to other documents, mindmaps?A - Yes, but rehearse their use, and then check and double check any hyperlinks when at the venue.See also: Check any hyperlinks and Bookmarks

Q - can I set up ways to “jump” to relevant parts of the map?A - Yes, with Bookmarks, Hyperlinks (to “Topic in this Map”, etc.

Q - when I hyperlink to another document, how do I get back?A - When you insert external links, MindManager puts an additional menu onto the bottom bar, so you can navigate back. To be a confident user

• Things that seemed obvious in the privacy of your office, can become a lot harder when you are working in front of an audience.

The solutions are: ∆ Focus on what your audience needs to find out, and on how you can help ∆ Keep it simple - every feature in MindManager (and there are many) should help you emphasise rather than distract ∆ Rehearse, rehearse, rehearse. See also: Rehearse before the presentation • Get comfortable with navigating your way around the map when it is in Presentation mode ∆ The Next/Previous buttons at the bottom of the screen, and on the data projector remote control and/or the equivalent Page Up/Page Down keys on the keyboard

∆ The way MindManager opens and closes subtopics when you click Next/Previous ∆ How to click on a previous topic, then click back on the current topic and resume using Next/ Previous ∆ How to jump between tags (e.g. Bookmarks) in the document, and how to get back to where you were ∆ Make sure any co- presenters are equally comfortable ∆ Learn how to open and close levels using either the mouse or keystrokes (e.g. Alt + Shift + 2 to open up all topics to 2 levels under the central topic • Rehearse before the presentation (as you would for any presentation) ∆ Check the timing ∆ Practice any handovers between speakers ∆ Try out the use of Notes, Map Markers ∆ Use Show/Hide. Add reminders (e.g. callouts) to help you develop your thinking and to prompt yourself when rehearsing. Hide these when doing the presentation ∆ Check that any filtering or show/hide feature is working as expected

• In the presentation venue ∆ Check any Hyperlinks and Bookmarks ∆ If you are in your own building and can access the network as normal, you could pre-build the links. ∆ For the risk-averse, we recommend copying all relevant documents to the desktop of the PC/ Laptop that will be used in the venue, and building the links to desktop documents ∆ Check any Hyperlinks to the web, and have a back up plan in case they don’t work on the day ∆ Check how any colours actually display on the data projector ∆ Check that any filtering you want is on

of working on ideas and concepts. It has been an integral part of his working methodology throughout his career, and his most recent innovation has been to let his clients and staff at Career Services rapuara in Counties Manukau in on his secret, and the tool that is MindManager.

As Regional Manager he has introduced his team to the value of mind mapping as an assessment and communication tool where they can lay out career plans for individuals, allowing them to contribute to their own

understanding about their life, their career and their life plans. It has been a break-through development. “We are working hard at encouraging people to examine their work and life decision making in order to achieve a better balance in their lives” he says.

When clients are faced with such a broad range of career and training options, it is often very difficult for them to make sense of the range of options before them. The career consultants at Career Services rapuara have been experimenting with Mindjet MindManager as a way for their clients to become clearer about their current situation and develop their thinking about where they would like to go to. This can involve identifying their next steps such as further training, preparing for job applications and interviews,

as well as addressing any barriers to their career. MindManager gives them a road map for that pathway, and having it all presented visually is a real bonus.

And there are other uses as well that Dale promotes with his team. He finds it a great tool for planning, where

he finds the interactivity particularly useful, “and the presentation function leaves slides for dead” he says. He and his staff regularly use it to:

• sum up tricky situations and communicate overview thinking

• share ideas with each other, and more widely

• brainstorm to quickly capture thoughts and then begin to sort and order them

• interact with other applications they find the ability to import and export a dream

And in his own managerial role Dale uses MindManager on a daily basis for preparation of presentations and speeches. It allows the key points to be presented on one page and stops him getting distracted from the key messages while also offering him the opportunity to hand out copies for people to take away with them. He also uses MindManager to prepare for his own reflection sessions with his management mentor, as well as prepare for challenging and complex situations. “It is a great management tool in this regard” he says. Dale continues “ I’ve read that in the first age of computing we really just used computers as rather clever calculators and typewriters. Then came the second age when the computer became a great way of communicating, with email and the internet to the fore. I think MindManager is a program that represents a third age of computing where it can help us to think and be creative. I am very excited about its potential to assist our thinking.“

He also comments on some recent reading of Chris Anderson’s work. In his book ‘The Long Tail’ Anderson suggests that we are living through an epoch change. We are ‘leaving the Information Age and entering the Recommendation Age’.

Anderson notes that ‘today information is ridiculously easy to get; you practically trip over it on the street. Information gathering is no longer the issue, making smart decisions based on

the information is now the trick’ (Anderson, 2006, 107). Dale goes on to comment “To me MindManager is an application that allows sense making in a complex age. It helps us to move beyond information gathering to information processing.”

In 1996 I was asked by my

publisher to write a book about digital media. Those days I was one of the very few Finnish experts of that area and I was flattered by the publisher’s suggestion. I said yes and created about tn pages long outline of the book. With that outline I flew in July to London where I rented a small room facing Kew’s tube station. A dream come true. I had 30 days to fulfill my huge task but I was con-fident. After all, I had been writer my hole life and some 200 pages was peanuts for me...

