ORDENS ORGANISATION

A. General

The Grand Priory of the Kingdom of Sweden is affiliated with the International Organization (OSMTH) but retains autonomous status. Each country with a Templar organization has a Grand Priory, with a Grand Prior who is elected according to its own grand statutes. The OSMTH is headed by an International Grand Master who is elected by sitting Grand Priors.

While the Priory is the essential organizational element within the Grand Priory of the United States, this is not always the case with the other Grand Priories of the OSMTH. The structure of the Order at the international, national, and local levels is described in this chapter.

B. International Structure

The Ordo Supremus Templii Militaris Hierosolymitani (OSMTH) is the international chivalric organization that coordinates and promotes the interest of the constituent Templar Grand Priories around the world that have allied themselves with the OSMTH. The Grand Priory of the Kingdom of Sweden is formally affiliated with the OSMTH but was created as an autonomous entity and remains autonomous. The OSMTH is referred to by members as “The Order.” The motto of the Order is the Biblical phrase:

Non Nobis, Domine, Non Nobis, Sed Nomini Tuo Da Gloriam. (Not unto us, O Lord, Not Unto Us, But To Thy Name Be Given Glory).

The Order is based on an ancient Christian brotherhood of Templar Knights and its purposes are to:

(1) Provide an opportunity for the practice of ecumenical Christianity.

(2) Encourage and promote Christian and humanitarian work and charity generally, but especially in support of people in the Holy Land.

(3) Encourage all that makes for the spiritual and moral strengthening of mankind in accordance with the first great principle of the Order as embodied in its motto;

(4) Support the precepts of Christian chivalry.

(5) Investigate and emulate the historical ideals of the ancient Order.

(6) Form and administer the establishment of councils, associations, centers, or other subordinate bodies to facilitate the work of the Order in all geographical areas;

(7) Maintain contact and develop collaboration with kindred Orders and bodies; and

(8) Establish and maintain libraries and museums, and collect works of art and objects of historical interest to the Order.

On October 13, 2007 the Order formally adopted the Brussels Declaration (quoted below) which best describes what the Order stands for in the modern world:

OUR VISION – Today, the OSMTH – Knights Templar International looks for a world in which:

- A constructive dialogue between the great religious faiths, and the individuals and nations who adhere to them, is conducted in an atmosphere of mutual respect, understanding and peace.- The holy sites of Christianity and other great faiths are respected, protected and maintained, and pilgrims can travel to them safely. - The dedication, generosity and integrity of all those engaged in providing humanitarian aid are recognized and valued, and aid workers can carry out their vital work in an ethical manner without fear of discrimination - The principles of active charity, courtesy, dedication and honesty, inherent in the highest ideals of a code of chivalry and a personal rule of life, are spread wider and wider in society. - The contribution of the Knights Templar, medieval and modern, with regard to agriculture, construction, transportation, crafts, medicine, finance, inter-faith affairs, diplomacy and philanthropy is both well researched, and also widely understood and valued by the public.

OUR COMMITMENT – the OSMTH – Knights Templar International aspires to be the modern organization the original Knights Templar might have become, if their historical development had not been broken.

Like other orders of military and monastic origins, whose traditions stem from Jerusalem in the Middle Ages, our membership has long ago put aside swords for purely ceremonial use and turned our attention, as a civil society organization, to charitable, cultural, humanitarian and reconciliation endeavors. In our members today, we look for Christians sufficiently confident in their own beliefs to respect and value the beliefs of those of other faiths and of none.

Today Templars in the OSMTH – Knights Templar International seek, by their collective action and individual personal example, to put into practice in the modern world the highest ideals of the code of chivalry and the personal rule of Christians Life inspired by the spiritual father of the medieval Order, St. Bernard of Clairvaux.

Our modern Order also adheres to the principles adopted by the General Assembly of The Order of the Temple in Paris in 1841 in that:

- Our membership is open to Christians of all denominations and from all social backgrounds.

- We operate as an openly accountable, democratic and non-political organization; - Our members have a duty to promote the causes of peace and human dignity; and - Our work in humanitarian aid is undertaken for the benefit of the diverse strands of all

humanity.

OUR ACTION – In addition to the local and national activities of each of its constituent Member Grand Priories, the OSMTH – Knights Templar International undertakes a range of collective programmes, our modern Order particularly seeks:

- To assist Christian communities around the world, and especially in the Holy Land, whenever their human rights are at risk. - To build bridges of understanding and support between the Eastern and Western Churches of the Christians faith. - As a UN recognized Non-Governmental Organization, to support the United Nations and other civil society organizations by our active participation in programs of disaster relief, humanitarian aid, peace building and sustainable development, that respect the full range of human diversity.

The OSMTH is administered through the Grand Magistral Council, a legislative body consisting of the:

- Grand Commander

- Grand Priors (heads of national jurisdictions), who have decisional voting powers

- Grand Magistral Officers, who have consultative voting powers.

The Grand Magistral Council makes all appointments and exercises administrative and executive control over those areas of the Order which the Autonomous Grand Priories cede to them. It also provides direction and guidance for its member Grand Priories, Priories, other subordinate organizations, and their members, as agreed to by affiliated organizations.

The Grand Magistral Council elects the Grand Commander of the Order, who holds office for three years, renewable once, and a series of Grand Magistral Officers. These officers include the:

- Grand Master (8 year term)

- Grand Commander of the Order (3 year term, renewable once)

- Deputy Grand Commander

- Chancellor General

- Marshal General

- Chaplain General

- Almoner General

- Referendary General

- Secretary General

- Treasurer General.

The Grand Master is the ceremonial head of the Order, representing the Order at diplomatic and international functions, and performing other appropriate duties agreed to by the Grand Magistral Council. In addition, the Order has established a Religious Protector and a Royal Patron. The Religious Protector is a senior Christian religious leader who consents to provide religious protection and guidance to the Order. The Royal Patron is a member of a royal house who has agreed to accept the honorary position as Sponsor of the Order.

The OSMTH currently has constituent Grand Priories in Austria, Belgium, Bulgaria, Canada, England, Wales, Finland, France, Germany, Greece, Italy, Mexico, Norway, Portugal, Serbia, United States and NATO. It also has mentoring relationships with Commanderies in,

Cyprus, Denmark, Jerusalem, San Marino, South Africa and Spain.

The OSMTH recognizes a grade and post-nominal structure similar to that in place in the Grand Priory of the United States of America. It accepts dues and oblations volunteered by member bodies to further its charitable and humanitarian works.

C. Corporate Structure of the Order in Sweden

The Sovereign Military Order of the Temple of Jerusalem of the Kingdom of Sweden(“O.S.M.T.H.”) is an autonomous non-profit corporation first incorporated in OSMTH-Förening I Stockholm år 2005. All activity under the name of the Order must be conducted through the Grand Priory by order and direction of the Grand Priory Council. Priories and Commanderies operate by charter from the Grand Priory and function like branches of a corporation. Priories and Commanderies may not separately incorporate, and any Priory or Commandery that has incorporated must promptly notify the Grand Advocat of such separate corporate status and take steps to dissolve such status and operate only as a part of the national corporation.

All Priories and Commanderies must obey Swenska lagar when carrying out any and all the OSMTH-related activities in Sweden. In particular, all Priories and Commanderies are responsible for compliance with local statutes and ordinances whenever conducting events.

Oberoende Grand Priory av Kungariket Sverige

The Autonomous Grand Priory of the United States of America (“GPUSA”) was officially established when the Secretary of State of New Jersey issued the Proclamation of the Corporate Charter under the Official Seal of his office on June 29, 1962. The Certificate of Incorporation (Appendix A) identified principal corporate officers: Grand Prior (President of the corporation); Grand Chancellor (Vice President); Grand Treasurer (Treasurer); and Grand Secretary (Secretary). It authorized the Order to have a Grand Council (Corporate Board) and such officers as may be necessary, and identified the charter corporate location as the City of Newark, New Jersey—but authorized activities elsewhere in the United States.

Under this Charter (Appendix A) and the Grand Statutes (Appendix B), Priories are a branch of the corporation, subordinate to the Grand Priory, and have no other legal status. Commanderies, which are viewed as temporary organizations, are subordinated to either a parent Priory or to the Grand Priory.

