V21.0.0 RELEASE NOTESStudentInformation v21.0.0 provides several new features and resolves some issues to improve your experience. This overview explains the recent changes.

Enhancements

StudentInformationCivil Rights Report (CRR)

• The new StudentInformation Civil Rights Data Collection Guide contains all information pertaining to Civil Rights Reporting and the content is no longer in the StudentInformation Student and Registration Guide.

• The PENR-6: Credit Recovery Program Student Participation subsection has been removed from the report. (StudentInformation Civil Rights Data Collection Guide)

Manual Civil Rights Data Entry• The PENR-6: Credit Recovery Program Student Participation table has been

removed from the screen. (StudentInformation Civil Rights Data Collection Guide)

District Options• You can now select or deselect the Uses Family Groups checkbox to determine whether

family groups are enabled or disabled for the district. This checkbox is selected by default. (StudentInformation School Year Setup and Configuration Guide)

Registration Wizard• When you are registering students, if the Uses Family Groups checkbox is deselected

on the District Options screen, the Family Group tab does not display and no family group is created for the student. (StudentInformation Student and Registration Guide)

Graduation Points• The performance of the graduation points batch calculator has been improved.• On the Grad Points Summary screen Permanent Requirements tab, the status for

Student Course Request Import• The new Student Course Request Import screen lets you import an .xlsx file containing

StateReportingAssessment Reports

• The KRA-L and OTELA reports are no longer available. (StudentInformation Assessment Guide)

Student Reporting - Collection (S)• Due to new requirements from ODE, when you run the Transfer - Organization -

General Information (DN) process, the file no longer contains attribute records for C_CLDRTYPE. All prior attribute records of C_CLDRTYPE have been deleted.

Resolved Issues

StudentInformationCourse Section Assignments

• (PBSIS-1087) Previously, when you searched for course groups for a specific schedule, duplicate course sections from the same course group displayed. Now, in these circumstances, each course section in the course group displays only once.

Course Section Mark Entry• (PBSIS-9658) Previously, courses with a Course Type of OL - Online did not display.

Now, they display as expected.

Edit Student Profile• (PBSIS-2270) Previously, on the Custom tab, when you had a miscellaneous data

definition with a Data Type of Time and a value in the field, when you tried to navigate away from the tab without changing the value, you were prompted to save. Now, in this circumstance, the save prompt does not display.

• (PBSIS-9332) Previously, on the FD-Attributes tab, the FD grid column header incorrectly listed LEP. Now, the column header is EL. (StudentInformation Student and Registration Guide)

EZ Query SIS Student Search• (PBSIS-9103) Previously, the Filter Criteria tab EMIS subtab incorrectly displayed

Limited English Proficiency instead of English Learner. Now, English Learner displays.

• (PBSIS-9102) Previously, on the Field Selection tab EMIS subtab FD-Attributes accordion list, when you selected the English Learner checkbox, students who met the criteria were included in the output file but the corresponding column in the file was blank. Now, in this circumstance, the output file contains the appropriate value for each student in the English Learner column.

Family Groups• (PBSIS-7988) Previously, when a family group no longer had students assigned to it and

you clicked to delete it, nothing happened. Now, when there are no students assigned to a family group, it no longer displays.

Specified Marks by Teacher (R302B)• (PBSIS-3127) Previously, when a student was assigned more than one course to the

same teacher, the following errors occurred in the report:• Marks and records for one of the courses did not display• Student appears to be assigned a different course with the same teacher with no

marksNow, in this circumstance, the report includes both courses to which the student is assigned as well as their corresponding marks.

Student Marks• (PBSIS-10292) With the release of ProgressBook Suite v20.4.0, courses with a Course

Type of OL - Online did not display. Now, they display as expected.

Students Scheduled With Free Time (R415A)• (PBSIS-8727) With the release of ProgressBook Suite v20.3.2, when you entered a value

for the Minimum Free Periods in a Schedule Term for Student to Appear On Report field, students who met the criteria were incorrectly omitted from the generated report. Now, when students have periods with free time that are equal to or greater than the value entered for that field, they are included in the report.

StateReportingACT

• (PBSIS-9347,9357) Previously, when you tried to edit an ACT FY21 record that was imported, an error occurred. Now, you can edit such records successfully.

Note: A script has been included in the ProgressBook Suite v21.0.0 release to update all existing imported records to resolve this issue.

Assessment Imports• (PBSIS-9190) Previously, when you ran the ACT FY21+ import option, when the import

file Test_Dtr (column AO) value only had 5 numbers without the leading 0, records were not created for such records. Now, in this circumstance, these records are imported successfully.

