Cost & policy consultancy

Throughout your employee’s assignment, we provide you with full expense management support, including claims processing, reimbursements and invoicing. Expense management makes the process of managing many global assignments simpler and more cost-effective for our clients.

We begin with a thorough understanding of your company’s relocation policies and practices, different types of expenses and associated approval process. Next, we present host country’s expenses regulation, assuring compliance and/or advising on potential improvements.

The importance of easy and accurate record keeping for you and your employees cannot be understated. Therefore, we create a personalised web-portal, with password-protected, tiered access for you and for your employees.

Here we provide useful information, particularly pertinent details of the policy, its limitations and exceptions. On the portal, your employees will be able to submit and track their expense claims, and once we have paid them, you will be able to access dynamic reporting on a global or case-by-case basis.

All reporting is bespoke and aligned to your needs:

• Costs-to-date pivot tables group by manager, department, country

• Cost Tracker Assignee Report (for each Assignee),

• Monthly, year- to-date and year-on-year comparisons grouped by or split down to preferred level

Expense management

One of the most fundamental aspects of your employee’s relocation is their new home. Our home search programme will find a suitable home for them and their family, in good time, in line with policy and budget.

We have been finding and securing homes for our clients for decades; we have experience sourcing them all over the world. As such, we can accompany your employees throughout the entire process.

As in all things, knowledge is power; understanding the employee and their family’s needs is intrinsic to finding them the perfect home, no matter where in the world they are moving to. So, we begin the home search journey with an in-depth discussion about them, their lifestyle, family and preferences for their new home.

Home search We stay with our assignees every step of the way, short-listing properties, accompanying them on viewings, sharing our local knowledge. When the new home is found we can negotiate the lease arrangements, arrange an inventory check-in, connect the utilities and arrange to pay the security deposit and rent subject to a funding agreement being in place.

We also provide ongoing support for up to three months, in case there are any issues arising in relation to the home.

School search

Relocating abroad is a significant event for a family, and so when your employees are relocating abroad, their children’s needs are likely to be at the top of their list of concerns. We understand how important education is; our experience means we are able to find the schools where children can settle and thrive.

School searches always begin with getting to know the family, the children’s requirements, their schooling background and aspirations for the future.

We help choose top ranking local schools, international schools, schools that follow the curriculum and teach in the language of origin country. Armed with vast expertise, our specialist education consultants create a short-list of potential schools, explain admission requirements and accompany the family on meetings when they arrive.

We help to manage expectations regarding the availability of places at school and guide through the admissions process and timeline.

Tenancy managementOnce our home search has delivered the perfect property for your employee, and throughout the duration of their assignment, we take care of all matters relating to their tenancy.

Serving as intermediaries between employees and landlords, we provide the following:

From surveys that assess exact moving, packing and access requirements, to being at

hand for concerns on moving day (or any other stage of the process), our team can guide your employees through the process, making it easy and stress-free.

After so long in the industry, we can anticipate any and all potential problems before they occur. We issue to your employees all the necessary documentation required for their move, including insurance and

customs forms and help to complete them.

We take note of our clients’ relocation policies, and its allowances and limitations and keep both HR and the employee “in the loop” at every stage, to make sure there are no nasty surprises along the line.

As part of our services to help your employees settle into their new location quickly, we offer a variety of language training programmes, focusing on developing language and grammar for business and for socialising.

Working with groups or one-to-one tuition, delivered in language schools, in your employees’ homes or online, our language training programmes are entirely flexible to your circumstances.

The two most popular ‘types’ are intensive, whereby the student takes one or two weeks of full language immersion and moderate, two 1½ to 2 hour sessions per week.

If it is required or preferred, your employee can be formally assessed, through examinations, questionnaires, reports and appraisals, or informally through continuous feedback, observations and self-assessment.

We have found that relocating employees with a higher level of language aptitude fit into their new cities faster, and perform better in their workplace as a result.

Departure Services

Our team’s years of experience working in property and tenancy management means they are exceptionally well placed to manage the end of your employee’s tenancy when its time to move on.

We aim primarily to minimise dilapidations and for the full and timely release of the security deposit. We manage the following:

• Serving notice – in line with the legal terms of the lease

• Tenancy management – acting as an intermediary with the agent or landlord

• Post-departure – coordinate professional cleaning and a check-out inventory, closing down utilities with providers and organising schools and local authority de-registration (if applicable)

• Deposit management – negotiate fair dilapidation charges and ensure that the deposit is returned on time, dealing with any matters arising

We provide our clients with a bespoke, highly customised Web Portal from the beginning of our contract. This supports all the areas of our relocation programme, and keeps both you and your employees informed, organised and on schedule.

In the areas accessible by the employee, they will find everything they need to understand and manage their relocation, including:

• Contacts: details for all personnel relevant to the move, from your team and from ours

• Calendar: where all upcoming dates, such as for surveys, packing and shipment delivery can be found

• Expenses: making submitting expenses simple and easy

• Communication: all messages are archived for quick reference

• Move tracking: using GPS coordinates, your employee can see exactly where their household

goods shipment is at any time

HR staff share access to contacts and calendars, and will also be able to control aspects of the relocation, specifically:
