OVERVIEW

PLUS 360 Notifications provides the ability to keep IEPPLUS users informed about important events, such as student status changes, new enrollments, disciplinary events, meeting changes, etc. It provides a central view to notifications and messages applicable to their students and the ability to manage a caseload of one or more students. This guide provides the details required for users of this feature.

USER SUBSCRIPTIONS

Subscription options provide a way for the individual users to subscribe to optional notifications, and choose how the notifications will be delivered (Notifications Viewer, individual email, digest email or instant pop-up message). To maintain subscription options, navigate to: Options > Notification Options > User Subscriptions. The screen illustrated below will display. Users without administrative security permissions will only be able to see the User Subscriptions tab. The following information pertains to the selections on this tab.

1. Email Address This option allows a user to define the email address to which notifications will be sent. Email address is required if the email or digest subscription option is selected. The email address textbox will display only if the user has a staff record associated to their user ID. If a user does not have an associated staff record, the following message will display [Please associate this user with a staff member to receive emails] and the user will not be able to enter an email address. Contact your district’s system administrator to resolve this issue.

2. Subscription Options

Users can subscribe/unsubscribe and select a delivery method by selecting the appropriate radio button. Off

This option means the user is NOT subscribed to the rule. If a notification is disabled through either system or group level notifications options, the user will not be able to change this setting (i.e., change the setting for that notification to on).

On

This option means the user is subscribed to the rule and will receive notifications in the PLUS 360 Notifications Viewer. If a notification is mandated through either system or group level notifications options, the user will not be able to unsubscribe (i.e., change the setting for that notification to off).

On With Email

This option means the user is subscribed to the rule and will receive notifications in the PLUS 360 Notifications Viewer, as well as the email address specified on this screen.

On With Digest This option means the user is subscribed to the rule and will receive notifications in the PLUS 360 Notifications Viewer, as well as a digest email at the specified email address. The digest is a daily email containing all notifications set with this option. The digest email is generated one time per day, at the time defined on the System Setup screen, ‘Run Time’ field. NOTE: At the time the digest email is generated, the program will include all messages that are contained in the Viewer that have not been previously included in the digest email. When a message has been included in the daily digest, the message is marked as being sent and will not be included in any future digest emails. If a user deletes a message in the viewer prior to the digest email being generated, it will not be included in the digest email. Below is an example of a digest email:

3. High Priority This option will display the notification as an instant pop-up message, providing immediate notification to the users when something has changed involving one of their students. Click the provided checkbox to enable (or disable) instant alert messages.

4. Student Filter

Student filters provide a way to define the students included in a user’s notifications. The user options will supersede the system level options for student filters. There are two options.

All Accessible

This option allows the users to see notifications for all students to which they have visibility as determined by applicable group or user security.

Use Caseload

This option allows the users to see notifications only for the students included in their caseload.

CASELOAD MANAGEMENT

The caseload management feature is available at the user level on the Home page or Student Summary screen (Student Management > Manage an Existing Student). To add a student, click the left caseload icon. Click it again to remove the student. To limit the students displayed to caseload only, click the ‘View Caseload Only’ link. To assign a student to another user, click the right caseload icon, select a Staff member from the drop down list, and click the Assign button.

Students also can be added to or removed from the user’s caseload on the Student Summary screen by clicking the icon illustrated below.

Caseload functionality is also available on the lower left section of the Home page. To limit the view to caseload, click the ‘My Caseload Only’ checkbox.

NOTIFICATIONS VIEWER

Accessible on the Home page, or through the icon in the upper right hand corner of the banner toolbar, the Notifications Viewer provides a way to view all the notification messages that have been generated and sent to a user. The notifications system will display the number of unread messages in the user’s Notifications Viewer. Please note that the number of unread messages will not display a number above 99. If the number of unread messages is >99, then the banner tool icon will display ‘99+’. The same thing is true of the Notifications Viewer icon (the black circle containing number of unread messages) as well. Clicking the Notifications icon on the banner toolbar will provide access to the inbox from any screen. The screenshot below illustrates the Home page view.

