REGISTRATION PROCEDURES All students must be registered before commencing a course of study at the University. Registration refers to a formal process whereby a student enrols at the start of his/her period of study to become part of the NUS student community. The Registration consists of two stages:

Registration (Part One) - all students make specific online declarations and complete acceptance records.

Registration (Part Two) - students complete the registration procedures by reporting personally at the National University of Singapore (NUS) on the date/time/venue as indicated in your email offer.

International students who require a student pass may need to wait their In-principle approval letter from us before coming for their Part 2 registration.

1. REGISTRATION (Part One) – to be completed online from 6 July 2017

After accepting your offer of admission, you can expect to receive an email sometime from 6 July 2017 onwards, requesting for your completion of the first part of the registration.

Once you receive the email, please login to the Registration (Part One) system using your application number and password which you had used in your application for admission the graduate programme. Students who have forgotten their application password may reset here.

After you logged into the Registration System, please navigate to: Self-Service > Student Admission > Registration (Part One). You are required to complete 5 steps of the online registration process (estimated to take about 15 minutes to complete). Refer to Figure 1 below:

After your successful completion of the online Registration (Part One), you will be directed to a confirmation page where you can retrieve your Student ID, PIN and NUSNET account information as shown in Figure 2.

If you are under 18 years of age at the time of completing Registration (Part One), you should also print the forms (under Step 5 of the Registration System Main Page), have your parent/guardian sign on the forms and bring them for submission when you report for Registration (Part Two). Your NUSNET account will allow you access to NUS services like your NUS Email (2 days after part one registration) and the Integrated Student Information System (2 days after part two registration) which is a single entry point for students to manage a wide range of student transactions relating to academic, finance and personal information matters. If you have forgotten your Student ID, PIN and NUSNET account information, you may re-access the Registration System any time before 7 August 2017. The Registration System will be closed after 7 August 2017 and you then approach NUS IT Care for assistance at [email protected]

If you have since changed your NUSNET password, you may reset it through short message service (SMS). A step-by-step guide on how to use the SMS service is accessible at the Computer Centre’s website (comcen.nus.edu.sg/services/mobile/nusnet-password-reset-via-mobile). Alternatively, you can email [email protected] to reset your password, stating your full name and Student ID, as well as attach a scanned image of your Student Card.

2. PRE-ADMISSION MEDICAL EXAMINATION

at University Health Centre, UHC 20 Lower Kent Ridge Road Level 1, Singapore 119080

All incoming students are required to undergo a Pre-Admission Medical Examination at the NUS University Health Centre (UHC). The University reserves the right to refuse your admission or exclude you from any particular course of study if you decline to undergo such health examinations or refuse to undergo any prescribed tests. 2.1 The medical check-up consists of the following:

Physical Examination Laboratory Examination@ Chest X-ray HIV Test (only for full-time international students applying for Student’s Pass)

@ Female students are advised to go for the check-up at least 5 to 7 days after the last day of their menses.

This is because menstruation will affect the results of the urine test.

2.2 The cost of the medical examination will be borne by students. The rates (inclusive of 7% GST) at UHC are as follows:

Local Students : S$40.00 (including chest X-ray)

International Students: S$55.00 (including chest X-ray & HIV test for Student’s Pass application) Note: Rates quoted are subject to change.

2.3 For August intakes, online booking of appointment slot is required. Details on available timeslots are up at http://www.nus.edu.sg/uhc

If you wish to complete the entire medical examination on the same day, please note the availability of the X-ray service:

You should book the appointment slot after accepting the offer of admission. You will need to use your Application Number and Password to do the booking.

Local students are strongly advised to book slots that are before the 3rd week of July 2017, so as to avoid congestion later in the booking period when the international students arrive. But, if the slots are full, please proceed to book for any available slots in August. You are expected to complete this medical examination by 31 August 2017.

International students applying for student’s pass should select slots that would enable them to collect their medical reports in time for the Student’s Pass application on 01 August 2017**.

2.4 Please print and bring the Admission Medical Examination Report form enclosed in this

package when you attend the medical examination. A copy can also be downloaded from UHC website http://www.nus.edu.sg/uhc/services/medical-examination/pre-admission-medical-exam.html. The list of other things to bring can be found on http://www.nus.edu.sg/uhc/services/medical-examination/pre-admission-medical-exam-process.html . Completed Pre-admission medical examination Report forms will be collected by UHC.

