II. Preamble
Generally our conditions of purchase, the Supplier Logistics Manual of the Bosch Group and
Bosch Rexroth supplement apply. These documents are available on the Internet and the
links can be found in the attachment.
The specific logistics requirements at the individual Bosch Rexroth location may differ and
more in-depth details may therefore be required.
The EcP Supplier Logistics Manual outlines these binding plant-specific requirements for the
Elchingen plant, referred to in the following as EcP.
Part-specific individual agreements have priority over or act as a supplement to general
provisions. All deviating or supplementary agreements and specifications must be made in
writing and in agreement with EcP/LOG.
Existing contracts and agreements relating to material planning and procurement remain
valid and shall apply in addition. Any contradictions between the individual specific and
general provisions must be clarified in cooperation with the responsible material planner.
1. Communication
1.1. Availability
The contact partner named by the supplier (or their representative) must be available
from Monday-Friday at least from 7 am – 5 pm (local time of supplier). Outside of the
above time window (or if the plant is closed), an “emergency number” shall be provided
and manned with qualified personnel.
1.2. Contact partner
The contact partner and their representative must have the relevant specialist expertise.
Languages: German or English.
1.3. Company holidays
The responsible EcP material planner must be notified of company holidays / plant
closures in writing at least 3 months before the holiday/closure is due to start.
Measures must be in place to ensure that the logistics processes and supply continue
during the company holidays. Advance deliveries are not accepted.

1.4. Disturbances in the delivery process
The responsible EcP material planner must be informed immediately of all disturbances in
the delivery process (e.g. delayed collection, lack of cargo capacity), which mean that the
agreed delivery dates cannot be met.
1.5. Part-specific supplier agreement
In order to ensure that communication is as transparent and standardized as possible, a part-
specific supplier agreement must be in place. The initiative for having an agreement in place
for the individual type part numbers comes from our material planning department.
2. Logistics quality
The quality of logistics is evaluated in the annual supplier result evaluation.
The measurement takes place with a central BOSCH problem supplier code tool. (PLKZ)
EcP expects the logistics quality to be based on a zero-error strategy.
Evaluation criteria include 1
- OTD – On time delivery
- LP – Delivery documents (delivery note, label, other missing, incorrect or incomplete,
deviating from delivery and shipment notification* )
- MD – Quantity differences (overdelivery/underdelivery, deviating from the delivery
note and delivery and shipment notification*)
- VP – Packaging
- SO – Other physical logistics (e.g. cargo securing, packaging and delivery
specifications not complied with, damaged container)
- UP – Rescheduling in production
- SB – Reported, logistics-related production and assembly standstills at EcP
- SK1 – Standstill production line customer
- SK2 – Customer complaint
*Points with reference to delivery and shipment notification data are only valid if delivery and
shipment notification data transfer is installed.

An error recorded in the problem supplier code tool implies an immediate defect complaint at
the supplier. EcP can request an 8D report from the supplier following an internal evaluation
of the fault and/or defect frequency. The supplier must use adequately qualified personnel in
this process. The processing times for the individual 8D steps are defined under point 5.4 of
Appendix 2 (Agreement regarding quality, occupational health and safety, environmental
protection and social responsibility (quality agreement)): D1 and D2 within one day, D3 on
the second day, D4, D5 and D6 within 14 days, D7 and D8 at the latest within 60 days.
Appendix 2 contains the latest version as valid in 06/2014, subsequent versions are available
from your procurement manager.
Separate from the record in the problem supplier code tool, EcP will debit all costs for special
expenses arising from deliveries which do not comply with the specifications or agreements
to the supplier. Special expenses include e.g. administrative tasks, re-packing, sorting,
cleaning.
EcP reserves the right to return deliveries containing faults. The costs of the work involved
and transportation will be debited on to the supplier.
3. Delivery specifications / labelling
The delivery specifications contain regulations to ensure standardized marking / labelling of
incoming packages. This helps to ensure that goods can be received efficiently and without
errors.
The regulations apply for all external and internal delivery addresses of the EcP plant.
3.1. General regulations
LuT data must be provided by all suppliers who deliver regularly to EcP. There must be no
discrepancies between the delivery and LuT and the information on the delivery note.
The figure is provided to illustrate the concept.
A delivery note must be attached to every package. If a delivery note covers multiple
packages, it must be clear on the delivery note which packages contain which goods and in
what quantity. The original delivery note must be attached to the first package and a copy of
the delivery note on each of the other packages. The copies should be clearly marked as
copies.
The packages should only contain one type of goods. If this is not viable for reasons
associated with cargo securing measures or efficiency, the mixed pallets must be labelled as
such in accordance with figure 10.
The delivery note must be attached on each package in an A5 delivery note pouch.
The delivery note pouch must not damage or cover any other markings (e.g. secondary
goods label / VDA (German Association of the Automotive Industry) label) of the KLT.

