About your Union and our support

Winchester Student Union supports a number of student social societies at The University of Winchester as well as all our sports teams. The Student Union offers space, and facilities beneficial to the development of societies and activities groups, and we also provide support funding and thorough training to volunteer leaders of these groups - to prepare and help you as organisers to run extra-curricular activities that can really benefit and enhance the experience and enjoyment of a great many students.

We’ll help you organise events if possible and try to ensure we offer support for things like communicating with your members and potential members (through web space, printing etc).

The Student Union's Representation and Activities Centre (RAC) office (third level University Centre) is available for all clubs and societies – please call in.

Equal Opportunities Statement

All Clubs and Societies affiliated to Winchester SU must abide by and recognise the Union’s equal opportunities policy when forming, or accepting new members to their club and society. Clubs/Societies must not discriminate from allowing membership to the club/society, to any individual on the grounds of their creed, colour, ethnic or national origins, sex, sexual orientation, politics, marital status, family responsibility, HIV status, or against any individual or group of people. Any wearing SU branded attire while actively discriminating or bullying will be reported to the Societies Council for consideration, or, if applicable, face suspension from WSU events and activities. It is the responsibility of all members of the SU to see that this policy is implemented.

Winchester SU House Rules

The Officers and Staff of Winchester SU aim to provide all members of the student union with an environment which is safe and tolerant of all other members and guests of the union.

The union has set out guidelines to unacceptable behaviour within its premises. The guidelines refer to both union standing policy and the licensee’s responsibilities. Any member that violates any of these guidelines will be suspended immediately from all union premises, during bar opening hours, and suspended from all SU activities, pending a discipline Committee hearing, as set out in the constitution.

Unacceptable behaviour is deemed to include: Discrimination or unreasonable intolerance on any grounds Verbal abuse, threats and/or violence Vandalism or misuse of premises and property Use of illegal substances Anyone refusing to leave the premises when asked to do so. Excessive intoxication (being battered). Nakedness Vomiting

(All the above are at the discretion of the licensee or equivalent delegate)

Acceptable Behaviour on Wednesday nights…You are allowed to sing within Bop providing the songs are not racist, discriminatory or in any other way offensive to another. Remember, that all house rules apply to all events. Please don’t stand on any of the furniture for safety reasons. Items to consider are:

- Body paint - Noise levels - No to mixed drinks- Good Behaviour !

When leaving the building please try and keep the noise down as we are constantly having issues with local residents. If the residents continue to complain we could well loose our license which we are currently on a probation period. Realistically poor behaviour could result in us loosing our licence which would have a detrimental effect on our ability to fund activities of the SU.

Guests – When signing in a ‘guest’, members are responsible for all the actions of that guest and may face disciplinary action as above (ID WILL BE REQUIRED).

Licensees – The licensees of Winchester Student Union reserve the right to refuse admittance or reject any person at their discretion.

Arrival: remember - current tickets policy requires entry by 10pm.

SOCIETIES COUNCILSocieties Council is a forum for discussion of all relevant issues pertaining to the Union’s societies, so therefore it is vital that each society has at least one representative present at each of the meetings - preferably one of your committee. Attendance is compulsory for all societies. If one or all your officers is unable to attend, then apologises should be sent to Hugh Barnes & Jodie Rodaway, 24 hours prior to the meeting. Failure to do so will result in a £15 charge.

As club officers it is your responsibility prior to these meetings to gain feedback from your members as to any problems, ideas or general comments that they might have regarding the Sports Council. You must remember that you are representing all sports, not just your own personal interests, as all opinions are valued.

Any sports team member can attend Sports Council.

This year there will be Societies Council held once a month, which provides a forum for airing views or posing questions to hopefully aid the continual improvement of the provision of activities at our Union.

It is our job to help increase participation of students within these activities. Your role as an officer is to help increase the diverse range of activities that we provide within the SU. The Student Union and its staff will be more than happy to help throughout the year. If you have any questions regarding society options and support, please do not hesitate to contact us for further details.

It is vital that every society has at least one representative present at each of these meetings (preferably one of your committee). Attendance at the meetings by all affiliated societies is compulsory. If one of your representatives are unable to attend, then apologises should be sent to Hugh Barnes 24 hours prior to the meeting wherever possible. Failure to do so will result in a £15 charge incurred to the relevant club.