2.5 Full-time international students are required to complete an additional ICA’s prescribed Medical Examination Report form for their student pass application. Students who fail to fulfil the medical requirements will not be issued with a Student’s Pass. If you choose to do the ICA medical examination at UHC together with the Pre-Admission Medical Check, you are only required to do 1 medical examination BUT are reminded to request the medical practitioner to complete the 2 prescribed medical report forms as enclosed in this package

Medical reports done at UHC will only be ready for collection one week after as results of the various laboratory tests will only be ready after five working days. Please plan the timing of your medical examination latest by 21 July 2017**. This is to ensure you will have all the documents ready in time for the Student’s Pass application appointment with ICA on 1 August 2017**. In the event that there is no available appointment at UHC to complete your student pass formalities in time for 01 August 2017, you may choose to undergo your pre-admission medical examination with a private physician at your home country or in Singapore. Please note that you may be required by the university, UHC or ICA to undergo further medical examinations or tests if your earlier medical results are incomplete or unsatisfactory. (**Please also refer to section 9.1.2) 2.6 Graduate students who are NUS staff members or are being employed in local companies may be exempted

from the Admission Medical Examination if they have done a similar medical check-up not more than 6 months before the time of registration. The University Health Centre shall review the exemption on a case-by-case basis and reserves the right to refuse an exemption.

Note: (a) NUS staff members need only to complete Part I of the Admission Medical Examination Report

Form and indicate the date and venue of the medical examination done earlier at the bottom of Page 2 of the form.

(b) Non-NUS staff members are required to complete Part I of the Admission Medical Examination

Report Form and submit documentary proof of the medical examination performed by the registered medical practitioner, including chest X-ray and urinalysis reports.

3. DIAGNOSTIC ENGLISH TEST (DET) – if applicable

Students who are required to take the DET as indicated in their offer email have to register for the DET test scheduled on: Date: 25 July 2017 (Wednesday) Time: 9.30 am to 11.30 am Venue: Please check the website from 14 July We strongly advise students not to postpone sitting for the DET if you plan to complete your degree in 1 year especially for full-time students. 4. REGISTRATION (Part Two) – refer to date and time stated on offer email

Please complete Registration (Part One) at least 2 days before you proceed to complete the Registration (Part Two). Registration (Part Two)

Registration (Part Two) must be done personally at the National University of Singapore, Engineering Block EA,

#06-06 (the enclosed map will help you locate us). Please refer to your email offer for the date, time and venue.

The registration process will take about 20 minutes or more, depending on the queuing time. You MUST bring

along the following documents:

Documents for Verification and/or Submission Remarks

1) Email printout of your admission offer

2) Original copy of NRIC For Singapore Citizens and Permanent Residents only

3) Original copy of Passport For International Students only

4) Original copy of Employment Pass / S Pass / Work Permit For International Students taking up part-time studies only

5) Original copy of your educational certificate, transcript and/or any other outstanding document(s) as requested

Our staff will assist to verify all the original documents as indicated in the above before we issue you your NUS Student Card.

International Students Only

Besides your NUS Student Card, you will also receive the following documents: - Original In-Principle Approval (IPA) Letter from the Immigration & Checkpoints Authority (ICA), with NUS

stamp on it;

- ICA Appointment letter, with the date and time for enrolment and issuance of the Student’s Pass. Please

refer to Information for International Students Section 9 for further information.

5. ORIENTATION We encourage all newly registered students to attend an Orientation talk by the Vice Dean (Graduate Programmes):

6. PAYMENT OF STUDENT FEES Tuition and miscellaneous student fees are payable in advance on a semester basis (unless otherwise indicated) by the deadlines stipulated by the Office of Financial Services. Please refer to your offer package for the fees payable. You may view and print your first semester’s student bill from the Integrated Student Information System after you have completed registration (Part Two) in person with the University. If fees are not paid by the due date indicated in the bill each semester, a late fee of $25 would be imposed. For more information on due dates and modes of payment, please refer to the Notice on Payment of Fees website at http://www.nus.edu.sg/finance/NoticeonPaymentofFees.html. Students should also take note of the deadlines for leave/withdrawal and change of citizenship that will affect their fees after the 2nd week of the semester. For assistance, please check with Office of Graduate Programmes (OGP).