In addition to being the Ordförande of the Förening “OSMTH Sverige”, the Grand Prior is the supreme leader chosen by the Grand Priory Council General to guide the activities of the Sovereign Military Order of the Temple of Jerusalem in the Kingdom of Sweden. E. Priories and Commanderies

The Priory is the basic sustaining organization at the local level. The Prior is the leader of the Priory. A Prior is elected by the Priory Council General, subject to the approval of the Grand Prior, who guides the activities of a Priory of the Sovereign Military Order of the Temple of Jerusalem. The Prior in turn is assisted by several officers, whose duties and functions are described in detail in Appendix C.

Commanderies are established for the purpose of expanding the Order, as an initial step toward the goal of establishing new Priories. They are established at the call of the Grand Prior for the good of the Order, usually under the protective umbrella and direct administration of an existing Priory. From time to time, an independent Commandery may be established under the Grand Priory, where no existing Priory is in sufficient physical proximity, or for other reasons deemed appropriate by the Grand Prior. Commanderies should have the goal of achieving Priory status within 18 to 24 months of their establishment.

The Commander of a Commandery, and its Chancellor, Secretary, and Treasurer are nominated and select by the Commandery and approved by the Grand Prior. The duties of all are detailed in Appendix C.

The Priories and Commanderies of the Grand Priory of the Kingdom of Sweden are listed in Appendix T.

Preceptories are a structure of convenience under an existing Priory or Commandery. Their purpose is to facilitate more frequent local group activities of O.S.M.TH. members in areas where a Priory’s membership is geographically dispersed.

All participants in a Preceptory must have their primary membership in and pay their oblations to the parent Priory or Commandery. Preceptories are “transparent” to the Grand Priory in that they do not fall within the administrative or financial chains of command. The Priory or Commandery is responsible for overseeing and reporting the activities of its Preceptories, which are accountable only as Priory or Commandery activities in the Annual Report.

Preceptories can be formed following the written request of a Prior and approval of the Grand Prior. All activities of Preceptories are governed by existing O.S.M.TH Sweden regulations and the procedural guidance contained in Appendix C.

CUSTOMS AND TRADITIONS

A. Membership

Membership in O.S.M.T.H. (the Order) and the Förening OSMTH, Sverige

"Qualifications for Membership: The applicant must be a Christian over the age of twenty-one years and of high moral character and chivalrous ideals; he or she must also be recommended to the Officers of the Order by at least two fully qualified members, or one Office Holder."

The principal focus in selecting and approving members has always been on "quality, not quantity." Character is a primary consideration, as all members should bring honor, dignity, and respect to the Order by virtue of their own behavior and deportment. Membership experience in other organizations is most helpful, as it provides a measure for determining a candidate's ability to get along with fellow members. Demonstrated accomplishments in life are another key consideration. Obvious commitment to major charitable, professional, governmental, military, or societal endeavors is a highly desirable indicator that an individual will become an asset to the Sovereign Military Temple of the Order of Jerusalem. The Order desires to take in only those people who deport themselves in an honorable and chivalrous way, who will be committed to the Order’s values and precepts, and who are ecumenical in thought.

Application for membership originates at the Priory level. Two or more sponsors for any candidate must favorably know that candidate. Sponsors should submit the name of a prospective member to the Priory Membership Committee (Appendix C) in writing. The Membership Committee then considers the candidate through a screening process of its own choosing—one that should involve many members of the Priory. If a favorable consideration is reached, the committee will send the candidate a Curriculum Vitae to fill out and return. Before investiture and affiliation with the Order, the candidate must be approved by the local Prior and the Grand Prior, under procedures established in Appendices D.

The Order recognizes the titles: Grand Croix, Grand Officier, Commandeur, and Riddare. There is no further differentiation in any rank associated of type of membership in the Order.

Order of Merit. The Order of Merit of the Grand Priory of the Kingdom of Sweden of the Sovereign Military Order of the Temple of Jerusalem was created as a way to award distinguished persons and to recognize their service to the Grand Priory of the Kingdom of Sweden of the Sovereign Military Order of the Temple of Jerusalem or to their community. Recipients do not need to be members of the Sovereign Military Order of the Temple of Jerusalem, and they need not be Christians. Membership conditions and procedures are described in Appendix H, the Manual of the Order of Merit.

In the Grand Priory of the Kingdom of Sweden, as in Europe, the Grand Prior is "primus inter pares" or first among equals who are members of the Order.

Members of foreign Grand Priories of the Order of the Temple in other nations may become members of the Grand Priory of the Kingdom of Sweden, but they must go through the same membership channels as other postulants, and never can enter automatically. In such transfers,

retention of ranks earned in other Grand Priories is solely at the discretion of the Grand Prior, Sweden. There is no restriction on members of our Order belonging to other types of European Orders of chivalry. It is recognized that such persons may have a conflict of interest, and should let their conscience be their guide as to what they discuss concerning the O.S.M.T.H-Sweden with members of another Order. The Grand Prior, of course, has the inherent right pursuant to ancient custom to exclude a dual Chevalier for good and sufficient reasons from any meeting of the Order.

B. Dames

Throughout much of the history of the Order, women were not originally eligible for membership. Today, however, they are a vital, proud, equal, and growing part of the Order in every way. This equal status is recognition of the marked changes in values and ways of life in the world in general in recent years, and in our Swedish culture in particular.

Women are screened for membership as Dames of the Order on the basis of the exact same high standards and qualifications as are required of male applicants for membership as Knights. No relationship to an existing member is required as a condition of membership, though any candidate (man or woman) closely connected by bonds of blood or marriage to a present or deceased Chevalier or Dame is considered to have an advantage in application. Once in the Order, Dames and Knights both are recognized by promotion for their own efforts on behalf of the Order in the Kingdom of Sweden.

D. Meetings

The Order is not a secret one. It has no lodge rooms as such, and may holds its various Convents, meetings, Priory Installations and Investitures in a variety of places. Formal Convents of the Order, should be held in a Church. All business there should be kept to a minimum, so that it is appropriate for guests to attend. Where possible, formal attire is the rule for all Convents and Investitures; full dress is preferred.

Various dinners or receptions are held from time to time with prospective postulants and guests present. A brief gathering may be held in conjunction with receptions for the purpose of distributing information and recognitions only. Otherwise, business should be kept to a minimum at social functions.

Committee meetings for the purpose of conducting Grand Priory, Priory, or Commandery committee business may be held at any time and at any appropriate location. A formal record (though not necessarily verbatim) of all such business meetings should be written, retained, and archived with the Grand Archivist.

The Grand Prior, as well as the several local Priors and Commanders, may invite such non-member ladies and gentlemen as seems fit and proper to attend a Convent and Investiture. The press may be admitted to witness ceremonies where appropriate. The actual details of the Order of Convent may be observed and heard by the public, but only the Grand Prior, Grand Secretary or Grand Avocat shall have power to disseminate a copy in writing to anyone. The Grand Prior, Grand Secretary and Grand Avocat are the only ones who shall have power to allow the Grand Statutes or other critical papers to be disseminated to anyone.

It is the policy of the Order to restrict the dissemination of the names and addresses of members of the Order to outsiders.

PROTOCOL

A. Mantle

The mantle, commonly referred to at the cape, is a unique and well-known symbol of the Knights Templar. It originally reflected the pure motives of those who wore it, and was symbolic of the vows of poverty, chastity, and obedience taken by the first Knights Templar--nobles who shed all their worldly distinctions to become Knights of the Order for the sole purpose of opening the road to Jerusalem to provide safe journey there for all pilgrims. The original capes used in battle by the early knights were plain white mantles with a red cross on the left breast. These capes also were worn in convent, where their wearing came to symbolize the fact that all knights were considered equal before God. Because of that, the cape was worn in such a manner as to cover armor, jewelry, and any other earthly distinctions of rank or office.

In respect for that tradition, the Order in Sweden consequently adopted a similar cape of uniform white color with a large red cross patteé attached to the left breast.

