GENERAL REGISTRATION

The CTBT: Science and Technology 2017 Conference (SnT2017) will be held from 26 to 30 June 2017 in the Hofburg Palace, Heldenplatz, 1010 Vienna, Austria. Please note that access to SnT2017 is only possible through the Heldenplatz entrance of the Hofburg Palace.

SnT2017 is NOT in the same wing of the Hofburg Palace as previous SnT conferences.

The conference begins on Monday, 26 June 2017, at 9:00. Three parallel sessions are planned for the oral presentations. The high level opening will take place on Tuesday, 27 June 2017, at 10:00 in the Zeremoniensaal. Participants are requested to be seated punctually. This session will be live streamed to the adjacent Geheime Ratstube.

Each participant attending SnT2017 will require a conference badge unless she/he is a holder of a Vienna International Centre (VIC) grounds pass.

Holders of VIC grounds passes do not need further identification for access to the Hofburg. However, they must register for SnT2017 online (http://ctnw.ctbto.org) or at the registration desk at the Hofburg in order to attend the conference.

Participants who do not hold a VIC grounds pass must register online (http://ctnw.ctbto.org). They can pick up their conference badges at the registration desk at the Hofburg on Sunday, 25 June 2017, from 14:00 to 18:00 or during the conference. Valid photo identification is required. Participants are encouraged to pick up their conference badges on Sunday, 25 June 2017, in order to avoid congestion on Monday morning, 26 June 2017.

The opening hours of the registration desk at the Hofburg are:

All SnT2017 participants are required to wear their conference badge or VIC grounds pass visibly within the venue at all times.

Each registered participant will be provided with a conference package containing conference documentation and a USB stick with electronic versions of all SnT2017 conference material. The report on SnT2015 will also be included in the package.

PRESENTATIONS

Detailed information will be provided in the Information for Presenters.

Oral Presentations

Oral presentations, panel discussions and workshops will take place in the Zeremoniensaal, the Geheime Ratstube and the Rittersaal. Full details will be provided in the conference programme, which will include a floor plan of the venue.

Poster Presentations

Poster mounting is scheduled on Sunday, 25 June 2017, from 14:00 to 18:00. Posters will be on display in the Festsaal and Wintergarten from Monday, 26 June 2017, to Friday, 30 June 2017. A floor plan will be available to help participants locate specific posters.

The schedule for poster sessions will be outlined in the conference programme. Authors are requested to be present at their posters during poster sessions. Poster preview sessions, at which authors can present a one minute oral introduction to their posters, will be held at the end of oral sessions, prior to the corresponding poster sessions.

Authors who wish to participate in poster preview sessions must submit a single slide of their preview presentation to (http://ctnw.ctbto.org) in advance and according to the instructions provided.

Language

The working language of the conference is English. There will be no interpretation available.

LIVE TRANSMISSION

The proceedings of the conference will be transmitted live by means of video streaming on the SnT2017 web area at www.ctbto.org. Video recordings will also be available on the CTBTO web site after the conference.

CTBTO EVENTS APP

The CTBTO Events app for iOS and Android smartphones will be introduced at SnT2017. It will provide:

• Conference programme and documentation;• Automatic notifications and alerts on

conference activities;• List of participants and general information;• Private chat functionality;• Ability to submit general and session specific

questions;• Links to social media.

Instructions for downloading the app will be provided in a separate email prior to SnT2017.

AWARDS

A number of awards will be presented during the closing session on Friday, including awards for the Best Oral Presentation, Best Poster Presentation, Best Presentation by a Young Scientist and the European Union Star Award. Conference participants are asked to vote for these awards. Instructions for voting will be included in the conference package.

Votes should be cast before 11:30 on Friday, 30 June 2017. The terms of eligibility for the Young Scientist Award will be indicated in the programme.

CONFERENCE VENUE AND SERVICES

Mobile Telephones

Participants are kindly requested to set their mobile telephones on silent mode when inside the conference rooms to avoid interrupting the proceedings. Free Wi-Fi throughout the venue will allow access to updated conference related information on the CTBTO Events app.

