GENERAL ANNOUNCEMENTS

NEW RESOURCES: Assessment Communications

The following resources are now available to assist schools and districts in communicating about state assessments:

Smarter Balanced Communications Toolkit for Oregon Educators: Tailored to Oregon and further customizable per your school or district, the toolkit is best used in tandem with your school/district’s current communications plan and includes different sections to accommodate a range of communication needs, including Talking Points, Fact vs. Fiction, and a Parent Q&A.

Smarter Balanced PowerPoint materials are now available in both English and Spanish for schools/districts offering parent nights and community presentations on our new state assessments. You can access these and other parent-friendly materials from our Communicating Student Assessment in Oregon webpage at http://www.ode.state.or.us/search/page/?id=1308.

A State Testing Exemption FAQ is available on our Assessment Administration webpage at http://www.ode.state.or.us/search/page/?id=625. This document addresses testing opt-out rules, procedures, and impact on Oregon schools and students.

Register for the ELPA21 Field Test Today! (REPEAT)

Registration for the ELPA21 Field Test and Platform and System Trial has been extended. If you haven't already registered your school or district, you can do so today by clicking here. Participating in the field test is an excellent opportunity for your students and administrators to begin familiarizing themselves with the ELPA21 assessment system without the pressure of worrying about scores. We hope to involve the widest possible array of students in the ELPA21 Field Test. Consider signing up your entire class or even the whole grade to streamline scheduling. Contact [email protected] with questions.

Support for Chrome OS 36 and 37

The Oregon Support Plan released in July 2014 indicated that secure testing is supported on Chromebooks using versions 31 to 35 of the Chrome Operating system (OS). Since that time, versions 36-38 of Chrome OS have been released. The American Institutes for Research (AIR), Oregon’s contractor for the OAKS assessments, has tested versions 36 and 37 of Chrome OS and determined that they are compatible with the Oregon tests and can be used for testing this year. AIR is still in the process of testing Chrome OS version 38. As stated in the Oregon Support Plan, new versions of Chrome OS are released approximately every six weeks. AIR will continue to evaluate each new version as it is released to determine if it is compatible with the Oregon secure testing system. Please hold off from updating your Chromebooks to a new version of the Chrome OS until we confirm that the new version is supported. Contact your Regional ESD Partners with questions.

ELPA Training Module Updated

Training Module 7 for the ELPA has been updated due to an incorrect date on Slide 13, bullet #4. The corrected version of the slideshow has been posted to the Test Coordinators Training Materials page at http://www.ode.state.or.us/search/page/?id=2744. Please note that although the PowerPoint slideshow has been corrected, it was not possible to update the recorded version of Module 7. Therefore DTCs and STCs who train staff should be certain to note the corrected date on Slide 13 during all in-school trainings. If you have any questions, please contact your Regional ESD Partner for assistance.

ELPA 4-Domain Exemption Option Removed from TIDE

As a reminder, no 4-domain exemptions will be allowed on the ELPA for 2014-15 based on a recent clarification from the US Department of Education. ODE’s test vendor, American Institutes for Research, has updated the TIDE system so that the option to choose a 4-domain exemption is no longer available in the TIDE menu options. As a result of the update to TIDE this coming week, your district’s students who had 4-domain exemptions will no longer have any exemption coded in TIDE. The deletion of the 4-domain exemption option will also remove any 4-domain exemptions in the student’s TIDE record. Please note that only the 4-domain exemption codes will be affected by this action. Any 1, 2, and 3 domain exemptions will remain coded. As ODE has previously communicated, students who were allowed 4-domain exemptions in previous years will need an updated IEP that outlines any allowable domain exemptions for 2014-15. Once that is completed, the new exemption code will need to be coded in the TIDE system. In order for the exemption to be correctly coded, it must be entered into TIDE prior to the student starting the operational ELPA.

Cohort Graduation Rate Validations Open Today

The 4-year and 5-year Cohort Graduation Rate validations open at 1 PM November 6. They will remain open until 11:59 PM December 12. This validation is located in the Achievement Data Insight application. If you cannot see it, please contact your district security administrator and request permissions. Remember that the NCES validation is also open at this time, for a total of 3 graduation and dropout validations to review.

Trainings were conducted on October 13 and October 28 – recordings are posted at https://district.ode.state.or.us/search/page/?id=236.

For trainings on the Achievement Data Insight application, see the June 5 training posted at https://district.ode.state.or.us/search/page/?id=234. Graduation rates from previous years and the Cohort Graduation Rate Policy and Technical Manual for this year are posted at http://www.ode.state.or.us/search/page/?id=2644. If you have questions, please contact Isabella Jacoby at [email protected] or your Regional ESD Partners, or use the “Ask a Question” feature within the application.

First Period Cumulative ADM Review Opens Today

The First Period Cumulative ADM review/audit window opens at 1 PM November 6, and will close at 11:59 PM November 14. Please log into the Consolidated Collections application during this window and review your audits by clicking “Review Audits” under the “Error Management” menu. Remember that audits are not necessarily errors – please review the associated comment closely and determine whether a correction needs to be made. If no correction needs to be made, click to confirm the record, which lets ODE know that you have checked the record and believe it to be accurate and appropriately reported.

If you have questions, please refer to the Cumulative ADM Manual or the Cumulative ADM Audit Manual, or contact your Regional ESD Partners.