Capes should be worn only when in Convent, and then they should be worn fully down in such a manner as to cover most earthly distinctions, including medals and jewelry. The bottom edge of the cape should reach to approximately 8" above the ground and may be lined in red at the discretion of the Priory.

In keeping with the tradition noted above, all capes should be made to achieve a uniformity of design and appearance. No distinctions of rank are intended to be reflected in the capes, with the following exceptions:

1. The mantles of the Religious and Royal Patrons of the O.S.M.T.H.-Sweden are adorned with the red cross patteé, surmounted by a gold crown, affixed to the left breast.

2. The sitting Grand Prior and former Grand Priors adorned wear a gold Grand Prior's "collar" (necklace) with a large and unique red Cross patteé . Grand Priors may wear this unique collar and cross over the cape as a symbol of their leadership role.

4. Knights and Dames of the Order who have been inducted into the Order of Merit as a unique honor to recognize their extraordinary service within the Order will continue to wear the patriarchal cross or cross patteé (as appropriate) on the left breast of the cape, but are also permitted to wear the logo of the Order of Merit on the right shoulder of the cape.

5. In keeping with tradition, sitting and former Grand Priors and Priors may also wear neck fasteners made of gold chain.

The sitting Grand Prior and the former Grand Priors weares a gold collar and a ring. The ring is optional.

8. Wearing of Insignia at Informal Functions of the Order

9. Rosettes

Rosettes are once again available and may be obtained through the Armory. Whether currently available or not, those who have one may continue to wear it in perpetuity, since rosettes are in common use among other orders and in Europe.

10. Wearing the Insignia at Other Functions

Informal Wear at functions sponsored by other organizations is the same as described above for informal functions of the Order.

For functions where Formal Wear (Dinner Jacket/Black Tie) is specified, unless the invitation states "decorations" or the like, wear a lapel pin or rosette only. When decorations are in order, most members will wear the neck ribbon of the order, in which case the lapel pin or rosette would not be worn. In such cases a Grand Officier may wear the star of the Order, as may a Grand Croix, but the Grand Croix does not wear the sash.

For functions where Full Dress - White Tie and Tails is specified, it is generally considered inappropriate to wear a lapel pin or rosette with full dress, except in France. If the invitation omits "decorations" or the like, wear none. Either large or miniature insignia are appropriate, but miniatures are more often worn. Miniature and full-sized insignia are never worn at the same time, although miniatures may be worn with the neck ribbon of the Order. Grand Officier and Grand Croix may wear the star of the Order, and Grand Croix may wear the cordon sash. If the cordon sash is worn the star must also be worn. D. Heraldry: Tinctures and Crosses

The art of heraldry provides both a connection to the past heritage of our Order and an understanding of why the regalia and insignia of our Order evolved the way they did.

The first rule of heraldic tincture is that one may not place metal (yellow or white) on metal, or color on color (all other colors), unless one is the Roman Catholic Pontiff.

Each of the crusading chivalric-monastic orders had its different tinctures used for crosses on mantles, flags, etc. The tinctures of the Knights Hospitaller, or Order of St. John of Jerusalem (founded ca. 1113) were white on black, or white on red. Those of the Knights Templar (founded in 1118) were red on white. Tinctures of the Knights of St. Lazarus (founded ca. 1130) were green on white. Those of the Teutonic Knights (founded ca. 1196) were black on white, as seen in the later German Iron Cross and naval ensigns.

All these orders were dissolved at the end of the 18th Century, but the first three were reconstituted, officially or unofficially, in the 19th Century. The successor orders still use these

same tinctures. The shapes of the crosses worn by members of these orders have varied, including Greek, Latin, Patriarchal, Tau, Patteé, or Maltese. Many identify the Maltese Cross with the crusading orders, with its eight-pointed form recalling the Eight Beatitudes. Today, the five officially recognized Orders of St. John (The Sovereign Military Order of Malta, the Most Venerable Order of the Hospital of St. John of Jerusalem, the Bailiwick of Brandenburg of the Knightly Order of St. John of the Hospital in Jerusalem, Johanniter i Sverige, and Johanniter Orde in Nederland) all bear it, as do St. Lazarus and the Scottish Knights Templar. When the Sovereign Military Order of the Temple of Jerusalem was organized in the United States, it chose the double-barred red patriarchal cross, as is borne in Switzerland, Portugal, England, and elsewhere. The official cross of the United States Order is a modified Patriarchal Cross gules (red) with two bars, the lower of which is the shorter. On the insignia, it is surmounted by the crown or (gold), which is used by the American Templars to emphasize the term “Sovereign”—a term that in the United States connotes “independent of church and state.” This cross is worn on capes, as neckwear, and appears as part of most other official insignia and regalia of the Order in the U.S.A. In June of 2007, the Grand Council voted to replace the patriarchal cross patch worn on the robe with the more universally recognized emblem associated with the original Templars, the red cross patteé. This change only affects the cape, and the patriarchal cross continues to be worn as the neck device for members below the rank of Grand Croix.

In the United States, Knights Grand Croix wear, as a distinction of rank, a red cross patteé edged in gold, surmounted with a crown as a neck decoration. In addition, they wear the patriarchal cross at the end of a cordon (sash), which is used only with formal dress involving white tie and tails.

A cautionary note: In Europe, until recently the simultaneous wearing of the neck insignia of a Grand Croix and the cordon sash was considered redundant and in poor taste when the person doing so is wearing full evening dress (e.g., white tie and tails) to functions; in most cases, the neck insignia is worn only with black tie and the sash is considered more appropriate for functions involving white tie and tails.

As the section on insignia shows, crosses may be full-size or miniature. They may be worn with a ribbon on a bar, or may be suspended from a neck ribbon, a neck ribbon with trophy or a cordon. Crosses of the Order are also found on stars and on awards, decorations, as well as on rosettes, lapel buttons, blazer patches, and neckties.

E. Flags of the Order

Templar Order flags display a red cross pateé on a white field. Additionally, the Order of the Temple has a banner traditional and peculiar to it. The Beauséant, the square Templar battle flag, was divided horizontally into black and white rectangles, signifying the fight between good and evil. The Templar Knights bore it into battle against the Saracens. In the best heraldic tradition, the Templars’ flag and the Beauséant should neither be confused nor combined. Each Priory is encouraged to have their own Beauséant and Templar Order flag (a red cross pateé on a white field) for use and display at Convents and Investitures.

The full O.S.M.T.H.-Sweden achievement, or Coat of Arms, features mantling or lambrequin around it, the tinctures of which are ???) and ???).

Each Priory is also encouraged to have its own Priory flag or gonfannon. Every Prior is

entitled to a personal flag, which they may retain as a past Prior. The same is true for the Grand Prior. The flags should all be uniform in size. To insure that flags are heraldically correct, all designs must be approved in advance by the Grand Herald. The preferred approach is to involve the Grand Herald in the concept and design of the device from the beginning of the effort.

F. Coat of Arms

Heraldry is associated in the public mind with coats of arms. A coat of arms is as individual as a fingerprint and is protected legally in countries with heraldic jurisdictions, as are trademarks, patents, or copyrights. This is notably true in Scotland, the rest of the United Kingdom, Ireland, Spain, South Africa, and Canada. Coats of arms are property, just as is a house, and are “heritable undifferenced” only to the eldest blood descendant—son, daughter, nephew, etc. Just because a person bears the same name as the owner of a coat of arms, he or she cannot assume the armorial bearings that may be associated with that coat of arms. However, if one descends from an ancestor entitled to bear heraldic arms, one may petition proper authority for the right to bear those arms. If one is, or descends from, a younger son, however, such arms must be suitably “differenced.” If one does not so descend, but can trace descent from an ancestor who lived in a heraldic jurisdiction—such as Scotland or the rest of the United Kingdom—one may apply to that authority for a grant of arms in one’s own right, by setting forth his or her qualifications.

The medieval Knight Templar had to be of noble blood. So today’s Templar Knight or Dame may want to apply for a grant of arms, and the O.S.M.T.H.,Sweden encourages this. It can be accomplished, but it takes some time and expense.

A Knight’s coat of arms is typically borne on a shield. A Dame’s arms are normally borne upon a lozenge, rather than a shield, without helm or crest, unless she is military.

