Wedding FAQs
When is a good time to start planning my wedding? We recommend, the earlier the better to ensure you have plenty of time to plan and book your desired vendors! We take
inquiries from 14 months to 2 months before the big day.
Are we able to host a destination wedding? Absolutely! The Holiday Inn Virginia Beach – Norfolk Hotel & Conference Center hosts destination weddings throughout the
year! Our catering staff will be happy to assist you from planning locally or long distances via fax, emails, or phone.
What kind of menus/packages do you offer? We provide sample menus and packages to help give you an idea! Please feel free to choose from our wedding packages,
or customize your own special menu with help from our culinary team. Contact our Catering Manager to help get you
started!
I have guests that have dietary restrictions or allergies, can you help accommodate them? Yes, we can accommodate any dietary restrictions or allergies! We just ask that you notify your Catering Manager of any
special requirements so our culinary staff can be prepared and do not experience any delays from service the day of the
event.
Do you have a children’s menu? Yes, we do have a children’s menu option available and discounted for children under the age of 11 years old. Please
contact your Catering Sales Manager for more information.
What is included in the wedding packages? The Holiday Inn Virginia Beach – Norfolk Hotel & Conference Center pro-
vides you with your choice of full length table linens in white or ivory, napkins
available in a wide variety of colors, tables, chairs, cutlery, china, house
centerpieces if desired, professional banquet staff to service dinner, compli-
mentary champagne toast (non alcoholic sparkling cider available), and
cake cutting service. We can also help
coordinate with rental of any chair covers, linen, and specialty lighting.
Do you allow alcohol? Are there bartender fees? Yes, we can provide bar service for your event! The bartender fee is $75.00
for each bartender needed. We recommend one (1) bartender per 100
guests. Please
contact your Catering Manager for bar packages.
What are the service charge and tax? The current sales tax on food and beverage is 11.5%. For other services, the
current sales tax of 6% applies. There is a 20% service charge for all catered
events.
Do you provide wedding cakes? Flowers? DJs, Etc. Our packages include cake cutting service but we do not provide the cake
itself. Your Catering Manager will be happy to send over the list of preferred
vendors for you to browse!
Do I need a Wedding Coordinator? Although not required, we highly recommend hiring a professional wedding
coordinator to execute a flawless event behind the scenes so that your fam-
ily and friends can attend the wedding as a guest and not have to worry
about ‘working’ it! There are a many affordable, local event planners that
we can recommend.
Is there a deposit to reserve space? Yes, there is a nonrefundable deposit due at the time of the signing of the catering agreement that is applied towards your
final balance, based on the food and beverage minimum required for the space you’re interested in. Additional deposits
will be required and scheduled throughout until the final balance is paid for 7 days before the event.
What is a Food and Beverage minimum? This is the minimum amount required that you would need to spend on our in-house food and non-alcoholic beverages for
your event. The food and beverage minimum does not include taxes or the service charge. Please see your Catering
Manager for what your rate would be.
When should we discuss our menu selection?
Your Catering Sales Manager suggests finalizing menus no later than (1) month prior to you event.

Does the Hotel allow outside food and beverage? As a full service conference center, all food and beverage is required to be purchased through (or from) the Holiday Inn Vir-
ginia Beach – Norfolk Hotel & Conference Center with the exception of the wedding cake.
Is there a Room Rental Fee? There is no Room Rental fee if you meet all of your Food and Beverage minimums, but there is a Set-up and Break Down fee
of $250.00. There are no other room rental fees unless additional space is needed
Is there a discounted rate on the rooms for my guests? Your Catering Manager will be happy to check the availability of rooms for your event! The discounted rate is based on
availability at the time your wedding is booked.
What are the check in and checkout times for the hotel rooms? Check in time for the Holiday Inn Virginia Beach – Norfolk Hotel & Conference Center starts at 3:00pm. We cannot
guarantee early check-ins, or late check outs. Please check with the Front Desk. Check out time is 12:00pm.
Is there parking for our guests? Yes there is plenty of free on-site parking for you and your guests, so they don’t have to worry about paying for that!
How long do we have the space for? The Holiday Inn Virginia Beach – Norfolk Hotel & Conference Center Catering Manager works with the Bride and the Groom
on the timeframe of their event. Most utilize the space for approximately 6 hours and then continue at one of our other
outlets such as Blu Bar.
Can I bring my own decorations? Yes, you can bring your own decorations or you can arrange decorations
through an outside vendor however, you and your vendors are responsible for
the set up and break down of any decorations. At the Holiday Inn Virginia
Beach – Norfolk Hotel and Conference Center confetti, glitter, smoke and fog
machines are prohibited. Please contact your Catering Sales Manager for
restrictions.
Can we take pictures? Yes, you may take pictures throughout the Holiday Inn Virginia Beach – Norfolk
Hotel & Conference Center and the surrounding areas. We would love for you
to share them with us so we can show future clients! We are also on Instagram

How many people does your ballroom hold? Here at the Holiday Inn Virginia Beach – Norfolk Hotel & Conference Center
we have (2) Ballrooms and varies depending on size.
The Executive Ballroom can hold up to approximately 250 guests with a
dance floor.
The Grand Ballroom can hold up to approximately 350 guests with a
dance floor.
We also have smaller room options available if you’d prefer a more
intimate setting for your lower guest count.
How much will my reception cost? There are many factors to consider when figuring out the cost of the reception
such as guest count, whether alcohol is being served, how much food you’d
prefer served, and what kind of food you want served, etc. On average you
can anticipate anywhere from $45-$65 per person or more for the reception
depending on what you envision for your big day. This is just an approxima-
tion!
What is your payment and cancellation policy? Food and beverage functions are subject to a cancellation fee when all Food & Beverage functions cancels less than
ninety (90) days prior to the first function date. Liquidated damages will be based at 75% of the original estimated charges
occurring from the cancelled food and beverage event(s). Cancellations received within seven (7) days of the function
date will be subject to a fee of 100% of original charges. All cancellations must be submitted in writing. The non-refundable
deposit is due upon signing of the catering agreement. Your Catering Manager will work with you on payments throughout
your planning process but all final payments must be received 7 days prior to your wedding.
