Conference Overview

The ACE 2020 Virtual Conference runs Tuesday, June 30 through Thursday, July 2 with an

engaging lineup of scheduled live-streamed sessions each day and hundreds of presentations

on-demand, available through June 2021. Virtual Conference highlights include:

slides and audio, video links, poster gallery and audio, all available for one year and able to

be viewed at your own pace.

Collecting Your Advertising Benefits

Benefit 1. Prominently placed advertising and logos positioned

We’ve already collected your company’s digital logo and brief company description. These

articles have been uploaded to the ACE 2020 Virtual Conference website for prominent display

throughout the conference, and on demand for a period of one year. Therefore, sponsors and

exhibitors do not have to do anything to facilitate this brand visual opportunity.

Updating Your Company Description

If upon review you feel that your company description needs updating, please send the update

in an email to [email protected]. We in turn will post it to the website and update our records. If

you simply desire to know when the description was last updated, please inquire using the email

address above. In most cases the last-update date is on file. If it’s not that means the description

is most likely in need of updating.

Benefit 2. Exclusive sponsorship of a self-selected conference

technical session

Sponsors and Exhibitors may choose their exclusive session sponsorship. Similar to the logo

recognition in the conference final program event sponsors receive, the logo of the selected

event will appear on the Technical Session page.

Session sponsorships are assigned on a first come first serve basis. We anticipate that there is a

wide enough selection that most 1st choice selections can be fulfilled. In instances where your

first choice has already been taken, we’ll ask that you provide 4 additional selections. Each tech

session is assigned a number for reference purposes when reporting your selections.

Arranging Your technical session sponsorship

Step 1) Click on the appropriate link to access the list of available technical sessions. The list

will be updated each day as selections are submitted.

Choosing this option, your full-page ad would appear in an upcoming quarterly

print edition of EM Plus Magazine. The exhibitor is responsible to create and

submit the ad artwork in accordance to our EM Advertising Specifications. As

with EM Magazine, EM Plus is described in more detail on the EM Magazine

page of A&WMA.org. Note that this option does not include a pre-publication e-

mailer announcing the release of the latest edition; it shows up in readers postal

mailboxes.

A&WMA Website Square Ad

As depicted in the ad options graphic below, these ads appear in rotation on the

left side of A&WMA website interior pages. Each time a visitor refreshes a page

or clicks on a new page the ad refreshes as well to display the next ad in the que.

A&WMA (email) Monthly Member Newsletter Ad

A&WMA Members receive a monthly Member Connection Newsletter, an email

publication containing news and announcements pertaining to the organization.

As depicted in the Member Connection Newsletter graphic nearby, Sponsors and

Exhibitors may submit either the Banner Ad or Product/Service Showcase Ad.

The Showcase ad does not need to be sized to specific dimensions. Simply deliver

to us a .jpg image, along with the text to be used in the Showcase ad. The image

will be resized to fit the space available, and the text will be wrapped around the

image. The text for the Showcase may be sent to us by email or as a Word

document attachment. Be sure to include the URL of the intended website landing

page.

the ACE 2020 Virtual Conference see our exhibitors ads on

is responsible to create and submit the ad in accordance to

Advertising Submission Instructions

The target URL must accompany all ads. Please supply only a print-ready PDF file.

Submitting files:

Please submit files using one of the following (2) options: Adobe PDF is the preferred delivery

method. If the file is too large, please use Dropbox (yours or ours*) or similar file sharing and

storage solution.

We cannot accept any native application file formats (no MS Word, InDesign, Publisher, etc.) or

any other file format. PDF must be a hi-res, print-ready file. All raster images should be 300 dpi.

All fonts must be embedded. Do NOT include printer’s marks (crop marks, registration marks,

etc.) in the file submission.

All colors should be RGB. We cannot guarantee an exact color match. If advertiser requires a

critical color match, please contact your Traffic Coordinator.

The publisher is not responsible for publishing errors due to incorrect file preparation. We use

an on-screen softproofing process. You are not required to send a printed proof.

Advertisement Artwork Submission Deadlines

Sponsors and Exhibitors are responsible to deliver advertising artwork in a timely manner

according to the Ad submission guidelines herein.

Ad selections involving hard due-dates (June 8, 2020) should be submitted as soon as possible.

While others do not have hard due dates, those that do are ads that correspond with the ACE

2020 Virtual Conference event. Therefore, the sooner you are able to submit your ads the sooner

we can post them to the conference website.

If your ad interest is in EM Magazine or EM Plus, your ad artwork is due by the 10th of the

month prior to the month of publication. EM Magazine ads may be placed in the monthly Issue

of your choice through December 2020. Take a look at the 2020 EM Magazine Editorial Calendar

to select an upcoming Issue that aligns to your target audience. Ads submitted without

specifying a month of publication will be place in the next EM Magazine.