Today’s Templar of proven Scottish descent may petition the Lord Lyon King of Arms, R.M. New Register House, Edinburgh, Scotland, BH13YT for a grant of arms. Lord Lyon is a Crown Officer, and his word is law in Scotland. His counterpart in the rest of the United Kingdom is Garter King of Arms, The College of Arms, Victoria Street, London, England, EC4 V4BT. Both Courts of Arms have heralds and pursuivants who can do the necessary research.

Arms can also be granted by other heraldic jurisdictions in Ireland, Canada, South Africa, and Russia. When members of the Order need assistance in pursuing coats of arms, the O.S.M.T.H,-Sweden Grand Herald can advise and help them on these matters.

The arms grantee should display his or her individual blazon as much as possible—on signet rings, letter paper, automobile badges, house flags, calling cards, silverware, porcelain, etc.—else, why have it?

G. Priory Coats of Arms

Should any Priory wish to have its own Coat of Arms, there are procedures to follow to assure that what is developed is heraldically correct and in keeping with the registered marks of the Swedish Order. These procedures will ensure that the Order’s requirement to protect its trademark rights is met. They will also grant rights of usage to the Priory, allowing the Priory to use the approved design on letterheads, crystal, programs, etc., as long as the Priory remains in

good standing with the Grand Priory of the Kingdom of Sweden. Priories which have already developed a Coat of Arms should submit that design under these same procedures to assure registration and protection of the design.

First, the Priory should develop the particulars it wishes to have in its Arms. The design should be drafted into an accurate presentation at scale, including colors (tinctures) desired. The new design should then be provided to the Grand Herald for his or her formal review and comment. Any changes or modifications directed by the Grand Herald will be incorporated into

the design before it is forwarded to the Grand Armorer and Grand Avocat for further review and recording.

When this final review is complete, and the Grand Armorer and Grand Avocat have approved the design and found the use of the OSMTH.-Sweden trademarks to be within the scope of appropriate usage, the Grand Avocat will issue a Letter of Authorized Use to the Priory that originated the design. This Letter of Authorized Use will be signed by the Grand Avocat and countersigned by the Grand Prior.

H. Handling of Trademark Issues

The marks of the Sweish Order must be registered with the Swedish Patent and Trademark Office to be protected against use and infringement by others. A practical effect of registering trademarks is that it authorizes and defines our own use of the marks.

Initial Use of Marks. Before any new or different mark is used (whether or not it is registered) it must first be presented to the Grand Priory Council and approved. This is important because use of new or different marks that are too close to our other marks could result in confusion and dilution of our marks. Any plans to use marks that are different from those registered should first be presented to the Grand Herald and the Grand Avocat for review, and then to the Grand Council for final approval. This prohibition on the use of new or different marks without review by the Grand Herald and Grand Avocat applies to any local priory deviations of the use of our marks.

Approval of New Trademarks. Before any new mark can be registered, its design and intended uses must first be approved by the Grand Priory Council. Marks that are approved for registration should be distinct and regularly used or intended to be used in commerce. The requirement that the marks be distinct has kept us from registering some terms, such as the name “Knights Templar” since that name is regularly used by other organizations in other contexts. Some insignia, such as the unadorned cross patteé, are also in use by many organizations and cannot be claimed by the OSMTH.-Sweden as a unique mark. The requirement that a mark be used in commerce means we must intend to make use of it or have already used it before we register. Using the marks on items of jewelry, stationery, etc. for sale or communication with members certainly satisfies the requirement for use in commerce.

Filing with and Approval by the Swedish Patentverket. The Grand Avocat is responsible for filing of the marks with the Swedish Patentverket. This should be done by an experienced intellectual property rights lawyer specializing in trademark matters under the guidance of the Grand Avocat. The OSMTH.-Sweden organizations initiating such a new mark registration application will also be responsible for paying the annual search firm fees required to monitor those marks for possible confusion or infringement. Before approving the application, the Patent and Trademark Office will conduct a search of its records and perform other legal reviews to ascertain whether the mark may

be lawfully registered. Once this is done, the Grand Avocat will be notified that the mark is registered. The significance of this is that the Order may then lawfully use the marks to the exclusion of others. We also have clear definition on our use of the marks.

Perfecting Marks with PTO. After new marks are first registered, the Order must declare its continued use of the mark with PTO between the fifth and sixth year following initial issuance of the trademark to perfect our continued trademark rights in the marks. The initial set of five marks met this requirement in 2000, were renewed in 2005, and will need to be monitored and renewed every ten years thereafter. The three newest marks were registered during 2007-2009.

Protecting Marks from Infringement. Efforts must be taken to continue to protect our marks once they are registered. The Grand Priory of the U.S.A. has to be continuously vigilant about protecting the use of the Order’s marks against unauthorized use, or else those rights may be lost through inaction. This means that the Grand Priory must quickly and vigorously pursue all unauthorized use, both within the Order and outside of it. All Knights and Dames should assist this requirement by readily reporting to the Grand Avocat any available information about those who might be using the Order’s marks in unauthorized or inappropriate ways, and those who have produced new marks that may prove confusingly similar to the public.

Usually, all that is necessary in such cases to stop further misuse is a letter from the Grand Avocat to the offender. After receiving such a letter, most potential infringers will cease their illegal use of the marks. If this is not sufficient, more aggressive action needs to be taken, up to and including litigation.

Use of Marks, Logos, Symbols, etc., by Priories and Commanderies should be approved by the Grand Armorer. Priories and Commanderies are of course encouraged to use any of the registered marks for which use has been approved by the Grand Council. Any questions about which use has been approved should be referred to the Grand Armorer.

Any planned deviation from a specifically approved use should be forwarded to the Grand Armorer at least 30 days prior to the planned use. The Grand Armorer should be provided with pictures, drawings, or other descriptive explanation of the deviation. The Grand Armorer will then consult with the Grand Avocat and the Grand Herald before obtaining final approval for the new use of the mark from the Grand Prior or his designee.

Descriptive information about any other distinctive logo, symbol, emblem, figure, etc., that is other than a registered mark or approved use of a registered mark should be forwarded to the Grand Avocat for consideration at least 30 days before the planned use.

The nine SMOTJ items currently registered as trademarks with US Patent and Trademark Office are provided below. Each of these marks should be shown with the ® symbol in an appropriate location whenever they are displayed. Use of the "TM" symbol is no longer appropriate. Members of the SMOTJ are requested to follow the protocol for the use of these symbols in publications and to be alert to the use of any of these trademarks or similar symbols by other individuals or organizations. Any and all suspect unauthorized uses should be reported to the Grand Avocat immediately. It is essential to protect these marks through appropriate action whenever such misuse is identified.

CEREMONIES OF THE ORDER

I. PLANNING A CONVENT AND INVESTITURE

A. General

The ceremonies of the Order are the principal means through which member Knights and Dames experience the customs and traditions that help them relate personally and directly to the original Knights Templar. The ritual is a solemn reminder of the motivation, personal sacrifice, poverty, and difficulties that constantly attended those who chose the path of knighthood for the loftiest of goals: making the Holy Land safe for pilgrims and those who maintained their places of worship. The actual script for the basic ceremony is provided in Appendix I.

The Grand Chief of Protocol involve convents and investitures. Every effort should be made to hold these ceremonies in a setting that inspires both reverence and awe, and enables reflection on the meaning of our involvement in the Order. The ceremony itself, and all that attends it, should be carried out in the most dignified way. Any optional ceremonies added for purpose of enhancement should be just as solemn as the ritual provided in these manuals.

Convent ceremonies--especially large Convents where visiting dignitaries are involved--are complex. The solemn ceremonies of the Sovereign Military Order of the Temple of Jerusalem require careful forethought, planning, and attention to detail for their proper execution; but the dignity of the ceremonies in the eyes of observers is only assured when Knights and Dames are careful as well to observe proper decorum at all times before, during and after the ceremonies.

