About This Book
This is an operation manual of "GM@Post" system (referred to as GM@Post)
provided to suppliers. GM@Post is software that helps the suppliers with surveying
the substances contained in a product and preparing reports. This system is used
through the Internet.
The suppliers we registered in advance are allowed to use this system for free.

System Overview
GM@Post has been designed and developed to support the communication
among the supply chains concerning the information control, survey request
generation, and survey results response on the chemical substances contained in a
part and product. The survey requests and response processes between the
suppliers and us are carried out through the Internet.

The system users are categorized into the following attributes.
Attribute Description
Supplier
Representative
The representative user whom we register first is our counterpart
at a supplier.
We register one representative per one supplier.
The representative attribute involves the "Administrator"
attribute shown below.
Administrator The users with the administrator attribute are allowed to register
the system users in the supplier.
When a supplier initially starts to use the system, the
representative covers the role of an administrator. The
representative is allowed to register administrators and users.
User The users with this attribute are allowed to do the survey
response works.
The users are not allowed to refer to, register, or modify another
user.

You activate a browser and access to the following URL.

①Enter the e-mail address and password of the user that was registered in advance,
and click the [Login] button to login to the system.
②Announcement information from the survey requester is displayed. Click the link
of the announcement title to refer to the detail.
This manual refers to the website you are accessing as "Supplier site".

1. The side menu appears on the left side after you login.

2. Hide Menu
①To hide the menu, click the "<" icon on the upper left of the menu. Hiding the
menu widens the display area on the monitor.
②When the menu is hidden, place the mouse cursor in the area of ">". While the
focus is on here, the menu appears and you can select a menu item.
③To display again the hidden menu, click the
pin icon on the top of the menu.

Set Supplier Representative Password
1. Supplier representative registration notice
We register login information in advance for the supplier representative and send
a password registration notice to you. The description of the notice e-mail is as
follows.

2. Register password
You click the URL in the password registration notice e-mail to access to Supplier
site.

Follow the description on the page for about the password generation rules and
a text acceptable as a password.
①Upon completion of the password registration, the [Login Page] appears on the
monitor and you see message "Your password was registered." in the upper
part of the page. Once above mentioned procedure is complete, you are
allowed to login to GM@Post using the e-mail address as the ID.

User Registration by Supplier
The suppliers are allowed to register additional users.
Only the users having the administrator role can perform registration of additional
users.
* The administrator role has been set to the user registered as the representative.
1. You select "List of the Users" from the menu.

2. You register a user.
You enter the necessary attribute items and click the [Registration] button.
The next table shows the attribute items you need to enter.
Attribute Description
Email Address Enter the e-mail address of the user.
Company Name We preset the company information of the supplier. If there are
multiple survey response divisions, you may enter this item by
selecting a company name from a list. Enter this item appropriately.
If only one survey response division exists, this item does not
become a combo box selection item.
Name of Person Enter the name either in English or in the mother language.
Department
Name
Enter the name either in English or in the mother language.
Administrator When the administrator role is assigned to this user, make the check
box on.
3. Set password
A mail notifying the password setting is sent to the user registered. The operation
procedure after receiving the e-mail is the same as "Set Supplier Representative
Password".

Modify or Delete User Information
You select "List of the User" from the menu and modify user information through
the [List of the User Page]. Click the link of "Name of Person" to transit to the
information modification page.
If you are an administrator, you are entitled to modify and delete any user
information in your company. If you are not an administrator, you are only entitled
to modify your own information.

Enter Date
Enter a date in the "yyyy/mm/dd" format into a date input box.
Clicking a date input box displays a calendar that assists you to enter a date.
The current date is highlighted to distinguish from
others.
Clicking one of the arrows on both sides of the
title changes the month to display.
Select a date by clicking to enter the date into the
input box.

Switch Multi Language Display
GM@Post supports Japanese, English, and Chinese.
Change the display language using the language setting option of a browser.

Click [Internet Options]. [General] tab,
[Language], and switch the language.
The topmost language is used as the display
language.

Session timeout
The preset duration time of a session maintaining the connection between the
browser and the server is 30 minutes.
If you leave the browser more than 30 minutes without any operation, you are
logged out when you resume the operation.
Beware that if you try to log in after timeout, you will encounter the following
message.