6.1 Service Obligation Agreement (For international students reading government subsidised programmes) – Not applicable to students under the NUSRI agreement. International students who are eligible and opting for the Service Obligation Scheme will be required to apply online through the MOE TGOnline System during the stipulated period. Once their online application is successful, they will be required to attend a scheduled Service Obligation Signing Session as indicated in http://www.nus.edu.sg/admissions/graduate-studies/scholarships-financial-aid-and-fees/financial-aid-schemes/service-obligation-scheme.html

6.2 Tuition fee Loan

Full-time students who are applying for the Tuition Fee Loan Scheme are required to check the website http://www.nus.edu.sg/admissions/graduate-studies/scholarships-financial-aid-and-fees/financial-aid-schemes/tuition-fee-loan-scheme.html for eligibility and application forms.

7. LEAVE OF ABSENCE / WITHDRAWAL

Requests for deferment will not be considered. Candidates who are unable to commence their studies for the semester will have to re-apply for admission by submitting a fresh application for consideration in a subsequent admission exercise. However, candidates who are currently residing in Singapore may apply for leave of absence after they have completed all registration formalities.

Any candidate upon registration as a graduate student may apply for leave of absence up to 3 weeks (for personal reasons) or 4 weeks (for those on Reservist Service) in their semester of study.

If you have registered as a graduate student and are unable to attend classes regularly during your first semester of study, you can undertake one of the following action:

(a) Apply for leave of absence for your first semester of study. Requests for leave are considered on a case-by-

case basis. If approved, it will not be counted towards your maximum period of candidature. Candidates requiring consecutive leave for more than their first semester of study (e.g. require to take leave/time-off

from their studies consecutively for their 1st and 2nd semesters or more) will be required to withdraw from their candidature; or

(b) Withdraw from your current candidature and re-apply for admission by submitting a fresh application for consideration in a subsequent admissions exercise. The application will then be considered competitively together with other applicants applying at that time.

Candidates who upon registration and subsequently apply for leave of absence / withdraw from their candidatures (or have their candidatures terminated) after the 2nd instructional week of the semester, will be required to pay fees for the whole semester. 8. SELECTION OF MODULES / CLASS TIME-TABLE Information on the modules available for each semester and the class time-table is obtainable from the respective departments. You will receive information on the class time-table and other details from your DEPARTMENT two weeks before the commencement of the semester. You are to register for your modules online for each semester not later than the 2nd week of commencement of each semester. For more details, do contact your respective departments after you complete your registration with us. 9. INFORMATION FOR INTERNATIONAL STUDENTS

9.1 Application for Student’s Pass

All Full-Time International Students must have a valid Student’s Pass which is issued by the Immigration Checkpoints Authority (ICA) for their programme of study. Instructions will be sent to you in a separate email from mid June 2017 to submit an eForm16 to apply for Student’s Pass and/or visa online via the Student’s Pass Online Application & Registration (SOLAR) system after you have accepted your offer of admission. For applicants who received a provisional offer of admission, you will only receive the email upon confirmation that you have met the admission requirements as indicated in the provisional offer).

If the student’s pass application is approved, ICA shall grant you an In-Principle Approval (IPA) letter. If you are from a visa-required country, the IPA letter, which serves as a single-entry visa to enter Singapore, will be sent to you via email. The stamped IPA letter will be issued to you during registration (Part Two) in person at NUS. You will also receive the ICA appointment letter from us, on the same day as your registration (Part Two) if you have all the necessary documents required for your student pass application during registration.

9.1.1 Additional Medical Examination for Student’s Pass Application

The issuance of the Student’s Pass is subject to the outcome of a medical examination. Students who fail to fulfil the medical requirements will not be issued with a Student’s Pass. You may opt to have this medical examination (together with the Pre-Admission Medical Check) done at the University Health Centre (UHC) (nus.edu.sg/uhc/healthservice). Please refer to Section 2 for more details.