The script for Convent and Investiture is found in Appendix “I”. It is provided as a Word document in 14 pitch so that it may easily be tailored for each Priory and Commandery use. Appendix J contains six ceremonies and three additional rituals that may need to be included in the convent ceremony. These should be inserted into the script at the places noted and in the order prescribed within the script. These ceremonies include the following:

Once the details have been decided, invitations and/or other forms of notices, with attached RSVPs and prepayment requirements should be mailed out at least three months in advance of the function date. This advance notification helps to assure optimal attendance of both local Priory and Commandery Knights and Dames and appropriate Grand Officers. RSVPs and prepayment forms should be required to be returned in time (preferably a month in advance of the event) to allow necessary modifications once the size of the anticipated gathering has been approximately determined. All anticipated expenses for the convent and associated banquets, receptions, etc., should be factored into the payments members make to underwrite the scheduled events. Maps to the church, and where appropriate, the banquet and meeting facilities should be provided, along with directions on the time and place for postulants and other persons to gather before to the ceremony.

A list of anticipated participants, including those receiving awards and those being promoted, should be given to the Knight Protector, and Marshal at least four weeks before the ceremony to allow adequate time for notifying participants, reminding them of the role they are to play and the equipment they are expected to bring to the ceremony, and providing guidance to them concerning seating, processionals, etc. The Armorer is responsible to assure that all regalia for investitures, awards and promotions are present and available for the service. If a program is to be printed, sufficient time is also required to allow for the services of a professional printer.

Every person assigned a speaking part in the forthcoming ceremony should be given access to a script, and should practice carefully, with special consideration for clarity, diction, pronunciation of names, timing, and emphasis in the delivery of their individual spoken sections. A joint read through of the script at least one week in advance is strongly recommended.

E. Pre-Event Meetings

On the date of the ceremony, key ceremonial participants, including the Knight/Dame Protector, Marshal, Sword Bearers, Crucifers, Marshal Assistants (if needed), and the Master of Postulants should gather at the facility well ahead of the service to walk briefly through the main elements of the program. If there are any inductees, awardees and/or promotees, the Armorer should be included. At that time the Knight Protector and Marshal should identify and physically reserve special seating, establish event timing, make processional setup arrangements, and evaluate and determine solutions for problem areas that may appear in each location.

The Master of Postulants, Knight Protector, and Marshal should then assemble the postulants for an orientation session, and brief them on what is expected of them and where and how to proceed before, during, and after the ceremonies, unless this has been covered during the vigil. The Knight Protector and Marshal should prepare a diagram of the Church for use in this

briefing, or physically walk the class through the facility if time permits. The reasons for placement of individual groups should be explained to minimize later confusion.

If there is a separate business meeting before the Convent, attendees at that meeting should be similarly briefed by the Knight Protector and Marshal on plans for the conduct of the Ceremonies; for processionals and recessionals; and for seating, with charts provided, as the seating and the order of march are directly related to each other. This step is crucial to the successful execution of the program, since there is usually no time to provide such instruction during the forming of the procession.

At all of these meetings, the participants should be encouraged to move slowly and deliberately, with dignity, and preferably to try to stay in step with those in front of them. When the procession turns corners, the corners should be accomplished in square military-style turns.

F. Ceremonial Processions

The event that sets the tone for the ceremonies that follow is the opening procession, which should be conducted crisply and without confusion. The Prior, Priory Chief of Protocol and Priory Marshal are normally responsible for assuring that the order of march for processionals and recessionals is set up in accordance with the protocol provisions of The Marshal’s Manual (Appendix K) and for directing all participants to their positions in that order of march well before the ceremony begins.

During the processional, Marshal Assistants should be placed in the line of march, or at other appropriate positions in the church to direct the various groups of participants to their correct seating locations. This is particularly necessary to assure that royalty and other honored dignitaries are guided to their reserved seating near or in the front of the church, where appropriate. Other officers having ceremonial roles will proceed directly to the altar area of the church to their ceremonial positions. The remainder of the procession is seated in order of arrival from front to back (See Appendix K), with the postulants in the front, and officers not involved in the ceremony seated behind them according to rank, with the most senior officers in the front.

Recessionals are similarly important, and also should take place according to the definite sequence described in Appendix K.

G. Notes on the Order of Convent

The Order is not a secret and the ceremonies may be given in the presence of guests or representatives of the press.

The Commander, Prior or Grand Prior, as the case may be, is attired in a mantle of the Order, as are the Knights, Dames and Companions of the Order.

One candelabrum with three lighted white candles, signifying the Trinity, and a single candlestick with a red candle signifying the Grand Prior, which is lighted only when he/she is present. Always place an empty chair at the table to signify the presence of God. When the Grand Prior or a past Grand Prior is present the single candle is lit; otherwise it remains unlit. The empty chair for God must never be sat upon.

The sword is always present; other swords may be present in the ceremonial area to facilitate passing the sword and to accommodate special requests for dubbing.

The Grand Prior always sits at the Prior or Commander’s right.

In a processional, or whenever approaching the altar, the sword bearers should always hold the sword respectfully with the hilt up, symbolic of the cross. In the recessional only, once the sword bearers step out of the altar area, they should rotate the sword with the tip up, symbolic of going forth into the world to do battle for Christ.

Psalm 115 is read, as the first verse provides our motto. "Not unto us, O Lord, not unto us, but unto Thy name give glory, for Thy mercy, and for Thy truth's sake."

The prescribed script is provided in Appendix “I”. Those parts that are required at every Convent are indicated as mandatory. Additional optional ceremonies that may be incorporated are also found in the script, Appendix I, or may be found in Appendix J. Additionally, the Officiant, Prior, or Commander, may wish to add:

- Words of welcome

- Committee reports

- Announcements of good works

- Introduction of new Knights, Dames and Companions, or guests

- Award of diplomas and brevets

Every attempt should be made to keep the length of a convent to 90 minutes. Handle business at separate business meetings insofar as possible.

Although optional, investiture at each convent is strongly encouraged and should be the centerpiece of the ceremony. All parts of the ceremony pertaining to it are grouped together so that when it is not used, it will be easy to omit that part of the ceremony pertaining to it.

Religious services are also optional, both in form and duration, but are strongly encouraged. Since this is a Christian order, some form of service is encouraged as preparation for knighthood. Most Priories include a retreat or vigil service for postulants, before the convent itself, including meditations and readings from St. Bernard de Clairvaux.

Appendix I, Part 6 of the Script for the Convent and Investiture, is for the order of business; normally in an organization such an order would be as follows:

- Reading of minutes

- Communications

- Officers' reports

- Committee reports

- Unfinished business

- New business

Whenever possible the business portion should be resolved before the convent. If there is

or has been an election, the proposed slate of new officers must be submitted to the Grand Prior for approval at least 30 days in advance of the ceremony. All priory executive committee officers, including the choice of Chancellor, officers must be approved by the Grand Prior before a Priory’s vote and installation. No exceptions to this rule will be entertained.

A processional and recessional add dignity to the ceremony when properly conducted. They should be formed up outside the sanctuary itself, and be in the proper order when they first appear. Priories and Commanderies should use the procedures described in the Marshal’s Manual (Appendix K).

All prayers should preferably be separated from the optional part of the service and should not be interspersed with pure business. Business, if conducted during the Convent, should be kept to a minimum.

The Grand Prior will officiate at the investiture when possible. If the Grand Prior cannot be present, the Grand Prior will designate who the Officiant will be and that individual will take precedence over all others in conducting the ceremony regardless of Templar Rank or seniority.

The investing officer has the option of giving the accolade in one of three tongues: Latin, or Swedish as these were the tongues of original use in the ceremony. The accolade would, therefore, be the words:

”I den allsmäktige och evige Guds namn, och alla helgons, särskilt S:T Sebastians, slår jag dig härmed till Riddare av The Sovereign Military Order of the Tempel of Jerusalem”.

”Sis eques in nomine Dei, Patris, et Filii, et Spiritus Sancti”.

“Var så en Riddare/Dam i Gud fadern, sonens och den helige andens namn. Res dig Riddare/Dam”.

A Dame postulant may be dubbed with the sword or embraced, based on her desire. The full-sized cross of the order on the neck ribbon is appropriate for dames who are dubbed.