Format Check Elapsed Time of Upload File
If you upload a file in standard format with a size over 1MB, you may encounter a
slow response of the browser because of a long processing elapsed time to perform
a format check process on the server.
It may take a few minutes to complete the process. You must wait for a response
without closing the browser or transiting to another page.

Name of Upload Files
If the name of an uploaded file contains half size or full size blank characters or one
or more of the special characters shown below, these characters are converted into
a half size underscore character (_). You must be careful.

Grasp Survey Response Data Status
Survey response data has "Status" attribute that is used to control the status of the
survey requests of our company and the responses from the suppliers. The "Status"
attribute consists of the following two and you can check it on the monitor.

Reply Status Shows the response data registration status at the suppliers.
Progress Status Shows the survey request registration status in our company.
Survey response data of which the response status is “Response Process is in
Progress” has a “Preliminary Response” attribute.
Survey reply status is identified based on the combination of two status attributes.

Search for Survey Request Information
Search for Information for Initial Display
You select "Search of the Survey Request" from the menu. Then, the page transits
to the [Search of the Survey Request Page] and survey request information
appears in list format as the initial display. The next table shows the information
extraction conditions.

By placing a check mark in the check boxes of "Response Status" of the search
condition, you can perform search by status attributes.

Various Search Conditions
You click the "<<Search Option>>" link in the search condition area to display the
additional search conditions.
* The specified search conditions are connected with AND.
* Enter supplier's information to Parts No. and Parts Name.
■ Fuzzy search
You can perform fuzzy search if you specify a wild-card character "*" in a search
condition. See the next table.

Since the survey request attributes do not fit in one display page, you can scroll
them horizontally.
Only the search result data area scrolls.
■ Paging
One page displays 10 data items.
If more than 10 data items are found, the buttons for paging control are displayed
under the search result.

■ Change data order
If you see a triangle mark (▲▼) in a title box of the
search result as shown in the figures on the left, you
can change the display order by its attribute data, in
ascending order or in descending order, by clicking it.
You can change the display order with respect to only
one attribute item. The order previously specified is
discarded when you click the triangle mark of another
attribute item.
The figure on the left shows the image of specifying
ascending order sort.
The figure on the left shows the image of specifying
descending order sort.
If you specify reordering by an item, the background color of its title changes.

Temporary Save of Data
You can temporarily save data that is in the process of survey response
preparation.
You can temporarily save data by clicking the [Temporary Save] button in the
bottom of the page.
When you save data temporarily, the system does not perform input check or
format check of an uploaded standard format file.

Report of Scheduled Response Date
You report the scheduled response date.
① Enter the scheduled response date to the input box of “Scheduled Response
Date”.
② Click the [Report of Scheduled Response Date] button of “Scheduled Response
Date”.

Once you report the scheduled response date, the next mail is sent to the survey
requester.

1. You select the file to upload.
①Click the [Upload] button in the "Document File Name" item to display the [File
Upload Page].
②Click the [Select files] button in the [File Upload Page] to display the [Select files
Page].
③Select the file to upload from the [Select files Page] and click the [Open] button.

2. You upload the file.
①The upload progress status appears on the monitor after you select the file to
upload. To cancel the upload process, click the [Cancel] button.
②Once the upload process is complete, click the [Close] button to return to the
input page.
③To change the upload file, click the [Delete] button to delete it.
④When you return to the input page after the upload process, you see the
uploaded file in "Document File Name".

Change and Delete Uploaded File
The [Upload Page] does not display the files uploaded in the past. Therefore, you
cannot explicitly delete a file uploaded in the past by clicking the [Delete] button. If
you upload another file in this situation, you can replace the file uploaded in the
past with it. If you need to delete the file, you can do so by clicking the [Delete]
button after you upload another file.

Upload Procedure of Other Response Documents
1. You select the file to upload.
①Click the [Add File] button to display the [File Upload Page].
②Click the [Select files] button to display the [Select files Page].
③Select the file to upload from the [Select files Page] and click the [Open] button.
You can upload multiple files if they are an attachment file. Select files
repeatedly.
④The selected files are displayed in list format as the files to be updated. If you
click the [Close] button at this stage, the upload process is canceled.

