Simple Safety Coach – Quick Start Guide

Your InformationThis will set you up in the system as the Safety Manager, which has permissions to do everything. You can change this later if you wish.

Make sure to use an email addressthat you can access.

New Account SignupThis will create the “shell” of a company which includes a default “Home Office” site, a Safety Manager role, and a User with the information you enter below.

Password Create LinkThe link will take you to a page where you enter your email address to start the password setup process.

Account Signup SuccessReceiving the success message indicates that your account was successfully setup. You will receive a welcome email with a link (same as on the screen below) to setup your password.

Email AddressAn email which contains a confirmation link will be sent to this address.

This needs to be the same email address you used on the first signup screen.

Start Password CreateYou account is created. Now you need to setup your password.

Email LinkThe link in the mail needs to be used for the password create process.

If you go through the process multiple times for some reason, ensure you use the link from the most recent email message.

Successfully Started Password CreateCheck your email for the password create message.

Password RulesMake sure to follow the password guidelines!

Choose at least one of the special characters from the provided list.

Show Me!If you are having problems withgetting the passwords to match, orwant to verify what you type, checkthe ‘Show password’ box.

Helpful TipIf you hit refresh, in Account

Management , by default it will

display the Company tab as active.

Enter Company Information

Start by entering basic information about your company. You will only need the SIC code, NAICS code and API Key if you are planning on connecting to OSHA’s Injury Tracking Application.

Active/InactiveOnly Active sites will display in the drop-downs throughout the rest of the system. This is the only place where you can get to inactive sites.

Sites are not deleted. When not needed any longer, mark a site as Inactive. That way, all of the historical records are preserved.

Create/Update Site(s)There is a default “Home Office” site. You can change the name and add additional sites as you need.

Security NoteAny activity that has a reasonable expectation of containing personal health or injury information is called out for special attention.

Only assign as absolutely needed!

Create RolesMake the system as locked-down or as transparent as you would like by assigning activities to roles and roles to users. Keep in mind, employees allowed to report safety excellence or needed prevention and then see actions taken in response provides optimal return on your investment.

Thoughts on RolesA good starter set of roles may look something like:

• Staff, Supervisor, Leadership, Safety Committee, Site SafetyLeader, and HR.

• Safety Manager is created bydefault and cannot be changed.

• Each company is required to haveat least one user with the role ofSafety Manager.

Starter FileYou can get a head start on

uploading users by first

downloading a “Template File” of

existing users. Having just signed-

up, you will be the only row in the

Template File. Copy and paste new

rows, change the data to the new

user and update the User Action

column to “A” (add), for each user

you wish to add.

Create Users

You can create users either through the entry screens, or by uploading an Excel file. Note that in order

to retain historical records, users are never deleted, just made inactive.

Assign RolesAssign one of the Roles previously

created to each user to control their

system access.

Hover HelpHover over the blue (i) and a popup will provide additional information.

Tips & TricksWith users created and their roles assigned. You can now go back and update the Company profile with the Corporate Safety Officer, and each site with the Site Safety Manager.

Expand Your KnowledgeClick on any of the (+) signs and they will expand with more content related to the surrounding topic. Click on the (-) and it will collapse back up.
