Developing the PCRS Website

Your website is the core element within PCRS’ digital communications.

As we’ve been developing this project, we’ve been documenting how the website is currently structured and the impact that structure is having on page traffic. We’ve also looked at user needs and developed a sense of how the website can be developed to build interaction and engagement from both members and potential members.

The following pages summarise our findings and recommendations.

The structure visuals show how PCRS’s website is working now, and how it can work in the future. Outline findings and recommendations are notated on each page. Because of the level of detail involved, we shall also provide full screen versions of the visuals separately uploaded onto Slack to enable full examination all the detail.

During the course of development to date, we’ve noted something of a disconnect between PCRS’ website structure and the pages most visited. Primary navigation pages have relatively low traffic counts, and some key pages are being visited independently of the rest of the site as a whole. Our intention is to create more awareness of PCRS overall by creating a more integrated website that encourages greater dwell times. We’ve also identified some gaps in the logical presentation of PCRS content, as well as some overlaps.

Our proposed structure is designed to address all this, whilst retaining the essential existing structure as much as possible. An effective website encourages viewers to navigate across the site sequentially, discovering more as they do so. We can see from traffic data that this needs some attention. The proposed structure introduces some new elements, and re-organises others, so there is less emphasis on PCRS management structures and more on the power of PCRS as a connected community of practice. We’ve also played up the vital role of the Resource section by including some new signposting so that popular areas of the site can be more easy to find and user needs are met more easily.

Introduction

Meeting User Needs

In conjunction with you, we’ve been developing six ‘Personas’ to ensure that website development is designed with their interests in mind. These are:

Persona 1 - GP Commissioner Lapsed Member

Persona 2 - Primary Care Nurse, Existing Member

Persona 3 - Generalist Primary Care, Non-Member

Persona 4 - Respiratory Specialist, Potential Member

Persona 5 - Researcher, Potential Member

Persona 6 - Respiratory Pharmacist, Potential Member

What these personas have flagged up, as the requirements that the website needs to satisfy, has been interesting. They cover evidence of a lively community online that includes feedback, a way of identifying and categorising resources on the website, improved search and navigation functionality, especially within the Resources section, a specifically identified Guidelines section within Resources, development of the Affiliated Groups section, an insight into the structure of CCG’s, access to the latest respiratory primary care research, a more expanded research section and an enhanced sense of PCRS as an active research community, the opportunity to create ‘practitioner science’ and channels for discussion.

Some of this can be met by content, but not all of it can be met by a Drupal-based website, though some function such as a ‘rate this page’ feedback function should be incorporated onto all pages if this is viable. We recommend the consideration of a Slack-type community that can work alongside how content is served via Drupal to meet some of these needs. We also recommend the removal of duplicate links across the site. They should not be as necessary if the navigation and structure is doing its job, though some elements (such as the ability to sign-up to In-Touch), should be more prominent as means of converting latent interest into more active engagement and ultimately, membership.

Mapping the PCRS Website

The visual overleaf illustrates the website, as it is currently, so we can see where we’re starting from.

The light green page thumbnails are the most visited pages. Orange thumbnail pages represent the secondary navigation used across the website. This visual also shows pages (on the right) that are frequently visited but that do not appear on the main website structure at the moment.

This is another iteration of the existing site structure, which contains page codes for each page. When managing an update that includes moving some pages and adding new pages, keeping track of the migration process by using page codes is vital. We also want to be able to look at how page traffic will develop as a result of improved navigation and a new site structure, which a management workplace for each coded page will allow us to establish.

The notes are a summary of the main findings and the basis of our recommendations for a developed site, along with the findings from the Persona work.

PCRS Proposed Site Layout

Developing the PCRS Website

The visual on the next page shows the main changes we are suggesting you make to the current structure, with old page codes in red and new page codes alongside them in blue/green.

We have re-ordered the sections in the Primary navigation so the pages people want most are upfront, and moved some pages into new sections so that there is more of a reflection of the user’s point of view and less of a PCRS-centric presentation. Finally, we have introduced some new elements for consideration, particularly in the Resources section, with the inclusion of a new section, called ‘Conditions’ and new categories within the Resources section covering ‘Guidelines’, ‘Tools’, ‘Treatment Advice’, ‘Management Advice’ and ‘Accreditation Advice’ through which Resources can be better defined and sign-posted.

There are notes that accompany this new structure and a full-sized version of this graphic will be posted separately. Finally, on page 9, there’s a Workplace we have created to manage migration smoothly and keep track of changes as implementation begins as well as to view traffic data on an ongoing basis. Again, this will be uploaded separately.

