• The periodic maintenance program allows you to provide maintenance on a consistent basis to your customers. The success of any maintenance system depends on staying on top of commitments to customers and scheduling mechanics to meet the terms of your service agreements. Consistent service helps build a strong relationship with your customer and helps secure a significant share of the after-market parts and service business. The periodic maintenance system will assist you in your efforts to achieve these goals.

• Each of your customers must have a name and address master record established on the system, machine ownership records for the units you intend to put on contracts, and a periodic maintenance contract. Among the functions of the periodic maintenance program, the system will run reports to create work orders for contracts due and also print dispatch tickets for the mechanics.

Machine Ownership File – SC030

• When a customer purchases a machine from you, you may select the option of automatically establishing a machine record in the machine ownership file. Additionally, it is very helpful to manually set up records for all your customer’s machines regardless of their source. When machines are serviced, or parts are purchased, this file is updated from other programs. It also stores the information for periodic maintenance contracts—if you intend to open a maintenance contract for a machine, the machine must have a record established in the machine ownership file.

• The first three fields (make, model, and serial number) are the key fields that identify individual records. Although these cannot be changed while you are conducting maintenance to the file, there is a transfer program available to transfer the records when it is necessary. Please see the documentation for the sales management system for more information on this function.

• When a periodic maintenance contract is sold for a piece of equipment, you must enter the customer contract in the periodic maintenance file. You will also enter the expected levels of maintenance and the frequencies for the maintenance to take place.

• In order to set up the contract in the periodic maintenance file, the customer must have a name and address record and the machine must be established in your machine ownership file.

• Pull files may be established to list the parts needed for the different levels of maintenance. See the pull list chapter in this Operators Guide for information on setting up these files.

To add a pull list of parts, labor and miscellaneous records to your levels of maintenance. For instance, if you have a pull list that contains filters for your model of machine, and your level of maintenance indicates that all filters are to be replaced, if you enter the pull list under that particular level, the mechanic will have the parts when the service call is made.

The program will warn the user 3 times if necessary fields are not entered as a measure to ensure the PM will be scheduled.

Generating PM Documents

You may generate a printed report of contracts due for periodic maintenance by using this periodic maintenance report program. The program allows you to specify your report format, the contracts you will be selecting, and the way in which the contracts will be sorted (by zone, mechanic, or customer). Once you have chosen your report format, you may produce reports as often as necessary (daily, weekly, or monthly). Also, this report determines whether you intend to generate quotes or open work orders for contracts due.

The sequence selections do NOT determine what information will be printed in your report—the sequences determine how your data will be sorted.

The first sort (sequence) is your primary sort. If you choose second, third, or fourth sorts, they will be your secondary sorts.

For instance, if you choose the customer selection as your primary sort and do not select secondary sorts, you will be printed a report of all data you select sorted by customer only. If you choose a secondary sort of, for instance, one of your branches, you will be printed a report of all of the data you select sorted by customer in the branch you specified. If you select a third sort of, for instance, the mechanic, you will add another sort to your selected information—in this case you will print contracts due for your specified customer in one branch by mechanic.