The position of the delivery note pouch is binding according to the type of package in
accordance with the illustrations in chapter 3.2. The delivery note pouch must be attached on
the side of the package from which the industrial truck collects the package when unloading.
Each loading aid must be clearly identifiable with its own label. Details can be found in
chapter 4. “Delivery documents”.
The height of the packages must not exceed 1,000 mm. The load carrier must correspond to
the Euro pallet size 1,200 mm x 800 mm for all standard deliveries.
If a small load carrier layer cannot be formed with full small load carriers, the layer must be
completed with empty small load carriers with a cover. This is to protect the cargo and
ensure that the packages can be stacked. The empty small load carriers must have no labels
(secondary goods label / VDA label).
The secondary goods label must be attached on the small load carrier in the designated
pocket and secured against loss with an adhesion point. The adhesion point must be clean
and leave no residues when pulled off.
For pallets loaded with small load carriers, the package must be closed with a plastic cover
and strapped to stabilize them.
Only plastic straps may be used. The quality of the straps must be sufficient to withstand the
usual mechanical and thermal stresses during transport.

3.3. Delivery of samples
For all deliveries of samples (e.g. initial samples) the packages must be marked as a
sample delivery with an orange label in accordance with figure 11. The goods must be
marked as samples in all delivery documents and the consignee must be listed with
name and department. The template for the label is available from your contact partner
in our procurement department.

The delivery documents, delivery note and any other documents have a signal note.
The delivery address for samples may differ from the standard and must always be
defined with the orderer.
Samples which cannot be identified immediately as such due to inadequate marking
are always classed as an error requiring an 8D report.
3.4. Delivery of C parts in the Kanban system
Special regulations apply for the delivery and packaging of C-parts in the Kanban
system, which are agreed mutually with the relevant suppliers.

3.5. Packaging regulations for delivering bar steel
Bar steel is delivered in a bundle. Each bundle of bar steel must be tied together and
embossed with four steel straps. Paper or other buffering material must not be placed
between the steel strap and the bar steel.
The labels may only be joined to the bar steel using wires. Fixing with sticky tape is not
permitted, see illustration.
A bundle of bar steel must not exceed the permissible overall weight of 1,500 kg.
The relevant weight of the bundle must be specified on the accompanying label, see
figure 13.

On delivery, it is important to ensure that the bevelled face side of the bar steel is at the back
of the loading surface in the direction of travel. The space available at the unloading site
makes this necessary for health and safety reasons. The bundles must be secured so that
the bars do not move within the bundle.

It is also important to ensure that the bars are accessible on the loading surface for loading
and unloading.
We would like to explicitly point out that the use of steel straps is a special ruling for EcP.
4. Shipping documents
An efficient goods receipt process is essential to ensure that the goods are available on-time.
That is why it is particularly important that the delivery documents are correct and clear.
4.1. Goods label
The goods label must correspond to the VDA standard 4902 and the barcodes to either
Code 039 or Code 128. The barcode must start with the field identification code (letter of the
field), see table. All information in the barcode must be shown in the same field in plain text.
The paper of the main goods label, secondary goods label and barcode label must have a
thickness of at least 160 g/m2. The binding format for the main goods label is DIN
(German Industry Standard) A5 and DIN A6 for the secondary goods label.

here (VDA standards and EcP standards):

4.1.5 Attaching tags and labels
The consistency of the identification must be guaranteed with a labelling system, which is
based on the packing level of the load carrier or packaging. Main goods labels, secondary
goods labels or only barcode labels should be used depending on the packing level.

If further data is required for internal purposes at the supplier, this data can be included on
the delivery note. The layout of the delivery note in accordance with the sample / figure 20 is
currently still a proposition, the content is binding. A BR (Bosch Rexroth) standard will be
introduced at a later time. The DMC (Data Matrix Code) at BR and EcP is also not yet
defined in binding form. The binding introduction of the DMC is expected soon.

5. Packaging regulations
Due to the special importance and to provide a context, statements from the RB and BR
Supplier Logistics Manuals are repeated in this chapter.
RB principles
Quotation from the RB Supplier Logistics Manual, Rel. 3.0 v. 07.05.2007, (page 13, point 2.1)
“The following basic principles must be followed: Avoidance of packaging (as much as possible). The packaging must not be larger or more elaborate than essential to protect the goods. Padding material should be kept to a minimum. Where disposable and returnable packaging is used, recyclable packing materials must be used and identified according to the specifications of the waste management industry. Use of single-type component materials. Composite Materials are not allowed.