CONSTITUTIONAL RESPONSIBILITIES OF THE SOCIETIES COUNCIL

1. The societies council shall consist of:

a. Student Union Vice-President Activities & Services (Chair)

b. SU Participation & Volunteering Officer (Vice-Chair) (optional attendance)

c. A representative from each society, preferably from your own committee

d. Any other interested member of The Union

2. The Societies Council shall:

a. Be chaired by the VPA&S at regular intervals

b. Be responsible for representing the needs and views of Union societies

c. Be responsible for societies policy and co-ordination of awards events.

d. Work to raise the profiles of societies within The Union.

e. Create its own aims and objectives at its Annual General Meeting for its

short term and long term existence and development.

f. Be a democratically run council that will take into consideration and abide

with the Union standing policy (ie: Equal Opportunities policy).

We endeavour to issue the agenda at least 24 hours before meetings so members can input if wished. Minutes are usually taken by a staff member and circulated to members afterwards for reference.

YOUR ROLE AS A SOCIETY OFFICER

Societies are not (usually) affiliated to national governing bodies or leagues and your group may undertake fun activities. Yet your role is one of real responsibility; you are a main point of contact for your members and for the society from externally. You are responsible for your members. It can sometimes be stressful, yet it will certainly be fun and rewarding.

Make sure you use the opportunity to put your stamp on things… the year will fly by!

You’ll be one of the first points of contact for a number of new students and so it will be your job to promote - not only your society, but also The Student Union itself and the services we can offer. Do not forget though that your first and foremost reason of being at University is likely to be attaining your qualification! So don’t be afraid to ask for help if you are finding it hard going.

OFFICERS AND COMMITTEE STRUCTUREAND SOCIETY CONSTITUTION

In order for your team to run as smoothly as possible it is important that you have a committee in place to help share the workload and ensure that all participants gain as much as possible from their experiences.

A committee usually consists of three or more people, and a usual structure includes these positions: Chair Vice-Chair Treasurer(Plus a Social Secretary – though that is an unofficial position)

In order to gain a position as a committee member a vote must take place at the society’s AGM. It is possible to setup additional committee positions through voting - however, this should be dependent upon the size and type of the club/society. We should bear in mind that a minimum level of commitment must be available.

An outline of the various roles which committee members can play has been set out below. The profiles are to give some idea of the sort of work expected from certain members. These are not set in stone, but merely a guideline to ensure that important functions are covered over the year.

CHAIR: Convening and chairing meetings. Acting as the first delegate to the Societies Council. Oversee committee communication via its members and the SU. Ensure results of competitions are relayed to the SU.

VICE-CHAIR: Recording all meetings. Recording and maintaining up-to-date membership records. Collecting mail and dealing with correspondence. Booking equipment and facilities (mini-buses, space etc.).

TREASURER: Ensure monies collected, payment to the Students Union, records kept. Developing and presenting of annual Budget proposal (with

Captain/Chair). The checking of financial records on a monthly basis. Maintaining a control on the club/societies finances. Ensuring all subs are collected and moneys from events.

Another Committee member that a society may have:

SECRETARY: Responsible for fixture arrangements for home and away sports fixtures. Regularly checking for and replying to correspondence from opponents. Rescheduling of cancelled/postponed fixtures.Whatever the make up of your committee, it is vital that this information is passed to the Student Union as soon as positions are filled.

SAFETY RESPONSIBILITIES AND GUIDELINES

We feel that safety at all times is paramount when involved in extra curricular activities. Your members may have specific training or knowledge, but it is our responsibility to provide you with basic safety guidelines that we ask you to follow – you will receive more information at training sessions.

The most important consideration for you at first is that all clubs/society members must be registered with the SU: it is the responsibility of your committee to ensure that all members have purchased a Student Activity (SA) Card (this starts right at the start of the year). The card is required before participation in any sporting or social society activity. It is worth noting that the investment in the card covers participation in all activities over your entire time at The University of Winchester, so it is a worthwhile and necessary investment. The card is mandatory to ensure that students are covered by insurance.

We provide guidelines on how to operate your activities safely and we oversee/risk assess major events such as the Winton Festival to ensure maximised safety for all, including spectators and supporters.

The SU will assist if possible to provide guidelines and training of club/society members in basic first aid. You may be required to ensure a check on any first aid kits you oversee are full (by at least reporting missing items). Please ensure that anyone forwarded to undertake formal training in basic first aid is likely to remain a committed member, as this process means a cost implication. (Please inform us if a member already has a qualification also).

Despite all these procedures being in place, accidents still occur. Any incident that requires medical attention should be reported to the SU as soon as possible and recorded with as much information as possible. Allow common sense to prevail - and if you are in any doubt over the casualty’s condition, we advice: get them to hospital as soon as possible.