The concern of security for the Order’s convents goes back to the very beginning of the Templars. Only members of the order were permitted to attend. Moreover, the Order was in the main located in the Holy Lands, where the Templars might be under attack at any time, thus necessitating the posting of guards during convent. While our convent and investiture ceremony is now open to anyone, the stationing the Knight Protector in the back of the church and asking that they bang the door when asked if this place is protected, commemorates that history.

During the passing of the sword, Companions of the Order of Merit, if present, should also touch the sword hilt as a symbol of their recognition of the ancient code of chivalry.

H. Grand Priory Convent

The term Grand Convent is also used to designate a meeting of the Grand Priory, which is almost always conducted in a place provided by a host Priory, in conjunction with a convent of that Priory. The Grand Convent has several uses. First and foremost, it serves as the agora or forum, a place where the Grand Prior may call into open session all active Knights and Dames of the Autonomous Grand Priory of the Kingdom of Sweden.

Having called a Grand Convent into session, the Grand Prior may place before it any matter that could have been decided by the Grand Council General by vote.

For example, all Grand Priory elections must take place in Grand Convent General. Only the Grand Council General votes for the Grand Prior. The Grand Prior appoints the Grand Chancellor. All other Grand Officers are voted on by the entire Grand Convent General. (All present Chev. / Chvse. may vote.) The Grand Prior chair such a meeting; parliamentary practice shall be followed; and the Grand Convent General’s decision shall be final and binding on all members of the Order.

When a Grand Convent is scheduled in this fashion, the Grand Priory Officers take over the principal positions and perform such parts of the convent services as may be directed by the Grand Prior.

Information Resource Management

A. Database

1. General

The purpose of this chapter is to define the information resources that GP Sweden uses to manage membership information (database), communicate with the Grand Offices, Priories and Commanderies (email), and promulgate information important to the Order (website, Riddarposten.)

The Grand Priory maintains a database containing all membership data. The database is housed on a server physically located in the Grand Administrative Office and is backed up weekly off-site.

Access to the full database is controlled by the Grand Chancellor and is restricted to those Grand Officers who need such access to properly perform their work functions. Deputy Grand Priors have read-only access for the Priories within their region. Only the Prior and Commander have access to data for his/her members. They are responsible for maintaining membership data for the Priory/Commandery as well as correctly listing Priory/Commandery Officers.

2. Operation

The following positions within the Order are tasked with maintaining the following segments of the database:

Membership and Database Management

- Makes all approved transfers from one Priory /Commandery to another.

Prior/Commander of each Priory/Commandery

Maintains personal data on the individual member Knights and Dames. This includes address, phone numbers, email addresses, and other personal data. The Prior/Commander is also accountable for ensuring changes to the Priory’s list of Officers is current.

Note: Only the Grand Registrar is authorized to alter titles, military rank, Templar rank, date of original membership and date of Templar ranks.

3. Reports

The following reports are available for Priors and Commanders from their portion of the database. Distribution within a priory should be on a need to know basis.

The Grand Priory employs a pass through email system for all Priors and Grand Officers. It is maintained on the O.S.M.T.H.-Sweden Server. Pass though emails are generic and have the extension @osmth.se and they are listed on the website. They are assigned by position and not by individual; therefore they remain constant over time. Examples of these include the following:

- [email protected] is forwarded to the sitting Grand Prior.

- [email protected] is forwarded to the current webmaster.

- [email protected] is forwarded to the current Prior AND Chancellor of the Priory of Egino.(This dual address policy ensures that the Chancellor is receiving everything that the Prior does. This feature cannot be disengaged – it always remains in effect.)

When a new individual assumes a position that has a pass through email address, the Grand Assistant Secretary for Membership and Data Base Administration updates the email address (pass through) so that all email to that position is automatically forwarded to the new individual occupying that position.

C. Dissemination of News and Information

1. Process Flow

The Grand Priory has multiple means to provide news and information to the membership of the Order. This section describes the resources GP Sweden employs to communicate with individual members. The database is used to generate the distribution of both email and postal address labels. The Priory/Commandery has the vital responsibility to ensure that the information on their individual members is correct. If the database contains incorrect addresses or email information because the Priory failed to maintain accurate and up-to-date member information, their members will be deprived of needed information from the Grand Priory such as oblation letters.

2. Resources

The Grand Priory uses both electronic and postal means to communicate with the Order’s membership. This information is provided to all active, honorary and affiliated members of the Order. Exceptions can be applied to certain information. The general approach is openness and transparency. The Grand Prior, together with the Grand Editeur and other Grand Officers, will develop and apply policy to determine who can access what information, which media outlet will be used, information quality requirements and regularity for updates. Information is promulgated through the following media outlets:

The GP Sweden Website (Grand Webmaster)

The website is a limited access, password protected, source of information for all active and inactive members, and consists of:

Manual of the Order. Complete calendar of events. Information on upcoming Grand Priory events. Armory: items for sale and order forms. Minutes of all Grand Council Meetings. Current and past issues of the Riddarposten. Links to Priory websites.

- Book reviews and recommended reading lists.

- Summaries of Convent and Investiture events.

- Focused articles on specific Priories/Commanderies.

- Postulant profiles of general interest.

- Grand Priory event information.

- Articles of OSMTH International activities.

- Photographs.

Other (Broadcast email from the Grand Priory)

- Proclamations - Urgent news and announcements - Urgent Press releases - Public relations white papers, declarations, or reports - Reminders (oblations, Jerusalem Mite, etc.)

Local Websites and Newsletters

Local Priories are strongly encouraged to create a local website and newsletter and consider this part of their Templar duties. The Grand Editor and Grand Webmaster can assist with this effort and provide advice on how to produce and communicate their information. The layout of Priory Websites must be approved by the Grand Webmaster in advance and linked to the Grand Priory Website. Content is to conform to Grand Priory’s policies. Commandery content is a part of the Priory website to which the Commandery is associated.

Local Templar information products should be more direct and address local activities, programs, charities, members, visits, reports from neighboring Priories, and other topics of interest. Copies of local newsletters should be sent to the Grand Editor. Priory/Commandery Secretaries are encouraged to submit timely articles for inclusion in GP Sweden publications.

The SMOTJ media outlets and publications (web site, Beauséant and Templar Times) are copyright protected and are for the exclusive use of the Grand Priory of the Kingdom of Sweden. There shall be no solicitation for funds or services of any kind for non O.S.M.T.H.-Sweden charities permitted in any of the Grand Priory media outlets. Similarly, private non-official use of O.S.M.T.H.-Sweden database email lists is strictly prohibited to support local and national “Privacy rights”.

It is the longstanding policy of the Grand Council and the Order to restrict the dissemination of names and addresses of members of the Order to individuals or organizations outside the Autonomous Grand Priory of the Kingdom of Sweden. This protects the privacy of members’ information and personal safety in an increasingly turbulent world. O.S.M.T.H.-Sweden member information may NOT be used for any commercial or non-Sovereign Military Order of the Temple of Jerusalem purpose. Members who violate this provision may be referred to a Court of Honor.

E. Information Security

The Order is moving from a paper based operation to an electronic based operation that employs technologies of this century. The benefits of this technology are enormous. However, the ability to spread information rapidly does create certain risks. The Order’s information must be protected from unauthorized use and/or manipulation and the security of our members’ personal information.

The following administrative actions are required:

1. Personal Information (database, social rosters, list of members) - At the top of each page "Private Data - not to be copied or distributed" - At the bottom of each page "Confidential Information - for official internal use of

O.S.M.T.H.-Sweden only".

2. Website pages and all electronic publications. - At the bottom of web pages: "© (year) SMOTJ".

- Include Metatags [email protected] - Everything published, ink on paper or electronically, are to be copyrighted. - Metatags must conform to W3C standards and reflect proper SMOTJ-USA protocols

which can be obtained from the Grand Webmaster.

- Each page will have its own key words to match the words on the page plus the overall site words.

- Each page will have its own description starting with the main theme then the description of what's on this page. - Never use a personal email address in the Metatags.

- Never use an URL link in the Metatags. - Web Server will retain a record of the Web access log and produce a simple monthly

report.

4. Backup, storage, and protection of the database and information

- Backups of web and business servers will be made daily and weekly.