The proposed site map contains an expanded About Us section, which contains details of the Executive Team, Trustees and other committees, as well as some information provided previously in the footer. This puts some of the more PCRS-facing content into context and allows the Community section to focus more on the PCRS network, while at the same time enhancing PCRS’s organisation strength. We’ve moved Resources ahead of Events and expanded this section. Content styling will address other issues, for example, how the Members’ Directory might be enhanced. The Resources section itself has been enhanced. We propose retaining the Secondary navigation element to keep page redesigns to a manageable level, but will look to freshen this section up to create more visual interest there. We would also suggest that if there’s the option for more than one variant of the secondary navigation block to carry different ranges of information in different sections, then this should be explored.

This is an online illustration of a Site Map Workplace we strongly suggest becomes the basis for implementation management. In the future this can also carry site traffic data, so the website structure itself and user behaviour can be closely monitored and in time become more aligned.

A full Excel version of this map will be uploaded onto Slack for inspection.

Appendices - Personas

Mapping the PCRS Website

As mentioned, to get an understanding of the needs of members and potential members’ needs from the website, we have developed six Personas with you. These are attached again in these Appendices for reference.

Page 11: PCRS Website Structure Recommendations · • Original PCRS Site Map prepared by Visceral Business with annotated page data and comments • Original PCRS Site Map showing current

Persona 1 - GP Commissioner Lapsed Member (created by SG/DK)

A GP commissioner, recognised as a respiratory expert by CCG & STP.

Continues as a GP partner, working in practice 3 days a week. A lapsed member who used to attend PCRS regularly but who has found it impossible to take time out in recent years.

They are looking forOverall 1) A welcome (back) and respect for/recognition of their experience and contribution - we might consider individualised contact with these people if we know who they are. 2) A reminder of the social and intellectual pleasures of the conference and of participation generally in PCRS. A brief update of the recent activities and achievements of the

organization (inc recent publications). Website (NB completed) 3) A holistic approach to respiratory in the context of long-term conditions and multiple morbidities 4) Respiratory in respect of ‘STP’/ NHSE targets /measures & current “hot topics” (and equivalent in other 3 nations); current examples:

o dealing with winter pressures, in terms of better long-term condition management and treatment of infections o improving performance versus NHS the right care (or equivalent for other three nations o inequality/deprivation o cost savings (inc prescribing) o spirometry register/accreditation

5) examples of service specs, business plans etc that can be lifted/adapted for local use

How these needs might be met online 1) Personalised content, especially through mailings. Better networking capabilities using a platform where members can talk to each other and individual achievements can be recognised. As a group, these people need to be identified within CRM as a segment.

2) Endorsements from other members, evidence of a lively community online that includes mixed activity and feedback. Updates of recent activities and achievements of PCRS that illustrates the value of being close to PCRS, quarterly, every six months or annually.

3) This is probably a content issue rather than website structure or design.

4) Perhaps a way of identifying and categorising resources on the website - NICE Guidelines, Treatment advice (winter pressures), Management advice (cost savings, service specs), Accreditation advice (spirometry).

5) This is probably a content issue rather than one relating to website structure or design. May be made available as part of a Resources section if it’s not already.

Page 12: PCRS Website Structure Recommendations · • Original PCRS Site Map prepared by Visceral Business with annotated page data and comments • Original PCRS Site Map showing current

A nurse with a generalist role in practice (e.g. a nurse practitioner or practice nurse), who is a practice lead for respiratory and who has a specific interest in respiratory care. They’re involved in running local respiratory group with a community physio colleague: The group is affiliated to PCRS. They are an active member who attends conference most years.

They are looking for1) Primary care specific guidance for practical skills and advanced knowledge.

2) Easily accessible resources, quick tips and clarification of national policy.

3) Ideas on how to engage with multi-professional colleagues and build a local network.

4) How to gain access to CCG’s and be a voice for primary care nurses.

5) How to access further education and professional development.

How these needs might be met online

1) Similar to as in the previous persona - a way of identifying and categorising resources on the website - NICE Guidelines and clarification of National policy, Treatment advice (winter pressures), Management advice (cost savings, service specs, how to gain access to CCG’s and be a voice for primary care), Accreditation advice (spirometry) Practical skills, Advanced knowledge, to be included. 2) Improved search and navigation within the Resources section.

3) Perhaps this can be addressed in feature articles and a restructured Groups section4) See 1)

5) This is probably a content issue rather than something concerned with website structure or design.

Persona 2 - Primary Care Nurse, Existing Member (Created by VG/OP)

Page 13: PCRS Website Structure Recommendations · • Original PCRS Site Map prepared by Visceral Business with annotated page data and comments • Original PCRS Site Map showing current

www.visceralbusiness.com© 2018 Visceral Business Ltd

Generalist practitioner (typically a practice nurse) running a respiratory clinic, with limited respiratory knowledge and worried about being out of her depth. The PCRA roadshow was helpful last year. Her practice will not give her time off to attend this year. They are aware of PCRS and get the occasional email - but sees PCRS as being for those with specialist respiratory interest and not relevant to her as practice nurse.

