Time Management

Getting less work done than expected. Spending too much time on one part of a job,

leaving an inadequate amount of time for another part.

Unable to meet deadlines or targets made.

Time Stealers

Not knowing what to do. Procrastination. Interruptions, Distractions e.g. phone calls, talking. Setting targets and aims too high. Taking on too much work – work overload. Lack of prioritising high tasks, low etc. Little incentive – poor motivation. Arrangements running longer than expected - meetings

The Effects of Poor Management

Staff feel demoralised, as loose interest in work as it seems meaningless.

Work is not completed or produced in and sufficient time.

Targets and deadlines are not being achieved or met.

Never any spare time. Fall behind as new projects cant be started.

Benefits of Good Time Management

Staff feel more motivated and can become more focused.

Organisation can delegate and organise employees to suit them effectively.

If monitored, projects can be traced and the problem can be identified and fixed – more time, more assistance etc

Hence motivation, employees feel more in control of their work and know when to start and complete tasks.

Good Time and Task Management Techniques

Develop to do lists. Ensuring they are checked thoroughly every day.

Prioritise tasks – immediate action, some action and so on.

Clear desk at the end of the day to provide a clear approach the next day.

Ensure difficult tasks have the most time spent on them, when at your best – don’t put them off.

Try to avoid being interrupted.

Techniques Continued..

Handle papers once, after they’ve been read file them away in an orderly fashion.

Have a list of calls, that are needed to be made and taken, with a number of facts that are necessary to know and questions to be asked – allows a set time to be put in order to avoid rambling.

Try working on one task for a period of time then move on to another- see if this helps your interest and motivation as it’s a new subject.

If you are able to delegate tasks to others, do so !.

Personal Targets

Targets will motivate people into achieving the targets set by the organisation.

A structure will develop in which people will commit to the organisation threw co-operation skills.

Targets should make the best of the employees skills and abilities.

All targets should be;

S – Specific

M – Measurable

A – Agreed

R – Realistic

T - Time bound