9.1.2 ICA’s Offsite Enrolment Formalities for Issuance of Student Pass ICA has arranged for an offsite enrolment for the issuance of Student’s Pass. You are required to report for the following sessions according to the time stipulated in your ICA Appointment Letter that will be issued to you during Registration (Part Two). Enrolment Session:

Date & Time: An Appointment letter will be issued during the day of Registration (Part Two). The exact date and timeslot will be indicated accordingly. (Subject to the available vacancies allocated to Faculty of Engineering)

Venue: University Town Seminar Room 7, Town Plaza

Purpose: To complete your student’s pass formalities with ICA (Please check your IPA letter for the payment to be made, list of documents to print and bring)

Issuance Session (only applicable to students who completed their Enrolment Session at NUS):

Date & Time: 22- 23 August 2017 (Refer to the ICA Appointment letter for the exact date and timeslot)

Venue: Multipurpose Sports Hall 4 (MPSH4) Sports and Recreational Centre NUS Sports Drive 1

Purpose: Collection of Student Pass

**In the event that: (i) you are unable to obtain your medical reports in time by 1 August 2017 or; (ii) you are unable to attend the Offsite Student’s Pass Enrolment and Collection Session as

scheduled, or; (iii) have plan to travel out of Singapore between 01 August 2017 and 23 August 2017, lease make an e-appointment (http://eappointment.ica.gov.sg) in order to complete your student’s pass formalities at ICA Office, 4th Floor, ICA Building (located next to Lavender MRT Station).

9.2 Dependant’s Pass holders

Candidates who are currently Dependant’s Pass holders have to apply for Student’s Pass via the SOLAR

system. Upon receiving the in-principle approval of the Student’s Pass, candidates may choose either to:

(a) Pursue their Study using the Dependant’s Pass (if the duration of the course of study is shorter than the duration of the Dependant’s Pass) - After registering as a student with the Office of Graduate Programmes (OGP), student has to

apply for a Letter of Consent (LOC) from ICA (Student’s Pass Unit) in person or by post. - Documents needed: Letter from student indicating he/she would like to study using the

Dependant’s Pass, Form 16, In-Principle Approval (IPA) Letter, Letter from OGP certifying admission status, course of study and period of stay.

- Process time: Within the day of application in person. - Note: If LOC is not granted by ICA, candidate will have to cancel his/her Dependant’s Pass and

study with a Student’s Pass. Students will have to complete the relevant medical check-up and Student’s Pass application fees will be payable.

(b) Cancel the Dependant’s Pass and study with a Student’s Pass (fees payable)

9.3 University Sponsorship of Social Visit Pass for Spouse and children The University do not sponsor spouses and/or children of international graduate coursework students’ visa and Social Visit Pass applications. Application of their Social Visit Pass (SVP) has to be made directly at the Visitor Services Centre, 4th Floor, ICA Building and a bond is required. The amount of the bond is established by ICA. Student must have already obtained a Student’s Pass issued by ICA at the time of application. A local sponsor (Singapore Citizen/Permanent Resident) is required in order to apply for a SVP for spouse and/or children. The SVP granted will normally be for up to a maximum period of 6 months. It is renewable, subject to ICA’s approval (details can be found at the ICA website at http://www.ica.gov.sg).

9.4 Employment Pass and other Work Pass Holders

Employment Pass (EP) and other Work Pass holders can only study part-time as full time study requires a Student’s Pass. EP and other Work Pass holders who wish to study full time will have to surrender their work passes and then apply for a Student’s Pass. International candidates who are pursuing the degree as a part-time registered student should hold a valid work pass to stay in Singapore.

9.5 Housing

Matters relating to on-campus or off-campus housing can be obtained from The Office of Student Affairs, Hostel Admission services website at http://nus.edu.sg/osa

MEDICAL EXAMINATION REPORT For New Applicants: 1. The Medical Examination may be done in Singapore by any registered General Practitioner (GP). Applicants who are in their home countries/places of residence may have their Medical Examination and HIV test done in their home countries/places of residence at any medical clinic licensed to carry out such tests. If HIV testing is done in Singapore, it may be carried out with either rapid or ELISA tests.

For Renewal Applicants: 1. The Medical Examination MUST be done in Singapore by any registered GP. HIV testing may be done with either rapid or ELISA tests.

Notes for All: 1. This Medical Examination Report is to be completed by a registered doctor and returned to the examinee. The original copy of the laboratory report for HIV and the X-ray report must be attached to this Medical Examination Report only if the medical examination and testing is carried out overseas. 2. The laboratory report for HIV and the X-ray report submitted to the Immigration & Checkpoints Authority should be within THREE MONTHS from the date of the issue of the reports.