Risk assessments:To ensure risks are minimised and precautions are put in place where they are unavoidable, we may require you to complete a risk assessment form or exercise. This may involve carefully checking a ready-prepared form and marking any additions or changes thought necessary for a particular event or venue. This is most likely when a specific major event is attended such as Freshers Fayre or a sporting tour for example. Hazards exist and it is important that all of them are recognised. It is vital that persons managing events are aware and prepared for all eventualities.

ADMINISTRATION

A successful committee is dependent on good organisational skills to see it through the year. We are aware of the time constraints that will be placed upon the committee, so your SU aims to provide some administrative support where possible. Below are the main areas where assistance will be granted, and also the procedures that need to be followed in order to receive this help:

Office hours: the union’s activities administration office is open for your use between the hours of 10am to 4pm Monday to Friday.

Post/Mail: post received for your club/society will be available to collect from your pigeonhole behind the SU reception. If you are expecting any correspondence then please ensure that the correct address is given out and that senders clearly address post to your club/society. If you have any post that you wish to send, please make sure that it has reached the office by the close of the office hours to ensure same day posting.

Phone/Fax: there are telephones and a fax machine available for use when arranging fixtures or for other club/society matters. Please be considerate and keep disturbance low if the VPA&S or SDO or staff are busy with office tasks. Faxes will be placed in your pigeonhole.

Notice boards: all clubs and societies have notice board space to use. Sports notice boards are situated in the games area, level 2 of the University Centre. All notices and important information should be posted on your board: bear in mind Union standard policies apply regarding publicity.

FINANCES

An Introduction to the Union’s Financial Procedures

For all affiliated Sports Teams or Clubs: Each club is allocated two separate accounts within the SU: Account 1 and Account 2.

Account 1: This account holds any monies allocated to the club/society by The Union. From this account you should fund all activities which are directly related to the running of your activity, i.e. venue hire, transport costs.

Account 2: Here is where all other monies such as sponsorship and fundraising must be placed. This money is to be spent on sundry expenses that are not directly related to the running of your club/society. This covers such things as training resources or end of season trophies.

Please note that neither of these accounts has an overdraft facility for you to over spend: it is your responsibility to ensure that there are sufficient funds available to cover all expenditure that you make. Failure to do so will lead to disciplinary procedure outlined in the terms and conditions of Grant allocation. This is why we recommend that you have a club treasurer as proper financial administration is vital.

SubscriptionsSubscriptions exist to benefit all teams & societies. It ensures you can take charge straight away of sourcing necessary revenue and build a list of serious members.

Sports Teams SocietiesBUSA teams - £20per person No enforced charge, but £20

maximumSESSA teams and non-league

teams - £10per person

SOCIETIES ACCOUNTS: A typical society has one account; this is for all monies.No club/Society is permitted to have any private accounts of any kind outside the Student Union. The Union must be particularly strict on this and anyone found to be in breach of this rule will face serious disciplinary action.

- All money has to go through the Student Union- This includes social kit etc.

STUDENT ACTIVITY CARDSIt is compulsory that if you are participating in a union activity that you own a student activity card. The card costs £15 (for 1st years), £10 for 2nd years, and £5 for 3rd or 4th years or postgraduates. The card provides you with insurance for activities undertaken. If you are a sports team member, it is essential you obtain a card as league rules state that all sports members must have insurance. As club/society officers you must insure that all members obtain an activities card. Failure to do so may result in your team/group being suspended from all SU activities. Once purchased, your card covers you for the whole duration of your University experience.

SponsorshipAs many clubs/societies are already aware - sponsorship from local business or organisations is a good way to raise extra funds. Essentially, most sponsorship agreements forms a contract between your club/society and an external party whereby you may be required to promote their name and logo, purchase goods solely from this agent. This is important to remember when approaching possible sponsors, as you need to show that you have something tangible that you can offer them I return for their money. Whatever the requirements of the sponsor are: ensure that the relationship is clear to both parties and all concerned are aware of their responsibilities.

To prevent instances of difficulty - if you are entering into a sponsorship deal please seek advice from the VPA&S, General Manger (GM), or Representation & Participation Co-ordinator (RPC) and establish all details into a contract. We will assist with producing a draft or final written agreement to sign by all parties with responsibilities. But don’t forget, your bread is buttered at the Union!