Assessment Reporting - Collection (A)• (PBSIS-11291) Previously, when you ran the Transfer - CTE Student Assessment -

OCTCA (GY) process, students who did not have a graduation date were incorrectly excluded from the transfer file. Now, in this circumstance, all students who have OCTCA records are included.

Staff/Course Reporting - Collection (L)• (PBSIS-8883) Previously, when a student was assigned more than one course section for

the same course code and dropped one of the course sections prior to course completion, when you ran the Verify/Update - Course and Class List (CLISEMIS/CTRMEMIS) process, the student incorrectly received credit for the dropped course section. Now, in this circumstance, the student does not receive credit for the dropped course section.

Student Reporting - Collection (S)• (PBSIS-10952) Previously, when you ran the Verify/Update - Non-graduate CORE

Summary process and received the error GC13E - No Dual Credit value entered for this Manually Entered course for this student, and then clicked the school year link in the Course Code column to resolve the issue, an error occurred and users could no longer access the College Credit Management screen. Now, in this circumstance, when you click the link, you are taken to the corresponding course screen and no access is lost to the College Credit Management screen.

• (PBSIS-10952) Previously, when you ran the Verify/Update - Non-graduate CORE Summary process, you incorrectly received errors for courses with dual credit for future school years. Now, in this circumstance, these courses are not included in the process.

Edit Student Profile• The General tab now displays the optional Pronunciation field for users to enter

• The FN-Attributes tab no longer contains the Admission to Current High School field. (StudentInformation Student and Registration Guide)

• On the Grad Points Summary screen, has been added in the upper right corner for use with a future enhancement that will enable you to print a Graduation Plan report on demand for the student record you are viewing. Currently, no reports are listed when you click .

Identity Management• The SISPROFICIENCY- DISPLAY and SISPROFICIENCY - UPDATE preset roles have

EZ Query SIS Student Search• On the Field Selection tab EMIS subtab, the following checkboxes have been removed

Assessment Reporting - Collection (A)• When you run the Transfer - CTE Student Assessment - OCTCA (GY) process, when

the score on a student’s assessment record is A, P, or N, the value of Score Not Reported is now “X” in the transfer file.

Note: A script for this update has been sent out prior to the ProgressBook v21.1.0 release to ensure that all districts who have the ProgressBook v21.0.0 release installed can complete their EMIS reporting on time.

• (PBSIS-12326) When you run the Transfer - OGT (GX) process, it now includes all high school students (grades 9 to 12) with alternate assessment records.

CTE Industry Credential• For FY22, the new Industry Credentials, the corresponding career fields to which they

apply, and the point values they are worth have been added.• The descriptions of the following codes have been updated, as shown below:

Resolved Issues

StudentInformationCourses

• (PBSIS-7237) Previously, on the Pre/Co-requisites tab, when you tried to edit a preexisting requisite, an error occurred. Now, you can edit the preexisting requisite successfully.

District Options• (PBSIS-11333) With the ProgressBook Suite v20.5.0 release, when a district did not save

the District Options screen in StudentInformation, teachers were unable to access any classes within that district. Now, in this circumstance, teachers can access their classes without error.

EZ Query SIS Student Search• (PBSIS-11556) With the release of ProgressBook Suite v20.5.0, when you had a district

in context and selected no schools or more than one school on the Select Schools tab, on the Filter Criteria tab Enrollment subtab, duplicate student status codes for each building displayed (e.g., 4 ACTIVE RES statuses when 4 building are selected). Now, in this circumstance, no duplicate student statuses display.

Family Groups Wizard• (PBSIS-5526) Previously, on the General tab, when you selected the Remove existing

groups in the district checkbox, the following message incorrectly still displayed: Any Parent Access Accounts associated with the Family Groups will be deleted. With the release of ProgressBook Suite v16.1.0, ParentAccess accounts are no longer associated with family groups and the accounts are no longer deleted when family groups are deleted. Now, in this circumstance, the message no longer displays.

Graduation Points• (PBSIS-4618) Previously, when a student had a Fiscal Year Began 9th value of 2018,

administrators were incorrectly able to view the 2018+ Requirements tab and 2018+ Optional Pathways tab on the Grad Points Summary screen for that student. Now, these 2 tabs display only for students who have a Fiscal Year Began 9th value of 2015, 2016, or 2017.

Identity Management• (PBSIS-10088) Previously, when you assigned the Master job function to an account, the

user incorrectly displayed in Teacher drop-down lists throughout the application. Now, in this circumstance, the Teacher drop-down lists display only users with the Teacher job function.