Where disposable and returnable packaging is equal in economic and qualitative terms, returnable packaging shall be preferred. Returnable packaging (e.g. Euro pallets, Euro box pallets, VDA "KLT" [small load carriers]) that is capable of pooling (used through multiple processes and partners) is to be preferred ahead of returnable packaging without such capability. Returnable packaging should correspond to standard sizes. Special design and sizes should only be defined as exception in case of specific/ extraordinary requirements of the material to be delivered. Returnable packaging must be designed to be cleaned, emptied and drained easily.” end of

5.1. General regulations
The goods must be packaged according to their properties to ensure that they can withstand
the mechanical and climatic transport stress of the relevant mode of transport.
The optimal solution based on both ecological and economic factors must be defined.
The load carrier and packaging material used must be free from damage and clean. For load
carriers which are suitable for pooling, the relevant standard (e.g. EPAL (European Pallet
Association) criteria, UIC435-4) must be complied with. For packaging material with
protective agents (e.g. VCI carrier), the expiry date must be observed.
The material and marking of the load carrier and all other components of the packaging must
comply with the national and international legal provisions at all times (e.g. IPPC regulations
(International Plant Protection Convention)).
The standard international handling symbols must be attached on the packages where
necessary to ensure correct handling (see also DIN 55402).
The supplier is responsible for ensuring that the correct packaging is used and is liable for
any damage resulting from inadequate packaging.
5.2. Storing packaging material and empties
The supplier is responsible for ensuring that the empties are stored correctly once they have
been accepted from the freight carrier. They must be stored in a place where the material is
protected from climatic influence and soiling.
5.3. Container management
5.3.1 Europool loading aid
For Europool pallets and lattice boxes, the supplier must have a pallet account with RB / BR
regional freight forwarders. This applies for all countries where Europool exchange systems
are established.

5.3.2 BR internal reusable packing material
BR has its own Germany-wide pool system for the BR internal reusable containers and
transportation aids. This system is conducted by an external service provider.
The suppliers receive the parameters for the released quantities and availability time from
the container management at the relevant plants.
The supplier is obliged to carry out the bookings for the request and delivery of the
containers and transportation aids in the system provided by the external service provider.
Containers and transportation aids can only be supplied via this system.
Transportation aids (e.g. cable connectors, intermediate layers) must not be damaged,
shortened or permanently bent.
Stock differences shall be covered by the originator. The costs are determined based on the
replacement value.
Irrespective of the reason and/or originator, missing containers / transportation aids do not
relieve the supplier from their obligation to deliver to BR on time. The alternative packaging
must be agreed with the responsible EcP material planners. See also the BR supplement to
the Supplier Manual, Point 2.5.5.
5.4. Special individual provisions
- Only plastic straps may be used for securing the goods. The only exception is the
delivery of bar steel and metal pipes (see also Delivery specifications)
- Edge protection must be used when wrapping the straps around.
- A small load carrier must not exceed the gross weight of 15 kg.
- All small load carriers must be closed with a suitable cover.
- For certain parts or part families, specific packaging regulations are agreed mutually
between EcP and the supplier. These packaging regulations are created by EcP and
countersigned by the supplier. Sample in accordance with Appendix 3

6. Transport
6.1. Securing of loads
The cargo must be secured in accordance with the valid legal stipulation. The supplier is also
obliged to comply with the legal regulations of the shipping agent. The personnel involved
must be trained accordingly.
6.2. Delivery of urgent parts
After the official opening hours of the relevant goods receipt department, deliveries are only
accepted with a special commission from the relevant EcP material planner. The written
commission must be included with the delivery documents.
6.3. Notification of deliveries by the supplier freight forwarder
Deliveries carried out by a freight forwarder of the supplier (e.g. for delivery free domicile)
must be logged in the CARGOCLIX system. Further information on this topic is available

8.4. Appendix 4: Measurement of the OTD
The measurement of on-time deliveries is carried out based on supplier/BR plant. It is
possible to group OTDs across all sites.
The delivery date specified in the order is the arrival date at the stipulated place of delivery.
The transport time from the supplier to the delivery site must be taken into account
accordingly. The valid transport times can be queried with the responsible material planner. If
the transport is carried out by a BR regional freight forwarder, the delivery must be logged on
the day before the desired collection.
The measurement takes place on order item level.
The measurement is based on the comparison between the desired date from the customer,
all orders subject to goods receipt requirements and delivery schedules for good receipt
booking.
Goods receipts are classed as on-time, which are logged up to three working days before
and zero working days after the desired date from the customer.
The desired delivery date corresponds to the parameters defined in BR SAP (material
planning indicator, minimum stock, Frozen Zone, etc.). If the date is brought forward by
mutual agreement, the new date is saved in SAP by the EcP material planner and taken into
account for the measurement.
If the goods receipt cannot be carried out at BR or its service provider on the exact day, the
actual date of arrival is entered in the relevant SAP field.
An item can only be classed as on-time if the full quantity is delivered.
Excess deliveries are either returned or accepted on a case-by-case basis, the delivery can
be classed as on-time in both cases. The error is recorded in the SRM tool and is entered in
the problem supplier code.
Excess deliveries are allocated to the next delivery on the delivery schedule, taking into
account the set tolerances. The excess delivery is allocated to the order item for the
measurement and is used for the measurement at the time when the delivery has arrived in
full.
Returns which are necessary for quality reasons are measured from the date of the new
delivery.
Consignment deliveries are evaluated with OTD 100% providing no disturbances are caused
in EcP production or assembly due to the available amount falling below the agreed
minimum stock level.
