TCS iON Affiliation Management Solution

Every educational institution in India seeks a�liation from relevant regulatory bodies to comply with the regulations and enhance their credibility. For instance, engineering colleges need to be recognized by the All India Council for Technical Education (AICTE). Regulatory bodies that provide such a�liations use the audit process to certify that the institutions have met the norms regarding resources, infrastructure, and performance standards.

Due to the growing number of educational institutions in all areas of the education spectrum, there is an increasing pressure on the regulatory authorities to improve the quality of the a�liation process.Towards this, Tata Consultancy Services (TCS) o�ers TCS iON A�liation Management solution. The comprehensive, integrated solution digitizes and streamlines end-to-end a�liation process thereby enabling a�liating bodies to plan and execute institute a�liations.

Overview

Typically, the a�liation process begins with the institution submitting information regarding its resources, infrastructure, and operations in the prescribed format. The regulatory authority then appoints auditors who visit the institute and present their �ndings. Comparing the information contained in the institutional declaration with the auditor's report and the prescribed norms allows the regulatory authority to determine whether the institution is �t to function until the next scheduled a�liation cycle.

Solution

Tata Consultancy Services (TCS) iON A�liation Management Solution has been developed for end-to-end digitization of the a�liation process including online collection of data from the auditors and automated generation of audit reports.

Some of the challenges which a�liating bodies encounters are -

Manual and time-consuming traditional a�liation process, ranging from six to eight months. Increased risk of data manipulation or misinterpretation due to complex data compilation, sharing, and archival process. Prevalent malpractices due to lack of standardized a�liation process.

The online application has to be �lled by institutes seeking a�liation.The process includes -

Institute Registration - Create and register institute pro�le online - Receive unique ID and password through SMS and email Upload documents, certi�cates, and photographs in the prescribed format Receive auto-generated challan Enter teaching sta� data such as a photograph, documents, and certi�cates Pay online Generate NCs at di�erent stages of the A�liation Process

Part 2 – Auditor Management:

The a�liating body has to maintain the pool of auditors. The process includes -

Develop an auditor database using the web-based interface for customers Assign auditors with various audit activities in accordance to the time plan After selection of auditors for the institutes, the system will send an email and SMS with User ID and Password for the auditor Reporting Login page.

Part 3 – Audit Management:

The audit management activity has to be performed by the assigned auditors.

The auditor can log in with credentials and submit his/her �ndings online. Upload documents such as information about teachers or sta� present on the day of inspection, photograph of institution on the day of audit and so on. Submit �ndings online in a prescribed manner within a restricted time period. Save formation/ data in a secure database.

Part 4 – Automated Report Generation:

Online report by computation and analysis of Part 1 (uploaded by institute) and Part 2 (reported by the Auditor) using prede�ned rules and norms A web-based dashboard in accordance to rule and regulations for generation

of �nal report.