After one day’s wishful circles I

started to develop serious doubts about my great ab-ilities as a writer. Nothing came out from my head. The second day was even worse. The outline was like barbwire jungle. I couldn’t go trough. My scratched soul was acing when I discovered during the third day of my writer’s block that this is not going to end well. I need to return the money (a significant amount...) to the publisher and return to Finland like a looser.... In my agony I started to riffle trough the pages of Tony Buzan’s The Mind Map Book. Stupid coloured pictures.

Mind Maps for everything

Naive thing, I thought. Not for real pros. But because I al-ready had loosed the game I decided with a bitter grin to give it a try.

The fourth day came and I had

managed to scan the book. The MindMap laws, how silly. But I had nothing to loose any more so I drafted my first MindMap according to those Laws. And because I was very sarcastic I choose the most difficult - as a matter of fact the only impossible thing I knew to MIndMap, my book. And after few hours I had done a MindMap about the book. With MindMapping my book started to radiate in my head. The branches of the MindMap draw more meaning, more information, more associations from my writer’s blocked head. And eureka! There I was having a big picture of my book, nicely structured, filled with meaning - and the best of all, ready for writing it all out. 30 days later I had 253 pages and the book saw the daylight in November 1996. For me it was a miracle, for the publisher a great relief.

After my first encounter with the

MIndMapping I was so

fascinated about the method that I traveled several times to Poole in UK to participate Buzan International’s official training. Soon I became a certified (licensed) Buzan instructor and MindMap method and tool was part of everything I did.

The year 1996 was a year of great growth

for my company. We grew some 300 % per year and it was a difficult task to keep the direction and the goals clear. MInd-Map was an essential tool to mange that growth.

When I came back from London I started

to teach MindMapping for my business partner and colleagues. We MindMapped everything. I remember well how I managed to distill the whole strategy of our company into one single MindMap. It was still hand drawn because MIndManager was in it’s very early stage and not available for Macs. But it was a real tool for us and years later when I happened to get that MIndMap again in my hands I was surprised how accurate it was. It was like a prophecy.

This is a story about unlimited potential and how to discover it. To find the right thing you need to be open, curious and willing to go outside your comfort zone - sometimes painfully far away. But it pays back. And when you have found something you have to have a right method and tool to make it work for you. This is also a story about the method and tool | JUSSI LUUKKONEN

One of the most

important lessons for me was to how to communicate with Mind-Maps thoughts, ideas and visions. If you have an idea it does not necessary mean that everybody else see things in the same way as you do. So it’s better to give that picture for them. MindMap is a great way to have a single and informative big picture of every project, task or strategy.

Managing complicated

projects or business models is much easier if you have a consistent method and a proven tool to communicate it. PowerPoints turn to make things fragmented and information scattered whereas MindMap (if done by those “Laws” Buzan described) is a powerful method to have always crystallised image or mental model, if you like, present wether you give presentation, communicate with your peers or mange projects. Because MindMap is based on brain research and the natural way of how brain works it is more effortless and creative method than any other I have found. And now when we have a great variety

of different MindMapping software tools I can re-ally say that this is a new era of creativity to bloom.

One special area where MIndMapping is

a real time saver and quality booster is writ-ing. With word processors you are in the prison of linear thinking that leads you too often to a cul-de-sac. Believe me, I have gone trough that far too often before I learned MindMaping. In my experience writing is about one third faster with MindMaping. Like now I am writing this on a branch by using MindManager. I can start to write in any order I wish, I can let the ideas come and I can always re-order things much easier than with a word processor. It is really incredible how much faster I write when I do it with MindManager or other MIndMap software. And with much less pain and not waiting the inspiration to come (it very seldom comes). One of my applications back in 90s was a method for digital media content writers to use MindMaps and specially MIndManager to create, structure and fine-tune digital content. Unfortunately that book

is available only in Finnish In that book I created a process for writers to follow fo content creation. Everything was based on advanced use of MindManager and specially it’s capability to have tables on the branch notes. After finishing the content script the writer could export the whole content into a word file with neat tables containing all essential information for the subject matter experts, web developers and designers, customer’s and project managers. My method put all that together in much less time than you would have done it with any other way. I have run dozens of workshops for writers how to apply MindMaping for their creative process.

One thing that has not been so

much talked about is how the leaders of 21st century should express themselves - and process information for themselves. Traditionally leaders are those who have their presentations, reports and materials done by assistants, managers and other staff. That is not any more necessary the case now. The leader has to master more than numbers

human thought process and learn themselves every day something new, and show the results themselves.MindMaping can give leaders a totally new way to show what they really think, want and would like to achieve with the organisations. It’s much easier to involve people in the process if you can show them a new and fresh way to express yourself.Leaders have to be what they preach and in that endeavour MindMap takes them to a new level.

MindMap is not a magic

wand that works without your efforts. The “Laws” of it are like spells for Harry Potter. You can wave your wand as much as you wish but un-less you are prepared to really learn the method - the Lwas - well you don’t get the results you would like to get. It is important to really challenge your mental paradigm, if you like, and change it from that of linear to a more radiant and associative one. The magic happens after applying MindMap for everything you do for about 100 mindmaps. Learn the simple basic rules, rehearse a bit, apply and there you go. There is no
