Foreword Congratulations on becoming a preferred candidate in your recent application for a position in Sydney Local Health District (SLHD) and progressing to the next stage of the recruitment process. This user guide provides you with information about the components of the online orientation program and information about accessing and completing the program.

It is important to note that your recruitment process has not yet been completed and that requesting you to complete the Online Orientation Program is not an offer of employment and should not be interpreted as one.

Sydney Local Health District (SLHD) is an organisation that values its workforce and is committed to the education and development of our highly skilled staff. We believe that our nurses, doctors, allied health and support staff all contribute to excellence in the delivery of health care in SLHD.

The SLHD Orientation Program, coordinated by CEWD, is an introduction to our organisation, our values and our way of responding to the needs of our staff, patients and community.

INTRODUCTION Congratulations on becoming a preferred candidate in your recent application for a position in Sydney Local Health District (SLHD) and progressing to the next stage of the recruitment process. This user guide provides you with information about the Online Orientation Program – its components and information about accessing and completing the program. The SLHD Orientation Program consists of the following four (4) components: 1. Online Orientation Program which consists of three (3) parts:

Part 1 Watching the Welcome Address by the Chief Executive, SLHD and the Chair of Board, SLHD available on CEWD website Part 2 Completing the Online Orientation in your own time prior to commencing employment in SLHD and

Part 3 Completing two additional courses after you commence employment with SLHD

2. Facility Orientation must be completed after you commence employment with SLHD.

If you have not worked in the facility before or you have had a break in service of more than 12 months you will be required to complete facility orientation. This is a one day program completed during work time. If you are successful in gaining employment with SLHD your letter of offer will include a date for facility orientation. You can also discuss this with your Manager once you commence work.

3. Departmental Orientation must be completed after you commence employment with

SLHD. Your manager or their delegate will provide you with an orientation to the department. This may not be a formal structured program; however, you and your manager will have to complete the SLHD Department Orientation Checklist.

4. Nursing and Midwifery Orientation that must be completed after you commence

employment with SLHD. This is an additional orientation day for nurses (including Assistants in Nursing) and midwives.

This user guide provides information on the first component of SLHD Orientation Program, the Online Orientation Program

It is important to note that your recruitment process has not been completed and requesting you to complete the Online Orientation Program is not an offer of employment.

EXEMPTION FROM COMPLETING ONLINE ORIENTATION PROGRAM Preferred candidates who are currently employed within SLHD or South Western Sydney Local Health District (SWSLHD) are not required to complete online orientation as they will have completed the previous face-to-face corporate orientation program. Former employees of SLHD or SWSLHD who have had a break in their service of less than 12 months are also exempt from completing the online orientation. To confirm your exemption from completing the online orientation program please email The Centre for Education and Workforce Development (CEWD) with information on the date when you completed face to face Corporate Orientation and details on any break in service. Contact details are at the end of this guide.

CEWD and TotalLMS CEWD is a centre of excellence for the education of the health workforce and offers a comprehensive range of clinical and professional skills development programs and qualifications for SLHD staff. CEWD is the primary delivery site for NSW Health Registered Training Organisation (RTO), providing nationally recognised vocational qualifications. All of our in-house courses and programs are free for staff of SLHD. CEWD also works in partnership with various universities, most notably the University of Tasmania, to deliver graduate certificates and masters programs. TotalLMS is the online learning management system (LMS) implemented and managed by CEWD for all employees within SLHD. TotalLMS is a web-based application that hosts all of our online learning including the online orientation program. It is also the platform for course administration and has functionality that allows clinicians to create a Continuing Professional Development Portfolio.

PREPARING YOUR HOME COMPUTER Before you commence the Online Orientation Program, please read the following computer configuration and specification information to ensure that the computer you are using runs the program seamlessly. 1. When accessing TotalLMS, always allow pop-ups from the website – you need to

disable the pop-up blocker for this website. If the pop-up blocker is not disabled, all the windows within the online courses will not open correctly.

2. Ensure Flash Player version 9 or above is installed on your computer. This is free

software that can be downloaded from Adobe.com.au. This software is required for all online courses.

3. Operating Systems: The best operating systems and browsers for the LMS are listed below:

COMPONENTS OF THE ONLINE ORIENTATION PROGRAM The Online Orientation Program consists of following three (3) parts. You have to complete all three parts to be recognised as having completed the program. Part 1: Welcome Videos There are two welcome videos, one from the Chief Executive and one from the Chair of

the Board In the CEWD website please click on the Orientation tab at the top of the screen, the

welcome videos are on the front screen of the orientation page Click on the welcome videos to play

Part 2: Completing the Online Orientation Program You do not have to complete all the courses in one go. If you log out of TotalLMS midway through any course module, TotalLMS will remember where you stopped within the module. Next time you log on and access the module, the system will prompt you to go to the section where you stopped. Online courses that you need to complete are listed on the next page. Some of the courses have 2 to 3 modules to complete within the same course. All of the 17 modules have to be completed to ensure you have completed part 2 of the online orientation program. Some of the courses have quizzes; please ensure you complete the tutorial first before completing a quiz. All quizzes have a pass mark of 80%. If you score below 80% please retake the quiz to secure a pass result.

TOTAL MODULES TO COMPLETE 17 Part 3: Completing Additional Courses If you are successful in gaining employment within SLHD and commence work with the organisation, you are expected to complete the following two (2) online courses once you have commenced employment as part of the Online Orientation Program: 1. Child Protection (CHF904) All employees are required to complete mandatory child protection training. This course has 3 modules and has to be completed within your first two weeks of employment. You need your employee number to access this course through TotalLMS – details of how to do this can be found on page 9.