They are looking for

1) Quick access to guidelines and accurate factual information that will help them deliver a safe service without needing to look up and be able to quote all of the references that sit behind the guidelines.

2) A safe place to be able to ask advice on what to do when a patient doesn’t quite fit the guidelines without being made to feel foolish for not knowing the answer. 3) A supportive community of health care professionals who will take the time to explain things, answer questions, and make the practice nurse feel less isolated in her practice 4) A place to check out what should be happening (how far from normal is this?) and how to go about making changes to what actually is happening where she is so that she is

no longer too much of an outlier in her practice 5) She might even want to become a part of a passionate community and become a respiratory ‘specialist’! 6) Free access to easy to understand, reliable, non promotional information on how to diagnose and treat common conditions such as Asthma and COPD. Also, he/she may be feeling uncomfortable about how much has been asked/expected of them and is looking for reassurance that he/she isn’t working beyond their competence and confidence. 7) Confused about micro-spirometry, doesn’t quite understand spirometry at all, and in COPD the medicines guidance seems out of date and confusing, looking for a simple treatment pathway to download and put on the wall. 8) The local CCG (or similar) have suggested some medicine switches recently, just want to check that this is OK to do, as they involve different devices.

How these needs might be met online 1) A more structured layout for the current Resources section. 2) An advice and feedback function (ideally in real time) that provides a trusted learning path for their future as well as an ongoing

community. 3) See 2). 4) See 2). 5) See 2). 6) See 1). 7) Consider a dedicated Spirometry section. 8) A Specifically identified Guidelines section within Resources.

Persona 3 - Generalist Primary Care (Non-Member) (Created by CS/IS)

Page 14: PCRS Website Structure Recommendations · • Original PCRS Site Map prepared by Visceral Business with annotated page data and comments • Original PCRS Site Map showing current

www.visceralbusiness.com© 2018 Visceral Business Ltd

Respiratory specialist practitioner (e.g. nurse, physio or integrated care consultant). They have recently taken on the role of leading a community COPD team. They’re a member of ARNs (or equivalent) and an expert on respiratory medicine but have little knowledge of how primary care works. Never had anything to do with PCRS. Active user of social media.

They are looking for

1) The support to develop their own leadership skills across the community, gain credibility and develop links and contacts in primary care. 2) Information about and access to local primary care groups so that they can develop a network to support the work of the community team 3) Help with developing pathways of care across primary, secondary care and other care providers. 4) Information about community respiratory teams with outcome measures demonstrating evidence of improvement which can be adapted and utilised locally. 5) An insight into the structure of CCG’s and information on how best to link in with local objectives. 6) An understanding of the terminology and acronyms used in primary care as this can be very different from that used in secondary care. 7) Access to the latest respiratory primary care research. 8) Evidence-based examples of community policies and management algorithms to save reinventing the wheel to use locally. 9) Information on efficacy of integrated care teams and joined up work to support commissioning of future services.

How these needs might be met online 1) Actively social potential members can see existing members to link to @PCRSUK in their online bios. Potentially, a LinkedIn

group that evidences alignment with PCRS is career-enhancing. Some association with recruiting resources for this demographic 2) Development of the Affiliated Groups section. 3) Improved signposting/search within Resources section and by improving meta data that categorises content around primary,

secondary, and other care provider info. 4) A forum for developing and sharing information about such information. 5) Could be provided under a ‘Groups’ section that covered structures in the field in general as well as local/affiliated PCRS groups.

A content issue, not specifically website or design. 6) Could be provided under Resources section. A content issue, not specifically website or design. 7) ‘Research’ identified specifically as part of Resources section. 8) See 4). PCRS could set itself a mission to develop best-practice altos via an online community which could become a real USP.

An example of practitioner science in action. 9) See 4) and 8)

Persona 4 - Respiratory Specialist, Potential Member (Created by VK/VM/CC)

An academic researcher (of any professional background, clinical/non clinical) working towards a PhD. Submitted an abstract to the PCRS conference for first time in 2017. A supervisor has suggested he/she should consider joining.

