Improvements to ShipServ Onboard What's new in the latest edition and how will it help improve the onboard purchasing process? The latest edition contains entirely new software and brings together our three indi-vidual onboard solutions - ShipLink, Ship-Cat and Mariner’s Annual PDF - into one single application that the user can access with a single icon on the desktop.

We have modelled the search interface on ShipServ Pages, which makes the ability to search by product, part number or drawing number much easier than before.

There are now over 120 supplier cata-logues in the new format – up from the 40 contained in the last edition - plus pro-files from approximately 1,500 suppliers who have a Premium Profile on ShipServ Pages.

Why use ShipServ Onboard? If you have your own purchasing system and a current way to send requisitions ashore, then ShipServ Onboard is a great reference/research tool that helps your shipboard personnel specify individual parts and products.

For companies that don’t have a purchas-ing system or requisition system, ShipServ Onboard provides the ability to source products through searching profiles or sup-plier catalogues and then send a requisition immediately ashore.

The information is updated on an annual basis, so the requisitioner can be confident that they have the best possible informa-tion that we can provide.

Why is it important to use ShipS-erv Onboard when sourcing? If you consider the position of a buyer who gets a requisition from a ship, or any kind of enquiry, a product number and exact specification is always superior to a broad description or a generic code.

By using ShipServ Onboard, with its elec-tronic catalogs and highly edited content, it becomes very easy for the user to know the exact product number and precise descrip-tion. This in turn removes the guesswork

from the shore-based purchaser. With 124 electronic catalogues included

in ShipServ Onboard (some of which con-tain thousands of individual items), plus over 1,200 pages of edited content, there are many more products featured than we have ever covered before.

Why is there a DVD?We are still producing a book for people

who have been used to that format, but we hope everyone will try the DVD as it includes the complete package including requisition tools and extensive supplier catalogues.

Everything included in ShipServ Onboard now represents over 50 years of product expertise, so the user can be confident that we are on top of both the important prod-ucts that have been around for a long time as well as the newest innovations.

How easy is it to install? Simply insert the DVD, click OK a few times and the software will do the rest!

How do I get a copy of ShipServ Onboard, and who receives it?

Copies are free to purchasing managers and ship personnel. All ShipsServ TradeNet users currently receive free copies of both the DVD and Print Edition – copies are normally sent to the purchasing manager of the company. We also have a network of suppliers who are authorised to distrib-ute free copies.

You can also download ShipServ Onboard to your ipad by visiting www.shipserv.com/help/sso and filling in the form.

If you would like to receive extra copies of the DVD contact [email protected] or visit http://lp.shipserv.com/ShipServ-Onboard-Order-Form.html

Maritime Software Partner Profile: Logimatic February 2015 5

Over the last few months ShipServ has been working closely with Logimatic to build an adapter to

integrate ShipServ TradeNet with Logimat-ic’s new Sertica solution for Fleet Manage-ment and hopes to have the adaptor com-pleted by end of Q1 this year.

Clients that will connect to ShipServ through Sertica will include Ultragas and Torm.

The Aalborg-based company has more than 25 years of experience within both the maritime and industrial sectors and its solution are built upon countless imple-mentations of software solutions around the world.

ShipServ has worked in conjunction with Logimatic for a number of years and previ-ously was integrated to the predecessor to Sertica – Logimatic e-POS.

The Sertica solution covers fleet manage-ment, procurement, HSQE and planned maintenance and was purposefully devel-oped in close co-operation with ship own-ers and fleet managers operating world-wide.

The procurement module has been devel-oped for professional purchasing depart-ments with focus on speed, stability, usabil-ity and efficiency.

As an example the procurement process is linked closely with the financial depart-ment through the newly developed Invoice Management Module. This new module ensures automated matching of received invoices with the existing data in Sertica.

By increasing the automation in the entire process from the item is ordered to the way that the final invoice is processed, com-panies achieve higher efficiency and full insight into cash-flow and financial com-mitments.

Sertica is type approved by both Bureau Veritas and DNV and used by clients such as J.Lauritzen, Ultragas and Torm.

WebReporter is a key part of ShipServ’s suite of Business Intelligence tools that allows all

ShipServ TradeNet users to measure key purchasing KPIs that are vital to their busi-ness.

Whilst using WebReporter, purchasers and managers are able to run seven stan-dard reports: Purchase Orders by Supplier, Purchase Orders by Vessel, Transactions by Supplier, Transactions by Vessel, Supplier Analysis, All RFQs, All POs. The reports can be broken down into custom time peri-ods and exported to excel format.

The Supplier Analysis report provides management and buyers with up-to-date, accurate information on how their suppliers perform against cost, quality, and timeline goals. It helps manage suppliers to ensure that they are meeting corporate purchasing targets and delivery schedules.

Supplier evaluation metrics that can be ac-

cessed via the report include: - Number of requests sent and re-

sponded- Number or percentage of quote re-

sponses - Number or percentage of accepted,

declined requests - Number or percentage of pending

and no reply requests - Number of quotes awarded for or-

ders

- Number or percentage of pending quotes

Other ShipServ BI tools include the new Match dashboard, Transaction Moni-tor, quarterly KPI reports and soon to be launched Spend Analytics reports for indi-vidual vessel types.

If you have any questions about the issues covered in this newsletter, please do not hesitate to contact your Service Delivery Manager or our Customer Support Centre on the numbers above. We welcome suggestions for the next ShipServ Connect please email us at [email protected].

Tell us a little bit about your role at ShipServ?

I work in our Danish office in Copenhagen as a part of our Global Service Delivery team. My primary tasks are to get new clients started with order management integration solutions to our TradeNet platform and to manage and support existing clients and their ongoing integrated processes.

My role involves working with both our shipowner/manager clients and our large supplier clients and feeding their issues, concerns and needs into our product development team.

How long have you been with ShipServ and where were you previ-ously?

I started in December 2006 and my role within ShipServ has changed sub-stantially since then as initially I was much more directly involved with first line support level issues, but now most of our first line support issues are handled by my close colleagues in the Service Delivery Center in Manila, who we have constant contact with.

Before ShipServ I worked with Visma Software A/S – a Norwegian owned ERP software for small/medium sized busi-nesses. I worked with Partner Channel programs of education and authorizations, the training of new consultants, presales, client solution setup and consulting.

What do you enjoy about your job? We generally have great freedom in the

ways of working and great influence on how things can be done. I also enjoy the connection with the many different clients. Having both the connection to the client side and our product side keeps me on my toes with solution suggestions and how we can assist the clients’ needs with our different solutions as well as how our products are working in general.

What has changed in the industry/e-commerce since you joined ShipServ?

The shipowner/shipmanager has become a lot more comfortable with the use and concept behind e-com-merce – there is not so much scepti-cism on whether it actually works.

Benchmarking and the use of our KPI reports have increased as the purchasing process becomes more transparent and accountable.

What qualifications do you have and how do they help in your role?

I generally have a positive mind towards how to fix issues and provide experience with many different sys-tems and process approaches.

Having a Masters in Economics supports the process of understand-ing clients need not only as an ‘inte-gration project’ but also on a broader investment level.

What’s your interest outside ShipServ? I enjoy both watching and participating

in a lot of different sport, but specifically Mountain biking with friends.

Obviously we don’t really have any mountains in Denmark but it is still a lot of fun. I also enjoy racebiking to work and an occasional Triathlon race, swim and run sessions.

‘Having connection to client and product development team keeps me on my toes’