Marking Pattern Mapping• (PBSIS-7219) Previously, when you tried to edit a marking pattern mapping, an error

occurred. Now, you can successfully edit marking pattern mappings.

Rooms/Locations• (PBSIS-4894) Previously, when you tried to add or edit the room Code, you were

incorrectly able to enter only up to 4 alphanumeric characters. Now, in this circumstance, you can enter up to 8 alphanumeric characters. (StudentInformation School Year Setup and Configuration Guide)

Student Schedule• (PBSIS-12417) Previously, when you ran the Scheduler for a single student on the

Requests & Assignments screen, the new assignments were not aligning with the corresponding requests. Now, in this circumstance, assignments and requests are aligning as expected.

Transcript Formatter (R702)• (PBSIS-8364) Previously, in the generated transcript file, the Date value for the summer

end-of-course assessments incorrectly displayed as mm/dd/yyy instead of season year (e.g., Summer 2020). Now, in this circumstance, the summer end-of-course assessment dates display as season year.

• (PBSIS-4326) Previously, Miscellaneous Data Definitions created for the Field Type of “Checkbox” that had the Is Active field selected and that had displayed on the Transcript Formatter (R702) were continuing to display on the Transcript Formatter (R702) after the selection in the Is Active field had been cleared to make the Field Type inactive. Now, in this circumstance, an inactive Field Type of “Checkbox” does not display on the Transcript Formatter (R702).

User Interface• (PBSIS-11571) Previously, when users tried to log in to StudentInformation, the process

sometimes took too long or timed out due to a missing index. Now, users can successfully log in in a timely manner.

StateReportingAssessment Imports

• (PBSIS-12062) Previously, when you ran the OST import for alternate assessments (AASCD), the test dates were incorrectly imported as 4/1/XX. Now, in this circumstance, the test dates are imported as 3/1/XX. All other assessments imported using the OST import continue to have a test date of 4/1/XX.

• (PBSIS-12631) Previously, in Student Achievement, a manually entered Math AASCD assessment with a score of “90” displayed as “090” on screen and was incorrectly reported in the transfer file as a score of “900”. Now, a manually entered score of “90” displays on the screen as “90” and is reported in the transfer file as “90”.

• (PBSIS-12608) Previously, AASCD High School Assessments for FY20 were not included in the Assessment Reporting Collection A transfer of OGT (GX) records if FY21 assessments for same test area were included. Now, for the FY21, both FY20

AASCD High School Assessments as well as the FY21 AASCD High School Assessments are included due to the last year’s records not being reported as a result of COVID.

• (PBSIS-3141) Previously, in the Pre-Ident for KRA, Student and Enrollment files included withdrawn students and students without assignments. Now, these students are not included.

Graduate Reporting - Collection (G)• (PBSIS-11488) Previously, when a student had an alternate assessment (OGT) with a

Scaled Score of 005, when you ran the Transfer - OGT (GX) process, the score was incorrectly included in the file as 050 instead of 005. Now, in this circumstance, the score is submitted correctly.

• (PBSIS-12090) Previously, when you ran the Verify/Update - Graduate CORE Summary process and selected a Run Type of Verify and a Verify Mode of Course Verify, an error occurred. Now, in this circumstance, the process runs successfully.

• (PBSIS-12066) Previously, when you ran the Transfer EMIS Data (G) process, students were incorrectly included when they had the Report to EMIS checkbox deselected on their Edit Student Profile screen FN-Attributes tab and had a Graduation Date value on their Edit Student Profile screen FN-Graduate tab. Now, in this circumstance, these students are excluded correctly.

• (PBSIS-12342) Previously, when you ran the Transfer - CTE Student Assessment - OCTCA (GY) process, the file incorrectly included the value A instead of G for the collection period. Now, in this circumstance, the file correctly includes G.

Staff/Course Reporting - Collection (L)• (PBSIS-11217) Previously, when you had a course code value that was longer than 10

characters and you ran the Transfer - Student Course Grade Record (FR) process, the included local classroom code incorrectly included more than 10 characters. Now, in this circumstance, only the first 10 characters are included in the process.

• (PBSIS-11521) Previously, when you ran the Transfer - Student Course Grade Record (FR) process, marks that were calculated using automatic marks were not included in the transfer file. Now, in this circumstance, automatically calculated marks are included in the file.

• (PBSIS-11578) Previously, when you ran the Transfer - Student Course Grade Record (FR) process, the file incorrectly included records with marks from courses that had inactivated marking patterns, causing duplicates. Now, in this circumstance, only records with marks from courses that have active marking patterns are included.