They are looking for

1) Somewhere to present their research which represents good value in terms of time and money – so has a sizeable research community (including high impact people) to disseminate to and receive feedback from; others working in their research area to network with, high quality research whilst giving opportunity for orals which they might not get at BTS/ERS.2) 2) Updates about clinical guidelines and guideline summaries to be able to refer to for information – quick reference guides to know what happens in practice3) Summaries about relevant recently published papers across the journals 4) Membership of a research community with potential to network/making contact with others beyond the conference 5) Research skills and development opportunities – leadership in research/help developing softer skills of research 6) Information/news about funding opportunities 7) Access to resources for research – membership for surveys of GPs/nurses/recruitment to studies; PPI groups; using PCRS to disseminate their work after publication.

How these needs might be met online

1) An online forum. This could take the form of a PCRS LinkedIn group which would be free to join, or access to a private PCRS Slack platform, which would be accessible as part of a paid membership, or both. In addition, increased focus on the Researcher community within membership.

2) Make available within the Resources section. A content issue, not specifically website or design. 3) Could be addressed within the online version of PCRU. Is this covered already within the PCRU Journal Round Up? 4) This could be a specific channel as part of an online community on e.g. Slack. 5) Could be addressed through a Research section online, possibly within Resources, as well as through networking via a forum. 6) See 5). 7) See 5).

Persona 4 - Researcher, Potential member (Created by HA)

Page 16: PCRS Website Structure Recommendations · • Original PCRS Site Map prepared by Visceral Business with annotated page data and comments • Original PCRS Site Map showing current

www.visceralbusiness.com© 2018 Visceral Business Ltd

A respiratory-interested pharmacist in a portfolio role, their time is split across role GP practice, medicines optimisation with CCG and locum sessions in retail sector. They have come across PCRS in Google searches but are a member of the Primary Care Pharmacy Association (PCPA).

They are looking for

1) Up-to date-guidance, resources, tools, tips etc to help implement the guidance at operational level in the environment they work e.g. GP practice, at CCG, etc.

2) Some forums to engage, network and support them whilst they develop into competent clinical skills.

3) Opportunities to develop leadership skills which may help them to influence local, regional discussions around respiratory care.

4) Examples of projects, pilots at practice, CCG level to drive improvement in respiratory care- this may via published papers, attendance at conference, affiliated groups

How these needs might be met online

1) Well signposted Resources section. Perhaps a more dynamic version of the same via an online channel/forum for discussion.

2) See 1).

3) This is presumably being met with Workshops? This could be helped and developed further through targeted communications/CRM activity analytics.

4) Opportunity to create a ‘practitioner science’ community that shares and builds expertise. Better signposting of existing Resources that are member-generated in tagging/meta-date and SEO. Is also a content issue, not specifically website or design.

Persona 5 - Respiratory Pharmacist, Potential Member (Created by ST)

Page 17: PCRS Website Structure Recommendations · • Original PCRS Site Map prepared by Visceral Business with annotated page data and comments • Original PCRS Site Map showing current

www.visceralbusiness.com© 2018 Visceral Business Ltd

Non-clinical NHS Service manager Non-member SH/NB

Involved in long term conditions service re-design working for CCG and involved with STP. Dealing with conflicting pressures of having to make short term financial savings and time talking about strategic innovative service transformation. Registered for Commissioning events by PCPA last year, ended up not being able to attend. Given the time pressures this year, did not bother signing up. Time-hungry. Gets a newsletter from the Commissioning Platform but does not have time to read it.

They are looking for

1) High quality authoritative independent materials that allow the manager more easily to implement change, make financial savings, make longer term benefit to the local community and be aware of issues on which to adapt local planning documentation to achieve STP / CCG vision.

2) Want information that is independent and is not influenced by noisy and potentially conflicting voices of pharmacists’ local GPs specialist physicians, physios and nurses 3) They will want to develop a local service that seems tangible and measurable with checklists, clear stratifications of populations and documents to make change easier. 4) Topics need ideally to follow strategic thinking set nationally and which they are expected to deliver on being careful to focus on what is ‘in’ such as right care, house of care,

winter pressures etc. 5) It needs to link more generically with frailty, long term conditions (rather than single organ disease interests) and managing the multimorbidity agenda. 6) They want to see examples that they can lift off the shelf and apply locally, especially if they report savings and moreso if the savings are short term.

How these needs might be met online

1) Relates to content, not specifically website structure or design, but it can be helped through the design of online materials with signposting to change recommendations/crisp implementation advice/savings estimates/calculations (community-created algos?) member feedback in discussion/forum.

2) Could be met by providing channels for discussion with local groups ie. #local-development and through #tools

3) Can an appropriate topic list be referenced from to inform website and online information structure design?

4) See 4). Suggests there is some scope here to make content and structure design more user-orientated/user-friendly.

5) This is a primarily to do with content, not specifically website structure or design. Suggests practical information on savings and management is desired, perhaps signposted within the Resources section on the website. Meta/search tagging of content to local groups/geographic areas can also help, if possible.