- Passwords will be changed routinely at the discretion of the Data Manager.

- A Computer Security Warning Screen shall be presented the user with an “Acceptance Confirmation” button prior to acceptance of his password.

- The Database will have an “access by and time log” to protect against unauthorized access and aid in training and promoting Priory maintenance of the Database.

5. Collection of personal information (for official use, meetings, convents, investitures, etc.)

- Provide a statement on the form that this personal information will be used for registration and meeting business reasons only.

- Provide a statement on each data entry page that states that the page(s) is protected by O.S.M.T.H.-Sweden Privacy Policy and that this information shall be used for internal use only.

- The opening screen to the GP USA data base must present a security and privacy statement with an Accept / Decline window prior to allowing the user to continue to log-in.

6. Password protection

- Shall be reviewed internally and changed when appropriate.

- Set servers for cookie expiration every 30 days.

7. Operational considerations

- Protected storage of any database or personal confidential data MUST not be accessible by any means to the public.

- Any priory that maintains data received from SMOTJ server must secure the data at the same level of security as the SMOTJ data.

8. Administrative support for this policy

- Review information security and management statutes every two years as a means to update O.S.M.T.H.-Sweden procedures to current technology.

F. Guidelines for Priory Webmasters

1. Introduction

These guidelines have been prepared in order to assist local webmasters in the utilization of web-based technologies and social media, and protect the interests, privacy, and proprietary information of the Order and its members.

Every priory within the O.S.M.T.H.-Sweden is strongly encouraged to appoint a webmaster whose primary responsibility is maintaining the Priory/Commandery website and its social media content. These local sites play an increasingly important role in the recruitment of new knights and dames into the Order, and timely dissemination of information regarding the activities and achievements of local priories and commanderies. Your local webmaster should be viewed as essential to the growth and success of our Order. It is imperative that each priory/commandery display the utmost integrity in all things, especially how we present ourselves to the public. Exercise extreme diligence in safeguarding a consistent, truthful, and positive image of the Order, and adhere to the highest ethical standards. The Sovereign Military Order of the Temple of Jerusalem (O.S.M.T.H.) has developed the following requirements and guidelines for priory and commandery websites and social media.

2. General Requirements

All materials included on the web pages must comply with Svenska copyrightlager and relevantlicensing agreements. All images used in your website must be either O.S.M.T.H.-Sweden -furnished and copyrighted, images produced and copyrighted by your priory or commandery, or images that are expressly in the public domain (such as WikiCommons images). The use of images you find elsewhere on the Web without written permission from their sources may be a copyright infringement and is therefore prohibited.

All materials included on the web pages must conform to GPUSA policies and standards. All links to other web pages must be appropriate for a GPUSA affiliated organization. An example of an inappropriate link would be one to a "Masonic Order" priory’s web page. Make sure that all content is viewable for a wide audience, and that your content is representative of our organization.

To maintain consistent imagery and brand identity for the O.S.M.T.H.-Sweden, your priory or commandery web pages must be constructed using an approved template provided by the O.S.M.T.H.-Sweden Grand Assistant Secretary-Webmaster. All content, images, fonts, and the color palette of your pages must likewise be consistent with the approved template and the specifications provided in these guidelines. Do not upload any unauthorized materials to your web site. Check with proper authorities before doing so.

Review your website frequently to ensure that all information in the web pages, including links to outside resources, are current and valid. Each priory or commandery webmaster is required to maintain his or her own files and update, remove, or correct outdated materials, broken links, and other detracting elements.

A statement of copyright with the year and name of the priory or commandery should appear on every page, as provided in the GPUSA templates. Original artwork or text, and items covered by a license agreement may be copyrighted separately. Be sure to display the copyright information for any materials used with permission of their copyright owners. Make sure the copyright statement is for your priory [O.S.M.T.H.-Sweden for regional sites], not the person creating/maintaining the site. Please attribute any non-original content to its creator.

The home page of each priory should include an acknowledgment of affiliation with the Sovereign Military Order of the Temple of Jerusalem (O.S.M.T.H.) Grand Priory of the Kingdom of Sweden and a link to the O.S.M.T.H.-Sweden home page, http://www.osmth.se/.

Webmasters will be held accountable for all materials within their web directories. The

Grand Assistant Secretary-Webmaster will periodically review all priory and Commandery websites for compliance, and failure to abide by the guidelines may result in removal of unauthorized documents. If your content does not conform to these guidelines, the O.S.M.T.H.-Sweden will have the right to remove such content.

3. Recommendations:

Before beginning work on a home page, become familiar with the O.S.M.T.H.-Sweden web site (http://www.osmth.se) and HTML.

Make information accessible to as many users as reasonably possible by using standard HTML that accommodates multiple browsers and versions. We recommend you review such websites as the “Viewable With Any Browser Campaign”

Be efficient! Avoid unnecessary duplication and excessively large files. Consider segmenting large documents into separate linked pages to reduce the time it takes for a page to load.

Use images, video, flash animations, and sound clips in moderation. Do not overload individual pages with images, videos, and animations. Use the alt=" " tag on images for visitors who have older browsers, dial-up connections, or don't want to load the raphics. The alt=" " tag provides a text description of your image, video, Flash animation or sound for individuals using text browsers.

Lay out text and graphics so that the page is attractive as well as informative. Keep in mind the size of the viewing area, particularly when creating images. Many viewers will not bother to scroll down to view lengthy content. It is usually best to design to the “lowest common denominator” (smaller screen size, lower resolution monitors, older browsers, etc.). If you wish to incorporate features for those with the latest technology, offer pages with “low-tech” options for other visitors. While an increasing number of browsers have high resolution monitors, many people continue to surf with a screen resolution of 800x600 pixels. Make sure your site accommodates those people.

Take advantage of the templates and scripts already available on the O.S.M.T.H.-Sweden server and the Internet. These templates and scripts already conform to GPUSA guidelines and will save you considerable time and effort. The Grand Webmaster is readily able to provide a master template of the O.S.M.T.H.-Sweden site that is designed with your navigation and includes imagery targeted at the location of your Priory.

If you are publishing a copy of your priory roster on your site, it should be password protected to limit access to its content to members only. Newsletter contents may need to be edited before being made public on the Web to remove this information. If you wish to use an email address on your pages for contact purposes, please use the email address provided to your priory by the GPUSA. A list of those email addresses is available att http://www.smotj.org/members/contacts.php. Remember that anyone can have access to the sites you create, so make sure your content, especially personal content, is thoroughly reviewed and conforms to these guidelines.

4. Design Guidelines

The O.S.M.T.H.-Sweden brand is a visitor experience represented by a collection of images and ideas. It serves to create associations and expectations among visitors to the National Organization as well as the individual priories. The GPUSA brand includes an explicit logo, fonts, color schemes, and symbols developed to represent implicit values, ideas, and even personality.

a. Logos

While you are free to design your priory web pages as you see fit, you should keep the GPUSA brand in mind when preparing your design. All pages displaying the GPUSA or OSMTH logo must display only the official O.S.M.T.H.-Sweden or OSMTH logo, together with appropriate copyright statements. Any logos created and approved for use for your individual priory may also be displayed. Please DO NOT place any unapproved or altered logos on your pages.

b. Colors

Color is also an important element in branding. The O.S.M.T.H.-Sweden brand includes specific shades of red and gold, as well as black and white. The following colors must be used on your pages to support your priory’s connection to the Grand Priory of the Kingdom of Sweden.

c. Fonts

O.S.M.T.H.-Sweden uses several fonts in its communications. We recommend a common web font for all page text to allow for viewing by the largest number of viewers. The national organization uses the following fonts:

5. Images

You are free to use images of your events and investitures on your site. Please do not include personal information of your members along with their images. You are also welcome to use images from the O.S.M.T.H.-Sweden national site, as well as any appropriate images that you have secured permission to use. Appropriate art and illustration can also be purchased from any royalty-free image source. If you are using “Templar” imagery, please submit your images to the Grand Webmaster for approval by the appropriate Grand Officers.