Select and Upload Multiple Files Collectively
If you are using Internet Explorer 10 or FireFox or Chrome as the browser, you can
directly select multiple files collectively from Explorer and upload them with drag
and drop, without operating on the [Select files] button of the [File Upload Page].

2. You upload the file.
①Select the files to upload and, while the file list is being displayed, click the
[Start Upload] button in the upper part of the page. You can upload multiple
files at once.
②If you click the [Start] button in a row in the upload file list, the file of the row
is only uploaded.
③If there are files to be excluded from the one to be uploaded, click the [Cancel]
button in the row of such files.
④You may use the [Cancel] button in the upper part of the page to cancel all of
the files to be uploaded. This button is useful when you re-select files afresh.

⑤After the completion of the upload process, you may click the [Delete] button in
a detail row to delete the uploaded file of the row.
3. You delete a file after upload.
①Click the [Delete] button in each detail row to delete the corresponding file.
②By checking off the check box of [All Select / All Unselect], you can check off
or uncheck the delete check boxes in all detail rows at once. You may use the
[Delete File] button to delete the attachment files corresponding to the detail

Finalize Response
1. You enter a comment.
You may enter a comment to forward your message to the requester.
The information you entered into the comment box can be referred to on the
system of the requester.
2. You finalize a response.
You click the [Finalize Response] button in the lower part of the [Reply Input
Page] to finalize a response. While the upload process is being executed, format
check of the upload file in the standard format and document information check
of the attachment files are performed. A message appears if there is a problem.
You must correct it according to the description of the message.

■ Validity check of response data
You specify the contents of those documents in [Document Class] of the upload
file, which you are requested to submit as other documents.
■ Format check of standard format file
The system performs the format check of the uploaded file in the standard
format.
If there is a problem, an error message in the format shown in the next figure
appears. You must check the description of the message and correct the file being
uploaded.
①If there is a problem in the file being uploaded, an error contents are displayed.
If no error is found in the file being uploaded, no message appears and the
response finalization process terminates normally.

Cannot Arrange Response Document Immediately
When you cannot finalize the survey response because you cannot arrange all
response documents, such as a standard format file, immediately, but if you want
to send data already you got to the survey requester, you can do so by performing
preliminary response.
To perform preliminary response, upload at least one response document, such as
a standard format document, enter a comment through the [Reply Input Page],
and click the [Preliminary Response] button in the bottom part of the page.
Input check and format check are performed on the uploaded standard format files.
You may perform Preliminary Response as many times as you wish.
Once Preliminary Response is performed, “Preliminarily Responded” is shown in the
“Preliminary Response” item.

Once preliminary response is performed, the uploaded standard format files, other
response documents, and the response comments are opened to the survey
requester.
Please be noted that if you replace a document file you uploaded, or if you update
the comment and save it temporarily after you performed preliminary response,
those are opened to the survey requester.
When all necessary documents are arranged after preliminary response, you need
to perform response finalization.
If you need to terminate a survey even though you cannot arrange all necessary
documents, proceed to the section of “Respond to Survey Only Partially”.

Unable to Download Document File
You can download and check a document file by clicking the file name link of
request attachment information, standard format document, or other response
document in the [Reply Input Page].
If you use Microsoft Internet Explorer 11, you might not be able to download a file
due to a limitation of the browser.
If this case happens, right click Internet Explorer in the start menu and select [Run
as administrator] to activate Internet Explorer 11.

Withdraw Response
Withdraw is the function to draw back a finalized response.
You may perform Withdraw on data of which the reply status is "Already
Responded".
You display data with the status of "Already Responded" through the [Reply Input
Page] and click the [Withdraw] button to execute the withdraw process.
You cannot withdraw data of which the requester status is "Waiting for Approval".

Administrator Forgot Password
When an administrator forgot the password, you are not allowed to reset his/her
password through Supplier site. You must contact to our support center point. We
reset the password for you.
If there is more than one administrator in your users, one administrator can reset
the password of the one who forgot his/hers.
Reset Own Password
If you reset your own password due to an operation mistake, logout once from
Supplier site (Even though you inadvertently reset your own password, you can
continue the operation while you keep the login state), and set your password
again. Care must be taken, if you try to reset the password while you keep the login
state, the password resetting is not completed and you encounter an error.