FundraisingTime in the schedule for event nights is set aside for clubs and societies to raise funds from door receipts. Club and society nights are often scheduled on Tuesday’s, and The Union can offer venue space, staff, equipment, and advice for your event night. In order to host an event, your club/society must submit a proposal to Gemma Burt (Bar & Entertainments Manager). The best way is by using the website bookings form at www.winchesterstudents.co.uk/bookings.

Paying Money into your Account

All monies should be paid into your account through the VPA&S at the SU office, Monday to Friday 10am-2pm. On depositing money it must be made clear which club/society the money belongs to, and which account you wish the funds to be paid into. Please ensure you request a receipt for all monetary deposits. All monies raised should be deposited with the SU. Failure to do so will result in disciplinary action in accordance with the terms and conditions of Grant Allocation and may result in your club/society’s activities being suspended.

Monthly Accounts Each month you will be given a statement of your account. We ask that you check through this thoroughly and highlight any mistakes/queries you may have. If any problems do arise with any transactions, then please put your comments in writing and they will be dealt with before the next statement is due.

Ordering from SuppliersThe Union must be kept informed of all purchases from outside bodies, and an official purchase order form must be completed prior to any purchase. These forms are available from the VPA&S or the GM. For any purchases, 3 official quotes must be sort plus authorisation from the Volunteering & Participation Officer and the VPA&S. The purchase order form will only be completed and signed once the VPA&S / General Manager (GM) has checked your accounts to prove you have the money to pay for the goods. Only once these guidelines have been followed can the order be placed. If an order has been placed without following these procedures then the SU will not guarantee payment for the purchase - and you will be held responsible.

TransactionsWe expect all purchases and payments by the club/society to be processed through the SU Office. There are two main ways to do this:

1: A member of the club/society pays for goods out of their own pocket and then presents a receipt, for reimbursement from the club/societies account... this can be used for low cost items from shops where payment is expected on the spot. However, it is important to be aware of how much money is in the society account - as we cannot reimburse money that the society does not have. A committee member/officer of your club/society must present or approve the receipt.

2: Presenting an invoice to the SU Office so that a cheque can be made out of the company requiring payment...This is appropriate for larger payments and booking fees. If a company requires paying in advance, ask them to produce a proforma invoice, or request an official Purchase Order Form from the SU Office and we will draw up a post-dated cheque to the company.

Cheque Requests/Expenses Claim FormsIn certain circumstances it is necessary to pay for goods/services in advance and then claim the money back from your union account. In order to do this you will need to fill in the relevant claims form and return it to the Student Union office (a copy is enclosed in this booklet). In order for the claim to valid, the receipts from your purchase must be attached to the form along with full written details of the transaction. This form must then be signed by an officer of your club, and by the VPA&S or General Manager. Without these two authorisations the forms will not be processed.It is your responsibility to ensure that your club/society will authorise the purchase and that sufficient funds are held by the club/society before you make any purchase.

Freshers FayreRepresentatives of all our sports teams and student social societies are expected to attend this event day to run a table. It is the best day of the year to tell students about your activity and how they can get involved – but please remember that as it takes place before the start of term 1. Completion of an official booking form is required, and this will be made available to you in good time. Agreement to terms and conditions must be confirmed. A small charge (£10 for 2008-09) will be made to each club/society account to help the Union towards costs and table provision for this special day.

Tips for Treasurers… Project a budget for the season (bear in mind that there

are more fixtures after the BUSA matches finish). Keep an eye on your account: make regular visits to the

SU to get regular account statements and check it against your records.

Ensure all monies are paid into your appropriate account: this is a constitutional requirement - and abuse of this will result in serious action.

Encourage the rest of the committee to investigate outside investment/sponsorship and fundraising possibilities.

Use social events to earn money for the society/club: these should not cost you money!

Don’t be scared to say ‘no we can’t afford it!’

MINI-BUS PROCEDUREThe option to use of the mini-bus may be vitally important for certain clubs or societies. The Student Union currently has two mini-buses (one almost new and one not so new). However, unfortunately this still means extreme limitations to the number of clubs and societies able to use the bus at once!

It is likely that only a few of your participants will be able to drive the bus - as a number of strict criteria must be met (see below). The importance therefore of all suitable potential drivers for the clubs/society (even perhaps trusted regular supporters) coming forward cannot be over-emphasised. For those who are interested please contact the VPA&S.

The aim should be to seek two reliable people for each group who can drive. This is important for safety reasons particularly; especially to cover long trips. The procedures outlined here will help in your usage of the mini-bus throughout the year:

Drivers should be of 21 years of age or over and hold a full, clean, UK drivers license (for at least two years). It is a requirement also to have taken and passed a standard Student Union administered minibus test.