It is strongly recommended that you review the images used throughout the O.S.M.T.H.-Sweden website and incorporate graphics that are similar in your priory website. So a similar grayscale image of a familiar or iconic landmark in your priory or commandery would be an appropriate image for its home page. Be sure the image you use is either in the public domain or is used with the written permission of the copyright holder (even if that person is a member of your priory). Assistance in preparing images for use on your website, (such as sizing, adding text, converting a color image to grayscale, etc.) can be obtained by contacting the Grand Webmaster.

6. Image Sizing

The size of utilized images can significantly affect the speed at which your pages load in a visitor’s browser. Two factors are involved in image size: (1) the dimensions of the image, and (2) its resolution. For example, resizing an image from 3-by-4.5 inches to 2-by-3 inches cuts its loading time in half. Changing the resolution of a 3-by-4 image from 300 pixels to 72 pixels will make it load four times faster. On most monitors the viewer sees no appreciable difference between a low-resolution image at 72 pixels and the same image at 300 pixels or higher. Simply changing the viewing size of the image in your HTML code does not change the loading speed; only changing the resolution (dots-per-inch or pixels) or the actual size of the image will do that.

Newspapers always put the most important content above the page’s fold because a large percentage of readers never look below that. Newspaper journalists always make their most important statements in the first sentence of every paragraph and the first paragraph of every article because readers often just skim for the highlights. Your Web content should be written the same way.

Assume that most visitors will not scroll down to see any content below the bottom of their browser window (which Web designers also often call “the fold”) and will therefore not read those articles in detail. Put the most important information in the beginning of your articles to help ensure readers can readily identify.

G. SOCIAL MEDIA GUIDELINES

1. Action required of Priors

Ensure that each Priory member, who may be a Social Media user, receives a copy of this document.

2. Social Network Guidelines for Templar users of Facebook

a. In accordance with the current Facebook Terms of Service, while the Facebook user retains ownership of all content and information that is posted on the Facebook site, Facebook “is granted a license that permits the sharing of all user notes, message, and pictures” by Facebook, Inc., on the site, including sharing by any other Facebook users that are provided access to the user’s Facebook page, subject to the privacy and application settings of the Facebook user account.

b. Facebook tracks personal activity and users are given the right to distribute this information. (Note that last year the U.S. Federal Trade Commission gave Social Intelligence Corp. the “go ahead” to include Facebook profile activity in its background checks when screening employees.)

c. Facebook’s Terms of Service (ToS) require users to agree to certain terms such as granting Facebook a license to “share” all the content you post or upload on the Facebook site, subject to the privacy and application settings of the Facebook user account. Sharing your content and information, means that you authorize (in part) the following:

"When you publish content or information using the Public setting, it means that you are allowing everyone, including people off of Facebook, to access and use that information, and to associate it with you."

d. So even though your settings might prevent others from seeing your posts, the "public" information that you publish - such as your name - can be used by anyone, in any way they want to use your data. For instance, if you accept someone as a Facebook "friend," that person can extend your personal information to add you as a member to groups, to send you game requests, to post on your “wall” and so forth. Privacy settings are provided for you to control various aspects of your privacy, but it's up to you to figure them out and use them. And, they are changed several times each year. The default settings will almost always be to share everything with everybody. Other Social Media sites provide similar terms that should be reviewed with caution.

e. Take diligent care in setting the Facebook privacy options and review the settings once a month. (Facebook frequently changes the parameters.)

f. Read the Facebook privacy consent agreement at least once every six months.

g. Read Facebook guides on how to set privacy settings.

h. Know the risks of losing personal information to those who would do harm.

i. Do not post personal information, including telephone numbers, addresses, etc. ii. Do not permit any pictures or names of persons under the age of 21 - restating the

laws of our state of incorporation. Letters of authorization are not to be accepted.

i. Be aware that O.S.M.T.H.-Sweden could be held accountable under national and state laws and regulations to ensure that any O.S.M.T.H.-Sweden sanctioned or sponsored communication protects members’ private information that was obtained by GPUSA, specifically including any personally identifiable information.

3. Prior Accountability

The Prior is accountable for everything that transpires within the Priory. Should the Priory decide to implement a Priory Facebook, the Prior must assume full accountability for the operation and conduct of the Priory Facebook page.

The Prior is directed to appoint one or more moderators and/or assistants to provide ongoing moderating of the Priory Facebook page. Oversight by moderators can help protect The Sovereign Military Order of The Temple of Jerusalem, Inc. from violation of federal and state laws and regulations. The role of the moderators, and ultimately the Prior, is to:

a. Verify that only members of the Order participate and join.

b. Remove improper (private information, inappropriate information, etc.) material posted to the priory’s Facebook page.

c. Only use O.S.M.T.H.-Sweden or Priory trademarked logos in accordance with the direction of the Grand Avocat of the proper use of the O.S.M.T.H.-Sweden trademarked logos. If O.S.M.T.H.-Sweden trademarked logos are used the logo must also be the full and proper form of the trademarked logo and must contain the full and proper trademark symbols reference for each instance of the trademarked logo’s usage.

d. Do not create a Facebook “home page.” Your Priory has a website. O.S.M.T.H.-Sweden has the national website.

e. Remove/do not create links that are adversarial to O.S.M.T.H.-Sweden’s mission and culture, or are simply inappropriate.

The following information must be posted to each O.S.M.T.H.-Sweden Priory Facebook page:

a. A mission statement that describes the purpose of the Priory Facebook page, which is to further Templar discussion in support of Priory functions and projects.

b. The following Mission must also be posted on the Priory’s Facebook opening page:

“The Sovereign Military Order of the Temple of Jerusalem, Inc. is an autonomous and independent organization, incorporated in the United States, which seeks to emulate the chivalric and charity traditions of the original Templars. Its members apply themselves energetically and selflessly to Christian charitable initiatives, and are dedicated to certain modern Christian endeavors, which include:

i. Increasing understanding between religions, ii. helping pilgrims visit holy places, iii. maintaining a Christian presence in the Holy Land, iv. supporting the poor, sick and unjustly accused, v. standing against oppression, and vi. protecting freedom of speech.”

c. The email address of the Prior and one alternate address selected by the Prior are to be posted, (e.g. [email protected], [email protected]).

d. A notice that "The comments posted on this Facebook page do not reflect the views or policy of The Sovereign Military Order of The Temple of Jerusalem the Autonomous Grand Priory of the Kingdom of Sweden, or the Priory of (your priory name) but are solely the opinions of the individual Facebook participants."

e. A cautionary statement advising that each user is responsible for making suitable and appropriate privacy settings for his/her participation.

f. A notice that any GPUSA copyrightable material or trademarks should have the appropriate copyright notice, or trademark notice, as applicable, provided and that any information that is copyrighted by a third party should not be posted without permission and must have any required copyright or other restrictive notice as required by the owner of the material.

4. The Templar Rules of Conduct on e-media

1. Avoid personal attacks, slurs, and profanity in your interactions.

2. Refrain from posting advertisements that do not pertain directly to the intended use.

3. Do not post anything that you would not want the world to see, such as credit card

numbers, private/personal information.

4. Treat all other online participants with respect without threatening, harassing, stalking, or

abuse of other users.

5. Do not publish post, distribute, or disseminate defamatory, infringing, obscene, or other unlawful material, copyrighted material or discussion.

6. Do not link to external sites known to violate our code of conduct. 7. Do not post or promote any materials that could harm or disrupt another user's computer

or would allow others to inappropriately access software or web sites. 8. Adhere to all local and national laws that pertain to priory’s location. 9. Use good judgment when evaluating information provided through any communication

service, and remember that the information provided could be from people at any age and experience level. The decision to conduct on-line transactions is your own and you should perform your own research prior to making any decisions.

10. You are responsible and liable for all your activities while participating in O.S.M.T.H.-Sweden Templar e-media.

11. The Priory moderator reserves the right to ban any participant for violating any of these rules.

12. Each member is solely responsible for protecting his/her computer against interference or viruses that may be encountered on the Internet and from the O.S.M.T.H.-Sweden Templar websites.

13. Do unto others in a helpful Christian manner as you would wish they would for you. 14. Essential note: Some of the most serious abuses from Facebook occur when others make

use or abuse of photographs or information you place on Facebook for another purpose.