Overview

Exhibitors will receive special thanks for participating in our virtual program through weekly

recognition on A&WMA’s social media accounts, including Facebook, Twitter, and LinkedIn. Each

week leading up to the conference, and as a thank you following the conference, A&WMA will

post one collage featuring the logos of our sponsors, and one collage featuring the logos of our

exhibitors.

Benefit 1. Registering Your Sponsor-Exhibitor Conference Attendees

To register your attendees all we need is each person’s full contact information as follows:

Name, title, e-mail and mailing address. It is as simple as that. Email your attendee

information—all at once or as attendees are finalized—to [email protected].

Once your registrants are in the system an automatic email confirmation will be sent to each

person acknowledging their registration.

Substitutions may be made up to the opening of the conference. To replace a current

representative with a new one, simply submit the contact information of the replacement

registrant(s) and the the individual(s) they are replacing to [email protected]

Please note that, Sponsor- Exhibitor complimentary registrations cannot be completed using the

online registration system. If you have additional personnel attending as paid-registrants they

department will be in touch in advance of the conference to discuss various options for your

Sponsors and Exhibitors are entitled to two (2) complimentary online job posts on the A&WMA

6. Managing Your Sponsor or Exhibit Page Q&A

Virtual Exhibit and Sponsor Page Content and Uploading

Q: What is the deadline for uploading materials to our Exhibitor Page?

A: To make sure there is enough time to launch the ACE 2020 Virtual Conference, we ask that all

of your presentations be finalized by June 19, 2020. The materials will be accessible to ACE

2020 virtual conference attendees on June 30.

Q: I received a .PDF (on June 8) of “Final Author Instructions” for uploading their “presentation”

to the Cadmium virtual conference platform. I’m not an author, so how should I imagine my

“Presentation?”

A: Think of the presentation in terms of marketing, all the marketing literature and customer

information you’d like to add to your virtual Exhibit or Sponsor page. This might include:

Company brochures, products, and services, links to video cites like YouTube. Essentially, these

would resemble materials that your sales team might provide in a live-exhibit booth

environment.

Q: How do I upload my materials to the Cadmium virtual conference platform?

A: Your “presentation,” i.e. materials comprising your Sponsor-Exhibitor Page—Company

information, products, and services, audio or a link to an online video—is uploaded into the

Conference Harvester. We’ve already uploaded your logo, URL, and company profile to your

page. Log in to the Virtual Conference Harvester website to complete these tasks. Uploads

are performed using the “Video link.”

Q: One of our people is participating as a presenter in a technical session. Can I upload their

presentation with our other sponsor or exhibitor materials?

A: No. Speaker’s technical presentations are separate and distinct from the sponsor-exhibitor

upload portal. Presenters have their own accounts and should upload presentations into those

accounts. There they can upload their presentation, photos and bios into their account.

Q: I’ve misplaced my Access Key to log into my Exhibitor Page. What now?

A: Your Access Code was included in an email to our Primary Contact at your organization on

Monday, June 8th, from Tracy Fedko, our director of marketing. If you’re not our primary contact

but are tasked with uploading your company’s exhibit page information, please send an email

requesting the login Access Code to [email protected].

Q: I want to add audio to our presentation. How is this done?

A: You may add audio to a presentation. When you do, please make sure you have uploaded

the final version of your slide presentation before recording your audio. Otherwise, you may

have to re-record your presentation. Instructions for the presentation upload and audio tasks

and you can find additional resources on the ACE 2020 Author Resources page.

Q: How do I upload a video to our Sponsor or Exhibitor Page?

A: The system will only take links, and not MP4 files. If the video posted on your website simply

add the link to your video from your Page. If not, you can upload your video to YouTube, which

creates a link that you can add to your Page. Click here to view a video on how to upload to

YouTube and get a link that may help.

Q: Do I need to upload our company logo and company description?

A: Your logo and description have already been added to the site for your convenience. If you

need to edit your company description please let us know.

Q: For Sponsors and Exhibitors, who’s photo is typically uploaded?

A: The profile would typically be that of the main salesperson representing your organization at

the conference. Use the “Speaker Photo” tool to upload the photo.

Miscellaneous Conference Topics

Q: How will the Question and Answer sessions work in the Livestream Sessions and Panels? Will

people call in or will a different means of communication be used?

A: Q&A will take place online. It is essentially the technology we are familiar with when

attending a webinar. There’s a Q & A box where people type in questions and the

moderator/speakers can answer by typing. The moderator can also ask speakers question that

they can answer live via audio/video.

Q: Any handy shortcuts to figuring out which Livestream sessions our company’s speakers and

panelists are participating in, and what time they go on?

A: There are several ways to do this, but this is

perhaps the simplest way: Click the link to the

ACE 2020 Virtual Conference website. From

the Home Page, click the Technical Program

navigation link on the left side of the page

(see image nearby). Then, in the drop down

click on the “Browse by Speakers” option.

Enter your company name as the search

criteria. Hit ‘enter’ and your search terms will

be highlighted on-screen. Click through to

each ‘hit’ noting your firm’s speaker(s) and

session information.