*Note: The Student Search box available on the Menu Bar will allow users to search for a student from anywhere in IEPPLUS. The short cut keys Alt-S (Internet Explorer) or Shift-Alt-S (Firefox) will move the cursor to the Student Search box. Search initially displays the students in the user’s caseload. Use the up or down arrow keys to scroll through the list. Users can also enter search criteria, in which case, the search will include all students to which the user has access based on security permissions.

UNREAD ALERTS

The total number of unread alerts will display in the upper-left corner. The unread alerts will be bolded and the envelope icon will display with an asterisk to denote unopened status.

COLLAPSE/EXPAND

Messages will be grouped by receipt date by default. To collapse a group, click the icon (minus sign) illustrated below. To re-expand a group, click the icon (plus sign) again.

Note - if all alerts are read, then the window will open up as collapsed by default. To open all groups, click the ‘Expand/Collapse All’ icon located at the top of the screen to the left of the checkmark.

SORT BY

The default sort is by Date and Time of receipt, in descending order. Select from the drop down list illustrated below to sort by Category (Action Required or Informational) or Application (e.g., IEPPLUS).

‘SHOW ALL’ FILTER

The default filter is ‘All’ which displays both unread and read alerts. Select from the drop down list illustrated below to filter on Deleted or Unread messages. When selecting either of the latter two filters, only the deleted (or alternatively the unread) alerts will display.

Once displayed, any deleted messages can be undeleted by clicking the checkbox opposite the message and selecting Undelete from the drop down box illustrated in the screenshot below.

‘WITH SELECTED’ FUNCTIONS

‘With Selected’ is a drop down list that allows selection of the following functions: Delete, Mark Unread or Mark Read. To perform any of these functions, first click the checkbox opposite the message as illustrated below. Then select the function from the drop down list. To select/deselect all messages, click the checkmark at the top of the display to the left of the drop down box.

MISCELLANEOUS ICONS

The three icons illustrated in the above screenshot do the following:

Chain – Link to a Cross-Application (e.g. eSchoolPLUS). Linking will provide the ability to receive notifications from eSchoolPLUS in the IEPPLUS viewer, allowing the user to manage all notifications in IEPPLUS regardless of their source.

Gear – Link to User Subscriptions.

Arrow – Open Notifications Viewer in a new window.

RUNNING REPORTS

For any report that has ‘Student’ selection criteria (e.g., Reporting > Run a Report > Basic List), the users can filter the report to include only students in their caseload. Refer to the screenshot below. If the user selects ‘Caseload Only’, the report will be limited to the student’s in that user’s caseload rather than all the students accessible based on security.

This rule will notify the user when an active student’s Evaluation or Reevaluation is past due. Administration, System Setup includes the ability to establish the number of ‘Historical days to search’ back for expired forms. Since some students may not have a form in IEPPLUS, the rule will look for a form as well as an Important Date record that has a specific Alternate Code based on the student’s Enrollment (Gifted, 504 or Special Education). See Appendix B for complete list of forms and Alternate code requirements. Since reevaluation is done every 3 years, the system will calculate the End Date using the most recent finalized form (ER, RR, FIE, ETR) or Important Date record, adding 3 years minus one day. The system will compare the calculated End Dates and will identify the more recent of the two. Enrollment records must have a Start Date or the student will be considered inactive. The form does not need to be finalized for the rule to run.

The rule uses Alternate Codes (Notification Codes) and Enrollment Types – this info can be found in the Appendices B table.

Trigger James Miller was enrolled on 10/18/2012 <pulls from enrollment activation date> with an enrollment type of Special Education <pulls from enrollment type>.

An Event Has Occurred for a Student

Creation of an Event record or a change to an event Start Date or End Date. The rule will re-trigger the process and send another notification that includes the changes.

Trigger James Miller had a Discipline Event <pulls from event type> on 10/18/12.

Student's Form (e.g. IEP) Has Been Finalized

Finalization or re-finalization of an active student’s form.

Trigger James Miller's 504 Plan <pulls from form name field> has been Finalized on 10/25/2012 and is available for viewing.

Student Has Been Inactivated

Enrollment Start Date, End Date and Inactivation Reason are not blank (Inactivation Reason other than Does not quality (Student Status Alt Code - DNQ).