Student Reporting - Collection (S)• (PBSIS-7596) Previously, when you ran the Verify/Update - Non-graduate CORE

Summary process and selected only some of the buildings, when a student had earned credit for a manually entered course within a building that was not selected, you received a GC11E error indicating that the manually entered course has no earned credits. Now, in this circumstance, the process runs successfully without error.

Enhancements

StudentInformationGraduation Points

• On the Student Exemptions/Requirements screen, State System of Diploma Seals Earned has been relabeled as State System of Diploma Seals. Additionally, this grid now includes two columns: Plans to Earn and Earned.

• On the Student Exemptions/Requirements screen for the Honors Diploma Seal (Ohio), the Earned checkbox is now automatically set based on selections on the FN Graduate tab of the Edit Student Profile screen. The Earned checkbox cannot be manually selected.

• On the Grad Points Summary screen in the Readiness Seals section, the following indicators now display next to each seal used based on the settings of the Plans to Earn and Earned columns on the Student Exemptions/Requirements screen:

Student has no selections in either the Plans to Earn column or the Earned column.

The Plans to Earn column is selected, but the Earned column is not.

The Earned column is selected, indicating the student has met the requirements of the seal.

At the top of the Readiness Seals section, the following status is displayed based on the settings of the Plans to Earn and Earned columns on the Student Exemptions/Requirements screen:

• On the Industry Credential View on the Grad Points screen, all the career fields that an industry credential counts toward and the point values associated with the assessments are now displayed. (StudentInformation Graduation Points Guide)

New School Year Script• The 2022-2023 school year script is included in this release.

StateReportingAssessments

• On the OGT and Alternate Assessment Scores (High School Alternative Assessments) screen, users can no longer add a new record or edit an existing record for the assessment part of WRI- Writing for a Test Date of 7/01/21 or later. If WRI- Writing is selected in the Test Part field and the date is 7/01/21 or later, a message is displayed to let the user know that the selection is not a valid Subject for the Test Date.

• On the Student Achievement (Grade 3-8 Alternative Assessments) screen, users can no longer add a new record or edit an existing record for the assessment part of WRI- Writing or SSC - Social Studies/Citizenship for a Test Date of 7/01/21 or later. If WRI- Writing or SSC - Social Studies/Citizenship is selected in the Test Part field and the date is 7/01/21 or later, a message is displayed to let the user know that the selection is not a valid Subject for the Test Date. Student Reporting - Collection (S)• The following updates have been made to the Non-graduate CORE Summary process:

• The process is no longer limited to students in grades 09 through 11. Records will be generated for any student regardless of grade level who meets the criteria for inclusion.

• Future year completed courses and future year earned credits are excluded from the process.

The student has earned no seals.

The student has earned at least one seal, or the student has earned two seals and they are both Local seals.

The student has earned two seals and at least one is a State Seal.

• (PBSIS-14452) Previously, on the Grad Points Summary screen, the 2018+ Requirements tab was not showing for students for whom the Fiscal Year Began 9th field was set to 2018 or 2019 on the FN-Attributes tab of the Student Profile. Now, the 2018+ Requirements tab is displayed for students with 2018 or 2019 in the Fiscal Year Began 9th field.

• (PBSIS-14795) Previously, on Grad Points Summary screen, if the home school and JVS have set up District Trusts, the was not displayed on the JVS tab. Now, this icon is displayed and will be used with a future enhancement that will enable you to print a Graduation Plan report on demand for the student record you are viewing.

Transcript Formatter (R702)• (PBSIS-13992) Previously, the Transcript Formatter (R702) would not print a numeric

mark with the value of 0%. Now, numeric marks of 0% are printed.

Class List Formatter (R703)• (PBSIS-11542) Previously, the Class List Formatter (R703) did not produce any results

if all Student Status Codes are defined at the District Level and no Student Status Codes are selected for the filter. Now, the filter works correctly, and when no Student Status Codes are selected, all students are included regardless of their status

Security• (PBSIS-12781) Previously, when users on the New Account screen received a pop-up

box with the message that a staff member without an associated email address was found and they clicked the Create Associated Account button, users received a database error if the suggested staff member did not have an email address in the system. Now, the email address associated with the new account will populate the suggested associated account when Create Associated Account is clicked.

StateReportingStudent Reporting Collection (S)

• (PBSIS-14034) Previously, the EMIS Non-Graduate Core Summary record transfer was only including GC records in the EMIS Transfer file for students with Non-graduate CORE summary records who had a State Equivalent Grade on Edit Student Profile of 09, 10, or 11. Now, the EMIS Transfer file includes students with Non-graduate CORE summary records for grades 06, 07, 08, 09, 10,11,12, 13, and grade 23.