Cloakroom

A staffed cloakroom will be available in the entrance area of the Hofburg. Please note that the Preparatory Commission for the CTBTO cannot assume any liability for the loss, damage or theft of items of any kind, including property, cash or personal effects, that may occur during or in connection with the events of the Commission.

Copying and Internet Facilities

The Commission is unable to offer photocopying or printing facilities to participants.

Computers will be available in the Internet Corners located in the Orchestergang (with the exception of Tuesday morning, 27 June 2017) and in the Hofburg Lounge. Delegates may use these computers to access the Internet, including sending and receiving email.

Participants with their own laptops will be able to utilize free Wi-Fi to access Internet services. A Wi-Fi password will be provided to participants at the registration desk.

Problems or Questions

First Aid

A doctor will be on duty for the duration of the conference. For emergency assistance, participants should contact security personnel or Conference Officers/Clerks at the registration desk.

DIRECTIONS TO THE HOFBURG PALACE

The Hofburg Palace, Heldenplatz, can be reached by underground (U-Bahn), car or taxi. Public transport is recommended, as driving in the 1st district of Vienna can be difficult and parking is limited.

By Underground (U-Bahn)

The Hofburg is a 5-10 minute walk from the following underground stations:

• Stephansplatz: U1 or U3, leave the station via the Graben exit• Karlsplatz: U1, U2 or U4, leave the station via the Oper exit• Herrengasse: U3, leave the station via the Herrengasse exit

By Car

Drop-off and pick-up at the Heldenplatz entrance only.

By Taxi

Participants arriving by taxi are advised to use the Heldenplatz entrance.

TRANSPORT TO AND FROM THE AIRPORT

An airport bus service operates between Vienna International Airport and Schwedenplatz, located in the 1st district, at a cost of €8 (one way) or €13 (return). The journey time is approximately 20 minutes. Buses run to the airport every 30 minutes (from 4:00 to 23:30) and from the airport every 30 minutes (from 4:50 to 00:20); https://www.viennaairportlines.at/en/info/1144.

The City Airport Train (CAT) operates between Vienna International Airport and the Landstrasse (Wien-Mitte) station at a cost of €11 (one way) or €17 (return). The journey time is approximately 16 minutes. This service runs to the airport every 30 minutes (from 5:36 to 23:06) and from the airport every 30 minutes (from 6:06 to 23:36); http://www.cityairporttrain.com/Infos/Fahrplan.aspx?lang=en-US.

OTHER USEFUL INFORMATION Banking Services

Banks offering full banking services can be found in the vicinity of the conference venue. Most banks are open from Monday to Friday from 8:30 to 15:00.

Climate

During the month of June, the average temperature range in Vienna is approximately 15 to 25 degrees Celsius. It may rain at any time.

Currency and Credit Cards

The currency unit in Austria is the euro. The euro is divided into cents (100 cents = 1 euro). Most hotels, restaurants and shops accept internationally recognized credit cards.

Traveller’s cheques and foreign currency may be brought into Austria without restriction. However, as not all currencies are in equal demand, some may not be easily exchanged. Departing visitors may take with them any foreign and local currency and securities that they have brought into the country.

Electricity

The standard voltage in Austria is 220 volts AC (50 hertz). A standard voltage converter and plug adaptor should be sufficient for conversions. Electrical outlets require a two-prong plug with round prongs.

Language

The official language of Austria is German. English is also spoken in most restaurants and shops in the 1st district.

Pharmacies

Pharmacies in Vienna are generally open on weekdays from 8:00 to 12:00 and from 14:00 to 18:00 and on Saturdays from 8:00 to 12:00. One pharmacy in each district of the city is open outside of these hours. The addresses of pharmacies that are open outside regular working hours are posted on the door of every pharmacy.

Postal Services

A post office, providing all regular postal services, is located at Fleischmarkt 19 in the 1st district. It is open from Monday to Friday from 7:00 to 22:00; https://www.wien.info/en/locations/post-office-fleischmarkt. Post offices can also be found in all other districts of Vienna.

Time Zone

Austria follows Central European Time, which is Greenwich Mean Time (GMT) +2 hours during summer.