The planned distance to destination will be taken into consideration when deciding on which clubs or societies are authorised to use the buses.

Competitive matches will have priority over non-competitive matches. Before the bus is taken, the driver must fill out a passenger list, detailing

names and Student Activity Card numbers. If anyone does not have their activity card, they will not be allowed to travel.

When you collect the keys, please remember - you will need the BP (fuel) card from the VPA&S. Always where possible please use BP service stations.

Your account 1 will be charged 30p per mile - which we heavily subsidise. Please return the bus with at least ¼ tank of fuel after use. One other minor point… both our mini-buses are DIESEL!! In the event of a break down - look in the folder contained in the vehicle for

the correct procedure & contact number for the correct breakdown recovery company.

Rules applicable to all: - No consumption of alcohol is allowed on the mini-bus whatsoever. - If the bus is returned in a manner to which is not acceptable in terms of litter and overall interior condition, then the privilege of using the bus will be taken from your club/society.

Recommendations for greatest success

1. Appoint a social sec. They can be really helpful and take the pressure off of you when the match is over. Also it’s a great position and people will always want to go for it. I recommend this for both sports teams & Socs.

2. Meet up with the committee once a fortnight. Talk over things that you might want to raise in the Sports/Socs Council. Discuss duties (Captains delegate them out), sort out arrangements for meeting times. Essentially the Captain has the final say.

3. Have a long term plan/goal at the start of the year, for example we are going to release our next issue on these dates… or we are going to get this many points this year.

4. When playing home or away always allow for slackers who turn up late and traffic (i.e. the mini-bus being old and slow!). There’s nothing worse than turning up to a fixture trying to get changed on the bus and having 15 minutes to get ready and start playing.

5. Always travel in your kit rather than suits as you may need that time to warm up in!

6. Come down & see me (Hugh Barnes) on Monday to check for conformation of fixtures.

7. Always go on AA routeplanner and get directions for your route also take a map book.

8. Make it clear that players are welcome whatever their ability. They may be pants on pitch but you never know when you will need them through injuries etc or maybe they can drive the mini-bus or they could be a legend on the social scene and be the life and soul of your team off pitch.

9. Don’t get frustrated when people don’t go out for socials that will always be the case. It’s up to the Social Sec to organise fun & exciting things to keep them interested in coming out but literally some people will simply just not want to so don’t pressure them. Thank them for their on pitch ability and tell them of next week’s fixture.

Suggestions for some activities in a week as Society Chair or OfficerPromote your activity to new or potential new member students through posters, the Portal (Intranet), social networks etc. Remember that the SU website systems are available to you: please E-mail the SU’s website co-ordinator to request access for updating your webpages on the public website (www.winchesterstudents.co.uk). You are welcome to link from Facebook etc. to your official pages (or vica versa).

You can also use the ‘Oncampus’ official SU campus/social network…. It’s recommended that leaders of our activities societies or clubs develop your groups – all you need to do is register on the website, join the official groups, and ask for admin rights in order to go ahead a generate user-generated content here.

Organise events, practice/socialising, meeting up etc., and book venues if necessary. Check through First Aid kit and replace any items used the week before.

Look into sponsorship options from local businesses (see us for advice) or advertising revenue possibilities if relevant to your society. (We can advise).

Check your pigeon holes & E-mails for information. Work out any transport requirements. Decide meeting times allowing for traffic, late people etc. If there’s a Societies Council meeting, ensure your representative goes to it! Inform everyone of the arrangements.

Check all of your participants have an SA Card. Think about arranging a social night at the Union that may give a real fundraising possibility for you – as well as enjoyment for all; a great fancy dress option perhaps (see the website www.winchesterstudents.co.uk/ents for schedules (Tuesday’s are often the one’s that can be booked by Clubs/societies). Contact the Ents team on E-mail: [email protected] or see the “venue bookings” webpage.

Run some events, productions, practice, or more. Perhaps contact some groups at other Universities and SU’s… (See www.oncampus.net for a list of a number of other SU’s on their network)… or national societies perhaps? Link up or support, or accreditation (prizes) may be on offer. Research your competition!

If your society needs transport you’ll need to book the mini-bus booked and pick up the keys off Hugh and diesel card. Remember the First Aid kit. Ensure you have a contact number for the persons or event venue that you are attending. Drive safely. Make sure the diesel has at least a quarter of a tank on return; tidy the mini-bus (even if it is the old one!). Return the keys to Hugh and inform him of any incidents.