We acknowledge that some people may find the content of this training distressing or that it raises practice issues. If you feel that you need support, you can speak to your department manager or contact the following services:

Additional Child Protection Training for Identified Staff

As mentioned previously, all staff are required to complete the online child protection training, however there is also a one day face-to-face training program that identified staff need to attend within three months of commencing employment. This should be discussed with your line manager. Identified staff are listed on the next page.

Identified staff required to complete the face-to-face child protection training are: Community Health (including Child, Adolescent and Family Health Services, Early

Childhood Services, Youth Services, Sexual Assault Services, Sexual Health Services) Emergency Departments Adult Mental Health Services Drug Health Services Paediatric Services (in-patient and outpatient) Domestic Violence Services Maternity Services Children’s Dental Services Child and Adolescent Mental Health Services Aboriginal Health Services All Home Visiting Services Hospital Social Workers Other professionals working directly with children Other adults services where health professionals have significant contact with adults

who have children in their care (such as health care interpreters and home visiting services)

Partnerships and subcontracted services by SLHD that work with children and young people

Services utilising volunteers who have contact with children If you are unsure about your mandatory child protection training requirements please contact our Child Protection team on (02) 9378 1281. 2. Respecting the Difference – Part 1(COM915)

This course must be completed within the first month of employment. The course takes a minimum of 2 hours to complete and forms the first part of the 'Respecting the Difference - An Aboriginal Cultural training Framework for NSW Health'. You need your employee number to access this course through TotalLMS – details of how to do this can be found on page 9. Recognition of prior learning in Child Protection or Respecting the Difference Both courses - CHF904 Child Protection and COM915 Respecting the Difference are consistent across NSW Health. If you have completed these courses in another Local Health District (LHD), you can be given recognition of prior learning for the two courses. If recognition of prior learning is confirmed, you will not have to complete the 2 online courses once again. To gain recognition of prior learning, please email CEWD with evidence of course completion. Evidence can be in the form of a training transcript procured from the LHD where you completed this training or a printed copy of the certificate of completion that confirms the course code and name of the course completed within NSW Health.

If insufficient evidence is provided, CEWD retains the right to decline recognition of prior learning, in which instance you will have to complete the 2 online courses in TotalLMS to be deemed compliant in Online Orientation.

ACCESSING ONLINE ORIENTATION You can access the online orientation program directly from the CEWD website. The launch online orientation buttons (indicated below with the arrows) is the route for accessing online orientation

Logging on to TotalLMS The e-mail sent to you about online orientation contained your Username and Password. The username field is case sensitive. Please ensure there are no spaces before, within or after the username (this is an alphanumeric number with the prefix starting with ORT). Your password is the word password (in lower case). Please ensure there are no spaces before, within or after the word password. When you click on the Start TotalLMS button, you will be presented with the following window. Please enter your username and password in the boxes as shown below.

Once you log on to TotalLMS you will be presented with the following screen. You have already been enrolled into the 17 modules that you have to complete. You will be presented with Start buttons for each of the modules. Please click on the Start button to launch the module.

Then click on the Next button to load the module. Please note some of the modules are quite large in size. Please allow your computer to load the entire module before the course begins. Once you reach the end of a module, the course will prompt you to Exit, Quit or close the module by clicking on the X button. The system will take a few seconds to recognise and record your completion of the module and present you with the below screen:

Please click on the OK button.

Once you click on the OK button, you will be presented with the below screen:

Click on the SLHD Online Orientation link as shown here. A complete list of all the modules that you are enrolled into will be displayed as follows:

The modules that are completed so far will be indicated with an ‘Attended’ in the status column as shown here. Click on the Start button of the next module and then click on Next to launch the module and complete it. Continue to do this process until you complete all 17 modules. Once you complete all the 17 modules you will see ‘Attended’ listed in the status column for all the courses.

Printing your Certificate of Completion We do not expect you to print certificate of completion, however you are able to do this if you would like a copy for your records. Once you have completed all the modules of each course, the course will be visible on your training transcript. To print certificate of completion, click on the Learner tab Click on Learn drop down menuclick on Learning Activity Reports click on Training Transcript click on the Name of the Course a certificate or diploma icon will be displayed click on this icon for the Certificate to open click Print button to print the certificate. Completing Additional Online Courses The username that you were provided to log on to TotalLMS is a temporary account that enables you to log on to TotalLMS and complete online orientation program before you commence in your role within SLHD. If you are offered a position, you will be issued with an employee number when you start work. This employee number will be your permanent username for accessing TotalLMS. To complete the additional courses you will need to access TotalLMS using your employee number. You will use the word password as your password in the first instance; the system will then prompt you to change this.

You can access the LMS through the CEWD website on the front page. At the top of the screen there is a tab called ‘start LMS’ there is also an arrow at the bottom of the front page called ‘start LMS’ Data Migration CEWD will ensure information on all completed training activities is migrated from your temporary account to your permanent profile as soon as this permanent active employee number is imported in the system. Please note there may be some delay in data migration as the active employee number may not be imported into the system as soon as the employee number is activated in the payroll system.

After data migration is complete, the temporary account will be terminated and disabled. You have to use your employee number to log on to TotalLMS. Partial completions will not be migrated over to your active record. You will have to register into the program once again to complete that course within your permanent active account.

ADDITIONAL SUPPORT

If have limited access to a computer with internet access there are a couple of options: Accessing Your Local City Council Library Your local city council library has computers with internet that can be accessed free of charge for web browsing. Please note that if you want to access your e-mails you may be charged a fee.

Via CEWD Offices You can arrange to access a computer during office hours in one of the CEWD offices across SLHD. Please contact us to arrange this. Limited Computer Skills

We acknowledge that not everyone feels confident in their computer skills. If you feel you require additional support you can contact CEWD administration team members who will guide you over the phone or make an appointment for you to come into our offices and complete online orientation with support.
