New Section- Other FLSA Earnings

The new section is located below the premium overtime section and above the salary adjustment section of the Bonus Supplemental Pay ISR.

New Section- Other FLSA Earnings

The wage types that are allowed in this section are those that are included in FLSA calculations.

University Shift Differential (WT2290)The hours and amount field must be filled inThis new wage type replaces any previous methods of paying out shift differential for University employees (205M)

University On Call Pay (WT3040)Hours are not entered for this wage type – just the total amount earned

Health System Supplemental Pay (WT3077)Wage type works the same as it has in the pastHours are not entered for this wage type – just the total amount earned

New Section- Other FLSA Earnings

If employee received premium overtime pay and earned University Shift Differential and/or On Call Pay in the same week

An additional Bonus Supplemental Pay ISR needs to be completed

Wage Type 205MAmount- Difference in hourly rateSame # of hours that were previously paidExample

Week ending 9/18/11 employee received:$200 - Shift Diff

$50 - On Call Pay5 Hrs Premium Overtime @ 1.5 times hourly rate- $30

---------------------------------------------------------------------Take weekly working hours (37.5) x normal hourly rate ($20)= $750

$750 + total FLSA earnings ($250)= $1,000$1,000 / weekly working hours (37.5)= $26.67 (new hourly rate)

$26.67 x premium rate (1.5)= $40 (new FLSA rate)$40- normal premium rate ($30)= $10 difference--------------------------------------------------------------------

Premium Overtime SectionWage types will now populate automatically on ISR (205A or 205M) based on whether hours only or hours and rate in effect fields are completed205A- 1.5 times employee hourly rate of pay

“OT Rate” column will automatically calculate and populate the 1.5 times employee hourly rate of payNo “Rate in Effect” amount should be entered

Salary Adjustment Section (WT6560)

Reduction in pay (WT6560)- was previously only applicable for JHU semi monthly employeesIt can now be used for salaried employees of the Health System and EMS providers

Lock Down Retro Dates Phase 1 will be effective - October 7th, 2011No longer able to process retro ISR’s earlier than the following dates:

S1: 01/01/2010B1: 12/20/2009W1: 12/28/2009The new retro lock down dates will be reset at the end of each fiscal year and will be set to the first pay period of the previous calendar year.A process has been developed for cases when the salary must be increased retro to these dates.Phase 2 will include the lock down of eforms and time entry and any infotypes that are directly updated (i.e. licensure, education, etc.) – start date TBD.

Processing Retroactive Changes Effective Before Current Lock Down Dates

If a retro change occurs before the specified lock down dates:Initiate the appropriate ISR using the current retro lock down date for that employees pay area

Be sure to make a note of the ISR numberThen initiate a bonus supplemental pay ISR

Use a date in the current pay periodIn the one time payments section of ISR, use one of the following lock down wage types:

JHU- 3UF1 Health System- 3HF1

Enter the remainder of the money owed to the employee- to be paid out in a lump sum paymentCannot use a sponsored account number to pay retro funds (9XXXXXXX)Enter the retro ISR number and actual retro date

Not the effective date of ISRAdditional Notes:

Fellowship Recipients that are due retro funds prior to the lock down date; should be paid out using (WT3018) Lump Sum Fellowship Payment. If paying retro hours not associated with an action – contact HRSS for assistance

Calculating Bonus Supplemental Amount (WT3UF1 & WT3HF1)

For S1 Salaried employees: Take difference in semi rate and multiply by the number of pay periods still owed. Example:

If the retro begin date is not on a pay period begin date, you will need to prorate the amount for that one pay period

•Actual Retro Date:1/1/2009•New Semi Rate ($3,000) minus by Old Semi Rate ($2,500)= $500 difference

•# of pay periods ee still due 24 (1/1/09 to 12/31/09)•$500 difference x 24 pay periods= $ 12,000 lump sum payment (JHU-3UF1)

Calculating Bonus Supplemental Amount (WT3UF1 & WT3HF1)

For hourly paid employees: Take the difference between the old and new rate and multiply by the number of hours that have been paid out to the employee during the retro time frame. Example: •Actual Retro Date:1/1/2009•New Hourly Rate ($10.50) minus by the Old Hourly Rate ($10.00)= $.50
